Society & Tenants
On a redevelopment project, link the society being redeveloped, keep its members and the project's landowners and PAP tenants, and give each of them an offer that allots new units and sets the benefits the developer pays.
Society & Tenants
The rehab side of a redevelopment project on one tab. Link the housing society being redeveloped, keep its members, record the project's landowners and PAP tenants, and give each of them one offer (term sheet): the new area they are entitled to, the units allotted to them, and the benefits the developer pays them, such as corpus, transit rent and shifting charges.
Where to find it
Open a project and choose the Society & Tenants tab. The tab shows on Redevelopment projects to anyone holding any permission on Societies; New development projects don't have it. The setup wizard's Society, Existing members and Offers steps open this tab, and a demand raised on an older offer links back here.
The tab holds up to four cards, each with its own permission:
| Card | Shown when | Without the View permission |
|---|---|---|
| Society | Always | Shows the linked society's name only. |
| Members | A society is linked and you hold any permission on Tenants | "You do not have permission to view society members. Ask your administrator." |
| Landowners & PAP tenants | You hold any permission on Tenants | "You do not have permission to view landowners and PAP tenants. Ask your administrator." |
| Offers | You hold any permission on Termsheets | "You do not have permission to view offers (term sheets). Ask your administrator." |
In the default roles:
- Administrator can do everything on the tab.
- Rehab Officer can add, edit and delete members, landowners and PAP tenants, and draft, issue, sign, cancel and delete offers. A Rehab Officer cannot link or unlink the society (that needs the Edit permission on Projects), add a new benefit type, Start purchases (that needs the Create permission on Opportunities) or create the estimates.
- Project Manager can link the society, add and edit members and allottees, and view offers.
- Legal & Documentation can view members and allottees, and draft, issue and sign offers, but not delete them. Without the View permission on Charge Components and Pricing Plans, they can't add benefit lines or apply a benefit plan.
- Finance Lead, Accountant, Sales Manager, Compliance Officer and Auditor can view everything. A Sales Manager can also start purchases and create their estimates.
- Sales Executive and Site Engineer see the society card only.
- Front Desk has no permission on Societies, so the tab isn't shown.
Before you start
- The project is a Redevelopment project. Set the Project type when creating or editing the project. See Edit project.
- The units exist. Offers allot units from the Structure tab. A unit's designation decides who can take it: Saleable units go to society members and landowners, PAP units only to PAP tenants, and Common units never. You can earmark units for the rehab side by setting them Reserved For Tenant. Record each unit's area on the project's Chargeable area for members and tenants (Carpet Area (Mofa) unless your organization or project says otherwise).
- Benefit components exist. Benefit lines use charge components of the kind Tenant Benefit (for example corpus, transit rent, shifting charges) from Masters > Charge Components, with a calendar payment cadence.
- Optional, but saves typing:
- benefit plans on the project's Tenant Benefits tab;
- the Carpet area offered (Mofa) percentage, on the organization's Projects card under Settings > Organization or under Sales on the project's Settings tab, which suggests the new area for each offer;
- a published offer letter template, to issue offers with a letter (Settings > Documents > Templates; the starter "Offer letter (standard)" ships as a draft).
- For allottee purchases: the project must be ready to sell (promoter, books, the collection, RERA separate and operative bank accounts with their ledgers, and the RERA registration when your organization requires it). See the Ready to sell and collect? card on the Project overview.
What you see
Society card
Not linked yet. Titled "Link the society": "The existing housing society being redeveloped. Its members become the project's tenants." A search box (placeholder "Search societies by name, city or registration no.") lists societies as "<city> · <n> members"; with no match it says "No society matches". The list ends with Create a new society. Without the Edit permission on Projects you see "No society linked" and "Linking a society needs the Projects update permission." instead.
Linked. Titled "Society", "Linked to this project.", with Name (opens the society's page), Registration no., City, Members recorded ("<n>" or "<n> of <total>") and Address, and the buttons Edit society, Change and Unlink.
Members card
Titled "Members of <society>", with "<n> recorded of <total> on the society roll. Each member is a contact with their existing flat and consent." It is the same member list as on the Society page, with the consent filter (All members, Consented, Consent pending), the search box, and the columns Member, Membership, Existing unit, Consent and Co-owners, plus one more column here:
| Column | What it shows |
|---|---|
| Offer | The member's offer on this project: its status badge and up to two allotted unit numbers, then "+n" for more. Click it to open the offer. With no offer, Create offer (or "No offer" if you can't create one). A cancelled offer doesn't count, so the member can be given a new one. |
Landowners & PAP tenants card
The project's own allottees, who belong to the project rather than to the society: "<n> landowners · <n> PAP tenants. Landowners receive new units as consideration for the land; PAP tenants are rehabilitated in units designated PAP, which never enter the sales stock. Neither consents to the redevelopment, and neither need hold anything in the society today."
