Co-owner or co-applicant shares refused: over 100%, or the primary listed again

Co-owners of an allottee and co-applicants on a booking share ownership with the primary person: their shares together may not pass 100%, the primary cannot also be listed as a co-owner or co-applicant, and the same person cannot be added twice.

Messages this explains

  • “Co-owner shares add up to <n>%, more than 100%”
  • “The primary owner cannot also be a co-owner.”
  • “Co-applicant shares add up to <n>%, more than 100%”
  • “The primary applicant cannot also be a co-applicant”
  • “That conflicts with existing data.”

Co-owner or co-applicant shares refused: over 100%, or the primary listed again

You are adding or changing the people who share a flat or a booked unit, and saving is refused: the shares add up to more than 100%, the primary person is on the list again, or someone is on it twice.

What you see

For an allottee (society member, landowner or PAP tenant):

  • In the member form's Co-owners block, opened from the Society page or the project's Society & Tenants tab, the running line "Co-owner shares total <n>%" turns red with " — more than 100%", and saving shows "Co-owner shares add up to <n>%, more than 100%".
  • In Add co-owner or when changing a co-owner on the allottee's page: "Co-owner shares add up to <n>%, more than 100%" (the total counts everyone already recorded), or "The primary owner cannot also be a co-owner."

For a booking:

  • In the booking wizard, on the Co-applicants step, the running line "Co-applicant shares total <n>% — more than 100%", and on Continue "Co-applicant shares add up to <n>%, more than 100%", or, under a row, "The primary applicant cannot also be a co-applicant".
  • On the booking's Applicants & parking tab, in Add co-applicant or when editing one: "Co-applicant shares add up to <n>%, more than 100%", or "The primary owner cannot also be a co-owner." (the app uses the co-owner wording here too; it means the buyer is already the primary applicant).
  • Adding a person who is already on the list (a second co-owner row or co-applicant with the same contact): "That conflicts with existing data."

Why it happens

The primary person (the member, landowner or PAP tenant, or on a booking the buyer on the opportunity) holds the flat or unit together with the people listed under them. Each listed person has a Share, a percentage of ownership. The shares describe how one whole is divided, so together they may not pass 100%; on a booking the primary applicant keeps whatever is left ("The primary applicant holds <x>%; co-applicants share the rest."). A blank share counts as 0.

The primary is already the owner, so listing them again as their own co-owner or co-applicant would count them twice; and each person can appear only once on the same allottee or booking. These records feed the agreement, the allotment and offer letters, and an allottee's co-owners become the co-applicants when they buy their unit, so the split has to add up.

How to fix it

  1. Lower the shares. Reduce one or more shares so the total is 100% or less. When adding a new co-owner or co-applicant pushes the total over, first edit an existing person's share down, save, then add the new one.
    • Allottee co-owners: from the member form (the Edit permission on Tenants) or on the allottee's page by clicking the co-owner (the Edit permission on Tenants). In the default roles the Administrator, the Rehab Officer and the Project Manager can do this.
    • Booking co-applicants: on the Applicants & parking tab with the pencil Edit <name> (the Edit permission on Bookings, on an Active booking), or on the wizard's Co-applicants step while booking (the Create permission on Bookings).
  2. Remove the primary from the list. Pick a different contact for that row. The primary person is fixed: on an allottee it is the person the record is for, on a booking it is the opportunity's contact, and neither can be changed from these screens.
  3. Remove the duplicate. If the person is already listed, change their existing row (share or relationship) instead of adding them again; on a booking use the trash icon Remove <name> on the extra row.
  4. Save again. On a booking the header line then shows the primary applicant's remaining share.
