Organization templates (Chart templates)

Your organization's master chart of accounts, from which every new set of books is copied: group templates, ledger templates and the default ledger per charge component.

Organization templates (Chart templates)

Your organization keeps one master chart of accounts. Every new set of books is copied from it: the group templates become the books' groups, the ledger templates marked for auto-creation become its ledgers, and the template mappings become its component mappings. Change the templates when you want every future set of books (and, after a sync, the existing ones) to share a group, a ledger or a default posting ledger.

Where to find it

Open Accounting > Chart of Accounts in the sidebar and choose the Organization templates tab. Access works as for the whole chart of accounts: any permission on Chart of Accounts and the View permission on Books. See Chart of accounts: Groups.

Although the templates belong to the organization rather than to one set of books, the tab lives inside the books-scoped chart of accounts, so it shows only once at least one set of books exists; before that the page shows "No books yet".

What you see

An information box reads: "Templates are the organization's master chart. Changing them does not touch existing books; use "Sync from templates" on a books' Component mappings tab to copy additions across. Template codes are never reused: retire instead of deleting."

Three sub-tabs follow: Group templates, Ledger templates (the one that opens first) and Template mappings.

Every organization starts with 5 classes, 23 group templates, 90 ledger templates and 21 template mappings. Two ledger templates (1310 and 2200) are retired and not auto-created; they are kept for history. Three are system templates: 1000 Cash in Hand, 3200 Profit & Loss Account and 5570 Rounding Off.

Group templates

The same tree as the Groups tab: the five classes and their group templates, with the code and name, the nature badge on class rows, Direct on groups that affect gross profit, a lock on seeded groups, and "N ledgers" for the number of ledger templates in the group (plain text here, not a link).

Ledger templates

Filters: a search box ("Search by code or name"), Group ("All groups"), Nature ("Any nature") and Show retired.

Column What it shows
Code The template code; click it to open the template.
Ledger template The name, a lock on system templates, and the description.
Group The group template, with its nature.
Flags Auto-create or Manual, then Bill-wise, RERA escrow, the tax type, and Retired.
Actions The row's icons.

When nothing matches: "No templates match".

Template mappings

"The default ledger per charge component, copied into every new set of books."

Column What it shows
Component The charge component's name and code.
Kind The component's kind.
Ledger template The default ledger template, or "Not mapped" in amber.
Tax ledger template The second ledger template, or "—".
Revenue treatment For sale and tenant charges: With the unit, On billing or Pass-through, with "via <code>" underneath when a contract liability template is chosen; "—" when none is set.
Actions The row's icons.

The seeded mappings of the unit-price components (BASE_RATE, FLOOR_RISE, PLC, PARKING, CLUB, LEGAL, DEVELOPMENT, AC_PIPING, TENANT_LEGAL, TENANT_OTHER) carry With the unit via 2100, DIFF_AREA carries With the unit via 2110, and the deposit and society components carry Pass-through.

What you can do

New group template

On Group templates, opens New group with the same fields as on the Groups tab: Parent group, Code, Name, Sort order and Direct (affects gross profit). The plus icon on a row (tooltip "Add sub-group") opens "New group under <name>". Click Add group, or Cancel.

  • Who: anyone with the Create permission on Chart of Accounts. In the default roles that is the Administrator, the Finance Lead and the Accountant. Without it the button isn't shown.
  • What happens next: "Group added." The group is created in every set of books at its next Sync from templates, and in every new set of books.
  • If it's refused: "A group with this code already exists." on Code.

Edit (group template)

The pencil icon (tooltip "Edit <name>") opens "<name> (<code>)". Click Save changes, or Cancel.

  • Who: saving needs the Edit permission on Chart of Accounts. Without it the panel opens read-only with a Close button.
  • Greyed out: Save changes stays greyed out until you change something. No reason is shown on hover.
  • What happens next: "Group updated." Existing books keep their own copy of the group unchanged.
  • If it's refused: "A group can only move within its own nature (asset, liability, equity, income or expense).", "A group cannot be placed under its own descendant.", or "Seeded group templates keep their name and place" (see Things to know).

Delete (group template)

The bin icon (tooltip "Delete <name>") asks "Delete group template?": "<name> (<code>) will be removed from the master chart. Only an empty template group can be deleted." Click Delete, or Cancel.