The search box (placeholder "Name, phone, reference or unit no.") and these columns:
| Column | What it shows |
|---|---|
| Allottee | The name, which opens their own page, with phone and email. |
| Type | A blue Landowner badge or a grey PAP tenant badge. |
| Reference no. | Your reference for the allottee. |
| Existing premises | What a PAP tenant holds today (for example a hut number), with floor, unit type and carpet area. |
| Co-owners | How many co-owners are recorded. |
| Offer | As on the members card. |
| (icon) | A pencil to edit, or an eye to look at the record. |
With none: "No landowners or PAP tenants yet".
Offers (term sheets) card
Titled "Offers (term sheets) · <society>": "<n> recorded. Each allottee (member, landowner or PAP tenant) gets one offer per project: the new area, the allotted units and the benefits with their payment schedule."
Filters: Any category (Society members, Landowners, PAP Tenants) and Any status (Draft, Issued, Accepted, Signed, Cancelled). The search box (placeholder "Name, phone, membership or unit no.") finds an allottee.
| Column | What it shows |
|---|---|
| Allottee | The name, a category badge for a landowner or PAP tenant, and "Member <no>" or "Ref <no>" with the phone. |
| Existing → offered (Mofa) | The existing carpet area and the entitled area, for example "650 sqft → 702 sqft". Underneath, the extra area as "+<n> sqft allotted" (hover: the allotted units' total less the entitled area). |
| Allotted units | The first unit number, "+n" for more, and its designation badge; underneath "<n> units · <tower>" or "<tower> · floor <n>". |
| Benefits (we pay) | The total of the benefit lines, with "paid ₹…" once payments are made, or "to the member". |
| Status | The offer's status, with "Signed <date>", "Issued <date>" or "Drafted <date>". |
| (icon) | Opens the offer. |
With none: "No offers yet".
The member and allottee form
Add member, Add landowner, Add PAP tenant and the pencil on a row open the same form, titled Add member, Add landowner, Add PAP tenant, or the person's name. It is described field by field on the Society page. The differences for the project's own allottees:
- A landowner's form starts with "A landowner receives new units as consideration for the land and occupies nothing in the existing building; the offer (term sheet) can allot several units." and asks only for the person, a Reference no. and any co-owners.
- A PAP tenant's form starts with "A Project Affected Person is rehabilitated here; the offer can only allot units designated PAP, which are kept out of the sales stock. They need not hold anything in this society, and give no consent to the redevelopment." It asks for a Reference no. and, optionally, the Existing premises (placeholder "e.g. Hut 12", hint "Optional: blank when they hold nothing here"), Existing floor, Unit type and Existing carpet area (Mofa) (hint "Optional; the offer's uplift is worked out from it").
- Reference no. is optional and unique among the project's landowners and PAP tenants.
- Neither has bedrooms or consent.
- On this tab, Unit type lists only the unit types that suit the project's property type.
The offer
The offer opens in a wide side panel, the offer panel, titled New offer or "Offer · <name>", with the status badge and, for a landowner or PAP tenant, a category badge.
Notices at the top:
- Without the View permission on Charge Components or Bookings: "Adding lines needs read access to Charge Components and Bookings (payment cadences). Existing lines are shown; new ones cannot be picked." (naming whichever is missing).
- On an offer that isn't a draft: "A <status> offer is read-only. Reopen it as a draft to change the terms." or "This offer is cancelled; reopen it to edit.", followed by the issued and signed dates.
Allottee & area
| Field | Required | What it means |
|---|---|---|
| Allottee | Yes, new offers only | Search the project's members, landowners and PAP tenants (placeholder "Search members, landowners and PAP tenants…"). Only people without a live offer on this project are listed (hint "Society members, landowners and PAP tenants of this project without an offer yet."). Nothing picked: "Pick the member this offer is for". On a saved offer this is replaced by the person's name, number and existing unit or premises. |
| Existing carpet (Mofa) | No | What the allottee holds today, in sq ft. Filled in from the allottee's record (hint "Defaults from the allottee"; for a landowner "Usually blank for a landowner"). |
| Entitled Carpet Area (Mofa) | No | The new area the allottee is entitled to. The label follows the area the offer is measured on (the project's Chargeable area for members and tenants when the offer was created), for example Entitled RERA Carpet Area. It is suggested for you (see Things to know), and the hint shows the working, for example "Project guidance +8% = 702 sqft · +52 sqft vs existing (+8%)". Type over it freely. |
| Extra Carpet Area (Mofa) | Worked out | The allotted units' total less the entitled area, rounded up to whole sq ft: "The allotted units' total less the entitled area; sold through the units' own estimates and bookings." Negative (in red) means the units give less than the entitlement. When a unit has no area on the basis: "A unit has no <basis> recorded; add it on the unit, or save to see the server's figure." |
| Allotted new units | No | The units this offer allots, each with a Release unit bin ("No unit allotted yet." when there are none). Add units with the picker (see Allot a unit below). |
| Notes | No | Free text. |
For a new offer to a PAP tenant: "A PAP tenant can only be allotted units designated PAP; those units are kept out of the sales stock." For a landowner: "A landowner may receive several units on one offer; add them one by one below."
