Receipt saved with a warning: it went outside the collection account

A receipt of a project recorded into an account other than the project's collection account (or a GST receipt banked somewhere other than the GST or operative account, the collection account included) is saved with a warning that never blocks; under RERA every buyer payment enters the collection account, where the bank sweeps it, so the money sits outside the sweep until it is moved, while GST belongs apart from the sweep.

Messages this explains

  • “Under RERA every buyer payment enters the project's collection account (<bank> ····<last 4>), where the bank sweeps it. Pick it unless the money really went elsewhere; the receipt is saved either way, with a warning.”
  • “This receipt goes to <bank ····last 4 | cash>, not the collection account <bank ····last 4> of <project>; under RERA every buyer payment enters the collection account, where the bank sweeps it <n>% to the separate account”
  • “<Project> has no collection bank account yet, so this receipt cannot be checked against RERA; add the account under the project's "Promoter & bank accounts" step”
  • “This GST receipt goes to the collection account <bank ····last 4> of <project>, where the bank sweeps it with the consideration; GST is normally banked into the GST or operative account”
  • “This GST receipt goes to <bank ····last 4>, which is not the GST or operative account of <project>”
  • “The GST of this receipt goes to <bank ····last 4>, which is not the project's GST or operative account”
  • “Receipts outside the collection account”
  • “<n> cleared receipts (₹…) were banked outside the collection account. Under RERA the money should enter the collection account; move it with a Contra voucher if the bank corrected it.”
  • “should be nil”
  • “outside the RERA accounts”

Receipt saved with a warning: it went outside the collection account

A receipt was saved, but with a red warning that it did not go into the project's collection account, or the project's RERA accounts card shows the red badge Receipts outside the collection account.

What you see

  • On Record receipt, as soon as you pick an account under Into our account that is not the project's collection account, an amber note: "Under RERA every buyer payment enters the project's collection account (<bank> ····<last 4>), where the bank sweeps it. Pick it unless the money really went elsewhere; the receipt is saved either way, with a warning."
  • After Save as pending or Save and clear, a red message: "This receipt goes to <bank ····last 4 | cash>, not the collection account <bank ····last 4> of <project>; under RERA every buyer payment enters the collection account, where the bank sweeps it <n>% to the separate account". The receipt is saved (and cleared, if you asked) all the same.
  • When the project has no collection account yet: "<Project> has no collection bank account yet, so this receipt cannot be checked against RERA; add the account under the project's "Promoter & bank accounts" step".
  • On a GST receipt (This receipt is set to GST) whose Into our account is the project's collection account: "This GST receipt goes to the collection account <bank ····last 4> of <project>, where the bank sweeps it with the consideration; GST is normally banked into the GST or operative account". The receipt is saved and, once cleared, swept with the consideration.
  • On a GST receipt banked anywhere other than the project's GST or operative account: "This GST receipt goes to <bank ····last 4>, which is not the GST or operative account of <project>".
  • On an older receipt whose GST into names an account that is neither the project's GST account nor its operative account: "The GST of this receipt goes to <bank ····last 4>, which is not the project's GST or operative account".
  • On the Project overview, the RERA accounts card carries the badge Receipts outside the collection account and the note "<n> cleared receipts (₹…) were banked outside the collection account. Under RERA the money should enter the collection account; move it with a Contra voucher if the bank corrected it."; the dashboard's RERA accounts card shows the same project with the badge "outside the collection account".
  • On Reports > RERA accounts, the tile Receipts outside the collection account is above zero with the red badge "should be nil", and the Receipts by bank / cash ledger table marks a ledger "outside the RERA accounts".

Why it happens

Under RERA every buyer payment of a project enters its collection account, which the bank sweeps daily: the escrow share to the RERA separate account, the rest to the operative account. NirmaanOne mirrors those sweeps, but only for receipts cleared into the collection account. A receipt banked anywhere else (cash, an operating account, even the separate or operative account) is never swept, so the project's separate account is short of its share until the money is moved. The form preselects the collection account; picking another one is allowed because money arrives where the buyer sent it, and a cheque paid into the wrong account still has to be recorded. The warning tells the accountant at once, and the card and the statement keep showing the amount until it is dealt with.

GST is the one part of a buyer's money that belongs elsewhere: the GST receipt (receipt kind GST) is banked into the project's GST account, else its operative account, and never enters the sweep; the project's RERA accounts card and the statement show it as GST banked apart ("never swept"). A GST receipt that lands in the collection account is swept with the consideration, which overstates what the bank moves to the separate account, so it carries its own warning; GST sent to any other account warns too.

How to fix it

  1. If the receipt should have been recorded into the collection account (the money is there, the wrong account was picked): while the receipt is Pending, open it and click Edit (the Edit permission on Payments), change Into our account and save; once it is Cleared, Bounce it and record it again into the right account (Payment). The next sweep picks it up.
  2. If the money really went elsewhere and the bank has since moved it into the collection account, record that transfer as a Contra voucher on New voucher: Dr the collection account's ledger / Cr the ledger of the account it was banked in (the Create and Post permissions on Vouchers). The receipt itself keeps its original account, so the card still counts it as banked outside; the ledgers and the statement show where the money now is.
  3. If the project has no collection account yet, add it in the project setup wizard's Promoter & bank accounts step or under Bank accounts with the purpose Collection account, pinned to the project (the Create permission on Bank Accounts), and sync its ledger from the project overview. Receipts recorded before that cannot be checked; see Not ready to sell and collect.
  4. If the warning is about a GST receipt, it belongs in the project's GST account, else its operative account, where it is never swept and counts as GST banked apart on the card and the statement. While it is Pending, open it, click Edit and change Into our account; once it is Cleared, Bounce it and record it again into the right account. A GST receipt left in the collection account is swept with the consideration. On an older receipt that split its GST off, point GST into at the GST or operative account; see GST banked apart refused for its validation messages.
  5. For the next receipts, keep the preselected collection account under Into our account; the note disappears when it is chosen.

  • RERA accounts and the daily sweepConcept

Every buyer payment enters the project's collection account; the bank sweeps it daily, the escrow share (70% under RERA 2016, or the project's own share) to the RERA separate account and the rest to the operative account. NirmaanOne mirrors the sweep as a Contra voucher per receipt the moment it clears, records certified withdrawals from the separate account, warns on receipts banked elsewhere and reports where the money stands; it never moves the money itself.