  • Who: anyone with the Delete permission on Chart of Accounts (the Administrator and the Finance Lead in the default roles). The icon isn't shown on class rows or seeded groups.
  • What happens next: "Group template "<name>" deleted."
  • If it's refused: "This template was copied into books or is mapped; retire it instead of deleting it." The group template still has sub-groups or ledger templates, or has been copied into a set of books.

New ledger template

On Ledger templates, opens New ledger template:

  • Group (required): empty shows "Choose a group".
  • Code (required, up to 30 characters, turned to capitals; "Letters, digits, _ . - only"): placeholder "1130", hint "1xxx asset, 2xxx liability, 3xxx equity, 4xxx income, 5xxx expense."
  • Name (required, up to 150 characters) and Description (up to 255).
  • Tax type (placeholder "Not a tax ledger") and Rate (%) once a tax type is chosen.
  • Sort order.
  • Inventory role (placeholder "Stays in the P&L"): Construction cost, Rehab cost or Borrowing cost. "Copied to new ledgers: the revenue run moves this cost into inventory." See Ledgers for what each role does.
  • Auto-create in new books (ticked): "Off for ledgers only some entities need."
  • Bill-wise: "Settled bill by bill."
  • RERA escrow: "Read by the 70/30 escrow statement." Ledgers created from the template carry the flag and are listed in the ledger table of the RERA accounts statement.

Click Add template, or Cancel.

  • Who: anyone with the Create permission on Chart of Accounts. Without it the button isn't shown.
  • What happens next: "Template <code> added." With Auto-create in new books ticked, the ledger is created in every new set of books, and in existing books at their next Sync from templates.
  • If it's refused: "A template with this code already exists (codes are never reused)." on Code.

Edit (ledger template)

Click a template's code, or its pencil icon (tooltip "Edit <code>"), to open "<code> · <name>". Code is fixed ("Fixed: template codes are never reused."). The panel adds Active: "Retiring clears auto-create; the code stays reserved." On a system template it says "A system template keeps its name and group." and greys out the group, name and Active.

Click Save changes, or Cancel.

  • Who: saving needs the Edit permission on Chart of Accounts. Without it the icon is an eye (tooltip "View <code>") and the panel opens read-only with a Close button.
  • Greyed out: Save changes stays greyed out until you change something. No reason is shown on hover.
  • What happens next: "Template <code> updated." Ledgers already copied into books are not changed.
  • If it's refused: "System ledger templates keep their name and group and stay active" (see Things to know).

Delete (ledger template)

The bin icon (tooltip "Delete <code>") asks "Delete ledger template?": "<code> <name> will be removed from the master chart. A template already copied into books or mapped cannot be deleted; retire it instead." Click Delete, or Cancel.

  • Who: anyone with the Delete permission on Chart of Accounts. The icon isn't shown on system templates or without the permission.
  • What happens next: "Template <code> deleted."
  • If it's refused: "This template was copied into books or is mapped; retire it instead of deleting it." Edit the template and untick Active.

Edit mapping (template mapping)

On Template mappings, the pencil icon (tooltip "Edit mapping of <component>") opens "Template mapping for <component>": Ledger template (required) and Tax ledger template (optional), both chosen from the active ledger templates. For a component of kind Sale Charge or Tenant Charge the dialog adds Revenue treatment (placeholder "From the ledger"; With the unit, On billing or Pass-through; "Copied into books that do not have a treatment yet. With the unit: billed to the contract liability until the revenue run recognises it.") and, under With the unit, Contract liability template (placeholder "2100 Contract Liability - Sale of Units"). Click Save mapping, or Cancel.

  • Who: anyone with the Edit permission on Chart of Accounts.
  • Greyed out: without that permission the icon is a greyed-out eye, so the mapping can't be opened. Save mapping stays greyed out until a Ledger template is chosen. No reason is shown on hover.
  • What happens next: "<component> mapped." New books get this mapping. Existing books get it at their next Sync from templates only if they have no mapping for the component yet. What a treatment does at posting time is explained on Component mappings.

Unmap

The bin icon on a mapped row (tooltip "Unmap <component>") asks "Remove template mapping?": "New books will get no ledger for <component> until it is mapped again. Existing books keep their mapping." Click Unmap, or Cancel.

  • Who: anyone with the Edit permission on Chart of Accounts. Without it the icon isn't shown.
  • What happens next: "<component> unmapped."

