Estimate

One estimate version: its charges by group, payment plan, approvals, unit and parking hold and validity, with the lifecycle actions to send, finalize, request approval, approve or reject, extend, cancel, version and book.

Estimate

The estimate page is one priced version of an offer: what the buyer pays, how it is collected, who approved it, and whether the unit is on hold. Everything that happens to an offer after pricing (sending, finalizing, approval, extension, cancellation, booking) starts here.

Where to find it

Open an estimate from the opportunity (Open estimate or the Estimates tab), from the Estimates list, from a booking's overview, from an allottee's purchases card or from the booking wizard's Review link. The breadcrumbs read Opportunities > <buyer> > Estimate vN (for an allottee purchase, Estimates > <allottee> > Estimate vN).

You need the View permission on Estimates; otherwise the page shows "No access". A stale link shows the error and a Back to opportunities link.

What you see

"Estimate vN" with badges for the status, Current on the live highest version, and the opportunity's stage. Underneath: "Unit X · <tower>, floor N · plan <name>" or "manual pricing". The action buttons are described below.

Alerts appear when they apply: on a superseded version, "This version was replaced by a newer one; it is kept for the record."; on a rejected one, "Rejected: <comments>. Revise with a new version or request approval again." (the approver's comments, or "no comments").

Charges

"By charge group as priced on this version; each group closes with its sub-total, GST and total." The table lists each line's Charge, Basis, Plan rate, Rate, Qty, Amount, GST and Total; a line added outside the plan carries an Added by hand badge, and an overridden line an Override badge with its reason underneath. The table ends with "Grand total · unit X"; with no lines it reads "No charges."

Payment plan

The card shows the current plan's version and status badge, or "Not drafted", its summary (for example "Construction-linked · 18 stages", "12 monthly installments from 2026-10-05", "3 custom rows (1 on milestones)" or "Lumpsum on the booking date"), its notes, "Finalized <time>" and, once booked, "The booking's termsheet was scheduled from this plan; regenerate there to change it."

With no plan yet: "Pricing first, then the plan. Draft how the amount is collected (lumpsum, down payment + installments on a cadence or on agreed dates, or construction-linked); once the pricing is finalized, finalizing the plan requests approval of both together." (on a booked opportunity the note adds "This estimate is booked; change the schedule from the booking's termsheet.").

Under it, Schedule preview (assuming a booking today) expands to the dated schedule, and Versions (N) lists earlier plan versions with their status and summary (shown once there is more than one). On a Finalized estimate whose plan is not finalized, a note says "Pricing is locked. Finalize the payment plan to request approval." or "Pricing is locked. Draft and finalize a payment plan to request approval."

Approvals

Each approval request with its status badge (Pending, Approved, Rejected or Withdrawn), "requested by <email>" and the time, then "<status> by <email> on <time>" and the comments once decided. Before any request: "No approval requested yet. Finalize the pricing, then finalize the payment plan to request one."

Unit & plan

Unit (with its current status), Unit pricing plan (with its unit type) or "Manual pricing", Parking (the parking slots, or "None"), Valid until (on a draft without a date, "Set when sent (project / organization default)"), an Allottee purchase line ("<basis> A sqft · entitled B · Per Sqft charges on C") when it applies, Unit hold, Sent, Finalized and Created times.

The Unit hold line reads one of: "Held for this buyer until <date>; no other estimate can be sent on it."; "Starts when the estimate is sent" (draft); "Released when the estimate expired"; "Held by another buyer"; or, for an allottee, "None: the unit stays allotted to the allottee".

Parking, Notes, Documents and Tasks

A Parking card shows the layout with the picked parking slots when there are any; Notes shows the estimate's notes. The Documents card (the View permission on Generated Documents) lists the documents generated from this estimate, such as the cost sheet; the Tasks card (the View permission on Tasks) lists linked tasks.

What you can do

The buttons shown depend on the status (S), on whether this is the Current version, and on the opportunity being open (not Booked or Lost).