Benefits (badge "We pay the member"): "Corpus, transit rent, shifting and other Tenant Benefit components, each with its payment cadence. Settled by payouts to the member." With none: "No benefits yet" and "Add what the developer pays the member: corpus, transit rent, shifting charges…". Each benefit line has:
| Field | Required | What to enter |
|---|---|---|
| Benefit | Yes | A Tenant Benefit component. Each can appear only once on an offer. Missing: "Choose a component". |
| Cadence | Yes | How often it is paid, for example Lumpsum or Monthly. Construction-linked cadences are not listed. Missing: "Pick the cadence". A cadence without a fixed interval, such as Custom Dates, is listed but refused when you save: "<cadence> rows are dated through a payment plan, not a rule". |
| Amount or Per installment | Yes | Amount for a one-time payment, otherwise the amount of each installment. Missing: "Enter the amount". |
| Installments | Yes, unless one-time | 1 to 600. Fixed at 1 for a one-time cadence (hint "One-time"). Missing: "Enter the number of <cadence> installments". |
| First payment | No | The first due date (hint "Blank = undated until set by hand"). |
| Due day | No | The day of the month later installments fall due (hint "1–31, -1 = month end"). |
| Note | No | Free text. |
Each line shows "Line total ₹…" (installment × installments) and, once money has moved, "· paid ₹…". On a saved offer, Show schedule (<n>) lists the line's installments: #, Due ("undated" when no date), Amount, Status (with "manual" on a hand-edited row) and Note. The section ends with "Total benefits ₹…" and "· paid ₹…".
Charges (badge "The member pays us") appears only on an older offer that already carries charge lines. New offers take benefits only: what an allottee pays goes through the purchases of their units (below).
Entitlement split & purchases appears on a saved offer that allots units. It sets how the entitled area falls on each unit and tracks the allottee's purchase of each unit:
| Column | What it shows |
|---|---|
| Unit | Tower and unit number. |
| Area | The unit's area on the area the offer is measured on. |
| Entitled share | How much of the entitlement this unit takes. Editable on a draft; "fixed" once the unit's estimate has gone out or the unit is booked. |
| Extra | The unit's area less its share, rounded up to whole sq ft. |
| Charged | How much of the extra area the allottee pays for. Blank charges it all (placeholder "all <n>"); 0 gives it all free (hover "Blank charges the whole extra area; 0 gives it all free"). |
| Free | The extra area given free. |
| Purchase | The purchase's stage, linking to it, or "not started". |
| Estimate | The estimate's version, status and amount, linking to it, or Create estimate. |
| Booking | The booking number and status, with "Agmt <no>" once the agreement is numbered. |
The Total row adds everything up; under the shares it shows "must be <n>", the figure the shares have to add up to.
Demands on this offer appears only on an older offer that has charge lines, once it is issued.
Documents lists the letters generated for this offer, with Generate document, Preview (see what a template would produce without generating) and a Regenerate icon on each row (a fresh document from the same template with today's data; the old one stays): see Generated documents.
What you can do
Link the society
Pick a society in the search box. It is linked at once and you see “Society "<name>" linked.” Its members appear in the members card.
- Who: the Edit permission on Projects.
Create a new society
At the bottom of the society search, Create a new society opens the society form with the project's site address, city, state and PIN code already filled in. Click Create society; the new society is created and linked to the project.
- Who: the Create permission on Societies (and the Edit permission on Projects to link it). Otherwise the option isn't shown.
Edit society
Opens the society form (Edit <name>) to correct the society's details. See Societies.
- Who: the Edit permission on Societies. Otherwise the button isn't shown.
Change
Shows the society search again, titled "Change society", to link a different society. Cancel keeps the current one.
- Who: the Edit permission on Projects.
Unlink
Removes the link between the project and the society straight away, with no confirmation. You see "Society unlinked." The society and its members are not deleted.
- Who: the Edit permission on Projects.
- Unlinking doesn't check for offers already made to the society's members, so check the offers card before you unlink.
Add members, quick add, import and export
The members card works as on the Society page: Quick add (the Create permission on Tenants), Add member (the Create permission on Tenants), Import (the Create and Edit permissions on Tenants) and Export (the View permission on Tenants). Members added here are added to the society, so they show on the society's page too.
Add landowner / Add PAP tenant
Opens the form for a new landowner or PAP tenant of this project. Click Add landowner or Add PAP tenant at the bottom. You see "<first name> added as a landowner." (or "… as a PAP tenant.").
- Who: the Create permission on Tenants. Otherwise the buttons aren't shown.
- If it's refused: "This membership number already exists in the society." under Reference no. (the same message is used for a project's reference numbers).
Import and export landowners & PAP tenants
Export on the Landowners & PAP tenants card downloads "allottees.xlsx" (hover "Download these allottees as an Excel sheet"). Import opens Import landowners & PAP tenants, which works like the members import (Download template gives "allottees-template.xlsx"), except that "Every row says whether it is a Landowner or a PAP Tenant."
- Who: Export needs the View permission on Tenants; Import needs the Create and Edit permissions on Tenants.
