Appropriate is greyed out or the split is refused: only received money goes on the lines

The money received against a demand is placed on its charge lines by hand; the split is refused while the demand is not issued, nothing has been received, a line takes more than it bills, or the lines together take more than was received, and a bounced receipt leaves the demand over-appropriated until the split is reduced.

Messages this explains

  • “Appropriating needs permission to update demands”
  • “A <status> demand takes no appropriation”
  • “A charge takes at most what this demand bills for it (<charges>)”
  • “<placed> placed but only <received> received”
  • “<appropriated> is placed on the lines but only <received> has been received (a receipt bounced or was cancelled). Reduce the appropriation.”
  • “Line <n> (<description>) is for <value>; <amount> cannot be placed on it”
  • “<total> placed on the lines, but only <received> has been received against demand <no>”
  • “That demand is not open for receipts.”
  • “Demand <no> is <status>; only an issued demand takes an appropriation”

Appropriate is greyed out or the split is refused: only received money goes on the lines

On a demand, Appropriate will not open, Save appropriation stays grey, or the card shows a red warning. Appropriation is where you say which charges the buyer's money was for, and it can only ever place money that has actually come in.

What you see

All of it is on the Appropriation against charges card of the Demand page. The demand is reached from the booking's Demands & money tab or from Demands.

  • The card is missing altogether: it appears only once money has been received against the demand (or something is still appropriated), so no card means no cleared receipt is allocated to this demand yet.

  • Appropriate is greyed out, with the reason on hover:

    • "Appropriating needs permission to update demands": your role lacks the Edit permission on Demands.
    • "A <status> demand takes no appropriation": the demand has been Cancelled, typically by a booking cancellation after money was received on it.
  • Save appropriation is greyed out while you edit, with the reason on hover:

    • "A charge takes at most what this demand bills for it (<charges>)": one or more lines carry more than they bill; the names are listed.
    • "<placed> placed but only <received> received": the lines together carry more than the money received.
  • The red alert "<appropriated> is placed on the lines but only <received> has been received (a receipt bounced or was cancelled). Reduce the appropriation." after a receipt that had already been appropriated bounced.

  • If a figure still reaches the server, the card shows its answer: "Line <n> (<description>) is for <value>; <amount> cannot be placed on it", "<total> placed on the lines, but only <received> has been received against demand <no>", or "That demand is not open for receipts." when the demand stopped being Issued, Partially Paid or Paid in the meantime (the server's own text, "Demand <no> is <status>; only an issued demand takes an appropriation", is what the AI assistant relays).

Why it happens

A receipt settles the demand as a whole: clearing it posts bank against the buyer's ledger and moves the demand to Partially Paid or Paid. Nothing is split across the demand's charges by the app. You do that by hand, in any split you like: ₹1,00,000 received against a demand with lines of ₹75,000 and ₹1,50,000 may all go to the second line, or ₹75,000 and ₹25,000, or stay unplaced for now. The appropriation has no ledger posting of its own; it only records which charge the money was for, and it is what marks the schedule rows on the termsheet Paid or Partially Paid.

Two limits follow from that. A line takes no more than it bills (its amount, or its GST for a GST line), and the lines together take no more than has been received, so the split can never claim money that does not exist. "Received" means cleared receipts allocated to this demand; a Pending receipt does not count until it is cleared.

Only an issued demand has a bill to receive against, so a Draft demand takes no receipt and a Cancelled demand takes no split. When a receipt bounces after you appropriated it, the split is left standing rather than guessed at, and the demand reports the excess until you decide which charges lose the money.

How to fix it

  1. Nothing received yet: record the buyer's money first. Record receipt on the demand or the booking's Demands & money tab opens Record receipt with the demand allocated (the Create permission on Payments); then Mark cleared on the Payment (the Edit permission on Payments). In the default roles the Administrator, the Finance Lead and the Accountant hold both.
  2. Draft demand: a draft cannot take a receipt, so issue it first (Issue on the demand, the Issue permission on Demands) and then record the receipt. A cancelled demand takes no money or split; raise a new demand if the charges are still owed.
  3. Line over its value: lower that line to at most the Billed figure in its row; the GST line takes at most the GST billed.
  4. Total over received: lower the figures until the total is at most the Received against this demand figure in the footer. Anything you leave unplaced shows as "not yet appropriated" and can be placed later.
  5. After a bounce: press Appropriate, reduce the lines so the total is at most what is now received, and Save appropriation. The schedule rows on the termsheet are recomputed from the new split.
  6. Save: press Save appropriation (the Edit permission on Demands; in the default roles the Administrator, the Finance Lead and the Accountant). The toast "<appropriated> of <received> received is now placed on the lines." confirms it, and the installments on Termsheet & schedule show the paid amounts.

  • Record receipt / Record payoutScreen

Record money received from a buyer or society member, or paid to a channel partner or society member: who, how and how much. A receipt settles the payer's open demands by itself, oldest due first; a payout is allocated to commissions or benefit rows by hand. A buyer's consideration and GST are two separate receipts; the TDS they deducted is a TDS credit.

  • Payment cannot be edited, cancelled, deleted or bounced: its status decidesTroubleshooting

Only a Pending payment can be edited, cleared, cancelled or deleted, and even then its direction, party, booking and books are fixed; a Cleared payment can only be bounced, which reverses its voucher and reopens the bills; Bounced and Cancelled payments are final and a new payment is recorded instead.
