Email action or document email did not go out: no valid recipient, or the message is incomplete

A Send email action fails when its To line renders no valid address (usually because the contact has no email), a rule with Send email cannot be saved without a message template or a subject and body, a document email needs at least one valid address and is refused for a void document, and an Email message template needs a subject.

Messages this explains

  • “no_recipients: No valid email address after rendering the recipients”
  • “SEND_EMAIL failed: no_recipients: No valid email address after rendering the recipients”
  • “SEND_EMAIL needs a message_template_id or both subject and body”
  • “Add at least one valid email address”
  • “A void document cannot be sent”
  • “Email templates need a subject”
  • “Email templates need a subject.”

Email action or document email did not go out: no valid recipient, or the message is incomplete

An email you expected a rule to send never arrived, or you can't save the email part of a rule or template, or emailing a generated document is refused.

What you see

A run of a rule with a Send email action. On Runs the run is Errored, the red box in the run panel reads "SEND_EMAIL failed: no_recipients: No valid email address after rendering the recipients", and the Send email action in the Actions list shows "no_recipients: No valid email address after rendering the recipients".

Saving a rule. On New rule or a Rule page, Create rule or Save changes shows in the red banner: "SEND_EMAIL needs a message_template_id or both subject and body". The Send email action is set to Write the email here with Subject or Body empty, or to Use a message template with no Email template chosen.

Emailing a generated document. In the "Email <number>" dialog on Generated documents or on a record's documents card (for example Booking documents), Send shows:

  • "Add at least one valid email address": nothing in To looks like an email address.
  • "A void document cannot be sent": someone voided the document after your page loaded.

Designing a message template. On New message template or a Message template page with Channel Email, Subject shows "Email templates need a subject" (or "Email templates need a subject." after saving).

Why it happens

  • The To line must end up as real addresses. A Send email action's To holds up to 20 entries, each either an address (sales@yourfirm.in) or a merge field such as {{ contact.email }} that is filled in from the record when the rule runs. The entries are split at commas, semicolons and spaces, and only text that looks like an email address is kept. When the buyer, member or payer on the record has no email address, or a merge field names something that doesn't exist (it then comes out blank), nothing is left to send to, and the run stops rather than drop the email silently. The seeded customer rules send to {{ contact.email }}, the email of the record's contact.
  • Every email needs a subject and a body. A Send email action takes both from a message template, or from its own Subject and Body. Without either there is nothing to send, so the rule isn't saved. For the same reason an Email message template must have a subject.
  • A void document is withdrawn. Voiding marks a document as sent in error or wrong; it stays on file with its number, but it is never sent again. The Email icon is hidden on void documents, so you only meet this when the document was voided while your page was open.

Generate document actions behave differently: their Email to (optional) is also filled in from the record, but when no valid address comes out the document is still generated and filed on the record, the email is simply skipped, and the run ends Success. If a letter was generated but never reached the buyer, check that the contact has an email address.

When an email has recipients but still doesn't arrive, the cause is the mail server; see Email shows as logged or refused.

How to fix it

  1. Give the contact an email address. Open the run's Record link, find the buyer, member or payer, and add their email on Contacts (the Edit permission on Contacts; in the default roles the Administrator, the Sales Manager, the Sales Executive, the Project Manager, the Accountant, the Rehab Officer and Front Desk). Then press Retry in the run panel on Runs (the Edit permission on Workflow Runs; the Administrator in the default roles). The rule must still be active.
  2. Correct the To line. If the address is wrong for every record, open the Rule, check each entry in To (use the Template variables reference on the action for merge field names), and click Save changes (the Edit permission on Workflow Rules). A system rule can't be edited: Clone it, change the copy, switch the copy on and the original off.
  3. Skip records without an email. To stop runs failing for contacts who have no email, add a condition in the action's Only when… block: pick contact.… under Related rows and complete it as contact.email, choose the operator != and type null as the value. The step is then skipped for those records and the run continues.
  4. Complete the email in the rule. In the Send email action, either pick an Email template under Use a message template, or choose Write the email here and fill both Subject and Body. Then Create rule or Save changes.
  5. Complete the message template. Type a Subject (merge fields work there too) and click Create template or Save changes (the Create or Edit permission on Message Templates; in the default roles the Administrator and the Sales Manager).
  6. For a document email, type at least one full address in To, separated by commas, and press Send (the Edit permission on Generated Documents). If the document was voided, generate a fresh one from its template and email that instead.

  • Email shows as logged or refused: the mail server is not configured or rejected the messageTroubleshooting

Outgoing mail is sent through a mail server set up for the installation, not inside the app; while none is configured every email (document, campaign, workflow, invitation, verification) is only logged and reported as not delivered, and when the server refuses a message the recipient is marked failed; the person who runs the installation configures mail, then you resend.

  • Template, letterhead or generated document cannot be deleted: retire or void it insteadTroubleshooting

A document template that produced documents, that an email template attaches or that a workflow rule uses is kept for history and is retired rather than deleted; a letterhead is deleted only once no template uses it; a generated document that was sent is voided, never deleted.

  • A run's action errored: webhook refused, empty role, empty reason, unpublished template or the chain ran too deepTroubleshooting

A workflow run stops as Errored when one of its actions fails: the webhook address is internal or the other system refused the call, the role to assign to has no active members, a cancellation or lost reason came out blank, or the document template is not published; a run is Blocked when a chain of rules emitting events runs deeper than the engine allows.

  • Generated documents: offer letters, cost sheets, void and supersededConcept

A generated document is a numbered, filed rendering of a published template against one record, kept with its merged text, template version and file; offer letters are generated when an offer is issued and supersede the earlier ones, cost sheets print an estimate for the buyer, and a void or superseded document keeps its number and shows a watermark saying what replaced it.
