Record payment refuses to save: the party, books, direction or allocations do not fit

A receipt or payout needs exactly one party (or a booking that gives the buyer) and a set of books; a payout also needs TDS no larger than the amount and allocations that name one open target each, add up to no more than the amount, match the direction and belong to the payee. A receipt settles the payer's open demands by itself, so its allocation messages reach the form only when a demand closed between the preview and the save. A receipt refused over the buyer's TDS or over GST has its own article.

Record payment refuses to save: the party, books, direction or allocations do not fit

Save as pending or Save and clear on Record receipt / Record payout (or Save changes on Edit payment) put a message under a field or in the banner, and nothing was saved. Every message below comes from one of four rules: who the money is from or to, which books it lands in, how much of it is allocated, and whether each allocation is the right kind of document for that party and direction. A receipt is never allocated by hand (it settles the payer's open demands by itself, oldest due first), so the allocation messages below concern payouts, apart from "That demand is not open for receipts.".

What you see

Under a field, before anything is sent:

  • "Pick the party, or a booking whose buyer it is" under the Person, Company or Member field (whichever Party is set to): no party is picked and no Booking either.
  • "Choose the society" under Society: the party is a society member but no society is chosen (the member picker searches inside a society).
  • "Choose the books (or a booking the books follow from)" under Books: no books, no booking, and no allocation to a commission or schedule row that would fix the books.
  • "TDS cannot exceed the amount" under TDS deducted (payouts only; a receipt has no TDS field).
  • "Allocations exceed the payment amount" on the Allocations card; "This target is allocated twice" or "At most <x> is open on this target" under an allocation's amount (payouts only; a receipt has no allocation rows).

In the banner, from the server:

  • Party and books: "A ledger links to at most one party: a person, a company or a society member." (two parties given), "Give contact_id, company_id or tenant_id (or a booking_id)" (no party at all), "Choose the books, or a booking the books can follow from.", "A bank ledger must point at a bank account owned by the books' company." (Into our account / From our account is not the promoter's), "party_bank_account_id must belong to the payee / payer" (the payer's or payee's account is not theirs).
  • Amounts: "tds_amount cannot exceed the payment amount", "Allocations <x> exceed the payment amount <y>", "<target> has <x> open (pending allocations included), allocation is <y>", "A target is allocated twice.", "Each allocation names exactly one demand, schedule row or commission.".
  • Target status: "That demand is not open for receipts." (the demand is Draft or Cancelled, or Paid with nothing left open; on the form this happens only when a demand shown under What this receipt settles was cancelled or paid in full before you saved), "That commission is not approved yet." (still Accrued, or Paid or Cancelled), "Schedule row <n> is <status>" (Cancelled or Waived), "Schedule row <n> is on a demand; allocate to the demand instead", "A booking receipt is allocated to a demand; raise a demand for the instalment, then appropriate the money to charges on the demand" (the last three for payouts and for receipts recorded outside the form).
  • Direction: "A demand is settled by a Receipt", "A tenant charge row is settled by a Receipt from the member", "A tenant benefit row is settled by a Payment (payout)", "A commission is settled by a Payment (payout)".
  • Party versus target: "Demand <no> belongs to another booking", "Demand <no> is on a member offer; the payer must be that member", "The payer must be the tenant of that termsheet", "The payee must be the tenant of that termsheet", "The payee must be the channel partner of that commission".

Reaching the form from Record receipt on a demand or the booking's Demands & money tab, or Record payout on a commission, fills the party and books (and, on a payout, the allocation) for you; the messages mostly appear when the form is filled by hand.

Not covered here: a receipt refused with "The TDS a buyer deducts never reaches the bank: record it as a TDS credit under Payments > TDS credits, not on the receipt", "Record the GST the buyer paid as its own GST receipt (receipt kind GST, into the GST or operative account) instead of splitting it off this receipt" or "Only a receipt can be a GST receipt". Since 10 October 2026 a buyer's money is three entries (the consideration receipt, the GST receipt and the TDS credit), and a receipt carries neither the buyer's TDS nor a GST split; see Receipt refused: TDS or GST entered on the receipt instead of as its own entry.

