Cancel or delete an offer

Withdraw an offer that has gone out (cancel: units released, record kept) or remove a draft or cancelled offer altogether (delete), from the offer panel or the allottee's page.

Cancel or delete an offer

An offer that has gone out is cancelled, never deleted: cancelling releases its units and cancels its pending installments but keeps the record, so what was offered can still be seen and the offer can be revived later. A draft, or an offer already cancelled, can be deleted outright. Both are done from the offer panel on the project's Society & Tenants tab or from the allottee's page.

Before you start

  • Cancel applies to an Issued, Accepted or Signed offer and needs the Edit permission on Termsheets. Delete applies to a Draft or Cancelled offer and needs the Delete permission on Termsheets. In the default roles the Administrator, the Rehab Officer and Legal & Documentation can cancel; only the Administrator and the Rehab Officer can delete.
  • Nothing has been paid on the offer. Once a benefit has been paid, waived or accrued in a payout run, the offer can be neither cancelled nor deleted here.
  • No live demand on the offer (only older offers with charge lines have demands): cancel the demand first on its page.
  • None of the allotted units is being bought by the allottee with an estimate out or a booking. Cancel that estimate or booking first (Cancel a booking).

Steps

  1. Open the project, choose the Society & Tenants tab and open the offer: the status badge in the allottee's Offer column, or the open icon on its row in Offers (term sheets). The Offer column only shows a live offer, so open a cancelled one from Offers (term sheets). The panel "Offer · <name>" opens with its status badge. Its footer shows Cancel offer on an issued, accepted or signed offer, or Delete on a draft or cancelled one. See Society & Tenants.
  2. To withdraw an offer that has gone out (Issued, Accepted or Signed), click Cancel offer. The dialog "Cancel offer?" explains: "The offer is marked Cancelled, pending installments are cancelled and the allotted units are released. It can be reopened as a draft later. Offers with a live demand must have it cancelled first." Confirm with Cancel offer. You see "Offer cancelled." The badge reads Cancelled, the notice "This offer is cancelled; reopen it to edit." appears, every pending installment is Cancelled, and each allotted unit goes back to the status it had before it was allotted (Available, or Reserved For Tenant for an earmarked unit).
  3. To remove a Draft or Cancelled offer, click Delete. The dialog "Delete offer?" explains: "The offer and its schedule will be removed and the allotted units released. Offers with recorded money or demands cannot be deleted." Confirm with Delete. You see "Offer deleted." and the panel closes; the offer disappears from Offers (term sheets). After deleting a draft, the allottee's Offer column reads Create offer again.
  4. You can do the same from the allottee's page (Allottee), on the Offers card: the cross on the row (Cancel this offer) asks "Cancel this offer?" ("The offer is marked Cancelled and the units it held are released. The record stays, so what was offered can still be seen."); confirm with Cancel offer. The bin (Delete this offer) asks "Delete this offer?" ("The offer and its money lines are removed and any unit it held is released. Only a draft or an already cancelled offer can be deleted."); confirm with Delete. The cross is greyed out on a draft ("A draft is deleted, not cancelled") and on a cancelled offer ("Already cancelled"); the bin is greyed out on an offer that has gone out ("Only a draft or cancelled offer can be deleted; cancel it instead").

What happens next

  • After a cancel, the system rule "Member offer cancelled (system)" notifies the Rehab Officers and Finance Leads: "Offer cancelled: <name>, <project>", "Allotted units are released. Review any benefits already paid."
  • The allottee has no live offer on the project any more, so Create offer and New offer are available again: Draft an offer to an allottee.
  • A cancelled offer can be revived with Reopen as draft ("Offer draft."): its cancelled installments come back as Pending, but its units must be allotted again before it is re-issued. This is refused when the allottee already has a newer live offer on the project.
  • Purchases of the extra area that hadn't got as far as a sent estimate are closed as Lost when their unit is released.
  • The released units show as Available or Reserved For Tenant again on the Structure tab.

If something goes wrong

  • "Money has been recorded against this termsheet; cancellation with refund is handled by the accounts module" (cancel) or "Money has been recorded against this termsheet" (delete): a benefit on the offer has been paid, waived or accrued in a payout run, so the offer is in the books and can't be withdrawn from here. See Offer cannot be cancelled (trouble.projects.offer-cannot-be-cancelled).
  • "A demand has been raised on this offer; cancel the demand first": cancel the live demand on its page and try again. Same article (trouble.projects.offer-cannot-be-cancelled).
  • "Demands were raised on this offer; it can only be cancelled": an offer that ever had a demand, even a cancelled one, keeps its record. Cancel it instead of deleting it. See Offer cannot be cancelled, reopened, edited or deleted (trouble.projects.offer-cannot-be-cancelled).
  • "Unit <u> is being bought by the allottee (estimate out or booked); cancel that first": one of the units has a purchase too far along to release. Cancel the estimate or the booking, then cancel or delete the offer. See Offer cannot be cancelled, reopened, edited or deleted (trouble.projects.offer-cannot-be-cancelled).
  • "This booking is already cancelled." when cancelling an offer: despite the wording, it means the offer was already cancelled (by someone else, since your screen loaded). Close and reopen the panel. See Offer cannot be cancelled, reopened, edited or deleted (trouble.projects.offer-cannot-be-cancelled).
  • The buttons aren't shown or the icons are greyed out with their own name as the reason: your role lacks the Edit or Delete permission on Termsheets. See No permission (trouble.admin.no-access).

Cancel a booking with the four-step cancellation wizard: see which demands are reversed, set the forfeiture and charges the rule suggests, set the refund, and confirm, which releases the unit and parking slots, marks the opportunity Lost and posts every entry in one go.

  • Offer cannot be cancelled, reopened, edited or deleted: money, demands, purchases or its status stand in the wayTroubleshooting

An offer with money recorded against it is in the books and is not cancelled from the offer; a live demand must be cancelled first; an allottee's purchase that has an estimate out or a booking must be cancelled before its unit comes off the offer; and each action is allowed only from the statuses it moves from, so a non-draft offer is reopened before it is edited.

  • "No access" or "You do not have permission": your role lacks a permissionTroubleshooting

Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