Statuses

Ledger templates are active or Retired. Untick Active under Edit to retire one; retiring also clears Auto-create in new books. System templates can't be retired.

Things to know

  • Two layers. The templates are the organization's master; each set of books holds its own copy. Every copied group and ledger remembers the template it came from, which is how the Consolidated report adds up several sets of books.
  • Changing a template doesn't change the books. Only additions travel: Sync from templates on a books' Component mappings tab copies missing groups, missing auto-create ledgers and missing mappings. A renamed template or a changed template mapping is not pushed into existing books; change those on the books' own Groups, Ledgers and Component mappings tabs.
  • The inventory role travels with the ledger. A ledger created from a template takes the template's Inventory role. The seeded templates in the Construction Cost and Rehab Cost groups and 5530 Interest Expense come with a role; the revenue run uses it to move those costs into work-in-progress or land and development rights.
  • The revenue run's own ledgers are seeded too. Besides the ledgers charge components map to, the revenue run posts to the standard templates 1220 Contract Asset - Unbilled Revenue, 1270 Contract Acquisition Costs, 1500 Construction Work-in-Progress, 1510 Completed Units - Inventory, 1600 Land and Development Rights, 2100 and 2110 Contract Liability, 2115 Contract Liability - Rehab Consideration, 2640 Provision for Onerous Contracts (group Payable), 4140 Revenue - Rehab Units, 5400 Cost of Sales - Units, 5410 Expected Loss on Onerous Contracts (group Cost of Sales) and 5530 Interest Expense. Books created before a template was added get it through Sync from templates on their Component mappings tab.
  • The project's bank accounts have their own templates. The standard chart seeds four bank templates with the RERA escrow flag: 1100 Bank - Collection Account ("RERA collection account: every buyer payment enters here (100%), swept daily"), 1105 Bank - RERA Separate Account ("The escrow share of every sweep (70% under RERA 2016); drawn only for land and construction cost"), 1110 Bank - Operative Account ("The rest of every sweep (30%); the developer's working account") and 1120 Bank - GST ("GST banked apart from the collection account"). A promoter's own accounts with those purposes get a bank ledger of their own when they are saved (see Ledgers and RERA accounts and the daily sweep).
  • Auto-create versus Manual. An auto-create template is created in every set of books. A manual one is only there for entities that need it; add it to a set of books by hand on Ledgers. A template mapping that points at a manual template gives new books no ledger and no mapping for that component, so map components to auto-create templates.
  • Codes are never reused. A retired template keeps its code reserved so that consolidated figures never mix two different ledgers under one code. Retire rather than delete.
  • Seeded groups and system ledger templates can't be changed from this screen at present. Saving any change to a seeded group template is refused with "Seeded group templates keep their name and place", and any change to 1000, 3200 or 5570 with "System ledger templates keep their name and group and stay active". Your own templates can be edited freely.
  • Your organization can rename the tab labels, so your screen may use different words.

  • The chart of accounts: templates, books copies, nature and system rowsConcept

The organization keeps one master chart (group templates, ledger templates and default mappings) and every set of books holds its own copy of it; each group carries a nature (asset, liability, equity, income, expense) and a Direct flag that feeds gross profit, a few system rows are locked, codes are never reused, and the Consolidated report adds the books up by the template each ledger came from.

  • RERA accounts and the daily sweepConcept

Every buyer payment enters the project's collection account; the bank sweeps it daily, the escrow share (70% under RERA 2016, or the project's own share) to the RERA separate account and the rest to the operative account. NirmaanOne mirrors the sweep as a Contra voucher per receipt the moment it clears, records certified withdrawals from the separate account, warns on receipts banked elsewhere and reports where the money stands; it never moves the money itself.

  • RERA accountsScreen

The RERA accounts statement for one set of books, or one project: what reached the collection account, what was swept to the separate and operative accounts and at what share, what was withdrawn from the separate account, and the movement on the four accounts' ledgers.

  • Add a ledger, a party ledger or a standard ledger for every entityHow-to

Add an ordinary ledger to one set of books, find or create the bill-wise ledger of a person, company or society member, or add a ledger template so every set of books gets the same ledger.

  • Map a charge component to a ledgerHow-to

Tell a set of books which ledger each charge component posts to (with its tax leg, cost centre and, for sale and tenant charges, the revenue treatment), so demands, benefit accruals, payouts and commissions can be posted automatically, and give future books the same default through a template mapping.
