Commission

One channel-partner commission: the partner, the brokerage with GST and TDS, the payouts against it, and the actions to edit, approve, cancel or delete it.

Commission

This page shows one commission: which channel partner earns it, on which booking, how the brokerage, GST and TDS add up, and what has been paid. It is where you check an accrued commission, approve it so the accrual is posted, and cancel or delete one raised by mistake.

Where to find it

  • The booking number or the eye icon on the Commissions list, or on a booking's Demands & money tab.
  • Accruing a commission on a booking opens its page straight away.
  • A commission link on a payout's allocations.
  • A link in a notification, a task or the audit log.

You need the View permission on Commissions. Without it the page shows "No access" and "You do not have permission to view commissions. Ask your administrator." If the commission doesn't exist, the page shows "Not found" and "That item could not be found."

Before you start

To approve a commission, the project's promoter company needs active books with a fiscal year covering the approval date, and the Channel Partner Commission charge component needs a ledger mapping in those books under Component mappings.

What you see

The header reads "Commission on …" with the booking number, the status badge and a blue project badge. The line underneath names the partner and the net payable amount.

When the commission is cancelled, an alert reads "Cancelled. An approved commission is cancelled by reversing its accrual journal."

Details

Field What it shows
Partner company The channel partner company, as a link when you have the View permission on Companies.
Partner contact The partner's contact, with their phone number.
Booking The booking number, as a link when you have the View permission on Bookings.
Agreed total The booking's agreed total, which the commission is normally based on.
Approved When it was approved and by whom (their email).
Accrual voucher The journal posted on approval. It is a link when you have the View permission on Vouchers.
Notes The notes. A cancellation reason is added here.

Amounts

  • Basis: "…% of …", the percentage and the base amount, or "Fixed on …" when the gross was given as an amount.
  • Gross brokerage: the commission before GST and TDS.
  • GST: the GST on the brokerage, with its rate.
  • TDS: the tax deducted, with its section and rate (for example "194H 2%").
  • Net payable: gross plus GST less TDS, what the partner receives.
  • Paid: what has been paid and cleared.
  • Outstanding: what is still to pay, in amber while the commission is payable.

Payouts

The payouts allocated to this commission: Payout (the number, which opens the payment, or "Pending"), Date, Status (Pending, Cleared, Bounced or Cancelled) and Allocated. With none it reads "Nothing paid yet."

Tasks

The Tasks card lists the tasks linked to this commission. It shows when you have the View permission on Tasks.

What you can do

The header buttons show only when the commission's status allows them and you hold the permission; they are hidden, not greyed out, otherwise.

History

History in the header (hover "Who changed this record, what and when") opens the panel History · Commission on <booking number>: who changed the commission, what they changed and when, newest first. See History panel.

  • Who: anyone who can open this page. Open in the audit log at the foot of the panel needs the View permission on Audit Trail.

Workflows

Runs one of your organization's manual workflow rules on this commission. The menu shows only when at least one manual rule exists for commissions; none comes with the app.

  • Who: anyone with the View permission on Workflow Runs.

Booking

Opens the booking's Demands & money tab.

  • Who: anyone with the View permission on Bookings.

Record payout

Opens Record payout with this commission already filled in, to pay the partner on their own.

  • Who: anyone with the Create permission on Payments. In the default roles that is the Administrator, Finance Lead and Accountant.
  • When: only while the commission is Approved or Partially Paid. A payout can't be allocated to a commission that isn't approved: "That commission is not approved yet."
  • What happens next: the payout is recorded as Pending. When it is marked cleared on the payment's page, it appears under Paid and the commission turns Partially Paid or Paid.

Edit

Opens the slide-over Edit commission on <booking number>, with:

  • Channel partner: Partner company (placeholder "Search companies", hint "Leave empty to use the opportunity's partner.") and Partner contact (optional), which shows only with the View permission on Contacts. Without the View permission on Companies the company box is greyed out with the warning "Searching companies needs the Companies permission; the booking's partner is used.";
  • Amounts: Base amount ("Defaults to the booking's agreed total."), Basis % ("Partner default …%." or "Or give a gross amount."), Gross (override) ("Leave empty to compute base × basis."), GST on brokerage % ("18% when the partner is GST registered."), TDS section (placeholder "194H") and TDS rate % (placeholder "2", hint "0 for no deduction.");
  • a live estimate of Gross, GST, TDS and Net payable, with the note "Estimate from what is typed; the server computes the final figures (partner default and the agreed total apply to blank fields).";
  • Notes (up to 2,000 characters).

Percentages must be between 0 and 100, amounts can't be negative, and both take at most 2 decimal places ("Use at most 2 decimal places"). If no basis, no gross and no partner company is given: "Give a basis percent or a gross amount (or a partner with a default percent)".

