Step by step, one task at a time. 112 articles.
Set up
- Add, edit and retire contactsKeep the master list of people up to date: add a contact with their type, correct their details, retire a person who is no longer dealt with, and delete only a record nothing refers to.
- Create an organization and sign in the first timeStart your company's organization in NirmaanOne from the sign-up page, land on the dashboard as its administrator and confirm your email address from the verification link.
- Invite users and get them signed inInvite a colleague from Settings > Users with the role they will hold, and walk them through the invitation email to their first sign-in; resend the invitation when the link has expired.
- Record a buyer's or member's payout accountAdd the bank account a buyer, channel partner or society member is paid into, on the Bank accounts register (or from a company's or allottee's page), so payout runs can pay them and the bank file carries their account number and IFSC.
- Register a channel partner and its peopleRegister a broker or channel partner as a company with its RERA agent registration and default commission, attach the people you deal with there, and record the payout account its commissions are paid into.
- Register the promoter entity and its project bank accountsRegister the company that develops a project as a Promoter Entity, record its collection, RERA separate, operative and GST bank accounts, then set up its books and make sure each account has its ledger, so the project can sell and collect.
- Set the organization's profile and project defaultsFill in the organization's name, description and invitation expiry, decide whether RERA registration gates selling, set the project defaults every project inherits (estimate validity, the chargeable areas for buyers and for members and tenants, carpet area offered, revenue method and trigger), and check the RERA escrow share, TDS and cancellation rules.
Projects
- Create a projectCreate a project from its name, type, property type, promoter entity and site address, record its land and RERA details on the first wizard step, and leave the rest of the setup for later.
- Link a society to a redevelopment projectOn a redevelopment project, pick the existing housing society being redeveloped, or create it on the spot from the project's site address, so its members become the project's tenants.
- List amenities, project-wide or per towerRecord what the new project provides: amenities shared by everyone (clubhouse, gym) listed once for the project, and amenities each tower has (refuge unit, society office) listed once per tower, drawing on the organization's Amenities lookup.
- Make a project ready to sell and collectClear every blocker on the project's "Ready to sell and collect?" card: a promoter entity, its books, the collection, RERA separate and operative bank accounts with their ledgers, and the RERA registration when your organization requires it, so bookings and allottee purchases can go through.
- Record a RERA extensionWhen a project's RERA registration is about to expire or has expired, record the extension order as a new row on the RERA registration card, attach the order, and check that the readiness card reads Current again.
- Record land, RERA and the project's settingsFill in the land survey details and expected possession, record the RERA registration (jurisdiction, certificate and validity) that lets the project be sold, and override the settings the project inherits from the organization on its Settings tab only where it differs: estimate validity, the chargeable areas for buyers and for members and tenants, carpet area offered, RERA escrow share, revenue method and trigger, plus its occupation certificate.
- Record landowners and PAP tenantsRecord the project's own allottees, the landowners who receive units for their land and the project-affected (PAP) tenants rehabilitated in PAP units, with their co-owners, and open an allottee's page to complete their record.
- Set a project's cost budgetGive the project a cost centre in the promoter's books, then enter its estimated construction and land cost on the Budget cost card on the Settings tab, from a date, so cost of sales and cost-based progress have a budget to work from; revise it with a new dated row.
- Walk through the project setup wizardTake a new project through the nine setup steps in order: basics, land and RERA, promoter and bank accounts, towers and units, society, members, offers, extras, and review, saving as you go and skipping what can wait.
Structure and parking
- Allocate a parking slot to an allotteeGive a society member one of the project's parking slots from the Parking tab, see it on the member's page, and release it again when the allocation changes.
- Block and unblock a unitTake a unit out of circulation by hand, so it can't be offered to a buyer or allotted to a tenant, and put it back when the reason has gone; only units that are free can be blocked.
- Earmark rehab units for tenantsKeep units back for the rehab side of a redevelopment: set a unit's status to Reserved For Tenant so it waits for a member or landowner, designate PAP units that only PAP tenants can take, and mark Common units that house an amenity and are never sold.
- Generate towers, floors and unitsAdd a project's towers and build their floors and units in bulk with the guided generator: one floor range at a time, with the unit mix, areas, designation and numbering pattern, and a safe re-run that only adds what is missing.
- Import and export units with ExcelDownload a project's units as an Excel sheet or start from the template, fill in towers, floors and units in bulk, let the app check every row, and import them in one go; missing towers and floors are created for you.
