Set up the organization
How to start the organization in NirmaanOne: profile and policies, roles and users, lookups, promoter entities, channel partners, contacts, bank accounts and the books.
01. Set up the organization
Everything else in NirmaanOne hangs off the organization: its policies, the people who work in it, the companies it deals with and the books each promoter company keeps. This chapter takes the administrator from sign-up to an organization that is ready for its first project. It is usually done once, by the administrator with the accountant alongside for the promoter entity, its bank accounts and the books.
Before you start
Nothing in the app. You need the organization's legal details (name, GSTIN), the promoter company's registrations and bank accounts (the collection, RERA separate, operative and GST accounts of each project), and a list of the colleagues to invite with the role each should hold. Read Roles and permissions first if you are not sure which default role fits whom.
In this chapter
- Create an organization and sign in the first time: Start here: sign up, land on the dashboard as the administrator and confirm your email.
- Set the organization's profile and sales policies: Fill in the profile and the sales policies every project inherits (RERA gate, estimate validity, area basis).
- Create, tailor or retire a role: Decide who may do what before anyone else signs in: use a default role, tailor one or build your own.
- Invite users and get them signed in: Bring in your colleagues with the right role and get them through their first sign-in.
- Maintain a dropdown list: Put your own values into the dropdown lists (contact types, lead sources, activity types and more).

- Register a channel partner and its people: Register the brokers you work with, their RERA agent registration and default commission.
- Add, edit and retire contacts: Keep the master list of people (buyers, brokers, society members) clean from the start.
- Record a buyer's or member's payout account: Record the bank accounts you will pay refunds, benefits and commissions into.
- Set up the books for a promoter company: Create the set of books each promoter company keeps; nothing can be billed until the books exist.

What comes next
With the organization, a promoter entity with books and the first users in place, go to 02. Take on a redevelopment to create the first project and its society. If you are running a new development rather than a redevelopment, the same chapter applies without the society and member steps.

- Set the organization's profile and project defaultsHow-to
Fill in the organization's name, description and invitation expiry, decide whether RERA registration gates selling, set the project defaults every project inherits (estimate validity, the chargeable areas for buyers and for members and tenants, carpet area offered, revenue method and trigger), and check the RERA escrow share, TDS and cancellation rules.

Make a new role from scratch or as a copy of an existing one, tick the permissions it grants per module, tailor a default role to your organization, retire a role you no longer need, and give the role to users.
- Invite users and get them signed inHow-to
Invite a colleague from Settings > Users with the role they will hold, and walk them through the invitation email to their first sign-in; resend the invitation when the link has expired.

- Record a buyer's or member's payout accountHow-to

- Roles and permissionsConcept
What a permission is (a module plus an action), how roles bundle permissions, the twelve default roles and what each is meant for, the one-role-per-user rule, and when a change reaches a signed-in user.
- Lookups and their codesConcept
The dropdown lists each organization maintains (contact types, lead sources, activity types, company types, bank account purposes, parking types, amenities, unit types, unit configurations), the machine code each value carries, how the code is derived from the name, and why some codes must not be retired.
- Promoter entityConcept
The company developing a project; every project must name one, and its books and bank accounts are where the project's demands, receipts and payouts are posted.
- Contacts, companies and company typesConcept
A contact is a person; a company is a legal entity with people attached. The company type decides which registrations the form asks for (promoter, channel partner, vendor, contractor), and a channel partner's default commission feeds the commissions on the bookings it brings.
- Bank accounts, purposes and bank ledgersConcept
One register of every bank account you pay from or into: who owns an account, what its purpose tag means, why the collection, RERA separate, operative and GST purposes belong to the promoter, what the primary account and the IFSC are for, and how a bank ledger is created in the books.
- Books, the active books switcher and cost centresConcept
A set of books is the ledger of one promoter company: every posting for a project lands in its promoter's books, every accounting screen works on the one set chosen in the Books switcher, and cost centres inside the books (usually one per project with a child per tower) let the ledger and reports be cut by project.
- Project readiness and the RERA gateConcept
A project is ready to sell and collect once it has a promoter entity with books, the collection, RERA separate and operative bank accounts with their ledgers, and, when the organization requires it, a RERA registration whose validity covers today; bookings and allottee purchases wait for all of it, estimates only for RERA.
- RERA accounts and the daily sweepConcept
Every buyer payment enters the project's collection account; the bank sweeps it daily, the escrow share (70% under RERA 2016, or the project's own share) to the RERA separate account and the rest to the operative account. NirmaanOne mirrors the sweep as a Contra voucher per receipt the moment it clears, records certified withdrawals from the separate account, warns on receipts banked elsewhere and reports where the money stands; it never moves the money itself.
- Effective-dated rulesConcept
Rules that change over time (the RERA escrow share, TDS on sales, booking cancellation forfeiture, the revenue policy and cost budgets) are kept as dated rows; the row in force on a date is the latest one starting on or before it, so old documents keep the figures they were made with.
- Dashboard figures: absorption, funnel and operational moneyConcept
How the dashboard's tiles and cards are worked out: absorption of saleable stock, the sales funnel by stage reached, money read from demands and receipts rather than the ledger, the RERA accounts card, and the period with its comparison window.