Why it happens

A payment is posted, when cleared, to the party's ledger in one set of books. The party ledger is settled bill by bill and cannot be re-linked later, so the payment names exactly one party, a person, a company or a society member, or a booking whose buyer becomes the party. The books are the promoter's books of the booking's project, or of the project behind a commission or offer row, or the ones you pick when nothing fixes them. The bank account the money goes into or comes from must belong to the company that keeps those books, and a payer's or payee's account must be theirs.

Allocations say which bills the money settles. Each names one document, at most once, and the allocations together cannot exceed the gross amount; whatever is left is an advance or on account. A document takes at most what is still open on it, counting allocations of other Pending payments, so two clerks cannot settle the same bill twice. Only documents with an open bill count: a demand that is Issued or Partially Paid (or Paid with an amount still open), a commission that is Approved or Partially Paid, an offer row that is Pending or Partially Paid and not on a live demand. A receipt applies these rules by itself: its amount settles the payer's open demands oldest due first, then a member's undemanded charge rows, and the rest stays on account; you never pick or size its allocations, so a receipt can only be refused when a demand it was about to settle closed in the meantime.

Money flows one way per document: buyers and members pay demands and member charge rows (receipts); the developer pays commissions and member benefit rows (payouts). Benefits and member charges are never netted, each side is settled on its own. And the party must be the one on the document: the member of that offer, the buyer of that booking, the channel partner of that commission.

A booking's schedule rows are never allocated directly. The booking is billed by demands on its payment plan, and the money reaches its charges through your appropriation on the demand, so the form never offers booking rows and the server refuses them.

TDS on a payout is what you withheld from the payee, so it cannot be larger than the amount itself. A receipt has no TDS: the TDS a buyer deducted is a TDS credit.

How to fix it

  1. Start from the document. Press Record receipt on the Demand or the booking's Demands & money tab, or Record payout on the Commission; the party, books and allocation are filled and matched. You need the Create permission on Payments; in the default roles that is the Administrator, the Finance Lead and the Accountant.
  2. Party: pick one party, or the Booking and leave the party to follow from it. For a society member pick the Society first, then the Member. Do not combine a booking with a company or member.
  3. Books: pick the Books when no booking, commission or offer row fixes them. If the promoter has no books yet, see No books yet.
  4. Bank accounts: choose Into our account / From our account from the promoter's accounts (the list is limited to them; a stale choice after changing the books is refused), and the payer's or payee's own account or "Not recorded". Missing accounts are added on Bank accounts (the Create permission on Bank Accounts).
  5. Amounts (payouts): keep TDS deducted at or below Gross amount, and each Allocate figure at or below the "<x> open" shown on the target. If the server says less is open than the form showed, another Pending payment already earmarks the difference: clear or cancel that payment on its Payment page (the Edit permission on Payments), or allocate less and leave the rest on account. On a receipt there is nothing to adjust: the amount settles whatever is open, and anything left stays on account.
  6. Duplicates (payouts): remove the second allocation to the same target with its trash icon ("Remove allocation to <target>").
  7. Wrong direction or party: press Cancel and start again with the right header button: Record receipt for demands and member charges, Record payout for commissions and member benefits, with the party the document names.
  8. Target not open: issue the demand (Issue, the Issue permission on Demands), approve the commission (Approve, then Approve and post in the Approve this commission? dialog; the Edit permission on Commissions), or for a booking installment Raise demand first, and the receipt settles that demand by itself (see Raise demand finds nothing to bill); an offer row already on a demand is settled through that demand. After "That demand is not open for receipts." reload the form: the What this receipt settles card shows what is open now.
  9. Press Save as pending (or Save and clear, the Edit permission on Payments) again.

A demand bills open schedule rows: a row that is paid, cancelled, waived, empty or already on a live demand cannot be billed again, a booking needs its termsheet, a member offer must be issued before it is billed, and a demand without TDS has no Form 16B to record.

  • Payment cannot be edited, cancelled, deleted or bounced: its status decidesTroubleshooting

Only a Pending payment can be edited, cleared, cancelled or deleted, and even then its direction, party, booking and books are fixed; a Cleared payment can only be bounced, which reverses its voucher and reopens the bills; Bounced and Cancelled payments are final and a new payment is recorded instead.

Every posting follows the project's promoter company into its set of books; until that Promoter Entity company has books, the accounting screens show an empty state and demands, receipts, commissions and cancellations cannot post.
