Generate a document from a record
From a booking, demand, opportunity, estimate or offer, pick a published template and a format, generate the numbered document, check it on screen and download it; every document is also listed in the organization-wide Generated documents log.
Generate a document from a record
Letters, cost sheets and agreements are generated on the record they belong to, so every document is filed against its booking, demand, estimate or offer and numbered in its series. Use this when you need a letter now, for example an allotment letter for a new booking or a cost sheet for a buyer who is deciding.
Before you start
-
A published template exists for the kind of record: the six starter templates come as drafts and must be published first (see Put a starter document template into use). Only templates that are Published and Active are offered.
-
Where you find the Documents card:
Record Where Booking The booking's Documents tab (see Booking documents). Demand The Documents card on the demand page. Opportunity The Documents card on the opportunity's Overview tab. Estimate The Documents card on the estimate page (the cost sheet). Offer The Documents card in the offer panel on the project's Society & Tenants tab. An offer's letter is normally generated when the offer is issued (see Issue an offer); a document generated from the card doesn't replace the letters already on the offer.
-
Permissions, in the role editor's words: the View permission on Generated Documents to see the card, the Create permission to generate (in the default roles the Administrator, Finance Lead, Accountant, Sales Manager, Sales Executive, Rehab Officer and Legal & Documentation), and the View permission on the record's own module, for example Bookings or Demands.
Steps
- Open the record and find its Documents card; on a booking, choose the Documents tab. The card reads "Letters and agreements generated for this record. Each keeps the template version it was made with." and lists the documents so far, or "No documents generated for this record yet".
- Click Generate document. The dialog "Generate document for <record>" opens, for example "Generate document for Booking <no>" or "Generate document for Demand <no>".
- In Template, choose the template ("Choose a template…"). Only published templates for this kind of record are listed, as "<name> (<code>)". Once chosen, the kind and "numbered <prefix>-…" show under the box.
- In Format, keep PDF or choose Word ("Either format can be downloaded later; this one is stored.").
- Optionally click Preview first (the card has a Preview button too): the merged document shows in the dialog, "what Generate would produce now. Nothing is numbered or kept."
- Click Generate. You see "<document no> generated." The document appears at the top of the card's list with status Generated, numbered <prefix>-<financial year>-nnnnn, for example AL-2026-27-00004 for an allotment letter.
- Click the document's number, or the eye icon ("Preview"). A dialog titled with the number and its status badge shows the document as generated, with its letterhead.
- Click PDF (or Word) in the dialog, or close it and use the row's Download PDF or Download Word icon. The file downloads, named with the document number and title.
- To find the document later without opening the record, open the account menu, choose Settings > Documents > Generated documents and search by number or title ("Search by number or title"). See Generated documents.
What happens next
- The document keeps the wording, letterhead, page layout and template version it was made with. Changing the record or the template afterwards doesn't change it; generate a new one instead.
- Generating a document doesn't send it and doesn't notify anyone. To send it, use Email; if it was made in error, Void or Delete it. See Email, void or delete a generated document.
- Generating again makes a second, separately numbered document; the earlier one stays as it is. Void it yourself if it must not be used.
- Each download is recorded in the organization's Audit log.
If something goes wrong
- Template reads "No published template for this record type", with "Only published templates can be used. Publish one for this record type under Settings › Documents › Templates.", or you see "Template <CODE> is not published": publish a template for this kind of record. See Nothing to generate (trouble.sales.no-published-template).
- "Template could not be rendered: <error>", "PDF could not be produced: <error>" or "Word document could not be produced: <error>": the template has a problem; ask whoever maintains it to fix and republish it. See Template will not save, publish or render (trouble.documents.template-syntax-error).
- "Missing permission: <MODULE>:read" in the dialog, no Generate document button, or no Documents card at all: your role lacks a permission listed above. See No access (trouble.admin.no-access).

- Put a starter document template into useHow-to
Review one of the six starter templates that come as drafts, preview it against a real record, publish it, and switch on the system workflow rule that sends it automatically.
- Design a new document templateHow-to
Create a document template for a record type, write its wording with merge fields, repeat a table row for line items, show a block only when a condition holds, preview it against a real record and publish it so people can generate documents from it.
- Email, void or delete a generated documentHow-to
Send a generated document to the buyer as an attachment, cancel one that is wrong by voiding it (it stays on record with its number), delete one that was never sent, and trace what happened in the audit log.
- Issue an offer with its letterHow-to
Publish the offer letter template once, then issue a draft offer so the letter is generated and filed with it and the offer moves to Issued.
- Book a unitHow-to
Turn an approved estimate into a booking: review what was approved, add the co-applicants and their shares, set the booking date and book, then record the agreement details and any co-applicant who joins later.
- Generated documents: offer letters, cost sheets, void and supersededConcept
A generated document is a numbered, filed rendering of a published template against one record, kept with its merged text, template version and file; offer letters are generated when an offer is issued and supersede the earlier ones, cost sheets print an estimate for the buyer, and a void or superseded document keeps its number and shows a watermark saying what replaced it.
- Numbers and series: documents, bookings, demands, payments and vouchersConcept
How NirmaanOne numbers what it creates: generated documents, bookings, demands, demand runs, payments, payout runs and revenue runs take a prefix, the Indian financial year and a five-digit serial (BK-2026-27-00007), while vouchers are numbered on posting from their voucher type's prefix, padded counter and suffix.
- Document templates, published versions and letterheadsConcept
A document template is an HTML letter with merge fields written for one record type; publishing it freezes a numbered version that generation uses while the draft stays editable, and a letterhead (the template's own, else the project's, else the organization's default) supplies the logo, header, footer and page layout around it.
- Generate document has nothing to offer: no published template for this record typeTroubleshooting
Documents are generated only from published document templates of the record's type; the starter templates (cost sheet, allotment letter, offer letter and others) ship as drafts, so until someone publishes one, Generate document has nothing to pick, offers issue without a letter and workflow rules that generate the template fail.
- Template will not save, publish or render: a tag, expression or the HTML is wrongTroubleshooting
A document template, message template or rule action that carries a broken merge tag is refused when saved or published, names the field and the line; a template that parses but fails while filling in a record, or whose HTML the PDF or Word engine cannot lay out, fails at preview, generation or sending; the editor's own dialogs and fields have their own checks.
- "No access" or "You do not have permission": your role lacks a permissionTroubleshooting
Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
