Payment cannot be edited, cancelled, deleted or bounced: its status decides

Only a Pending payment can be edited, cleared, cancelled or deleted, and even then its direction, party, booking and books are fixed; a Cleared payment can only be bounced, which reverses its voucher and reopens the bills; Bounced and Cancelled payments are final and a new payment is recorded instead.

  • “A <status> payment cannot be edited. Bounce a cleared one, or record a new payment.”

Payment cannot be edited, cancelled, deleted or bounced: its status decides

On a Payment page the button you need is not there, Edit payment opens with a warning instead of the form, or a change to the party or booking is refused. What a payment allows depends on its clearing status: Pending, Cleared, Bounced or Cancelled.

What you see

  • Edit payment shows "A <status> payment cannot be edited. Bounce a cleared one, or record a new payment." with an Open the payment link when the payment is no longer Pending. A save attempted from a stale form answers "A <status> payment cannot be edited".
  • On a Pending payment, changing who paid, the booking, the books or the direction answers "Direction, party, booking and books cannot change on a payment; cancel it and record a new one." The editor already fixes those: Booking and Books are disabled and the party is shown as "Party: <name> (fixed once recorded)".
  • On the Payment page, Edit, Mark cleared, Cancel and Delete are shown only on a Pending payment and Bounce only on a Pending or Cleared one. Attempted from a stale page they answer "Only a Pending payment can be deleted; bounce or cancel it instead", "Only a Pending payment can be cancelled; a cleared one is bounced", "Only a Pending payment can be cleared (this one is <status>)" or "A <status> payment cannot bounce".
  • The Bounce this payment? dialog refuses to close without a reason: "Reason is required".
  • Afterwards the page carries a banner: "Bounced on <date>: <reason> The receipt voucher was reversed and the bills reopened." (the second sentence only when a voucher had been posted; it reads "receipt voucher" for payouts too), or "Cancelled before clearing; nothing was posted.".
  • Payments shows the status in its own column, so you can see before opening a row what it still allows.

Why it happens

A Pending payment is a note of money expected: nothing has been posted, so its amounts, allocations, mode, dates and instrument can still change, and it can be cancelled or deleted outright. Even so, its direction, party, booking and books are fixed when it is recorded: the number (RCT or PMT, per books) and the party ledger the money will settle follow from them, and a receipt turned into a payout or moved to another buyer would leave a bill settled by the wrong document. Cancelling it and recording a fresh one keeps the trail honest.

Clearing posts the voucher: bank or cash against the party's ledger, allocated bill by bill. Posted vouchers are never edited, only reversed, so a Cleared payment cannot be changed or cancelled. The one thing that can happen to it is a bounce, which reverses the voucher on the bounce date (never earlier than the voucher's own date), reopens the bills it settled and recomputes the demand's or commission's paid amounts. A bounce of a Pending payment simply records that the instrument failed before it was banked.

Bounced and Cancelled are final. The record stays for the audit trail and the buyer's history; new money is a new payment. The reason on a bounce is required because it is written into the reversal voucher's narration and into the notification that, by default, goes to Accountants and Finance Leads (with a recovery task for an Accountant).

How to fix it

  1. To change amounts, allocations, mode, dates or the instrument on a Pending payment, press Edit and Save changes. You need the Edit permission on Payments; in the default roles that is the Administrator, the Finance Lead and the Accountant.
  2. To change the party, booking, books or direction, press Cancel on the payment (Cancel this payment? > Cancel payment) and record a new one with Record receipt or Record payout on Payments (the Create permission on Payments). A Pending payment nobody needs can also be removed with Delete (the Delete permission on Payments).
  3. To undo a Cleared payment, press Bounce, set Bounced on, type the Reason and Mark bounced (the Edit permission on Payments). The voucher is reversed and the bills reopen; then record the replacement payment. A cleared payment's allocations cannot be edited, so even when only the allocation was wrong the app offers no other way than bouncing and re-recording. Bear in mind that a bounce notifies Accountants and Finance Leads, opens a recovery task and, if your organization has switched on the "Payment returned unpaid" email, writes to the payer; say in the Reason that it is a correction.
  4. If the payment was already appropriated on a demand, reduce the appropriation after the bounce (see Appropriate is greyed out or the split is refused).
  5. If the button is missing and the page says the payment is still Pending, reload; a colleague or a payout run may have cleared or cancelled it meanwhile. Payouts inside a Payout run are usually cleared from the run.

A receipt settles the payer's open demands by itself, oldest due first; a payout is allocated to commissions or benefit rows by hand. A buyer's consideration and GST are two separate receipts; the TDS they deducted is a TDS credit.

  • Record payment refuses to save: the party, books, direction or allocations do not fitTroubleshooting

A receipt or payout needs exactly one party (or a booking that gives the buyer) and a set of books; a payout also needs TDS no larger than the amount and allocations that name one open target each, add up to no more than the amount, match the direction and belong to the payee. A receipt settles the payer's open demands by itself, so its allocation messages reach the form only when a demand closed between the preview and the save. A receipt refused over the buyer's TDS or over GST has its own article.

  • Appropriate is greyed out or the split is refused: only received money goes on the linesTroubleshooting

The money received against a demand is placed on its charge lines by hand; the split is refused while the demand is not issued, nothing has been received, a line takes more than it bills, or the lines together take more than was received, and a bounced receipt leaves the demand over-appropriated until the split is reduced.

  • Voucher cannot be reversed, edited, cancelled or deleted: posted vouchers only reverseTroubleshooting

Edit, Cancel draft and Delete disappear once a voucher is posted, Reverse is refused or the reversal date is rejected: a posted voucher is never changed, only mirrored by a reversal dated on or after it.