- Plan construction stages and their sharesRecord the project's construction stages (plinth, slabs, possession…) with their order, share of the payment bucket, tower and expected date, one at a time on the tab or in bulk from an Excel sheet, so construction-linked payment plans and pricing plans can be built on them.
- Record construction progress on a stageMark a construction stage as commenced and then completed on the project's Construction Stages tab, with optional certificates or site photos, so the construction-linked installments waiting on it get their due date and accounts are told to bill them.
- Set up parking areas and parking slotsAdd the project's parking areas (basements, podiums, stilts), number their parking slots in bulk with the generator or one at a time, and check the layout, so parking slots can be allocated to society members and offered to buyers.
Pricing
- Configure charge groups and componentsReview the standard charge groups and their default GST, add a group of your own, and add or retire the charge components (sale charges, tenant benefits, tenant charges, commissions) that pricing plans, estimates and offers are built from.
- Create a pricing plan and its charge linesSet up a project's guidance price list for one unit type: create the plan, add a line per sale charge with its basis, amount and GST, save them together, and later retire the plan when a new price list replaces it.
- Decide how each charge group is collectedOn a pricing plan, say for each charge group whether the buyer's payment plan collects it (on every stage or only on the stages you pick) or whether it falls due at possession outside the plan, then set the project's expected possession date so those rows get a due date.
- Preview a price and payment schedule on a unitCheck a pricing plan on a real unit of the project: the grouped cost sheet with GST and grand total, then how a construction-linked or lumpsum payment plan would collect it, with the plan's stage links and possession charges applied; nothing is saved.
- Set up a benefit planCreate a ready-made plan of the benefits allottees get on a project (corpus, transit rent, shifting…), each as a fixed amount or a rate per sq ft of existing carpet, so the rehab team can apply it to offers in one go.
Societies
- Enter society members, their consent and co-ownersBuild a society's member roll one person at a time: quick-add names and phones, fill in the full form with the existing flat, record each member's consent to the redevelopment, and add the co-owners who share the flat.
- Import society members from ExcelFill the members template (or an export of the roll) in Excel and bring it back: the sheet is checked row by row first, and nothing is written until every row passes.
- Record a societyAdd the existing housing society being redeveloped, with its registration, address and roll size, and link it to its redevelopment project.
Tenant offers
- Apply a benefit plan to an offerFill an allottee's draft offer with the project's ready-made benefits (corpus, transit rent, shifting…) in one go, worked out for that allottee's existing carpet, then date the lines and save the offer.
- Cancel or delete an offerWithdraw an offer that has gone out (cancel: units released, record kept) or remove a draft or cancelled offer altogether (delete), from the offer panel or the allottee's page.
- Correct an issued offer and re-issue itTake an issued or accepted offer back to draft, change the areas, units, benefits or split, and issue it again so a fresh letter supersedes the one already with the allottee.
- Draft an offer to an allotteePrepare the offer (term sheet) for a society member, landowner or PAP tenant: the area they are entitled to, the new units allotted to them and the benefits the developer pays, saved as a draft.
- Issue an offer with its letterPublish the offer letter template once, then issue a draft offer so the letter is generated and filed with it and the offer moves to Issued.
- Record acceptance and the signed offerMark an issued offer accepted, then signed, attaching the scanned signed copy so it is filed with the offer and on the allottee's page.
- Split the entitlement and start the allottee's purchasesDecide how the entitled area falls on each allotted unit and how much of the extra area the allottee pays for, then open a purchase per unit and price it through the usual estimate, approval and booking.
Sales
- Agree the payment planDraft how the estimate's amount is collected (lumpsum, installments on a cadence or on agreed dates, or construction-linked), check the schedule preview and save the plan as a draft version on the estimate.
- Approve or reject an estimateFind an estimate that is awaiting approval from the approvals inbox or your task, review its price and payment plan, and approve it so it can be booked or reject it with comments for the team to revise.
- Capture and work a leadCreate an opportunity for a buyer's enquiry on a project, assign it an owner, log the calls, site visits and follow-ups on its timeline, and keep the requirements up to date until it is ready to be priced.
- Finalize an estimate and request approvalLock the estimate's price and finalize its payment plan so an approver sees both together: from the wizard's Review & finalize step in one go, or from the estimate page with Finalize pricing and Finalize plan.
- Handle campaign opt-outsKeep the organization's unsubscribe list right: check who has opted out through the link in a campaign mail, add a contact who asked by phone or in person, take someone off the list when they ask to be mailed again, and rebuild the recipient list of a campaign that has not gone out yet.