- Row errors specific to this sheet: "category: say Landowner or PAP Tenant" when the category is blank, and "category: release the units allotted to this <category> before making them a <category>" when you change the category of someone who already has an offer.
Edit or delete a member or allottee
The pencil on a row opens the form; click Save changes (the Edit permission on Tenants). Delete in the form asks "Delete member?": "This <member / landowner / PAP tenant> and their co-owner records will be removed. Allottees with term sheets or parking allocations cannot be deleted." (the Delete permission on Tenants). If it's refused: "Tenant cannot be deleted: linked termsheets, parking allocations".
New offer / Create offer
New offer on the offers card opens an empty offer. Create offer in a member's or allottee's Offer column opens one with that person already picked.
- Who: the Create permission on Termsheets. Otherwise the button and link aren't shown.
Allot a unit
In Allotted new units, search with the picker (placeholder "Add a unit…", or "Add a PAP unit…" for a PAP tenant) and pick a unit. It is added to the list. Units read "<tower> · <unit>" with "Floor <n> · <type> · <carpet area>", and "reserved for tenants" for earmarked units, which are listed first. The hint says "Units free or already reserved for tenants, the reserved ones first. Allotting reserves the unit for the allottee; removing it releases the unit." (for a PAP tenant: "PAP-designated units, the ones reserved for tenants first. Allotting reserves the unit; removing it releases the unit."). Nothing changes on the unit until you save the offer.
- Who: whoever can save the offer, plus the View permission on Towers, Floors & Units. Without it: "Allotting units needs the Structure permission."
- Greyed out on a new offer until you pick the allottee: "Pick the allottee first: PAP tenants and everyone else draw from different stock."
- Nothing to pick: "No free or tenant-reserved unit matches" (or "No free or tenant-reserved PAP unit matches").
- If saving is refused:
- "Unit <u> is allotted on another offer"
- "Unit <u> is <status>", for example a unit that has been booked in the meantime
- "Unit <u> is a Common unit (<amenity>); it cannot be allotted"
- "A PAP Tenant can only be allotted a PAP unit; unit <u> is <designation>"
- "Unit <u> is reserved for PAP tenants; a <category> cannot take it"
- "At most 50 units per offer"
Release unit
The bin next to an allotted unit (hover "Release unit") takes it off the offer. When you save, the unit goes back to the status it had before it was allotted.
- Who: as for allotting.
- If it's refused: "Unit <u> is being bought by the allottee (estimate out or booked); cancel that first". A unit whose purchase has an estimate out or a booking stays on the offer until that estimate or booking is cancelled.
- A purchase of the unit that hasn't got that far (a new purchase, or one with only a draft estimate) is closed as Lost when the unit is released.
Add benefit
Adds an empty benefit line at the top of the benefits. Fill in the line; remove one with its bin (hover "Remove benefit <n>").
- Who: whoever can edit the offer (a draft, with the Create permission on Termsheets for a new offer or Edit for a saved one). Add benefit, Apply benefit plan and New benefit type… are shown only on a draft you can edit.
- Greyed out while no Tenant Benefit component or calendar cadence is available to you; there is no hover reason. Check the notice at the top of the offer about missing access, and that Tenant Benefit components exist.
- Checks when you save: "This component is already on the offer", "A one-time payment has exactly 1 installment", and the missing-field messages listed under Benefits above.
Apply benefit plan
Opens Apply a benefit plan. Choose one of the project's plans ("Choose a plan…"). The dialog lists each benefit with its amount for this allottee, for example "<benefit> · Monthly × 24 · ₹25/sq ft × 650 sqft". It warns "The offer's <n> benefit lines will be replaced by the plan's. Charges are not touched. The lines fill the form: type the start dates, adjust anything, then save the offer." Click Apply plan. You see “"<plan>" filled the benefits; type the start dates, then draft the offer.” (or "…then save the offer."). Nothing is saved until you draft or save the offer.
- Who: the View permission on Pricing Plans, on an offer you can edit. Without it, the button is greyed out with "Benefit plans need the Pricing permission". It is also greyed out, with no hover reason, while no calendar cadence is available to you.
- Until you choose a plan, Apply plan does nothing. With a plan chosen, the dialog stops you with:
- "This plan has no benefits yet"
- "Enter the existing carpet on the offer first: some benefits are per sq ft of it"
- With no plans on the project: "This project has no benefit plans yet. Create them on the project's Tenant Benefits tab." See Tenant Benefits.
New benefit type…
Opens New benefit type to add a Tenant Benefit component that isn't in your list yet. Enter a Name (placeholder "e.g. Transportation charges") and an optional Description. The dialog notes "Adds a Tenant Benefit charge component for the whole organization (also manageable under Masters → Charge Components). Map it to a ledger under Books → Chart of accounts before paying it." Click Add benefit type. You see “Tenant Benefit "<name>" added to your charge components.” and a new line with that benefit is added to the offer.
- Who: the Create permission on Charge Components, on a draft you can edit. Otherwise the button isn't shown.
- Checks: "Enter a name for the benefit".