History

The button (hover "Who changed this record, what and when") opens the History panel "History · Estimate vN": every change to the estimate and its lines, who made it and when.

  • Who: anyone with the View permission on Estimates or on Audit Trail.

Workflows

A menu of manual workflow rules for estimates, for example "Resend cost sheet" (on a Sent estimate; takes an optional note and emails the "Cost sheet sent to buyer" message).

  • Who: anyone with the View permission on Workflow Runs; hidden when no rule applies.

Edit

Opens the estimate wizard on the pricing step.

  • Who: anyone with the Edit permission on Estimates. Shown on a Draft only; a later status is locked ("Only a Draft estimate can be changed. Create a new version, or cancel it.").

Mark sent

Records that the offer went to the buyer. The estimate becomes Sent and a toast says "Estimate vN marked as sent."

  • Who: anyone with the Edit permission on Estimates. Shown on a Draft.
  • What happens next: the unit becomes Reserved For Buyer for this opportunity and the picked free parking slots are held likewise, until the validity date. A blank validity date is set to today plus the validity days. The timeline records the send and the holds. Nothing is emailed unless the rule "Estimate sent: email the cost sheet (system)" is switched on; it ships off.
  • Errors you may see: "The estimate's validity date <date> has passed; set a later date before sending it"; "Unit X is held for <name> until <date>"; "Unit is <status>"; "Parking slot N (<area>) is held for <name> by a sent estimate".

Finalize pricing

Locks the price. The estimate becomes Finalized and a toast says "Estimate vN pricing locked. Finalize a payment plan to request approval."

  • Who: anyone with the Edit permission on Estimates. Shown on the Current version in Draft or Sent.
  • Greyed out until a payment plan is in place (a Draft plan on the Payment plan card is enough), with "Put a payment plan in place first; the estimate cannot be finalized without one" on hover; the page shows the same in an amber banner: "This estimate cannot be finalized until a payment plan is in place. Add one on the Payment plan card below, then finalize the pricing." The server refuses with the hover text if the plan was deleted meanwhile.
  • What happens next: finalizing from Draft starts the unit and parking hold exactly as Mark sent does. No approval is requested yet; that happens when the payment plan is finalized.
  • Errors you may see: "Only the current (latest live) version can be finalized.", "Put a payment plan in place first; the estimate cannot be finalized without one" and the hold errors above.

Request approval

Opens a new approval request without changing the price or the plan. A toast says "Approval requested again."

  • Who: anyone with the Edit permission on Estimates. Shown on a Rejected or Finalized estimate whose current payment plan is Finalized.
  • What happens next: the estimate becomes Pending Approval, the opportunity moves to Approval, and the system rule opens an "Approve estimate" task for the least-loaded Sales Manager and notifies all Sales Managers.
  • Errors you may see: "Finalize a payment plan before requesting approval".

Approve / Reject

Approve opens "Approve estimate?" ("Version N becomes Approved and can be booked.") with Comments (optional). Reject opens "Reject estimate?" ("Version N is sent back as Rejected; the team can revise it or request approval again.") with Comments required; Reject stays greyed out until they are typed. Toasts: "Estimate vN approved." / "Estimate vN rejected."

  • Who: anyone with the Approve permission on Estimates (by default the Administrator, Finance Lead and Sales Manager). Shown on Pending Approval with an open request.
  • What happens next: the decision, approver, time and comments are recorded; the creator is notified by the system rules. A rejection keeps the hold, so the team can revise and resubmit.
  • Errors you may see: "This estimate is not awaiting approval."

Book

Opens the booking wizard on this estimate.

  • Who: anyone with the Create permission on Bookings. Shown on the Current version in Approved while the opportunity is open.

New version

Asks "Create a new version?": "A new draft is seeded from version N. As soon as the draft is saved, version N becomes Superseded." (on an Approved estimate: "… becomes Superseded and its approval no longer counts."). Create version opens New estimate pre-filled from this version.

  • Who: anyone with the Create permission on Estimates. Shown on the Current version in Sent, Finalized, Pending Approval, Approved or Rejected, while the opportunity is open and has no Draft.

