Opportunity (Overview tab)

One buyer's enquiry on one project: who they are, what they want, the current estimate, the latest activity, documents and tasks, with the pipeline actions (estimate, assign, book, mark lost, reopen) in the header.

Opportunity (Overview tab)

This is the home page of one enquiry: the buyer, what they asked for, where the deal stands and what to do next. Every opportunity page shares the same header and tabs; the Overview tab is the summary.

Where to find it

Open an opportunity from the Opportunities list or board, from an estimate's breadcrumb, from the booking's header link, or from an allottee's purchases card. The breadcrumbs read Opportunities > <buyer's name>.

You need the View permission on Opportunities; otherwise the page shows "No access". If the link is stale you see "Opportunity not found." and a Back to opportunities link.

What you see

  • The buyer's name as the title, with badges for the stage, the project (click to open it) and, for an allottee purchase, "Allottee purchase · <unit>" (click to open the allottee; hover reads "An allottee buying a unit their offer allots").
  • Underneath: phone · email · "owner <email>" or "unassigned".
  • The action buttons described below.

Below the header, banners appear when they apply:

  • For an allottee purchase: "<category> buying unit <unit> (<tower>), allotted on their offer. Per Sqft charges apply only to the chargeable area set on the offer (up to the unit's area less its share of the entitlement; the developer may give some or all of it free); the unit stays allotted to them throughout. Not a lead: it stays out of the sales pipeline and earns no commission."
  • For a lost opportunity: "Lost on <date>: <reason>".

Tabs

Overview, Estimates (shown with any permission on Estimates), Activities and History. See Estimates (opportunity tab), Activities and Stage history.

Overview cards

  • Contact & source: Name, Phone, Email, Contact type, Company, Lead source, Assigned to, Channel partner (a link to the company), Partner contact, Expected close, Created and Updated.
  • Requirements: Unit type, Budget, Carpet area (Mofa), Tower, Floors, Parking slots needed, Facing and Notes. Ranges show as "from – to", with "…" for an open end.
  • Allottee purchase (instead of Requirements, for an allottee): Allottee (link), Category, Membership no. (Reference no. for other allottees), Unit and Offer (the offer's status), with the note "The entitlement split and every unit's purchase are on the allottee's offer (open it from the allottee's page)."
  • Current estimate: the total, its status badge and "Version N · unit X · subtotal ₹…", with Open estimate; or "No estimate yet. Price a unit for this buyer to move the opportunity forward." Top right, All versions (N) opens the Estimates tab. The card also carries New estimate / New version and Continue draft vN when they apply.
  • Activity: the number of entries, the latest entry (type badge, time, summary and "Follow up on <date>" when set) or "Nothing logged yet.", and a Timeline link to the Activities tab.
  • Documents: "Letters and agreements generated for this record. Each keeps the template version it was made with." The list of documents generated for this opportunity ("No documents generated for this record yet" when empty), with Generate document. Shown with the View permission on Generated Documents.
  • Tasks: the tasks linked to this opportunity ("N open" in the heading; "No tasks yet for this record." when empty), each with its assignee, due date ("(overdue)" in red when past) and status, an All tasks link, Add task, and a tick (tooltip "Mark done") on open tasks for holders of the Edit permission on Tasks; the tick's toast reads ""<title>" marked done." Shown with the View permission on Tasks.

"Current estimate" means the highest-numbered version that is still live: Draft, Sent, Finalized, Pending Approval, Approved or Rejected. Superseded, cancelled and expired versions never count.

What you can do

History

The button (hover "Who changed this record, what and when") opens the History panel "History · <name>": who changed the opportunity, what and when, newest first, with Load older changes and, for audit-trail holders, Open in the audit log. When nothing has been recorded it reads "No history yet" or "Changes are recorded from 28 Sep 2026; nothing has changed on this record since."

  • Who: anyone with the View permission on Opportunities or on Audit Trail.

This is not the same as the History tab, which shows stage changes only.

Workflows

A menu of the manual workflow rules that apply to opportunities, for example "Hand over to a Sales Executive" (asks for a Reason, assigns the opportunity to the least-loaded Sales Executive and notifies them). A rule the record does not qualify for explains "This workflow cannot run right now: the record does not meet its conditions."