Save changes is greyed out until you change something; Cancel closes the panel without saving. The message "Commission updated." confirms the save.

  • Who: anyone with the Edit permission on Commissions. In the default roles that is the Administrator, Finance Lead and Accountant.
  • When: only while the commission is Accrued. Otherwise: "Only an Accrued commission can be edited; cancel it and record a new one."
  • What happens next: the amounts are worked out again from what you saved. Only the amount fields and the notes are saved: a change to the partner company or contact is not kept.

Approve

Opens "Approve this commission?": "The accrual journal is posted: brokerage expense and GST input debited, the partner's ledger credited with a new bill net of TDS, TDS payable credited. The amounts are then fixed." Set the Approval date (today by default) and click Approve and post, or Cancel to back out.

  • Who: anyone with the Edit permission on Commissions. In the default roles that is the Administrator, Finance Lead and Accountant.

  • When: only while the commission is Accrued, and only when the net payable is above zero ("The net payable amount must be above zero.").

  • What happens next: "Commission approved; journal … posted." The commission turns Approved and a Journal voucher dated the approval date is posted in the books of the project's promoter company:

    • the brokerage expense (the ledger mapped for the Channel Partner Commission component) is debited with the gross, or 1270 Contract Acquisition Costs is debited instead when the brokerage is capitalised (see Things to know); the line's narration then reads "Brokerage (contract acquisition cost)" rather than "Brokerage";
    • GST input is debited as CGST and SGST halves, or as IGST when the partner's state differs from the project's site state;
    • the partner's ledger (the company's, or the contact's when there is no company) is credited with the net payable as a new bill numbered "COMM-" and the booking number;
    • TDS payable is credited with the TDS.

    The system workflow rule "Commission approved: tell finance (system)", on by default, notifies the Finance Leads that the commission is ready for the next commissions payout run.

  • If it's refused, the reason shows in the dialog, for example "The CP_COMMISSION component has no ledger mapping in books …", "These books are inactive. Reactivate them under Books to post entries.", "The project's promoter company has no books yet. Set them up under Books first." or "No fiscal year covers that date. Open the next fiscal year under Books first."

Cancel

Opens "Cancel this commission?" with a Cancellation date (today by default) and an optional Reason (up to 255 characters). The dialog explains:

  • for an accrued commission: "The accrued commission is marked cancelled.";
  • for an approved one: "The accrual journal is reversed and the partner's bill settled. A commission with payouts cannot be cancelled."

Click Cancel it, or Keep it to back out.

  • Who: anyone with the Edit permission on Commissions.
  • When: while the commission is Accrued, Approved or Partially Paid. The app refuses once anything has been paid: "Money has been paid against this commission; bounce or reallocate those payments first", or while a pending payout is allocated to it: "A pending payout is allocated to this commission; cancel or reallocate it first".
  • What happens next: "Commission cancelled." The commission turns Cancelled and the reason is added to the notes. For an approved commission, the accrual journal is reversed on the cancellation date. A date before the journal's date is refused: "The reversal date cannot be before the original voucher date."

Delete

Removes an accrued commission for good. The confirmation reads "Delete this commission?" and "The accrued commission is removed; nothing was posted yet." Click Delete.

  • Who: anyone with the Delete permission on Commissions. In the default roles that is the Administrator and the Finance Lead.
  • When: only while the commission is Accrued.
  • What happens next: "Commission deleted." You go back to the booking's Demands & money tab.

Add task

On the Tasks card. Adds a task linked to this commission. See Tasks.

  • Who: anyone with the Create permission on Tasks.

Statuses

  • Accrued: recorded on the booking. Approve moves it to Approved; Cancel to Cancelled; Delete removes it.
  • Approved: the accrual journal is posted. A cleared payout moves it to Partially Paid or Paid; Cancel (with nothing paid) moves it to Cancelled and reverses the journal.
  • Partially Paid: cleared payouts cover part of the net payable.
  • Paid: cleared payouts cover the whole net payable.
  • Cancelled: final.

When you choose to claw back commissions while cancelling a booking in the Cancel booking wizard, its accrued and approved commissions are cancelled too; the wizard refuses if one of them has already been paid ("A commission on this booking has been paid out and cannot be clawed back here.").