Draft offer
On a new offer, Draft offer saves it as a Draft. You see "Offer drafted for <name>." and the panel stays open on the saved offer. The allotted units become Allotted and each benefit line gets its schedule of installments.
- Who: the Create permission on Termsheets.
- If it's refused:
- "This member already has a termsheet on the project." The allottee already has a live offer here; open that one instead.
- "The member does not belong to the society of this project."
- "Tenant termsheets exist only on redevelopment projects."
- any of the unit messages under Allot a unit.
Save changes
On a saved draft, saves your changes to the areas, units, notes and lines. You see "Offer saved."
- Who: the Edit permission on Termsheets. Shown on drafts only.
- Greyed out until you change something; there is no hover reason.
- When you have changed the lines, the panel warns that "Saving rewrites the lines; their payment schedules are regenerated". See "Change the lines before editing single installments" under Things to know.
Edit an installment
In a line's schedule, the pencil on a Pending row (hover "Edit installment <n>") opens Installment <n>: Due date, Amount and Note. "Edited rows are marked manual and survive when the benefit's rule is changed later." Click Save. You see "Installment <n> updated."
- Who: the pencil shows on every Pending row of a saved offer; saving the change needs the Edit permission on Termsheets. It works on issued, accepted and signed offers too, so you can date or adjust a single payment without reopening the offer.
- Checks: "Enter a valid amount". Only Pending rows can be changed: "Only Pending rows can be edited (this one is <status>)".
Issue to member
Sends a draft offer out. It opens Issue the offer:
- Letter: the published templates that produce an offer letter, shown as "<name> (<kind>)", the first one already selected, plus Issue without a letter. With a letter: "The letter is generated first, then the offer moves to Issued — so an issued offer carries the letter that was sent with it." Without: "The offer moves to Issued and no letter is produced. You can generate one later from the offer's Documents card."
- Issued on: today by default.
- With no published template: "No published template renders an offer, so this offer will be issued without a letter. To send one, publish a template under Settings > Documents > Templates (the starter "Offer letter (standard)" ships as a draft) and generate it from the offer afterwards."
- When the offer already has letters: "The letter already on this offer will be voided and stamped "superseded by" the new one, so an older copy in the allottee's hands can be traced to this offer."
Click Generate letter & issue or Issue without a letter. You see "Offer issued and the letter generated." or "Offer issued." The offer becomes Issued, and the letter is filed on the offer and on the allottee's page.
- Who: the Edit permission on Termsheets. The button says "member" for every kind of allottee.
- Greyed out while you have unsaved changes: "Save your changes first".
- If it's refused: "Cannot issue a <status> termsheet" when the offer has already moved on.
Mark accepted
On an Issued offer, records that the allottee has accepted it. You see "Offer accepted." This step is optional; you can go straight to Mark signed.
- Who: the Edit permission on Termsheets.
Mark signed
On an Issued or Accepted offer, opens Mark the offer signed: "Attach the signed copy if you have it — it is filed with this offer's documents. You can also add it later from the allottee's page." Choose the signed copy picks the scanned file (optional). Click Upload & mark signed or Mark signed. You see "Offer signed." The offer becomes Signed, dated today.
- Who: the Edit permission on Termsheets. Uploading the signed copy also needs the Create permission on Generated Documents.
- If the upload is refused: "Files are limited to <n> MB" for a file that is too large, or "The file is empty".
Reopen as draft
Takes an Issued, Accepted or Cancelled offer back to Draft so you can change it. You see "Offer draft." The issued date is cleared. From Cancelled, the cancelled installments come back as Pending, but the units are not: allot them again before re-issuing.
- Who: the Edit permission on Termsheets.
- Not offered on a Signed offer.
- If it's refused:
- "A demand has been raised on this offer; cancel the demand first"
- "This member already has a termsheet on the project." when reopening a cancelled offer while the allottee has a newer live one; work on the newer offer instead.
Cancel offer
On an offer that has gone out, asks "Cancel offer?": "The offer is marked Cancelled, pending installments are cancelled and the allotted units are released. It can be reopened as a draft later. Offers with a live demand must have it cancelled first." Click Cancel offer. You see "Offer cancelled."
- Who: the Edit permission on Termsheets. Not shown on a draft (delete it instead) or on an offer already cancelled.
- If it's refused:
- "Money has been recorded against this termsheet; cancellation with refund is handled by the accounts module" when a benefit has already been paid, waived or accrued in a payout run.
- "A demand has been raised on this offer; cancel the demand first"
- "Unit <u> is being bought by the allottee (estimate out or booked); cancel that first"
Delete
On a Draft or Cancelled offer, Delete asks "Delete offer?": "The offer and its schedule will be removed and the allotted units released. Offers with recorded money or demands cannot be deleted." Click Delete. You see "Offer deleted." and the panel closes.
- Who: the Delete permission on Termsheets.
- If it's refused: "Money has been recorded against this termsheet", or "Demands were raised on this offer; it can only be cancelled".
Save split
In Entitlement split & purchases, type each unit's Entitled share and, if you want, the area Charged, then click Save split. You see "Entitlement split and chargeable areas saved." Undo puts back the saved figures.