  • Who: anyone with the View permission on Workflow Runs. The menu is hidden when the opportunity offers no manual rule at all; a rule whose conditions fail, or that you lack a permission for, stays listed with a crossed icon and explains itself in a small dialog instead of running.

Edit

Opens Edit opportunity.

  • Who: anyone with the Edit permission on Opportunities.
  • When it is missing: on Booked and Lost opportunities (they are read-only) and on allottee purchases (their source and buyer are fixed by the offer).

Assign

Opens the "Assign opportunity" dialog with an Owner list (Unassigned clears the owner). Assign stays greyed out until you pick a different owner. A toast says "Assigned to <email>." or "Owner cleared."

  • Who: anyone with the Edit permission on Opportunities, on an open opportunity. The Owner list offers the active users who hold the Edit permission on Opportunities.
  • What happens next: the timeline gets a system entry "Assigned to <email>" (or "Assigned to nobody"). No system rule notifies the new owner; the manual Workflows action "Hand over to a Sales Executive" does.

New estimate / New version

Opens New estimate to price a unit for this buyer. The button reads New estimate when there is no estimate yet and New version when there is a current one (the new draft is seeded from it). It is the main button until the estimate is approved, after which Book takes its place as the main button.

  • Who: anyone with the Create permission on Estimates.
  • When it is missing: on Booked and Lost opportunities, and while a Draft already exists: only one draft is allowed at a time, so finish or delete that one first.

Edit draft vN / Continue draft vN

Opens the draft in the estimate wizard. The header button reads Edit draft vN; the card link reads Continue draft vN.

  • Who: anyone with the Edit permission on Estimates, when a Draft exists.

Book

Opens the booking wizard for the current estimate.

  • Who: anyone with the Create permission on Bookings.
  • When it is missing: unless the opportunity is open, has no booking yet, and its current estimate is Approved. The wizard may still block the booking (for example when the payment plan is not finalized or the project is not ready to sell); it lists every reason.

Open booking

Opens the booking once one exists.

  • Who: anyone with the View permission on Bookings.

Mark lost

Opens "Mark as lost?": "The opportunity moves to Lost. Its estimates are cancelled and any unit or parking they held goes back to stock. If the buyer comes back, reopen it: it returns as a Lead with its history, and a new estimate starts fresh." Type a Reason (required, placeholder "e.g. Chose a competitor, budget mismatch"; empty gives "Reason is required") and confirm with Mark lost. A toast says "Opportunity marked as lost."

  • Who: anyone with the Edit permission on Opportunities, on any open opportunity.
  • What happens next: every live estimate becomes Cancelled (a pending approval request is Withdrawn), the unit and parking slots they held go back to Available, the stage becomes Lost with the reason, and the system rule "Opportunity lost: tell sales management (system)" notifies the Sales Managers. Each cancelled estimate also fires "Estimate cancelled: close its open tasks (system)", which sets its open tasks to Cancelled with the note "Closed automatically: estimate v<n> was cancelled."
  • Errors you may see: "This opportunity is booked. Cancel the booking to close it." and "This opportunity is already marked as lost."

Reopen

Shown on a Lost opportunity. Returns it to Lead with its history; a toast says "Opportunity reopened as Lead. Create a new estimate on a unit that is free now."

  • Who: anyone with the Edit permission on Opportunities.
  • What happens next: the stage history gets a "reopened" row, the system rule "Lost opportunity reopened: call the buyer back (system)" notifies the team and opens a "Call back" task. An allottee purchase can be reopened only while its unit is still allotted to them and no other purchase of that unit is open ("Another purchase of this unit is already open").
  • Errors you may see: "Only a lost opportunity can be reopened."

Delete

Shown only on a Lead with no estimate. Asks "Delete opportunity?" ("The lead for <name> on <project> and its activities will be removed. The contact record stays. Opportunities with estimates cannot be deleted; mark them lost instead."), then returns to the list.

  • Who: anyone with the Delete permission on Opportunities (by default the Administrator and the Sales Manager).
  • Errors you may see: "Only a Lead without estimates can be deleted. Mark the opportunity as lost instead."

Open estimate / All versions (N)

Open the current estimate or the Estimates tab.

  • Who: anyone with the View permission on Estimates.

Timeline

Opens the Activities tab.

