Fiscal year cannot be closed or reopened: next year missing, drafts pending, or years out of order
The Close year dialog stays blocked or the close and reopen actions are refused: the next year must be open, no drafts may remain, years close and reopen in order, and the books need a Journal voucher type and the Profit & Loss ledger.
Messages this explains
- “Next year not opened yet (open it under Fiscal years)”
- “<n> draft voucher(s) to post or cancel first”
- “Close the earlier fiscal year first.”
- “Open the next fiscal year before closing this one.”
- “Post or cancel every Draft voucher of the year before closing it.”
- “This fiscal year is already closed.”
- “This fiscal year is not closed.”
- “FY <name> is closed; reopen it first.”
- “Reopen the following year first.”
- “These books have no active JRNL voucher type”
- “These books have no active ledger copied from template 3200; sync templates”
Fiscal year cannot be closed or reopened: next year missing, drafts pending, or years out of order
What you see
On the Fiscal years tab of the books, Close year opens the Close FY <name>? dialog with a readiness checklist. A red Blocked badge marks each line that stops the close, and the Close year button stays greyed out until every line shows Ready:
- "Next year not opened yet (open it under Fiscal years)"
- "<n> draft voucher(s) to post or cancel first", with a Show link to those vouchers
When the close itself is refused, a banner in the dialog shows one of:
- "Close the earlier fiscal year first."
- "Open the next fiscal year before closing this one."
- "Post or cancel every Draft voucher of the year before closing it."
- "This fiscal year is already closed."
- "These books have no active JRNL voucher type"
- "These books have no active ledger copied from template 3200; sync templates"
Reopen year opens Reopen FY <name>?. It warns "FY <name> is closed; reopen it first." when the following year is closed, and the reopen can be refused with "This fiscal year is not closed." or "Reopen the following year first."
Why it happens
Closing a year does three things at once: it posts a closing Journal dated the last day of the year that moves every income and expense balance into 3200 Profit & Loss Account, it writes the closing balance-sheet balances as the next year's opening balances, and it locks every period of the year. Reopening reverses that closing journal, removes the opening balances it generated and unlocks the periods. Each block protects that sequence:
- The next year must be open because the close writes its opening balances there.
- No Draft voucher may remain in the year, because a draft posted after the close would change balances the close has already carried forward.
- Years close in order and reopen in reverse order. An earlier open year would feed balances into a year that is already closed; reopening a year whose following year is closed would change opening balances that year has already used.
- Already closed / not closed simply means someone else did it first: the tab was stale.
- The books need a Journal voucher type with the code JRNL to post the closing journal, and an active ledger copied from template 3200 to receive the profit or loss. Books created in the app get both; they go missing when the voucher type or the ledger has been deactivated, or when the ledger was never copied into these books from the organization's templates.
Only users with the Edit permission on Books see Close year, Reopen year and Open next year.
How to fix it
- Next year missing. On Fiscal years press Open next year and confirm Open year (the Edit permission on Books). The new year opens with 12 monthly periods; its opening balances are filled in by the close.
- Drafts pending. Press Show in the dialog (it opens Vouchers filtered to the books and Draft), then Post each draft that belongs in the year (the Post permission on Vouchers) or Cancel draft / Delete the ones that do not (the Edit or Delete permission on Vouchers). See Voucher cannot be posted if a post is refused.
- Earlier year still open. Close the years in order, oldest first, each with its own checklist.
- Following year closed (reopen). Reopen the later year first, then this one.
- Already closed / not closed. Reload the tab; the card shows the year's current state.
- No active JRNL voucher type. On the Voucher types tab reactivate the Journal type whose code is JRNL, or add one with that code and the base type Journal (the Edit permission on Books).
- No active ledger from template 3200. On the Component mappings tab press Sync from templates (the Edit permission on Chart of Accounts) to copy the missing ledger into the books. If the ledger exists but was retired, reactivate 3200 Profit & Loss Account under Ledgers.
- Open the Close FY <name>? dialog again; when every line reads Ready, press Close year. The toast reports the profit or loss and how many opening balances were written.