Things to know

  • Accruing costs nothing; approving posts. A commission is only a note on the booking until it is approved, so sales can record the brokerage as soon as the booking is made and finance decides when it enters the books.
  • The same permission edits and approves. Approving needs the Edit permission on Commissions; there is no separate approval right and nothing stops the person who accrued a commission from approving it. In the default roles the Accountant can approve.
  • How the figures are worked out: gross = base × basis unless you gave a gross; GST and TDS are percentages of the gross; net payable = gross + GST − TDS. Blank fields take the partner company's Default commission percentage and the booking's agreed total. TDS defaults to section 194H at 2%; enter 0 to deduct nothing. For example, 2% of ₹1,20,00,000 is ₹2,40,000 gross; 18% GST adds ₹43,200 and 2% TDS takes ₹4,800, so the net payable is ₹2,78,400.
  • Editing recomputes the gross. The edit panel opens with Gross (override) empty; if you leave it empty, saving works the gross out again as base × basis. Type the gross again if the commission was agreed as a fixed amount. A fixed-amount commission with no basis and no partner default can't be saved without it.
  • The partner can't be changed by editing. Delete the accrued commission and accrue it again with the right partner.
  • An allottee's booking earns no commission. A society member or landowner buying their allotted unit brings no channel partner, and the app refuses to accrue one ("An allottee buying their allotted unit earns no channel partner commission").
  • Brokerage may be capitalised rather than expensed. The books' revenue policy in force on the approval date decides. When Brokerage and other costs of obtaining a contract is Capitalise, the framework isn't Revenue on billing, and the project's Expected possession (on Edit project) is blank or more than the policy's Expense directly when possession is within (months) away (12 by default), approval debits 1270 Contract Acquisition Costs instead of brokerage expense. Each posted revenue run then releases it to brokerage expense in step with the booking's revenue, all of it once the booking is cancelled. Possession expected within those months, or the policy set to Expense, charges the brokerage at approval as before. The page shows no flag for a capitalised commission; the Accrual voucher shows which ledger was debited, and the Contract balances report shows the brokerage still waiting for its revenue.
  • Payout runs don't deduct TDS again. The TDS is fixed at approval and credited to TDS payable; the partner is paid the net.
  • A second commission on the same booking gets a bill numbered "COMM-", the booking number and a running suffix.

  • Channel partner commissionsConcept

    Brokerage owed to the channel partner who sourced a booking: accrued from the booking with a basis percent or a gross amount, GST and TDS under 194H, approved to post the accrual journal, and paid out singly or through a Commissions payout run.

  • Demands, demand runs and the GST splitConcept

    A demand is the bill raised on a buyer's installments (or a member's offer charges): numbered by financial year, billing the full total with the buyer's expected 194-IA TDS shown apart, posted as a sales voucher with GST split as CGST + SGST or IGST by place of supply; a demand run raises one demand per buyer for everything due by a date.

  • Party ledgers, bill-wise tracking and ageingConcept

    A party ledger is the bill-wise ledger a set of books keeps for one buyer, society member, channel partner or vendor, created on first use with a generated code; every posting on it is allocated as New Ref (opens a bill), Against Ref (settles one), Advance or On Account, so the books know what each bill still owes and how overdue it is.

  • Vouchers, reversals and system vouchersConcept

    A voucher is the only way an amount enters the ledger: a dated header with balanced debit and credit lines, editable as a Draft, numbered and frozen when posted, corrected only by a mirrored reversal; demands, payments, commissions, benefit accruals, cancellations, revenue runs and the year-end close post their own system vouchers the same way.

  • Accrue a channel partner's commissionHow-to

    Record the brokerage a channel partner has earned on a booking, from the booking's Demands & money tab: partner, base, percentage or fixed gross, GST and TDS, giving an Accrued commission that is then approved and paid.

  • Approve a commissionHow-to

    Approve an Accrued channel-partner commission so its accrual journal is posted (brokerage and GST input debited, the partner credited net of TDS, TDS payable credited) and it becomes payable.

  • Pay a commission on its ownHow-to

    Pay one approved channel-partner commission straight from its page: record the payout against the commission, then clear it so the payment voucher posts and the commission moves to Partially Paid or Paid.

  • Pay commissions through a payout runHow-to

    Pay every approved channel-partner commission of a set of books in one batch: draft a Commissions payout run (one payout per partner), have it approved, export the bank file for net banking, then clear the run with the bank's UTRs.

  • Posting stopped: a charge component or standard ledger is missing from these booksTroubleshooting

    A demand, payout, commission, cancellation or revenue run could not post because a charge component has no ledger in the promoter's books, or a template ledger or group the posting needs was never copied into them; map the component or sync the templates, then retry.

  • Demand or commission cannot be cancelled, edited or approved: payments are against it, or its status forbidsTroubleshooting

    A demand with receipts, or a commission with payouts, cannot be cancelled until that money is bounced, cancelled or reallocated; and once issued or approved, the document's figures are fixed, so only a Draft demand or an Accrued commission can be edited or deleted.

  • "These books are inactive": nothing posts until the books are reactivatedTroubleshooting

    Posting a voucher, issuing a demand, recording a payment, starting a run or cancelling a booking is refused because the promoter's books are inactive; what is blocked and how to reactivate them.
