Allottee

One society member, landowner or PAP tenant on a page: who they are, what they hold today, their co-owners, their offers on each project, the letters and files filed for them, their bank accounts and parking.

Allottee

One allottee on a page: a society member, a landowner or a PAP tenant. See who they are and what they hold today, keep their co-owners, open, cancel or delete their offers, and file their papers, such as the signed offer or KYC documents.

Where to find it

There is no sidebar item. Click an allottee's name:

  • in the members list on a Society page;
  • in the members or Landowners & PAP tenants list on a project's Society & Tenants tab;
  • where an allottee is named on their purchase, estimate or booking.

You need the View permission on Tenants. Without it you see "No access" and "You do not have permission to view allottees. Ask your administrator."

In the default roles:

  • Administrator and Rehab Officer can edit the allottee, manage co-owners and offers, and upload documents.
  • Project Manager can edit the allottee and co-owners, and view offers.
  • Legal & Documentation can view the allottee, draft, issue, sign and cancel offers, and upload documents.
  • Finance Lead, Accountant, Sales Manager, Compliance Officer and Auditor can view the page.
  • Sales Executive, Site Engineer and Front Desk have no permission on Tenants and see "No access".

What you see

Header and summary

The header shows the person's name, with the History and Edit buttons. For a society member, the breadcrumb reads Societies > <society name>.

The summary card starts with a category badge (Society Member, Landowner or PAP tenant), "Membership <no>" or "Reference <no>", and a link to the society or the project the allottee belongs to. Then:

Field Shown for What it means
Phone, Email, PAN, Address Everyone From the person's contact record.
Existing unit / Existing premises Members / PAP tenants What they hold today.
Existing floor Members, PAP tenants
Existing carpet (Mofa) Members, PAP tenants In sq ft; offers start from it.
Unit type Members, PAP tenants
Bedrooms Members
Consent Members "Given on <date>" or "Pending".

A landowner holds nothing in the existing building, so these existing-premises fields are not shown for them.

Co-owners

"Everyone else on the agreement, with their share. Shares together may not pass 100%." Each co-owner shows as name · relationship · share % · phone. With none: "None recorded."

Offers

"One offer per project: the area offered against what they hold, the units allotted and the money on both sides. Click a row to open it."

Column What it shows
Status The offer's status.
Project The project the offer is on.
Units The allotted units as "<tower> · <unit>", or "None yet".
Existing The existing carpet area on the offer.
Entitled The entitled area.
Extra The allotted units' total less the entitled area, for example "+45 sqft". Red when the units give less than the entitlement.
Issued / Signed The dates, when reached.
Bookings The booking number and unit for each allotted unit that has been booked, linking to the booking (hover "Agreement <no>").
(icons) Open, cancel and delete.

Under the table: "An offer that has gone out is cancelled, never deleted: cancelling releases its units and keeps the record. Open an offer to cancel, reopen or re-issue it." With no offers: "No offer yet" and "An offer sets out the area offered, the units allotted and what each side pays."

Documents

Shown when you have the View permission on Generated Documents: "Letters generated from this allottee's offers, and anything filed here — a signed copy, KYC papers." It has two lists:

  • Generated: letters produced from the allottee's offers, for example the offer letter made on issue. With none: "No letter yet — one is produced when the offer is issued." (or "Letters are produced when an offer is issued." when there is no offer yet).
  • Uploaded: files uploaded here, and signed copies attached when an offer was marked signed. With none: "Nothing uploaded yet."

Each document shows its title, "<document no> · <kind> · <date>", and a download icon. A replaced letter shows "Superseded by <no> — that letter is the current one." with a Superseded badge; a voided one shows Void, and one that has been sent shows Sent.

Bank accounts

Shown when you have the View permission on Bank Accounts: "Where this owner is paid, or pays from." It lists the allottee's own bank accounts. With none: "No bank accounts" and "Add the account to pay this owner into." With the Create permission on Bank Accounts, Add adds one here.

Parking

Shown only when parking slots are allocated to the allottee: each parking slot as "<parking slot number> · <parking area>".

What you can do

History

History in the header (hover "Who changed this record, what and when") opens the panel History · <name>: who changed the allottee, what they changed and when, newest first. Changes to the allottee's co-owners are included too, marked "Tenant party". Offers are kept on the project, so their changes show in the project's history instead.