- Who: the Edit permission on Termsheets, on a draft. The button isn't shown otherwise.
- Greyed out, with the first problem on hover:
- "Save the offer's other changes first"
- "Give every unit a share (0 or more)"
- "A share is larger than its unit (<units>)"
- "The shares add up to <n> sq ft; they must add up to <n>"
- "The area charged must lie between 0 and the unit's extra area (<units>)"
- "Nothing changed"
- If it's refused: "Unit <u> has an estimate out or a booking at a share of <n> sq ft…; revise that estimate or cancel the booking before its share or chargeable area changes"
- The card warns in red when the saved split no longer works: "Units <u> have no <basis>, the area this project charges on; record it on the unit." or "The entitlement split no longer adds up (a unit's area may have changed). Set the shares again and save."
Start purchases
Opens a purchase for every allotted unit that doesn't have one yet, so the allottee can buy the unit's extra area through the usual estimate, approval and booking. Each purchase is assigned to you. You see "<n> purchases started; opening the estimate for unit <u>." (or "Purchase started; …"), and the estimate builder opens for the first unit that needs an estimate if you can create estimates.
- Who: the Create permission on Opportunities and the View permission on Termsheets. Otherwise the button isn't shown.
- Greyed out with "Purchases cannot start yet: <first reason> (and <n> more, listed below)" or
"Every allotted unit already has a purchase under way". A red box, "Purchases cannot start yet",
lists every reason:
- "The offer is <status>; issue it first - purchases follow the allotment the allottee was given"
- "The offer allots no units"
- "Record the entitled area on the offer"
- "The entitlement split on the offer does not add up"
- "The offer charges a Differential Area Cost; remove it - the extra area is sold through the units' estimates"
- the project's own readiness reasons, such as "No promoter entity: choose the company developing the project", "<company> keeps no books yet; set them up under Accounting > Books", "<company> has no collection bank account for this project", "<company> has no RERA separate bank account for this project", "<company> has no operative bank account for this project", "The books have no ledger for the collection bank account <bank> ····<last 4>; sync bank ledgers" (also for the RERA separate, operative and GST bank accounts; with a button to sync the bank ledgers) and "RERA registration is not recorded; no estimate or booking can be made until it is". When the project itself isn't ready, the box ends with "Nothing is sold to an allottee before the project could sell to any buyer." and the link "Open the project's "Ready to sell and collect?" card".
Create estimate
In a unit's Estimate column, opens the estimate builder for that unit's purchase.
- Who: the Create permission on Estimates. Not shown once the purchase is Lost.
Raise demand
Only on an older offer that has charge lines, once it is Issued, Accepted or Signed: bills the charges the allottee pays. "Only charges and tax the member pays can be demanded. Benefits the developer pays are settled by payouts and are not listed here."
- Who: the Create permission on Demands; the demands list needs the View permission on Demands.
Generate document
In the offer's Documents card, generates a letter or document from a template for this offer.
- Who: the Create permission on Generated Documents; the card needs View.
- A document generated here does not supersede the letters already on the offer. Only issuing with a letter does that.
Statuses
Offer
| Status | Meaning | How it moves on |
|---|---|---|
| Draft | Being prepared. The only status in which the offer can be changed. | Issue to member makes it Issued. Delete removes it. |
| Issued | Sent to the allottee, usually with its letter. | Mark accepted (Accepted), Mark signed (Signed), Reopen as draft (Draft) or Cancel offer (Cancelled). |
| Accepted | The allottee has accepted the terms. | Mark signed, Reopen as draft or Cancel offer. |
| Signed | The allottee has signed the offer. | Cancel offer only. It cannot be reopened. |
| Cancelled | Withdrawn. The units are released and pending installments cancelled; the record stays. | Reopen as draft or Delete. |
Units on an offer. Allotting takes a unit that is Available or Reserved For Tenant and makes it Allotted. Releasing it (removing it from the offer, cancelling or deleting the offer) puts back the status it had before.
Installments. Pending, Paid, Partially Paid, Waived or Cancelled. Cancelling the offer cancels every installment; reopening a cancelled offer sets them back to Pending.
Members. Consent is Consented or Pending.
Things to know
- One live offer per allottee per project. A cancelled offer doesn't count, so the allottee can be given a new one. A society member can have offers on several projects of their society.
- Stock follows the allottee. PAP tenants take only PAP units; members and landowners take only Saleable units; Common units are never allotted. PAP units never enter the sales stock, so rehab housing can't be sold by mistake. An offer can allot up to 50 units; a landowner often gets several.
- Allotting holds the unit. A unit on an offer is Allotted, so it can't be sold or allotted to anyone else. Releasing it restores what it was before, so a unit earmarked Reserved For Tenant goes back to the rehab pool.
- How the entitled area is suggested. While the entitled area is empty, it is filled in for you. Before any unit is allotted, it is the existing carpet area plus the Carpet area offered (Mofa) percentage in force (the project's own on its Settings tab, else the organization's default). Otherwise it is the allotted units' total. Once it holds a figure it isn't changed again, and what you type always wins: the percentage is guidance, not a rule.
