Edit payment
Change the date, mode, amount, bank details and, on a payout, the allocations of a payment that hasn't cleared yet, and optionally clear it in the same step; a receipt settles the open demands again by itself when saved.
Edit payment
Use this page to correct a payment before it clears: the date, mode, amount, bank details, project, purpose and narration (and, on a payout, the allocations and the TDS withheld). A receipt is not allocated by hand: when you save, its amount settles the payer's open demands again by itself, oldest due first. Who paid, the booking, the books and whether a receipt is a consideration or a GST receipt can't be changed.
Where to find it
Edit on a Payment page. The button shows only while the payment is Pending.
You need the Edit permission on Payments. Without it the page shows "No access" and "You do not have permission to view editing payments. Ask your administrator." In the default roles, the Administrator, Finance Lead and Accountant have it.
If the payment is no longer Pending (for example, someone cleared it in the meantime), the page shows only the warning "A … payment cannot be edited. Bounce a cleared one, or record a new payment." and the link Open the payment.
What you see
The header reads "Edit" and the payment number, with the Money in or Money out badge. The breadcrumbs read Payments > Edit.
The form is the same as Record receipt / Record payout, with these differences:
- Booking and Books are greyed out.
- The party is shown as text, "Party: … (fixed once recorded)", instead of the party picker.
- On a receipt, This receipt is (Consideration or GST) is greyed out, with the hint "Fixed once recorded."
- Also record the GST receipt is not offered: a GST receipt is added only when a consideration receipt is first recorded. If the buyer's GST arrived later, record it as its own GST receipt.
- Project can still be changed, as can the purpose, the accounts and the instrument details.
- Into our account keeps what was recorded; it is not refilled with the project's collection account. On a consideration receipt, any account other than the project's collection account shows the amber alert "Under RERA every buyer payment enters the project's collection account (<bank> ····<last four digits>), where the bank sweeps it. Pick it unless the money really went elsewhere; the receipt is saved either way, with a warning." On a GST receipt, any account other than the project's GST or operative account shows "A GST receipt goes into the project's GST account (<bank> ····<last four digits>) or its operative account (<bank> ····<last four digits>). Into the collection account it is swept with the consideration; the receipt is saved either way, with a warning."
- On a receipt, the card What this receipt settles shows what the amount you type would settle, from the payment's own booking or party, as on the recording page: the open demands oldest due first, then (for a member) their undemanded charge rows, and the line "<amount> settles the above" or "<settled> settles the above · <rest> on account". The demands this receipt already earmarks count as open again when it is re-settled, so lowering the amount simply leaves less on them.
- On a payout, each existing allocation shows its open amount including what this payment already places on it, so you can keep or lower it. The open targets offered below them are worked out from the payment's own booking or party, as on the recording page.
The same checks apply when you save, for example "TDS cannot exceed the amount", "Allocations exceed the payment amount" and "At most … is open on this target" (payouts) and "Only a receipt can be a GST receipt".
What you can do
Allocate
On a payout, Allocate beside an open target adds it to this payment's allocations, as on the recording page. The bin icon on an allocation removes it. A receipt has no Allocate button.
- Who: anyone who can open this page.
Save changes
Saves your changes. The message reads "Payment updated." and the payment page opens. The payment stays Pending; nothing is posted. A receipt is settled afresh: its amount goes to the payer's open demands oldest due first (not counting this receipt's own earlier earmarks, but leaving out other Pending receipts'), and the rest stays on account; the payment page's Allocations table shows the new split.
- Who: anyone who can open this page.
- If it's refused, the reason shows at the top of the form, for example "A … payment cannot be edited" (it has cleared, bounced or been cancelled since you opened the page), or, on a payout, "… has … open (pending allocations included), allocation is …".
Save and clear
Saves your changes and clears the payment in one step, posting its voucher. The message reads "… cleared; voucher … posted."
- Who: anyone who can open this page.
- Cleared date: the payment is cleared on its Received on or Paid on date.
- If clearing fails: your changes are kept, the payment stays Pending, and you see "Saved as pending, but clearing failed: …". Fix the cause, then use Mark cleared on the payment.
- A GST receipt that was recorded together with this consideration receipt and is still Pending is cleared with it, on the same date.
Cancel
Cancel, in the header or at the foot of the form, goes back to the payment without saving.
Things to know
- Direction, party, booking, books and the kind of receipt are fixed once a payment is recorded, because the party's ledger in those books is where the payment settles bills, and the kind decides which account the money belongs in and whether it is swept. If one of them is wrong, cancel the payment and record a new one.
- Only pending payments can be edited. A cleared payment has already posted its voucher; bounce it and record a new one instead, so both the posting and its reversal stay on record. On-account money of a cleared receipt is placed on a demand with Apply to a demand on the Payment page, without bouncing.
- A receipt is never allocated by hand. Saving re-settles it: the open demands oldest due first, then a member's undemanded charge rows; what the receipt was placed on before does not bind the new split. To move money to a particular demand, change the amount or record the receipt afresh.
- A payout drafted by a payout run can be edited here too. The run's totals are not refreshed when you change its amount; see Payout run.
- The RERA warnings aren't repeated on edit. The messages about a receipt outside the project's collection account, a project with no collection account, or a GST receipt banked into the wrong account appear only when a receipt is first recorded (Save as pending or Save and clear on Record receipt). Saving changes here shows only the amber alert in the form.
- A cleared consideration receipt into the collection account is swept the moment it clears. The system rule "Receipt cleared into the collection account: post its RERA sweep (system)" records the bank's sweep for that clearing date; a GST receipt is never swept unless it was banked into the collection account. See RERA accounts and the daily sweep.
- Older receipts that banked their GST apart keep that split. The fields are no longer on the form; the payment page shows the split as "GST banked apart (legacy)". The TDS a buyer deducted is recorded under TDS credits, never on a receipt.

A receipt is recorded as Pending and settles the payer's open demands by itself, oldest due first; a payout is allocated to commissions or member rows by hand. Both post their voucher only when cleared and can be bounced afterwards; the UTR is the bank's transfer reference, typed on NEFT-style payments and per payout when a payout run is cleared.
- RERA accounts and the daily sweepConcept
Every buyer payment enters the project's collection account; the bank sweeps it daily, the escrow share (70% under RERA 2016, or the project's own share) to the RERA separate account and the rest to the operative account. NirmaanOne mirrors the sweep as a Contra voucher per receipt the moment it clears, records certified withdrawals from the separate account, warns on receipts banked elsewhere and reports where the money stands; it never moves the money itself.
- Payment saved but clearing failed, or payouts in a run could not be clearedTroubleshooting
The payment was recorded as Pending but its voucher could not be posted, most often because the books have no bank ledger for the account the money went through; fix the cause and clear it again.
