Unit is held, allotted or booked: its status, designation, floor or tower cannot be changed or deleted

Only Available, Blocked and Reserved For Tenant are set by hand. A unit that an estimate, an offer or a booking depends on keeps its status and designation until that record lets it go, and only Available units (and towers and floors holding nothing else) can be deleted.

Messages this explains

  • “This unit is <status>; its status is controlled by the booking and cannot be changed here.”
  • “A <status> unit is controlled by its booking”
  • “<status> is set by the booking flow, not by hand”
  • “The unit is held by a buyer's estimate; it is released when that estimate is cancelled or expires”
  • “Reserved For Buyer is set by sending an estimate, not by hand”
  • “The unit is allotted on an allottee's offer; it is released when the offer gives it up or is cancelled”
  • “Allotted is set by allotting the unit on an offer, not by hand”
  • “Unit <n> is <status>; release it before changing its designation from <designation>”
  • “Locked while the unit is <status>; release it first”
  • “designation: unit <n> is <status>; release it before changing what it is for”
  • “Only a Common unit can house an amenity (<amenity>); this one is <designation>”
  • “Only Available units can be deleted (this one is <status>)”
  • “Tower has <n> unit(s) that are not Available”
  • “Floor has <n> unit(s) that are not Available”
  • “The request conflicts with existing data”
  • “That conflicts with existing data.”

Unit is held, allotted or booked: its status, designation, floor or tower cannot be changed or deleted

You tried to change a unit's Status or Designation, delete a unit, a floor or a whole tower, or re-designate units from an Excel sheet, and the app refused because a sale or an offer still depends on the unit.

What you see

In the unit panel on the Structure tab:

  • For a Reserved For Buyer, Allotted, Booked or Sold unit, a blue note at the top: "This unit is <status>; its status is controlled by the booking and cannot be changed here." It says "booking" even when an estimate or an offer holds the unit. The Status field is greyed out with the hint "Managed by the booking", or, for a unit on hold, "On hold: a sent estimate holds this unit for its buyer. It is released when that estimate is cancelled or expires, or becomes Booked."
  • The Designation field is greyed out with the hint "Locked while the unit is <status>; release it first" whenever the unit is anything other than Available or Blocked.
  • If the unit was taken after you opened the panel (an estimate was sent on it meanwhile, say), or the change comes from a connected AI assistant, Save changes is refused with one of:
    • "A <status> unit is controlled by its booking" (changing a Booked or Sold unit's status)
    • "<status> is set by the booking flow, not by hand" (setting Booked or Sold)
    • "The unit is held by a buyer's estimate; it is released when that estimate is cancelled or expires" (changing a Reserved For Buyer unit's status)
    • "Reserved For Buyer is set by sending an estimate, not by hand"
    • "The unit is allotted on an allottee's offer; it is released when the offer gives it up or is cancelled" (changing an Allotted unit's status)
    • "Allotted is set by allotting the unit on an offer, not by hand"
    • "Unit <n> is <status>; release it before changing its designation from <designation>"
    • "Only a Common unit can house an amenity (<amenity>); this one is <designation>"

When deleting:

  • Delete unit? ("Unit <n> will be removed. Only Available units can be deleted.") fails with "Only Available units can be deleted (this one is <status>)", or with "That conflicts with existing data." on an Available unit that an old estimate or booking still points at. The server's own wording of that second message is "The request conflicts with existing data".
  • Delete tower? fails with "Tower has <n> unit(s) that are not Available", and Delete floor? with "Floor has <n> unit(s) that are not Available". Both dialogs warn in advance: "Towers holding units that are not Available cannot be deleted." / "Floors holding units that are not Available cannot be deleted."

When importing the units sheet (see Excel import and export), a row that changes the designation of such a unit fails with "designation: unit <n> is <status>; release it before changing what it is for", and nothing in the sheet is imported.

When generating floors and units, a position that gives an amenity to a unit that is not Common fails with the amenity message above, prefixed with the range and position it came from.