  • Who: anyone with the View permission on Tenants, which you need to open the page anyway, or the View permission on Audit Trail.
  • Each entry has a badge (Create, Update or Delete) and a summary ("Created", "Changed <fields>" or "Deleted"), then who made the change (a person, "<name> via AI connector", Workflow or System), the date and time, and the IP address when one was recorded. An update lists each Field with its Before and After values; a create or a delete has a Show N values link.
  • It loads 25 changes at a time; Load older changes brings the next ones. With nothing recorded you see "No history yet" and "Changes are recorded from 28 Sep 2026; nothing has changed on this record since."
  • With the View permission on Audit Trail, the panel ends with Open in the audit log.

Edit

Opens the allottee's form, the same as on the society page or the project tab, to change their details, existing flat or premises, consent and co-owners. Click Save changes; you see "Member updated." (or "Landowner updated.", "PAP tenant updated.").

  • Who: the Edit permission on Tenants. Changing the person's name, phone or email also needs the Edit permission on Contacts; without it those fields are greyed out with "Changing the person's name or phone needs the Contacts update permission."
  • The form also has Delete (the Delete permission on Tenants), with the confirmation "Delete member?" and the same rules as on the society page. After deleting, the page can no longer find the record; go back to the society or project.

Add co-owner

Opens Add a co-owner. Choose New person and type their details, or Existing contact and pick them (the switch needs the View permission on Contacts). Fill in the Relationship (placeholder "e.g. Spouse, Son") and Share in % (hint "Everyone together may not pass 100%"), then click Add co-owner. You see "Co-owner added."

  • Who: the Edit permission on Tenants. Otherwise the button isn't shown.
  • If it's refused: "Co-owner shares add up to <n>%, more than 100%", or "The primary owner cannot also be a co-owner." when you pick the allottee themself.

Change or remove a co-owner

Click a co-owner to open "Co-owner · <name>": "The person on this row stays as they are; change their relationship or share below, or remove the row and add another."

  • Save keeps a new relationship or share; you see "Co-owner updated." It is greyed out until you change something.
  • Remove asks "Remove this co-owner?": "<name> stops being a co-owner of this allottee. The contact record itself stays." Click Remove; you see "Co-owner removed."
  • Who: the Edit permission on Tenants. Without it the co-owners can't be clicked.
  • To change the person on a row, remove it and add the right person as a new co-owner.

New offer

Opens a new offer for this allottee, already picked, in the offer panel described in Society & Tenants. A landowner or PAP tenant is offered on their own project. A society member can be offered on any project their society is linked to; when there are several, choose the project in the list next to the button first.

  • Who: the Create permission on Termsheets. For a society member the button also needs the View permission on Projects, to list the society's projects; without it the button isn't shown.
  • Greyed out when the allottee already has a live offer on the chosen project: "This allottee already has an offer on that project". Open that offer instead. A cancelled offer doesn't count.

Open an offer

The pencil on an offer row (the eye when you can't edit offers), hover "Open the offer on <project>", opens the offer in the offer panel. There you can change a draft, issue it, mark it accepted or signed, reopen it, and so on. See Society & Tenants.

  • Who: the View permission on Termsheets.

Cancel this offer

The cross on an offer row asks "Cancel this offer?": "The offer is marked Cancelled and the units it held are released. The record stays, so what was offered can still be seen." Click Cancel offer; you see "Offer cancelled."

  • Who: the Edit permission on Termsheets. Without it the cross is greyed out.
  • Greyed out on a cancelled offer ("Already cancelled") and on a draft ("A draft is deleted, not cancelled").
  • If it's refused:
    • "Money has been recorded against this termsheet; cancellation with refund is handled by the accounts module" when a benefit has already been paid, waived or accrued in a payout run.
    • "A demand has been raised on this offer; cancel the demand first"
    • "Unit <u> is being bought by the allottee (estimate out or booked); cancel that first"

Delete this offer

The bin on an offer row asks "Delete this offer?": "The offer and its money lines are removed and any unit it held is released. Only a draft or an already cancelled offer can be deleted." Click Delete; you see "Offer deleted."

  • Who: the Delete permission on Termsheets. Without it the bin is greyed out.
  • Greyed out on an offer that has gone out: "Only a draft or cancelled offer can be deleted; cancel it instead".
  • If it's refused: "Money has been recorded against this termsheet", or "Demands were raised on this offer; it can only be cancelled".

Upload

In Documents, Upload files a document on the allottee, such as a KYC paper or a signed copy that arrived later. Pick the file; you see "<document no> uploaded." and it appears under Uploaded, titled with the file name.

