"No books yet" or "has no books": set up books for the promoter company first

Every posting follows the project's promoter company into its set of books; until that Promoter Entity company has books, the accounting screens show an empty state and demands, receipts, commissions and cancellations cannot post.

Messages this explains

  • “No books yet”
  • “Set up books for a promoter company first: that copies the chart of accounts, opens the fiscal year and seeds the voucher types.”
  • “The project's promoter company has no books yet. Set them up under Books first.”
  • “Books can be set up only for a Promoter Entity company.”
  • “This company already has a set of books.”
  • “Pick the promoter company”
  • “No project of these books yet.”
  • “Skipped: <books> (no fiscal year covers <date>).”
  • “<promoter> keeps no books yet; set them up under Accounting > Books”
  • “The promoter keeps no books yet; set them up under Accounting > Books.”
  • “These books are inactive. Reactivate them under Books to post entries.”

"No books yet" or "has no books": set up books for the promoter company first

An accounting screen shows an empty state instead of the chart, vouchers or reports, or a demand, receipt, commission or cancellation refuses to post because the project's promoter company keeps no set of books yet.

What you see

  • Under Accounting > Chart of Accounts (including Organization templates), Vouchers, Reports (for example the Trial balance) and Revenue Recognition (Revenue runs): the empty state "No books yet" with "Set up books for a promoter company first: that copies the chart of accounts, opens the fiscal year and seeds the voucher types." and a Set up books button. The Books list itself reads "No books yet".
  • Raising or issuing a Demand, saving a receipt or payout on a booking, drafting a demand run, accruing or approving a commission, or opening the Cancel booking wizard on a booking that has demands or receipts: "The project's promoter company has no books yet. Set them up under Books first."
  • The project's Project overview, on the Ready to sell and collect? card: "<promoter> keeps no books yet; set them up under Accounting > Books". The booking wizard shows the same block as "The promoter keeps no books yet; set them up under Accounting > Books." with a fix link.
  • In the Set up books slide-over on Books: "Pick the promoter company" when the field is empty; "Books can be set up only for a Promoter Entity company." on a company of another type; "This company already has a set of books." when it has one.
  • On Project performance: "No project of these books yet." when no project names the books' company as its promoter.
  • On the Consolidated report: "Skipped: <books> (no fiscal year covers <date>)." when a set of books exists but has no fiscal year holding the From date.
  • When the books exist but are switched off: "These books are inactive. Reactivate them under Books to post entries." in dialogs, or "Books <name> are inactive" in a run's failures card.

Why it happens

NirmaanOne keeps one set of books per legal entity, and only a company of the Promoter Entity type can have one. Postings never ask which books to use: a demand, receipt, commission, benefit accrual or cancellation posts in the books of the promoter company of the project the booking or offer sits on. So three things must line up: the project names a promoter company, that company is a Promoter Entity, and the company has books. Setting up the books copies the organization's chart of accounts, opens the fiscal year holding the begin date with twelve monthly periods, and seeds the eight voucher types with their numbering. Until then there is nothing to post into, and the books-scoped screens have nothing to show, which is why even the organization-level templates tab waits behind the empty state.

Inactive books keep their data but refuse every new voucher and posting; the project's readiness card still counts them as present, so a project can look ready while its postings fail. "No project of these books yet." and the consolidated "Skipped" line are the neighbouring cases: books without a project, and books without a fiscal year for the date.

How to fix it

  1. Make sure the company is a Promoter Entity. Under Masters > Companies, open the developer company and check its type; create it with New company if it doesn't exist (the Create or Edit permission on Companies).
  2. Set up the books. Accounting > Books > Set up books: pick the Promoter company (the list needs the View permission on Companies), keep or change Books begin on (1 April of the current financial year by default), Fiscal year starts in (April) and Currency (INR), then Set up books. The toast reads "Books "<name>" set up with <n> ledgers." You need the Create permission on Books; by default the Administrator and the Finance Lead. "This company already has a set of books." means someone did this already: open that entry from the list.
  3. Point the project at the promoter. On Edit project set the promoter company (the Edit permission on Projects). The Project overview card then clears the "keeps no books yet" line; use Sync bank ledgers there for the project's bank accounts saved before the books existed.
  4. Reactivate inactive books: on the Books overview press Edit, tick Active, Save changes (the Edit permission on Books). See These books are inactive.
  5. For the Consolidated "Skipped" line, open the missing fiscal year on that books' Fiscal years tab or move From into a year the books have: see No fiscal year covers that date.
  6. Retry what you were doing: raise or Issue the demand, save the receipt, accrue or approve the commission, draft the run, or reopen the cancellation wizard. The accounting screens show the new books in the Books switcher at once.