Why it happens

A unit's status records who has a claim on it, so that a unit cannot be sold twice or promised to a member and sold to a buyer at the same time. Only three statuses are yours to set by hand: Available, Blocked and Reserved For Tenant. The others belong to the record that set them and change only through that record:

Status Set by Released by
Reserved For Buyer (on hold) Sending or finalizing a buyer's estimate Cancelling the estimate, a new version of it on a different unit (a new version on the same unit keeps the hold), its validity running out, or the opportunity being lost; booking it makes the unit Booked
Allotted Allotting the unit on an allottee's offer Removing it from the offer (Release unit) or cancelling the offer; it goes back to the status it had before
Booked Booking the unit (an allottee's unit stays Allotted when booked) Cancelling the booking; the unit becomes Available
Sold Handing the unit over on the booking (recording the handover date) Clearing the handover date; the unit goes back to Booked

The Designation (Saleable, PAP or Common) says who the unit is for. Once the unit is Reserved For Tenant, Allotted, Reserved For Buyer, Booked or Sold, someone has been promised it on that basis, so the designation is frozen until the unit is released. Only Common units (amenity space such as a gym or society office) can house an amenity.

Deleting follows the same idea. A unit can be deleted only while it is Available, and a tower or floor only when every unit under it is Available, because deleting them deletes their units too. Even an Available unit is kept when a past estimate or booking still refers to it, so that record keeps its unit.

How to fix it

  1. Find what holds the unit. Hover the unit on the Units view of Structure: the tooltip names the occupant or the status. The List view's Status filter shows every unit that is not Available, which is what blocks a tower or floor delete.
  2. A unit on hold (Reserved For Buyer): open the buyer's estimate from the opportunity and use Cancel estimate on the Estimate page (the Edit permission on Estimates), or let its validity run out. The unit returns to Available.
  3. An Allotted unit: open the offer from the member's row on Society & Tenants or from the Allottee page and use Release unit, then save (the Edit permission on Termsheets), or cancel the offer. The unit goes back to the status it had before allotment.
  4. A Booked unit: the only way back is cancelling the booking with the Cancel booking wizard. Do this only when the sale is genuinely off. A Sold unit has been handed over; it goes back to Booked only if the handover date is cleared on the booking.
  5. A Blocked or Reserved For Tenant unit: set Status back to Available yourself in the unit panel and click Save changes (the Edit permission on Towers, Floors & Units). A Reserved For Tenant unit must be set to Available before its designation can change.
  6. Once the unit is Available (or Blocked), change the Designation, or delete the unit, floor or tower. Deleting needs the Delete permission on Towers, Floors & Units.
  7. "That conflicts with existing data." on an Available unit: an old estimate or booking still refers to it, so it cannot be deleted. Set it to Blocked to keep it out of sale instead.
  8. For the amenity message: set the unit's Designation to Common (amenity space) before picking the amenity, or clear the amenity from a Saleable or PAP position in the generator.
  9. For a sheet row error: remove the designation change for that unit from the sheet (or release the unit first), then choose the file again and click Import N rows.

  • Unit designation: Saleable, PAP, CommonConcept

  • Earmark rehab units for tenantsHow-to

Keep units back for the rehab side of a redevelopment: set a unit's status to Reserved For Tenant so it waits for a member or landowner, designate PAP units that only PAP tenants can take, and mark Common units that house an amenity and are never sold.

  • Cancel or delete an offerHow-to

Withdraw an offer that has gone out (cancel: units released, record kept) or remove a draft or cancelled offer altogether (delete), from the offer panel or the allottee's page.

  • Unit cannot be allotted on the offer: taken, wrong designation, or too many unitsTroubleshooting

An offer can allot only units that are Available or Reserved For Tenant, not on another offer, of the right designation for the allottee (PAP units to PAP tenants only, Common units to no one), and at most 50 of them.
