Revenue runs
The revenue runs (period closes) of the chosen books, the dialog that prepares a new draft run, and the scheduled rules that draft runs automatically.
Revenue runs
A revenue run is the period close for sale revenue: it works out, for every booking and member offer of the chosen books, how much revenue is recognised up to a date under the books' revenue policy, and posts the journals. This page lists the runs of the chosen books and is where you prepare a new draft.
Where to find it
In the sidebar, open the Accounting group and choose Revenue Recognition. The page has four tabs: Revenue runs (this one), Contract balances, Remaining obligation and Project performance. The Revenue recognition breadcrumb on a run's page brings you back here, and the notification sent by an automatic run tells finance to "Open Accounting > Revenue runs to review and post." (a rule made from the Schedule automatic revenue runs preset says "Open Accounting > Revenue Recognition to review and post.").
The sidebar item shows with any permission on Revenue Recognition. In the default roles the Administrator, Finance Lead, Accountant, Project Manager, Sales Manager, Compliance Officer, Auditor and Rehab Officer hold at least the View permission; the Sales Executive, Site Engineer, Front Desk and Legal & Documentation roles do not and don't see the item. Without any, the page reads "No access" and "You do not have permission to view revenue recognition. Ask your administrator."
Before you start
- Books for the promoter company (see Books). With none, the page shows "No books yet" and "Set up books for a promoter company first: that copies the chart of accounts, opens the fiscal year and seeds the voucher types." with a Set up books button (shown with the Create permission on Books).
- The View permission on Books to choose the books. Without it the page shows "Choosing a set of books needs the Books read permission. Ask your administrator."
- The books must be active, and a fiscal year must cover the period end (see Fiscal years).
- The Revenue policy in force on the period end is what the run applies. Check it first; a posted run locks it.
What you see
The header reads "Revenue recognition" with "The period close: each run recognises sale revenue under the books' revenue policy, moves the contract liability and asset, and releases capitalised brokerage."
Next to it, Books shows the books the page works on: a dropdown when your organization has more than one set (inactive books are listed as "<name> (inactive)"), otherwise the books' name as a link to its Books overview, with an Inactive badge when the books are inactive. The Revenue policy button opens that books' policy tab. The tabs carry the chosen books along, so switching tabs keeps the same books.
Filters and search
- Status: Any status, Draft, Posted or Reversed.
- Search: a search box (placeholder "Search"). See Things to know.
Columns
| Column | What it shows |
|---|---|
| Run | The run number (RR-, the financial year and a running number), which opens the run, with the framework and method of the policy it used underneath ("Ind AS 115 · Point in time"). |
| Period | "to <date>", the period end; underneath, how many subjects (bookings and member offers) got a line, and ", N skipped" when some were left out. |
| Revenue | The revenue the run recognises (or recognised), with "brokerage <amount>" underneath when it released capitalised brokerage. |
| Status | Draft (grey), Posted (green) or Reversed (red). |
| (actions) | The eye icon (tooltip "Open"). |
The newest period end comes first. When there are none, the grid reads "No revenue runs yet".
Automatic revenue runs
This card lists the scheduled workflow rules that prepare revenue runs on a timetable: "Workflow rules that create these runs, on a cadence or the moment an event happens. Manual runs stay available; an automatic run is an ordinary run whose notes name the rule." Each rule shows its name (a link to the rule), Active or Inactive, its schedule, its project or "Every project", when it runs next (shown while the rule is active) and how its last run went. With no rules it reads "No schedule yet."
The card shows when you have the View permission on Workflow Rules.
What you can do
New revenue run
Opens the New revenue run dialog: "The draft computes every booking and member offer of these books under the revenue policy in force on the period end. Nothing is posted until you post it."
- Who: anyone with the Create permission on Revenue Recognition. In the default roles that is the Administrator, the Finance Lead and the Accountant. Without it the button isn't shown.
Fill in:
- Period end: the last day of the previous month by default; it cannot be later than today. "Revenue up to and including this date; the journals are dated on it."
- Notes (placeholder "Optional"): for example why the run was prepared.
Prepare draft
Creates the run as Draft, computes every line, and opens the Revenue run page.
- Who: anyone with the Create permission on Revenue Recognition.
- Greyed out: while Period end is blank. No reason is shown on hover.
- What happens next: nothing is posted. Review the lines, fix what is missing (occupation certificates, possession dates, cost budgets, stage dates), recompute, and post it from the run's page.
- If it's refused, the reason shows in the dialog:
- "These books are inactive. Reactivate them under Books to post entries."
- "A Draft estimate already exists for this opportunity. Edit that draft instead of creating another." This is the wording the app shows when these books already hold a Draft revenue run; post or delete that draft first (see Things to know).
- "Run <no> already closed <date>; a new run must end on or after it" when the period end is earlier than the latest posted run.
- "No fiscal year covers that date. Open the next fiscal year under Books first."
- "These books have no ledger <code>; sync templates" when an expense ledger has an inventory role but the books have no work-in-progress or land ledger to move it to; use Sync from templates on Component mappings.
Cancel
Closes the dialog without preparing anything.