- Mark an opportunity lostClose a buyer's enquiry with a reason when they drop out: every live estimate is cancelled, the unit and parking slots held for them go back to stock, and the opportunity can be reopened if they return.
- Price a unit for a buyerCreate the first estimate on an opportunity: pick the unit on the availability grid, any parking slots, a unit pricing plan or hand-added charges with overrides and GST, set the validity and save it as a draft.
- Reopen a lost opportunityBring a lost buyer back as a Lead with their history intact, from the opportunity, the list or the new-opportunity notice, and price a fresh estimate on a unit that is free now.
- Revise an estimate after a rejection or a change of termsChange a locked estimate the right way: a new version for a different price, unit or parking (the old version is superseded), a new payment plan version when only the terms change, or a fresh approval request on the same version.
- Run an email campaignEmail a launch, an offer or a reminder to a chosen audience of contacts and leads: pick an Email template, define and count the audience, build the recipient list, preview and test the merged mail, then send it now or schedule it, and follow the delivery log.
- Send an estimate and hold the unitMark a draft estimate as sent so the unit and its parking slots are held for the buyer until the validity date, print or email the cost sheet from a published template, and extend the validity when the buyer needs more time.
Bookings
- Book a unitTurn an approved estimate into a booking: review what was approved, add the co-applicants and their shares, set the booking date and book, then record the agreement details and any co-applicant who joins later.
- Issue, accept and sign the buyer's termsheetTake the booking's termsheet from Draft to Issued, Accepted and Signed on the Termsheet & schedule tab, optionally emailing the term sheet document through the seeded workflow rule.
- Re-date an installment or regenerate the scheduleMove one pending installment to a new date, or rebuild the open part of a booking's payment schedule from a changed payment plan, keeping every paid, waived or hand-edited row.
- Record the occupation certificate and hand over a unitRecord the OC on the tower or the project, then on the booking offer possession, hand the unit over (it becomes Sold) and register the conveyance; the books recognise the revenue at the next revenue run.
- Record the token, agreement and registrationNote the token amount, the agreement date and number and the registration date on an active booking from its Edit panel, once the paperwork with the buyer is done.
Collections
- Appropriate a receipt across a demand's charge linesPlace the money received against a demand on the charges its instalments cover, in the split you decide, so the booking's schedule rows show what is paid.
- Bill a whole project with a demand runDraft one demand per buyer (or member offer) for every installment due on a project up to a date, review the batch, and issue all of it in one action.
- Bill and collect a member's chargesRaise and issue a demand on the charge and tax rows of a society member's redevelopment offer, record the member's receipt against it, and place the money on the charges.
- Bounce a returned payment or correct a pending oneMark a cheque or transfer the bank returned as bounced so its voucher is reversed and the demand reopens, and fix, cancel or delete a payment that is still pending.
- Cancel or correct a demandFix or remove a draft demand, or cancel an issued one with a credit note so its installments are free to be billed again.
- Chase overdue demandsFind the demands past their due date, send the buyer a payment reminder from the demand, read the ageing and outstanding bills, and rely on the seeded escalation rules.
- Raise and issue a demand on a bookingBill one or more installments of a booking's payment schedule: draft the demand from the booking, check its GST and TDS, issue it to post the sales voucher, and send the demand letter.
- Record and clear a buyer's receiptRecord the money a buyer paid against an issued demand as a consideration receipt (and the GST they paid as its own GST receipt), clear it to post the receipt voucher, give the buyer their receipt, and hand the TDS they deducted to a TDS credit.
Payouts
- Accrue a channel partner's commissionRecord the brokerage a channel partner has earned on a booking, from the booking's Demands & money tab: partner, base, percentage or fixed gross, GST and TDS, giving an Accrued commission that is then approved and paid.
- Approve a commissionApprove an Accrued channel-partner commission so its accrual journal is posted (brokerage and GST input debited, the partner credited net of TDS, TDS payable credited) and it becomes payable.
- Pay a commission on its ownPay one approved channel-partner commission straight from its page: record the payout against the commission, then clear it so the payment voucher posts and the commission moves to Partially Paid or Paid.
- Pay commissions through a payout runPay every approved channel-partner commission of a set of books in one batch: draft a Commissions payout run (one payout per partner), have it approved, export the bank file for net banking, then clear the run with the bank's UTRs.
- Pay member benefits through a payout runPay the transit rent, corpus and shifting charges due to society members and other allottees in one batch: a Member Benefits payout run accrues each due benefit row and drafts one payout per member, which is approved, exported as a bank file and cleared with the UTRs.