- Areas are measured on the members' chargeable area. The entitled area, the extra area and the split use the Chargeable area for members and tenants in force when the offer was created: your organization's default (the Projects card under Settings > Organization), unless the project's own value on its Settings tab overrides it. The labels change with it, and the Entitlement split & purchases card names it ("How the entitled area falls on each unit (<area>)"). Each offer keeps its area afterwards; a later change of the project's setting moves an offer only when it is ticked on Change the chargeable area, and a Signed offer never moves. Buyers' estimates use the separate Chargeable area for buyers.
- Benefits and charges are never netted. Benefits are what the developer pays the allottee, settled by payouts. Anything the allottee pays for, such as extra area, is sold through each unit's own estimate and booking, never deducted from the benefits.
- Date the benefits. Installments with a blank First payment stay undated. Payout runs only pick up dated installments of issued, accepted or signed offers, so an undated benefit is never paid until you date it (on the line, or row by row with the pencil). A benefit plan leaves the start dates for you to type.
- Change the lines before editing single installments. Saving changed lines on the offer rebuilds their schedules, so make hand edits to individual installments once the lines are final.
- Only a draft can be changed. To correct an issued or accepted offer, reopen it, change it, save and issue it again. A signed offer can't be reopened.
- Re-issuing supersedes the old letter. Issuing again with a letter voids every earlier document on the offer and marks it "superseded by" the new one, so a copy already in the allottee's hands can be traced. Issuing without a letter leaves the earlier letters as they are.
- Money locks the offer. Once a benefit has been paid, waived or accrued in a payout run, the offer can't be cancelled or deleted here.
- A purchase freezes its unit. Once a unit's estimate has gone out, or the unit is booked, its share and charged area are fixed and the unit can't be released. Revise the estimate or cancel the booking first. Every allotted unit is booked, with its own agreement, even when nothing is charged.
- Split first, then issue, then purchase. The split can only be saved on a draft, and purchases start only on an issued offer, so set the split before you issue.
- Nothing is sold before the project could sell. Allottee purchases wait for the same readiness as sales to buyers: promoter, books, bank accounts and, where your organization requires it, RERA registration.
- Who hears about it. When an offer is issued, Rehab Officers are notified and one gets a task to collect the signed offer within 14 days. When it is signed, Accountants and Legal & Documentation are notified. When it is cancelled, Rehab Officers and Finance Leads are notified. An email to the member on issue is available but switched off by default. These are standard workflow rules your administrator can change.
- "Member" is used for everyone. Some labels and messages, such as Issue to member, "Delete member?" and "Pick the member this offer is for", say "member" for landowners and PAP tenants too.
- Changing a landowner into a PAP tenant. The form has no category field. The Excel import can change the category, as long as the person has no offer.

- Allottees: society members, landowners and PAP tenantsConcept
The people who receive new units through an offer on a redevelopment: society members (under the society, with an existing flat and consent), landowners and PAP tenants (under the project); each is a contact with co-owners, one live offer per project, documents, bank accounts and parking.
- Member offer (term sheet): benefits and charges, never nettedConcept
The one live offer an allottee has on a project: the area they hold and are entitled to, the new units allotted, and the money on both sides, benefits the developer pays and charges the member pays, each with its own schedule and never set off against the other.
- Entitlement: existing carpet, entitled area, uplift, extra area and the splitConcept
The area figures on an allottee's offer: the carpet they hold today, the area they are entitled to (typed, or filled from the project's uplift guidance or the allotted units), the extra area the allotted units give beyond it, and how the entitlement is split across the units to fix what each one charges for.
- Unit areas and the chargeable areas: Carpet area (Mofa), RERA Carpet Area, Super Built-up AreaConcept
Every unit carries up to three areas; two settings say which one money is worked out on: the chargeable area for buyers (what a Per Sqft price multiplies on a buyer's estimate) and the chargeable area for members and tenants (what a member's offer and an allottee's purchase are measured in).
- Unit designation: Saleable, PAP, CommonConcept
What a unit is for, separate from its status: Saleable stock, a PAP unit kept for Project Affected Persons, or a Common unit housing an amenity; the designation decides who can be allotted or sold the unit and whether it shares the project's cost.
- Unit status lifecycle: available, reserved, allotted, held, booked, soldConcept
Where a unit stands right now, from Available through the rehab path (Reserved For Tenant, Allotted) or the sales path (Reserved For Buyer, Booked, Sold), who moves it and what each status blocks.
- Payment plans: lumpsum, cadence, custom and construction-linkedConcept
A payment plan says how the buyer's total is collected: all at once, in equal installments on a cadence, on agreed dates, or as construction stages are achieved; it lives on the estimate as numbered versions, is finalized with the price for approval, and becomes the booking's schedule.
- Benefit plans and benefit accrualConcept
A benefit plan is a project's ready-made list of what the developer pays an allottee (corpus, transit rent, shifting), applied to a draft offer in one go; benefit accrual is how a Member Benefits payout run books each due installment as an expense and a bill on the member's ledger before paying it.