Open
The eye icon on a row, or a click on the run number, opens the Revenue run.
- Who: anyone who can see this list.
Revenue policy
The header button opens the Revenue policy tab of the chosen books.
- Who: anyone who can see this page (the tab itself needs the View permission on Books).
Schedule automatic revenue runs
On the Automatic revenue runs card. Opens the New rule page with a preset named "Monthly close: revenue run": a Scheduled rule on books, on the 1st of every month at 09:00, with a Prepare revenue run action (period end: the end of last month unless you set one) and a "Tell finance" action that notifies the Finance Lead role "Revenue run <no> drafted in <books>: <amount> to recognise" when a draft was created. Adjust the schedule and save.
- Who: anyone with the Create permission on Workflow Rules. In the default roles that is the Administrator. Without it the button isn't shown.
Statuses
- Draft: prepared and computed; nothing is posted. It can be recomputed, posted or deleted.
- Posted: its journals are in the books and its policy is locked. It can be reversed if it is the latest posted run of the books.
- Reversed: every journal has been mirrored; the run stays as history and the next run starts again from the run before it.
The Revenue run article explains each step.
Things to know
- One draft at a time per books. Every run builds on the latest posted one, so a second draft would have nothing stable to start from. Post or delete the open draft first. The message the dialog shows in that case ("A Draft estimate already exists for this opportunity. Edit that draft instead of creating another.") is borrowed from estimates; it means a revenue run draft exists.
- Runs go forward only. A new run must end on or after the latest posted run's period end. To close an earlier date, reverse the later run first.
- The period end decides everything. The policy in force on that date, the fiscal year that holds it, the journals' date and the run number's financial year all come from the period end.
- A draft can be prepared into a locked period; the lock is only checked when the run is posted ("Period <n> of <FY> is locked").
- Automatic runs only draft. A scheduled rule prepares the run and tells finance; posting always needs a person with the Approve permission on Revenue Recognition. The rule skips a month when a draft is still open, and the notes of an automatic run read 'Automatic: rule "<name>"'. The user the rule acts as needs the Create permission on Revenue Recognition.
- A system schedule is available. The workflow rule "Monthly revenue run (system)" drafts a run of each books to the end of last month on the 1st at 09:00 and tells finance. It ships switched off; switch it on under Workflow rules, or clone it to change the cadence.
- The Search box does not narrow this list. Use the Status filter and the books switcher.
- The list follows the books switcher. Runs of another promoter's books appear once you switch to those books.
- Runs are audited. Creating, posting and reversing a run appear under Settings > Audit log in the Money component.
- Your organization can rename the tab labels and column titles, so your screen may use different words.

- Revenue recognition: policy, point in time vs over time, and revenue runsConcept
Each set of books carries an effective-dated revenue policy (framework, method, possession trigger, cost and brokerage treatments, judgement areas) chosen by the CA; a revenue run is the period close that computes every booking's and member offer's progress under it, recognises the catch-up revenue, cost of sales and brokerage, and posts the journals.
- Books, the active books switcher and cost centresConcept
A set of books is the ledger of one promoter company: every posting for a project lands in its promoter's books, every accounting screen works on the one set chosen in the Books switcher, and cost centres inside the books (usually one per project with a child per tower) let the ledger and reports be cut by project.
- Fiscal years, periods, locks, opening balances and the year-end closeConcept
Each set of books runs in fiscal years of twelve monthly periods; a voucher can post only into an open year and an unlocked period, opening balances carry each ledger's balance into a year, the year-end close moves income and expense into Profit & Loss Account by a closing journal and writes the next year's openings, and a monthly balance cache is kept as a cross-check.
- Prepare, review and post a revenue runHow-to
The monthly revenue close: prepare a draft revenue run for a period end, read what each booking and member offer would recognise, fix what holds lines back, post the run's journals, and check the contract balances and the balance sheet.
- Put demand, payout and revenue runs on a scheduleHow-to
Have demand runs, payout runs, revenue runs and RERA sweeps prepared on a timetable instead of by hand: start from the ready-made schedule on each runs page, adjust the day, time and options, save the rule, or simply switch on the matching system rule.
- Review the month and lock the periodHow-to
At month end, read the day book for the month, check that the trial balance is balanced, check key ledgers such as the bank, cross-check the period balances, and then lock the month on the books' Fiscal years tab so nothing more posts into it.
- "These books are inactive": nothing posts until the books are reactivatedTroubleshooting
Posting a voucher, issuing a demand, recording a payment, starting a run or cancelling a booking is refused because the promoter's books are inactive; what is blocked and how to reactivate them.
- Posting refused: no open fiscal year or period for the dateTroubleshooting
Every posting, manual or automatic, needs a fiscal year of the books that covers its date, with the year open and the month's period unlocked; open the next year, unlock the period or reopen the year under Books, or move the document's date.
- Revenue run cannot be started, posted or reversed: a draft exists, the period is out of order, or the status forbidsTroubleshooting
Revenue runs on a set of books form a chain: one draft at a time, each run ending on or after the last posted one, and reversals from the latest run backwards; each action fits one status only.