Cancellation and refunds
- Cancel a bookingCancel a booking with the four-step cancellation wizard: see which demands are reversed, set the forfeiture and charges the rule suggests, set the refund, and confirm, which releases the unit and parking slots, marks the opportunity Lost and posts every entry in one go.
- Refund a cancelled bookingPay the refund a booking cancellation created: clear the pending refund payout on its own from the payment page, or collect several refunds in a Refunds payout run that is approved, exported as a bank file and cleared with the UTRs.
- Set the forfeiture rules for cancellationsSet what a booking cancellation forfeits by default (a percentage of the agreed total or of the amount received, with optional GST and default charges), for the whole organization or for one project, from a date, on Settings > Organization.
Accounting
- Add a ledger, a party ledger or a standard ledger for every entityAdd an ordinary ledger to one set of books, find or create the bill-wise ledger of a person, company or society member, or add a ledger template so every set of books gets the same ledger.
- Bring forward opening balancesType the balances a promoter company brings from Tally or its earlier books into the start of a fiscal year, check that debits equal credits, save them, and refresh the period balances.
- Close a fiscal yearReview the year's profit and loss and balance sheet, open the next year, clear the draft vouchers, then close the year so income and expenses move into Profit & Loss Account and the closing balances become the next year's opening balances.
- Map a charge component to a ledgerTell a set of books which ledger each charge component posts to (with its tax leg, cost centre and, for sale and tenant charges, the revenue treatment), so demands, benefit accruals, payouts and commissions can be posted automatically, and give future books the same default through a template mapping.
- Post a draft voucher (maker-checker)As the checker, find the drafts an accountant has saved, review one, and post it so it gets its number and reaches the ledger.
- Prepare, review and post a revenue runThe monthly revenue close: prepare a draft revenue run for a period end, read what each booking and member offer would recognise, fix what holds lines back, post the run's journals, and check the contract balances and the balance sheet.
- Recognise rehab units as non-cash considerationFor a redevelopment project whose CA treats the flats given to society members as the price of the development rights: switch the policy on, record the agreement date and the fair value of the rights on the project, and let the revenue runs book the rights and the rehab revenue.
- Record a manual voucherEnter a voucher by hand (a vendor bill, a bank charge, a TDS challan, a transfer between banks, a journal adjustment): choose its type, fill the header and the debit and credit lines, allocate bill-wise lines, and save it as a draft or post it.
- Reverse a posted revenue runUndo the latest posted revenue run of a set of books: every journal it posted is mirrored, the run becomes Reversed, and the next run starts again from the run before it.
- Reverse a posted voucher or discard a draftCorrect a posted voucher by posting its mirror image (a reversal), or set aside a draft you won't post by cancelling or deleting it.
- Set the revenue policy and prepare the chart for itRecord the CA's revenue recognition choices for a set of books as an effective-dated policy, set an organization-wide default or a project override where needed, and prepare the chart, cost centres, cost budgets and construction stages the revenue runs read.
- Set up the books for a promoter companyCreate the set of books a promoter company keeps, mirror its projects as cost centres, check the voucher numbering series and the component mappings, and connect the project's bank accounts to their ledgers so demands, receipts and payouts can be posted.
- Settle bills bill-wisePay or receive against a particular open bill on a bill-wise ledger with an Against Ref allocation, park money that has no bill yet as Advance or On Account, and check the result on Outstanding bills and the Ageing report.
Reports
- Check the RERA accounts and the sweep shareSet the organization's escrow share rule (or a project's own share), make sure every receipt enters the project's collection account, and read the RERA accounts card and statement to see that the daily sweeps to the RERA separate account meet the share.
- Review the month and lock the periodAt month end, read the day book for the month, check that the trial balance is balanced, check key ledgers such as the bank, cross-check the period balances, and then lock the month on the books' Fiscal years tab so nothing more posts into it.
- See the group position across promoter entitiesUse the Consolidated report to add up every active set of books in the organization, one per promoter company, by template ledger or group, optionally for one nature or one project, and export it.
Documents
- Design a new document templateCreate a document template for a record type, write its wording with merge fields, repeat a table row for line items, show a block only when a condition holds, preview it against a real record and publish it so people can generate documents from it.
- Draft a document template with an AI assistantGive Claude or ChatGPT your own letter, form, PDF, Excel sheet or Word file as a reference, let it draft the template in NirmaanOne with merge fields and if/else wording, check the previews it shows, then preview and publish the draft yourself in Settings > Documents.