Generate document

On the Documents card: pick a published template for opportunities and generate the letter. When none is published you see "No published template for this record type".

  • Who: anyone with the Create permission on Generated Documents.

The card also has Preview (anyone who can see documents): pick a template and see on screen what Generate would produce for this record, without numbering or keeping anything. Each generated row has a Regenerate icon (the Create permission on Generated Documents) that makes a fresh document from the same template with today's data; the old one stays until you delete or void it. See Generated documents.

Add task

On the Tasks card: add a task linked to this opportunity.

  • Who: anyone with the Create permission on Tasks.

Statuses

The stage badge in the header:

Stage Meaning How it moves on
Lead No estimate yet. Saving the first estimate moves it to Estimate.
Estimate A unit is priced. Requesting approval moves it to Approval; cancelling or expiring the current estimate sends it back to Lead.
Approval Approval has been requested. Booking moves it to Booked; cancelling or expiring the current estimate sends it back to Estimate or Lead.
Booked A booking exists. Cancelling the booking moves it to Lost with the reason "Booking cancelled: <reason>".
Lost Closed with a reason. Reopen returns it to Lead.

Every change is recorded on the Stage history tab and as a system activity.

Things to know

  • Two things called History. The header History button is the record timeline (who changed which field). The History tab is the pipeline's stage history. Same word, different content.
  • One draft at a time. A new version supersedes the current one the moment its pricing is saved, so the app allows a single Draft per opportunity. That is why New version hides while a draft exists.
  • The stage does not step back on a new version or a rejection. Starting a new version after approval, or receiving a rejection, leaves the badge at Approval while the team revises; only cancelling or expiring the current estimate moves it back.
  • Book appears as soon as the estimate is approved, even if its payment plan is still a draft; the wizard then explains what is missing.
  • Mark lost frees the stock. Losing an opportunity is what releases the unit and parking slots a sent estimate held, so another buyer can be quoted at once.
  • Allottee purchases are different. They start from the allottee's offer, price only the chargeable area, keep the unit Allotted throughout, cannot be edited here and earn no commission.
  • A cancelled booking cannot be redone here. Cancelling the booking marks the opportunity Lost; you can Reopen it, but the app refuses a second booking on the same opportunity ("This opportunity already has a booking."). Start a new opportunity for the buyer.

  • Price a unit for a buyerHow-to

  • Book a unitHow-to

Turn an approved estimate into a booking: review what was approved, add the co-applicants and their shares, set the booking date and book, then record the agreement details and any co-applicant who joins later.

  • Mark an opportunity lostHow-to

Close a buyer's enquiry with a reason when they drop out: every live estimate is cancelled, the unit and parking slots held for them go back to stock, and the opportunity can be reopened if they return.

  • Reopen a lost opportunityHow-to

Bring a lost buyer back as a Lead with their history intact, from the opportunity, the list or the new-opportunity notice, and price a fresh estimate on a unit that is free now.

  • Opportunity cannot be deleted, marked lost, reopened or worked: its stage decidesTroubleshooting

Only a Lead with no estimates can be deleted; anything further along is marked lost instead. A booked opportunity is closed only by cancelling its booking, a lost one must be reopened before it can be priced or booked, and a buyer who comes back is reopened rather than entered again.

  • "A Draft estimate already exists": one draft estimate (or draft payment plan) at a timeTroubleshooting

An opportunity can have only one Draft estimate, and an estimate only one Draft payment plan; the New estimate and New version buttons hide while a draft exists, and the draft has to be finished, deleted or (for a plan) edited before another one can be started.

  • Opportunity stages, lead sources and system activitiesConcept

An opportunity moves through Lead, Estimate, Approval and Booked (or Lost) only through the actions taken on it; every move is written to its stage history and its timeline, where locked system activities sit beside the calls and visits the team logs.

  • Estimate versions, price lock, overrides and the approval gateConcept

Every priced offer to a buyer is a numbered version of the opportunity: a Draft is edited in place, any later price change is a new version that supersedes the current one, the price is locked when finalized, and every estimate must be approved before it can be booked.

  • Allottee purchasesConcept

How an allottee buys the units their offer allots: one purchase per allotted unit, priced only on the area beyond their entitlement, through the same estimate, payment plan, approval and booking chain as any buyer, with the unit staying Allotted throughout.