Extend validity

Opens "Extend validity": "Version N is valid until <date>; unit X stays on hold for this buyer until the new date. The reason goes on the opportunity's timeline." with New validity date and Reason (placeholder "Buyer travelling; loan sanction awaited …", up to 255 characters). Save new date stays greyed out until both are filled. A toast says "Estimate vN now valid until <date>."

  • Who: anyone with the Edit permission on Estimates. Shown on Sent, Finalized, Pending Approval, Approved and Rejected estimates.
  • What happens next: the timeline records "Validity of estimate vN moved from A to B: <reason>".
  • Errors you may see: "The new validity date is in the past".

Cancel estimate

Asks "Cancel estimate?": "Version N will be marked Cancelled and can no longer be sent, approved or booked. A booked estimate cannot be cancelled; cancel the booking instead." A toast says "Estimate vN cancelled."

  • Who: anyone with the Edit permission on Estimates. Shown on every status except Draft, Superseded, Cancelled and Expired.
  • What happens next: a pending approval request is Withdrawn, the unit and parking hold is released, and if this was the current version the opportunity drops back to Estimate or Lead. The system rule "Estimate cancelled: close its open tasks (system)" then sets the estimate's Open and In Progress tasks (the "Approve estimate for Unit …" task, say) to Cancelled, with "Closed automatically: estimate v<n> was cancelled." added to each.
  • Errors you may see: "This estimate is booked. Cancel the booking instead."

Delete draft

Asks "Delete draft?": "Draft vN will be removed. If it was the only estimate, the opportunity goes back to Lead." A toast says "Draft vN deleted." and the Estimates tab opens (for an allottee, the allottee's page).

  • Who: anyone with the Delete permission on Estimates (by default the Administrator and the Sales Manager). Shown on a Draft.

Draft payment plan / Edit draft / New version (payment plan card)

Open the estimate wizard on the Payment plan step: Draft payment plan when there is none yet (before booking), Edit draft on a Draft plan, New version on a Finalized plan before booking.

  • Who: anyone with the Edit permission on Estimates, while the estimate is live (not Superseded or Cancelled).

Finalize plan

Asks "Finalize payment plan?": "Version N is locked; later changes need a new version." followed by what finalizing does: "Finalizing requests approval of price and schedule together." (on a Finalized estimate), "The approver will see this plan with the price." (on Pending Approval) or "Finalizing sends the estimate back for approval with the new terms." (on Approved). Toasts: "Payment plan vN finalized; approval requested." or "Payment plan vN finalized."

  • Who: anyone with the Edit permission on Estimates. Shown on a Draft plan.
  • When it is greyed out: while the estimate is still Draft or Sent; the hover reason is "Finalize the pricing first." The server says the same: "Finalize the estimate (lock the pricing) before the payment plan".
  • What happens next: the plan becomes Finalized; a Finalized or Rejected estimate becomes Pending Approval and the opportunity moves to Approval; an Approved estimate goes back to Pending Approval with the new terms; a Pending Approval estimate keeps its open request.

Delete draft (payment plan card)

Asks "Delete draft payment plan?": "Draft vN is removed; the previously finalized version, if any, stands again." Toast: "Draft payment plan deleted."

  • Who: anyone with the Delete permission on Estimates.

Cancel plan

Asks "Cancel payment plan?": "Version N is marked Cancelled; the estimate then has no plan and cannot be booked until a new one is finalized." Toast: "Payment plan vN cancelled."

  • Who: anyone with the Edit permission on Estimates. Shown on a Finalized plan before booking. After booking: "This payment plan is on a booking; regenerate the termsheet instead".

Generate document

On the Documents card: generates the cost estimate sheet (or another letter) from a published template for estimates. Your organization's starter "Cost estimate sheet (standard)" template is seeded as a draft; publish it under Document templates first, or you see "No published template for this record type".

  • Who: anyone with the Create permission on Generated Documents.

