Report refuses the date range, or shows nothing for it

Reports read posted vouchers between two dates: From must not be after To, the year-based reports keep the range inside one fiscal year, and an empty result usually means the range, the filters or a draft that was never posted.

Messages this explains

  • “date_to is before date_from”
  • “The range must lie inside fiscal year <name>”
  • “Please correct the highlighted fields.”
  • “No fiscal year covers that date. Open the next fiscal year under Books first.”
  • “Pick a ledger”
  • “No postings in this range.”
  • “Nothing posted in this range. Tick "Include zero balances" to list every ledger.”
  • “Nothing posted in this range.”
  • “No posted vouchers in this range.”
  • “Nothing in this range.”
  • “No open bills.”
  • “No bills match”
  • “No vouchers match”

Report refuses the date range, or shows nothing for it

A report under Accounting > Reports answered with an error about the dates, or came back empty although you expected figures.

What you see

Date errors, shown in a red alert above the report:

  • "date_to is before date_from" on the Ledger report and the Consolidated report, when From is after To. It often follows a link that carried only a To date: a ledger link on a voucher line, or on the Balance sheet of a past year, opens the ledger with the current year's start as From.
  • "The range must lie inside fiscal year <name>" on the Trial balance, Profit & loss, Balance sheet and RERA accounts statement, when From or To (or As of) falls outside the chosen Fiscal year, and also when From is after To on these reports.
  • "No fiscal year covers that date. Open the next fiscal year under Books first." on the Ledger report when From (or, with no From, To) lies outside every fiscal year of the books.
  • "Please correct the highlighted fields." on the RERA accounts statement when Required share is above 100, with nothing highlighted.

Empty states:

  • "Pick a ledger" on the Ledger report and Period balances until a ledger is chosen.
  • "No postings in this range." on the Ledger report.
  • "Nothing posted in this range. Tick "Include zero balances" to list every ledger." on the Trial balance; "Nothing posted in this range." on the Consolidated report.
  • "No posted vouchers in this range." on the Day book.
  • "Nothing in this range." on the Income or Expense side of Profit & loss, or a side of the Balance sheet.
  • "No open bills." on the Ageing report.
  • "No bills match" on Outstanding bills and "No vouchers match" on Vouchers when the filters exclude everything.

Why it happens

Every report reads straight from Posted and Reversed vouchers plus the year's opening balances; drafts and cancelled drafts never count. The Ledger report and the Day book take any two dates in order. The Trial balance, Profit & loss, Balance sheet and the RERA accounts statement work per fiscal year, because opening balances belong to a year, so their range must stay inside the Fiscal year you picked; changing the year snaps the dates to it (the whole year, or up to today for the current year). The RERA accounts statement also has a Project filter (placeholder "Whole books"); with no project it reads every project of the books. The Consolidated report uses each set of books' year that covers From and cuts the range at that year's end. The Day book with From after To returns nothing rather than an error.

The defaults are the start of the fiscal year holding today up to today (the Day book starts at the current month). A voucher from an earlier year, or a report for last year, therefore needs the dates set by hand. When nothing is posted in the range the Trial balance hides ledgers with no movement unless Include zero balances is ticked. Ageing and Outstanding bills read bills, which exist only on bill-wise ledgers and only once a voucher with a New Ref has posted; Outstanding bills starts on Open bills.

How to fix it

  1. Put the dates in order. Set From on or before To. After a link that carried only a To date, type the From date yourself; for a voucher of an earlier year use that year's start. Seeing any report needs the View permission on Reports and the View permission on Books to choose the books.
  2. Keep the range inside the year. Pick the Fiscal year first, then adjust From and To inside its dates. For a range spanning two years run the report twice, or use the Ledger report and Day book, which take any range.
  3. Required share on the RERA accounts statement takes 0 to 100; clear it to use the rule (or the project's own share).
  4. Choose a ledger on the Ledger report and Period balances (the picker needs the View permission on Chart of Accounts; without it the list is empty).
  5. When the range is right but nothing shows, check that the vouchers are posted: open Vouchers with Status = Draft for the books, and Post them (the Post permission on Vouchers; in the default roles the Administrator and the Finance Lead). Receipts still Pending have no voucher yet; clear them under Payments (the Edit permission on Payments).
  6. Widen or clear the filters: the ledger, cost centre, project, kind and status filters on Vouchers and Outstanding bills; Settled = "Open and settled" to see settled bills; Include zero balances / Include zero rows on the Trial balance, Profit & loss, Balance sheet and Consolidated report to list every ledger.
  7. If the date you need lies outside every fiscal year of the books, open the year first: see No fiscal year covers that date.