  • Who: the Create permission on Generated Documents. Otherwise the button isn't shown.
  • If it's refused: "Files are limited to <n> MB" (25 MB unless your administrator has changed it), or "The file is empty".

Download a document

The download icon on a document (hover "Download <document no>") saves the file.

  • Who: the View permission on Generated Documents.

Things to know

  • One page for every kind of allottee. Society members belong to their society; landowners and PAP tenants belong to one project. The page shows only the fields that make sense for each: no existing premises for a landowner, and consent only for members.
  • Cancel, don't delete, once an offer has gone out. Cancelling keeps the record of what was offered and releases the units. Only a draft, or an offer that is already cancelled, can be deleted.
  • Letters are filed on the offer. A letter is generated against an offer, not the allottee, but this page gathers the documents of every one of the allottee's offers together with what was uploaded here.
  • Re-issuing supersedes. When an offer is issued again with a letter, the earlier documents on that offer are marked Superseded and point to the new letter, so an old copy in circulation can be traced.
  • Co-owner shares are capped at 100% across everyone on the allottee. The primary allottee's own share is not entered.
  • Removing a co-owner keeps the person. Only the link to this allottee goes; the person stays in Contacts.
  • Parking is allocated elsewhere. Parking slots are allocated to an allottee on the project's Parking tab; this page only shows them.

The people who receive new units through an offer on a redevelopment: society members (under the society, with an existing flat and consent), landowners and PAP tenants (under the project); each is a contact with co-owners, one live offer per project, documents, bank accounts and parking.

  • Member offer (term sheet): benefits and charges, never nettedConcept

The one live offer an allottee has on a project: the area they hold and are entitled to, the new units allotted, and the money on both sides, benefits the developer pays and charges the member pays, each with its own schedule and never set off against the other.

  • Generated documents: offer letters, cost sheets, void and supersededConcept

A generated document is a numbered, filed rendering of a published template against one record, kept with its merged text, template version and file; offer letters are generated when an offer is issued and supersede the earlier ones, cost sheets print an estimate for the buyer, and a void or superseded document keeps its number and shows a watermark saying what replaced it.

  • Entitlement: existing carpet, entitled area, uplift, extra area and the splitConcept

The area figures on an allottee's offer: the carpet they hold today, the area they are entitled to (typed, or filled from the project's uplift guidance or the allotted units), the extra area the allotted units give beyond it, and how the entitlement is split across the units to fix what each one charges for.

  • Enter society members, their consent and co-ownersHow-to

Build a society's member roll one person at a time: quick-add names and phones, fill in the full form with the existing flat, record each member's consent to the redevelopment, and add the co-owners who share the flat.

  • Draft an offer to an allotteeHow-to

Prepare the offer (term sheet) for a society member, landowner or PAP tenant: the area they are entitled to, the new units allotted to them and the benefits the developer pays, saved as a draft.

  • Cancel or delete an offerHow-to

Withdraw an offer that has gone out (cancel: units released, record kept) or remove a draft or cancelled offer altogether (delete), from the offer panel or the allottee's page.

  • Record acceptance and the signed offerHow-to

Mark an issued offer accepted, then signed, attaching the scanned signed copy so it is filed with the offer and on the allottee's page.

  • Allocate a parking slot to an allotteeHow-to

Give a society member one of the project's parking slots from the Parking tab, see it on the member's page, and release it again when the allocation changes.

  • Co-owner or co-applicant shares refused: over 100%, or the primary listed againTroubleshooting

Co-owners of an allottee and co-applicants on a booking share ownership with the primary person: their shares together may not pass 100%, the primary cannot also be listed as a co-owner or co-applicant, and the same person cannot be added twice.

  • Offer cannot be cancelled, reopened, edited or deleted: money, demands, purchases or its status stand in the wayTroubleshooting

An offer with money recorded against it is in the books and is not cancelled from the offer; a live demand must be cancelled first; an allottee's purchase that has an estimate out or a booking must be cancelled before its unit comes off the offer; and each action is allowed only from the statuses it moves from, so a non-draft offer is reopened before it is edited.

  • New offer refused: the allottee already has a live offer, or the project takes no member offersTroubleshooting

Each allottee gets one live offer per project, so a second one is refused until the first is cancelled; society members exist only on redevelopment projects with a linked society, while landowners and PAP tenants can be recorded and offered units on any project.