The card also has Preview (anyone who can see documents): pick a template and see on screen what Generate would produce for this record, without numbering or keeping anything. Each generated row has a Regenerate icon (the Create permission on Generated Documents) that makes a fresh document from the same template with today's data; the old one stays until you delete or void it. See Generated documents.

Add task

On the Tasks card: add a task linked to this estimate.

  • Who: anyone with the Create permission on Tasks.

Statuses

Status Meaning Moves on by
Draft Being priced; holds nothing. Mark sent (to Sent) or, once a payment plan is in place, Finalize pricing (to Finalized).
Sent With the buyer; unit and parking on hold until the validity date. Finalize pricing (once a payment plan is in place).
Finalized Price locked. Finalize plan or Request approval (to Pending Approval).
Pending Approval Waiting for a decision. Approve or Reject.
Approved Can be booked. Book; or back to Pending Approval when a new plan version is finalized.
Rejected Sent back with comments. Request approval or Finalize plan (to Pending Approval), or New version.
Superseded Replaced by a newer version. Final.
Cancelled Withdrawn: Cancel estimate, Mark lost on the opportunity, booking another version, or (through the system rule "Booking cancelled: cancel its estimate (system)") cancelling its booking. Final.
Expired The validity date passed before booking. Final. This page offers no New version on an expired estimate; use New estimate on the opportunity. The expired version stays Expired rather than Superseded.

Approval requests are Pending, Approved, Rejected or Withdrawn. Payment plans are Draft, Finalized, Superseded or Cancelled.

Things to know

  • Sending or finalizing is what holds the unit. From that moment the unit is Reserved For Buyer and no other estimate can be sent on it, so two buyers can't be promised the same flat. The hold ends on cancel, expiry, loss, a new version on another unit, or booking.
  • Price and plan are approved together. The pricing is locked first; finalizing the payment plan is what opens the approval request, so the approver sees the money and the schedule side by side. Every estimate goes through this, whatever the discount.
  • Expiry runs hourly (at 15 minutes past each hour). An estimate whose validity date has passed becomes Expired on the first run of the following day (Indian calendar day); the unit and parking are released and the opportunity drops back. A booked estimate is never expired. The system rule "Estimate expired: re-quote or close (system)" notifies the person who created the estimate and the Sales Managers, and gives the creator a "Re-quote or close" task. Extend the validity in time if the buyer needs longer.
  • Approved estimates expire too, as do finalized, pending and rejected ones. The two-day warning rule "Unit hold expiring in 2 days (system)", which tells the estimate's creator and gives them a "Close or extend" task, and the dashboard's expiring bucket cover Sent estimates only, so keep an eye on the validity date after approval.
  • Mark sent records the send; it does not email the buyer. Turn on "Estimate sent: email the cost sheet (system)" under Rules if you want that, or use the Workflows menu's "Resend cost sheet".
  • A draft cannot be cancelled from this page, only deleted, and deleting needs the Delete permission on Estimates, which the default Sales Executive does not hold. A Sales Executive stuck with an unwanted draft should ask a Sales Manager to delete it.
  • Deleting a new-version draft does not restore the version it replaced; that one is already Superseded. Payment plans behave differently: deleting a draft plan brings the last finalized plan back.
  • An approver can approve while a new draft plan exists. The estimate is Approved but cannot be booked until that plan is finalized, which sends it back to Pending Approval.
  • Nothing stops the requester approving their own estimate if they hold the Approve permission; your organization's roles decide who holds it.
  • The extend-validity date picker's minimum is calculated in UTC, so between midnight and 5:30 in the morning it may let you pick yesterday, which the server refuses.

  • Send an estimate and hold the unitHow-to

Mark a draft estimate as sent so the unit and its parking slots are held for the buyer until the validity date, print or email the cost sheet from a published template, and extend the validity when the buyer needs more time.

  • Finalize an estimate and request approvalHow-to

Lock the estimate's price and finalize its payment plan so an approver sees both together: from the wizard's Review & finalize step in one go, or from the estimate page with Finalize pricing and Finalize plan.