- Email, void or delete a generated documentSend a generated document to the buyer as an attachment, cancel one that is wrong by voiding it (it stays on record with its number), delete one that was never sent, and trace what happened in the audit log.
- Generate a document from a recordFrom a booking, demand, opportunity, estimate or offer, pick a published template and a format, generate the numbered document, check it on screen and download it; every document is also listed in the organization-wide Generated documents log.
- Put a starter document template into useReview one of the six starter templates that come as drafts, preview it against a real record, publish it, and switch on the system workflow rule that sends it automatically.
- Revise, retire or reopen a published templateChange a published document template without disturbing the version in use, publish the changes as a new version, go back to an earlier version, and take a template out of use or bring it back.
- Set up a letterheadCreate the organization's default letterhead with its header, footer, page size and margins, upload the logo, and optionally add a project's own letterhead, so generated letters carry your branding.
Workflows
- Build and switch on a custom ruleBuild your own automation rule on the rule editor (what it watches, what starts it, which records qualify and what it does), save it switched off, try it on a real record with a dry run, then switch it on and check its runs.
- Chain two rules with a custom eventMake one rule start another: define a custom event type, let the second rule listen to it with the On Event trigger, and have the first rule raise it when it finishes.
- Create, assign and complete a taskAdd a follow-up task by hand, link it to the record it is about and give it to a colleague; the assignee is told in their notifications, finds it on the dashboard and marks it done.
- Customise a system ruleChange what a ready-made system rule does (its timing, conditions, recipients or wording) by cloning it into your own rule, editing the copy, switching the copy on and the original off.
- Design an email template and use it in a ruleWrite a reusable email (subject, designed body, plain-text version and optional generated attachments) with merge fields, preview it against a real record, and have a workflow rule send it.
- Investigate a failed automationWhen a reminder, task or automatic run didn't happen, check that the workflow engine is working, find the run that failed and read its error, fix the cause, then retry the run or requeue the event.
- Put demand, payout and revenue runs on a scheduleHave demand runs, payout runs, revenue runs and RERA sweeps prepared on a timetable instead of by hand: start from the ready-made schedule on each runs page, adjust the day, time and options, save the rule, or simply switch on the matching system rule.
- Run a manual rule from a recordPress a workflow button on a booking, payment, opportunity, estimate, commission or demand page (for example "Send payment reminder" on a demand), fill in its small form, and follow the run to the end.
- Switch on a system ruleSwitch on one of the ready-made system rules that ship switched off, such as emailing the demand letter when a demand is issued: publish the document template it uses, review and preview its email template, then press Switch on and check its runs.
Administration
- Ask the help assistantOpen Ask NirmaanOne from the top bar or the ? drawer, ask in your own words, follow a how-to step by step with the Open buttons, and rate the answer.
- Change a user's roles, or deactivate a userGive a user a different role from Settings > Users, or deactivate someone who has left so they are signed out everywhere and can't sign in, and reactivate them if they come back.
- Create, tailor or retire a roleMake a new role from scratch or as a copy of an existing one, tick the permissions it grants per module, tailor a default role to your organization, retire a role you no longer need, and give the role to users.
- Find out who changed somethingOpen a record's History to see who changed it, when and what the values were before and after, then follow it into the Audit log to narrow by person, action or date and see everything saved in the same request.
- Maintain a dropdown listAdd, rename, reorder, retire or delete the values in your organization's dropdown lists (contact types, lead sources, activity types, company types, bank account purposes, parking types, amenities, unit types and unit configurations) under Settings > Lookups.
- Record a change in law or policy as a dated ruleWhen the TDS rate or threshold, the RERA escrow share or your booking cancellation policy changes, add a new rule with the date it takes effect on Settings > Organization, so documents dated before keep the old figures and those dated after use the new ones.
- Reset a user's two-factor authenticationWhen a user has lost both their authenticator app and their backup codes, an administrator resets their two-factor authentication from Settings > Users so they can sign in again with their password.
- Set up two-factor authentication and require it for everyoneTurn on two-factor authentication for your own account with an authenticator app on My Profile, save your backup codes, sign in with a code, and then, as an administrator, require it for every user of the organization.
- Turn on AI connectors and connect an assistantAn administrator allows AI connectors for the organization; each user then adds NirmaanOne to Claude, ChatGPT or another MCP client with the server URL, allows the connection, and can review or disconnect it later.
