Bank account cannot be saved, changed or deleted: IFSC, owner, purpose, holders or payments in the way

What you see

Bank accounts are added and edited in the same slide-over panel, opened from Bank accounts (New bank account, or Edit on a row) or from the Bank accounts card on a company or an allottee (Add). A person's own account is added on Bank accounts with Owner set to Person. The messages appear in the panel, or in the Delete bank account? dialog.

In the Delete bank account? dialog:

  • "Payments reference this bank account; deactivate it instead"
  • "That conflicts with existing data."

In the panel, as a banner at the top when you save:

  • "The owner of a bank account cannot be changed. Add a new account for the other owner instead."
  • "Choose exactly one owner: a company, a person or a society member."

Under a field:

  • IFSC: "Enter the 11-character IFSC, e.g. HDFC0001234" as you type, or "Enter a valid 11-character IFSC code." when the server checks it.
  • Account number: "An account with this number and IFSC already exists", or "Letters and digits only, no spaces" (the number must also be 6 to 30 characters).
  • Purpose: "Not available on an allottee's account." or "Not available on an contact's account."
  • Account holder name: "Account holder name is required". Bank: "Bank name is required".
  • UPI id: "Enter a UPI id like name@bank".
  • In the Holders rows: "Pick a person or remove the row", "Only one holder can be the primary holder"; under Mode of operation: "Choose how the joint account is operated".

Why it happens

  • An account that has moved money stays on record. Once a receipt or a payout names the account (as ours or as the party's), deleting it would leave payments and bank vouchers pointing at nothing. The app refuses and asks you to deactivate it instead; inactive accounts stay on record and drop out of the pickers. "That conflicts with existing data." is the same idea for a reference the delete check does not name: typically a payout run that has the account as its paying account. Bank ledgers linked to the account and its holder rows are not a block.
  • The owner never changes. An account belongs to exactly one owner: a company, a person or a society member, chosen once. Its ledgers, payouts and the RERA accounts statement are tied to that owner, so the panel shows the owner as fixed ("The owner cannot be changed.") and the app refuses a save that moves it to someone else, or a new account that names no owner or more than one.
  • IFSC is eleven characters. Four letters for the bank, a zero, then six letters or digits (HDFC0001234). A ten-character code is a truncation, usually a lost zero; the app will not accept it because payout files and demand letters carry the IFSC to the bank and the buyer. The code is stored in capitals whatever you type.
  • One account per number and IFSC. The same account cannot be entered twice in the organization, even under different owners.
  • RERA and GST purposes belong to the promoter company. The purposes Collection account, RERA separate account, Operative account and GST describe accounts the promoter company holds for a project (the hint on a company's account reads "Collection, RERA separate, operative, GST, operating, payouts…"); they feed the bank ledgers, the daily sweeps and the project readiness check. A person's or an allottee's account is where money is paid to them, so those purposes are hidden for them (hint "Collection, separate, operative and GST accounts belong to the promoter company, so they are not offered here."), and when only one purpose is left it is filled in and locked ("The only purpose an allottee's own account can have: it is where money is paid to them."). The "Not available…" message appears if such a purpose still reaches the server, for instance from a pre-filled form.
  • Joint accounts need their holders spelled out. Every holder row must name a person, only one can be Primary, and an account with two or more holders must say how it is operated (jointly, either or survivor, and so on) because payouts and cheques follow that mode.
  • Required fields. The account holder name (exactly as printed by the bank, used to match cheques) and the bank name are compulsory; the UPI id is optional but must look like name@bank when given.

How to fix it

  1. Payments reference the account. Close the dialog, press Edit on the account, untick Active ("Inactive accounts stay on record.") and press Save changes. You need the Edit permission on Bank Accounts. Deleting needs the Delete permission on Bank Accounts and is only possible for accounts nothing has used yet.
  2. "That conflicts with existing data." Find what still uses the account: check the payout runs whose paying account it is. Deactivate the account rather than delete it.
  3. Owner must change. Keep the existing account as it is (deactivate it if the owner no longer uses it) and add a new account for the other owner with New bank account (or Add on the owner's Bank accounts card).
  4. IFSC rejected. Take the code from a cancelled cheque or the bank's statement: eleven characters, the fifth always 0. If you were given ten characters, a zero is missing after the bank's four letters.
  5. Duplicate account. Search Bank accounts for the number (set the Active filter to Active and inactive). The account is already on record, perhaps inactive or under another owner: reactivate or edit that row instead of adding it again.
  6. Purpose not available. For a collection, RERA separate, operative or GST account, choose the promoter company as the owner. For a person or allottee, leave the purpose as the one the form offers.
  7. Holders. Pick a person in every row or remove empty rows, mark at most one holder as Primary, and set Mode of operation when there are two or more holders.
  8. Field errors. Fill in Account holder name and Bank, remove spaces from the account number, and correct or clear the UPI id.