  • Approve or reject an estimateHow-to

Find an estimate that is awaiting approval from the approvals inbox or your task, review its price and payment plan, and approve it so it can be booked or reject it with comments for the team to revise.

  • Revise an estimate after a rejection or a change of termsHow-to

Change a locked estimate the right way: a new version for a different price, unit or parking (the old version is superseded), a new payment plan version when only the terms change, or a fresh approval request on the same version.

  • Book a unitHow-to

Turn an approved estimate into a booking: review what was approved, add the co-applicants and their shares, set the booking date and book, then record the agreement details and any co-applicant who joins later.

  • Payment plan cannot be finalized, or the estimate cannot be approved or booked: finalize in orderTroubleshooting

An estimate goes price first, plan second: the pricing is locked, then a payment plan whose shares add up to 100% is finalized, which requests approval; only an Approved estimate with a Finalized plan can be booked.

  • Estimate expired or its validity date has passed: the unit hold was releasedTroubleshooting

An estimate holds its unit only until its Valid until date. A draft whose date has already passed cannot be sent or finalized, a new validity date cannot be in the past, and once the date has passed the hourly job marks the estimate Expired, releases the unit and parking slots and tells the team; an expired estimate cannot be revived, so a new one is priced.

  • Estimate action refused: not the current version, or the wrong statusTroubleshooting

Estimate actions apply only to the current (highest live) version and only in certain statuses: a Draft is edited, a Draft or Sent version is finalized, a Pending Approval one is approved, the current Approved one is booked; anything else is refused and usually means the page is stale or an older version is open.

  • Generate document has nothing to offer: no published template for this record typeTroubleshooting

Documents are generated only from published document templates of the record's type; the starter templates (cost sheet, allotment letter, offer letter and others) ship as drafts, so until someone publishes one, Generate document has nothing to pick, offers issue without a letter and workflow rules that generate the template fail.

  • Estimate versions, price lock, overrides and the approval gateConcept

Every priced offer to a buyer is a numbered version of the opportunity: a Draft is edited in place, any later price change is a new version that supersedes the current one, the price is locked when finalized, and every estimate must be approved before it can be booked.

  • Estimate validity and the unit holdConcept

A sent estimate holds its unit (and the parking slots it picked) for that buyer until its Valid until date; the hold starts on sending, can be extended with a reason, and an hourly job expires the estimate and frees the unit the day after the date passes.

  • Payment plans: lumpsum, cadence, custom and construction-linkedConcept

A payment plan says how the buyer's total is collected: all at once, in equal installments on a cadence, on agreed dates, or as construction stages are achieved; it lives on the estimate as numbered versions, is finalized with the price for approval, and becomes the booking's schedule.

  • Charge groups and per-line GSTConcept

A charge group is a section of the cost sheet with a default GST rate; every charge line carries its own GST, worked out from the estimate override, the plan line, the component or the group, in that order.

  • Generated documents: offer letters, cost sheets, void and supersededConcept

A generated document is a numbered, filed rendering of a published template against one record, kept with its merged text, template version and file; offer letters are generated when an offer is issued and supersede the earlier ones, cost sheets print an estimate for the buyer, and a void or superseded document keeps its number and shows a watermark saying what replaced it.

  • Allottee purchasesConcept

How an allottee buys the units their offer allots: one purchase per allotted unit, priced only on the area beyond their entitlement, through the same estimate, payment plan, approval and booking chain as any buyer, with the unit staying Allotted throughout.

  • Estimates (opportunity tab)Screen

Every priced version of one opportunity, newest first, with its status, unit, pricing plan, total and validity, and shortcuts to open a version, continue the draft or start a new one.

  • Booking overviewScreen

A booking's home page: the applicant and unit, parking, dates, money summary, termsheet status and possession, with the buttons to edit the booking, see its history, jump to the opportunity or cancel it.

  • AllotteeScreen

One society member, landowner or PAP tenant on a page: who they are, what they hold today, their co-owners, their offers on each project, the letters and files filed for them, their bank accounts and parking.
