Companies

The master list of legal entities you deal with: promoter entities, channel partners, vendors and contractors, with search, filters and shortcuts to open, edit or delete a company.

Companies

Companies are the legal entities your organization works with: the promoter entities that own projects and keep the books, the channel partners who bring buyers, and the vendors and contractors you pay. This screen is the master list.

Where to find it

In the sidebar, open the Masters group and choose Companies. The Companies breadcrumb on every company page brings you back here. Company names on bank accounts, books, opportunities and commissions link to the company page, not to this list.

You need the View permission on Companies to see the list. Without it the page shows "No access" and "You do not have permission to view companies. Ask your administrator." In the default roles every role except the Site Engineer can view companies.

What you see

The page header reads "Promoter entities, channel partners, vendors and contractors, with their registrations and people."

Above the grid:

  • Company type filter (placeholder "All types"), shown only if you can view Lookups.
  • Active filter: Active and inactive, Active only or Inactive only.
  • Search (placeholder "Search by name, GSTIN, PAN or city"); the legal name is matched too.
Column What it shows
Company The name, which opens the company page, with a red Inactive badge when inactive and the legal name underneath when it differs.
Type The company type badge.
City The city, with the state underneath.
Phone / email The phone number, with the email underneath.
GSTIN / PAN The GSTIN, or the PAN when there is no GSTIN, or "—".
People How many contacts are attached, or "—".
Created The date the company was added.
Actions The row's icons.

The list opens sorted by name, A to Z. Click a column title to sort by it (Actions can't be sorted). When there are no companies the grid reads "No companies yet".

What you can do

New company

Opens the New company page.

  • Who: anyone with the Create permission on Companies. In the default roles that is the Administrator, Finance Lead, Project Manager, Accountant and Sales Manager. The button isn't shown otherwise.

Open

The first icon on a row (tooltip "Open"), or a click on the company name, opens the Company page.

  • Who: anyone who can see this list.

Edit

The pencil icon (tooltip "Edit") opens Edit company.

  • Who: anyone with the Edit permission on Companies. The icon isn't shown otherwise.

Delete

The trash icon (tooltip "Delete") asks "Delete company?": "<name> and its attached contacts will be removed. A company used as a promoter, channel partner, bank-account holder or accounting entity cannot be deleted; deactivate it instead." Confirm with Delete. On success a message reads Company "<name>" deleted.

  • Who: anyone with the Delete permission on Companies. In the default roles that is the Administrator and the Finance Lead. The icon isn't shown otherwise.
  • What can go wrong: "Company cannot be deleted: linked <projects, opportunities, bank accounts, accounting books>" names what still refers to the company. A company named as channel partner on a commission is also protected, but shows only "That conflicts with existing data." In every case, untick Active on Edit company instead.

Statuses

Companies have no status beyond the Active flag. An inactive company shows a red Inactive badge and is left out of the company pickers on other screens.

Things to know

  • Deleting a company keeps the people. The dialog says the attached contacts are removed, but only the attachments go; the contact records stay under Contacts.
  • The promoter entity of a project can't be deleted, nor can a channel partner named on an opportunity or a commission, a company that owns bank accounts, or one that keeps books. That is what makes deals and postings traceable. Deactivate instead.
  • Company types come from Lookups. The seeded types are Promoter Entity, Channel Partner, Vendor and Contractor; the type decides which registration fields the company form shows. You can add your own types under Lookups.
  • Your organization can rename the grid's column titles, so your screen may use different words.

  • LookupsScreen

The dropdown lists every form draws on: contact types, lead sources, activity types, company types, bank account purposes, parking types, amenities, unit types and unit configurations.

  • Register the promoter entity and its project bank accountsHow-to

Register the company that develops a project as a Promoter Entity, record its collection, RERA separate, operative and GST bank accounts, then set up its books and make sure each account has its ledger, so the project can sell and collect.

  • Register a channel partner and its peopleHow-to

Register a broker or channel partner as a company with its RERA agent registration and default commission, attach the people you deal with there, and record the payout account its commissions are paid into.

  • Company cannot be deleted: projects, opportunities, bank accounts or books link to itTroubleshooting

A company that is a project's promoter, a channel partner on an opportunity or commission, the owner of bank accounts or the entity of a set of books can't be deleted, so deals and postings stay traceable. Untick Active instead.

  • Contacts, companies and company typesConcept

A contact is a person; a company is a legal entity with people attached. The company type decides which registrations the form asks for (promoter, channel partner, vendor, contractor), and a channel partner's default commission feeds the commissions on the bookings it brings.

  • Promoter entityConcept

The company developing a project; every project must name one, and its books and bank accounts are where the project's demands, receipts and payouts are posted.

  • Sidebar, top bar and notifications bellScreen

The frame around every page once you are signed in: the sidebar with its groups, the top bar with the notifications bell, the light and dark switch and your account menu, and the banners that ask you to act.
