Posting refused: no open fiscal year or period for the date

Every posting, manual or automatic, needs a fiscal year of the books that covers its date, with the year open and the month's period unlocked; open the next year, unlock the period or reopen the year under Books, or move the document's date.

Messages this explains

  • “No fiscal year covers that date. Open the next fiscal year under Books first.”
  • “That fiscal year is closed.”
  • “Period <n> of <FY> is locked”
  • “FY <name> is closed; its opening balances are fixed.”
  • “Period locked”
  • “No fiscal year of these books covers <date>; open it first”
  • “Fiscal year <name> is closed”

Posting refused: no open fiscal year or period for the date

A document could not post because its date falls outside the books' open fiscal years, inside a closed year, or in a month that has been locked.

What you see

The same three messages appear wherever something posts to the books:

  • "No fiscal year covers that date. Open the next fiscal year under Books first." when the books have no fiscal year holding the date.
  • "That fiscal year is closed." when the year exists but has been closed with Close year.
  • "Period <n> of <FY> is locked" when the month's period has been locked on the Fiscal years tab (for example "Period 6 of 2026-27 is locked").

Where they show:

  • Issue this demand? on a Demand (dated the demand date) and Cancel this demand? (dated the cancellation date). On a Demand run the "<n> demands failed on the last attempt" card shows the server's wording instead: "No fiscal year of these books covers <date>; open it first" or "Fiscal year <name> is closed".
  • Mark as cleared? on a Payment (dated Cleared on), the "Saved as pending, but clearing failed: <message>" toast after Save and clear on Record receipt / Record payout, and the failures card on a Payout run.
  • Approve this commission? (dated Approval date) and Cancel this commission? on a Commission.
  • Save and post on New voucher, Post this voucher? and Reverse <no>? on a Voucher. Save as draft checks only that a fiscal year covers the date, so a draft can be saved into a locked month or a closed year and is refused only when it is posted. A voucher sitting in a locked month is marked "Period locked" on Vouchers and carries an amber "Period locked" badge on its page.
  • New revenue run on Revenue runs (the period end), and Post run or Reverse run on a Revenue run.
  • The Cancel booking wizard, whose credit notes, forfeiture journal and refund are dated the cancellation date.
  • On Opening balances, the warning "FY <name> is closed; its opening balances are fixed." and a greyed-out Save opening balances.
  • On Fiscal years, the period switches of a closed year are greyed out: its periods stay locked until the year is reopened.

Why it happens

Each set of books is divided into fiscal years of twelve monthly periods. Setting up the books opens the year holding the begin date; every later year is opened by hand with Open next year, one at a time. A voucher takes its year and period from its date, so a demand dated 5 April 2027 cannot post while the books' last year ends on 31 March 2027. The check is the same for manual vouchers and for everything the app posts on its own: demand issue and cancellation, receipt and payout clearing, benefit accruals, commission approval, booking cancellation, revenue runs and the year-end close.

Locks protect filed figures. An accountant locks a period once its GST or TDS returns are filed; from then on nothing can post into that month until it is unlocked. Closing a year posts the closing journal, writes the next year's opening balances and locks all twelve periods; a closed year's periods cannot be unlocked, and its opening balances are fixed, until the year is reopened. Reopening reverses the closing journal and removes the next year's opening balances.

How to fix it

  1. Open Accounting > Books, the promoter's books, and the Fiscal years tab. Seeing it needs the View permission on Books; every change below needs the Edit permission on Books, which in the default roles is held by the Administrator and the Finance Lead (the Accountant can only view).
  2. No fiscal year covers the date: press Open next year, then Open year in the confirmation. The toast "Fiscal year <name> opened with 12 periods." confirms it. Only the year after the last one can be opened, so for a date two years ahead open twice. A date before the first year cannot be reached this way; give the document a later date instead.
  3. Period locked: expand the year and switch the period ("P06 Sep 2026") off; the toast reads "Period 6 unlocked.". Post the document, then lock the period again so the filed month stays protected.
  4. Year closed: press Reopen year on that year and Reopen year in the dialog ("FY <name> reopened; <n> periods unlocked."). The following year must not be closed itself. After posting, Close year again; the closing journal and the next year's opening balances are rewritten.
  5. Or move the date into an open period: Edit a Draft demand's Demand date (the Edit permission on Demands), set Cleared on in the clear dialog, pick another Approval date, Cancellation date, Reversal date or voucher Date, or choose a later Period end for a revenue run. Documents already posted keep their dates.
  6. Retry the action. On a demand run or payout run press Issue <n> demands or Clear <n> payouts again; only the documents still pending are attempted.