- Allottee purchasesConcept
How an allottee buys the units their offer allots: one purchase per allotted unit, priced only on the area beyond their entitlement, through the same estimate, payment plan, approval and booking chain as any buyer, with the unit staying Allotted throughout.
- Project readiness and the RERA gateConcept
A project is ready to sell and collect once it has a promoter entity with books, the collection, RERA separate and operative bank accounts with their ledgers, and, when the organization requires it, a RERA registration whose validity covers today; bookings and allottee purchases wait for all of it, estimates only for RERA.
- Generated documents: offer letters, cost sheets, void and supersededConcept
A generated document is a numbered, filed rendering of a published template against one record, kept with its merged text, template version and file; offer letters are generated when an offer is issued and supersede the earlier ones, cost sheets print an estimate for the buyer, and a void or superseded document keeps its number and shows a watermark saying what replaced it.
- Excel sheets: check first, then applyConcept
Units, parking slots, construction stages, unit pricing, benefit plans, society members and allottees can be exported to and imported from Excel; every sheet is checked row by row first, and nothing is written while any row fails.
- Link a society to a redevelopment projectHow-to
On a redevelopment project, pick the existing housing society being redeveloped, or create it on the spot from the project's site address, so its members become the project's tenants.
- Enter society members, their consent and co-ownersHow-to
Build a society's member roll one person at a time: quick-add names and phones, fill in the full form with the existing flat, record each member's consent to the redevelopment, and add the co-owners who share the flat.
- Record landowners and PAP tenantsHow-to
Record the project's own allottees, the landowners who receive units for their land and the project-affected (PAP) tenants rehabilitated in PAP units, with their co-owners, and open an allottee's page to complete their record.
- Draft an offer to an allotteeHow-to
Prepare the offer (term sheet) for a society member, landowner or PAP tenant: the area they are entitled to, the new units allotted to them and the benefits the developer pays, saved as a draft.
- Apply a benefit plan to an offerHow-to
Fill an allottee's draft offer with the project's ready-made benefits (corpus, transit rent, shifting…) in one go, worked out for that allottee's existing carpet, then date the lines and save the offer.
- Issue an offer with its letterHow-to
Publish the offer letter template once, then issue a draft offer so the letter is generated and filed with it and the offer moves to Issued.
- Record acceptance and the signed offerHow-to
Mark an issued offer accepted, then signed, attaching the scanned signed copy so it is filed with the offer and on the allottee's page.
- Correct an issued offer and re-issue itHow-to
Take an issued or accepted offer back to draft, change the areas, units, benefits or split, and issue it again so a fresh letter supersedes the one already with the allottee.
- Cancel or delete an offerHow-to
Withdraw an offer that has gone out (cancel: units released, record kept) or remove a draft or cancelled offer altogether (delete), from the offer panel or the allottee's page.
- Split the entitlement and start the allottee's purchasesHow-to
Decide how the entitled area falls on each allotted unit and how much of the extra area the allottee pays for, then open a purchase per unit and price it through the usual estimate, approval and booking.
- Make a project ready to sell and collectHow-to
Clear every blocker on the project's "Ready to sell and collect?" card: a promoter entity, its books, the collection, RERA separate and operative bank accounts with their ledgers, and the RERA registration when your organization requires it, so bookings and allottee purchases can go through.
- Unit cannot be allotted on the offer: taken, wrong designation, or too many unitsTroubleshooting
An offer can allot only units that are Available or Reserved For Tenant, not on another offer, of the right designation for the allottee (PAP units to PAP tenants only, Common units to no one), and at most 50 of them.
- Offer cannot be cancelled, reopened, edited or deleted: money, demands, purchases or its status stand in the wayTroubleshooting
An offer with money recorded against it is in the books and is not cancelled from the offer; a live demand must be cancelled first; an allottee's purchase that has an estimate out or a booking must be cancelled before its unit comes off the offer; and each action is allowed only from the statuses it moves from, so a non-draft offer is reopened before it is edited.
- "Purchases cannot start yet": the offer, its split or the project is not readyTroubleshooting
An allottee's purchases of their allotted units open only from an issued, accepted or signed offer that allots units, records the entitled area with a split that adds up, carries no Differential Area Cost, and sits on a project that is ready to sell and collect; a purchase then stays tied to its allotted unit and the allottee as buyer.
- Entitlement split refused: the shares do not add up, or a unit's purchase has frozen themTroubleshooting
The entitled area of an offer is split across its allotted units; each share must lie between 0 and the unit's area, the shares must add up to the entitlement (capped at the allotted area), the area charged must lie within the unit's extra area, and a unit whose estimate went out or which is booked keeps its figures until that estimate is revised or the booking cancelled.
- New offer refused: the allottee already has a live offer, or the project takes no member offersTroubleshooting
Each allottee gets one live offer per project, so a second one is refused until the first is cancelled; society members exist only on redevelopment projects with a linked society, while landowners and PAP tenants can be recorded and offered units on any project.
