Estimate action refused: not the current version, or the wrong status

Estimate actions apply only to the current (highest live) version and only in certain statuses: a Draft is edited, a Draft or Sent version is finalized, a Pending Approval one is approved, the current Approved one is booked; anything else is refused and usually means the page is stale or an older version is open.

Messages this explains

  • “Only the current (latest live) version can be finalized.”
  • “Version N is not the current version and cannot be finalized.”
  • “Estimate vN is not the current version.”
  • “Only a Draft estimate can be changed. Create a new version, or cancel it.”
  • “This version is <status> and the opportunity is <stage>; nothing on it can change. Open it to see the record.”
  • “Cannot <action> a <status> estimate”
  • “Estimate is already <status>”
  • “This estimate is not awaiting approval.”
  • “This estimate is booked. Cancel the booking instead.”
  • “Estimate vN is <status>; only an Approved estimate can be booked.”
  • “Only the current, Approved estimate can be booked.”
  • “This opportunity has no estimate to book. Create and approve an estimate first.”

Estimate action refused: not the current version, or the wrong status

You pressed an estimate action (edit, finalize, approve, cancel, book) and the app refused it, because the version you are on is not the one the opportunity is working from, or its status does not allow that step.

What you see

On the estimate page, as an error after pressing a button:

  • Finalize pricing: "Only the current (latest live) version can be finalized."
  • Mark sent, Finalize pricing, Request approval or Extend validity: "Cannot <action> a <status> estimate", for example "Cannot send a Sent estimate", "Cannot finalize a Pending Approval estimate", "Cannot request approval for a Draft estimate" or "Cannot extend the validity of a Draft estimate".
  • Cancel estimate: "Estimate is already <status>" (Superseded, Cancelled or Expired), or "This estimate is booked. Cancel the booking instead."
  • Approve / Reject: "This estimate is not awaiting approval."
  • Delete draft on a version that is no longer a Draft: "Only a Draft estimate can be changed. Create a new version, or cancel it."

On Edit estimate:

  • Saving the pricing of a version that stopped being a Draft after you opened it shows the same "Only a Draft estimate can be changed. Create a new version, or cancel it."

  • Opening a Superseded or Cancelled version, or any version of a Booked or Lost opportunity, shows "This version is <status> and the opportunity is <stage>; nothing on it can change. Open it to see the record." with the link Open the estimate. The status and stage appear in lower case, for example "This version is superseded and the opportunity is booked; …".

  • On the Review & finalize step the finalize button is greyed out with the warning "Version N is not the current version and cannot be finalized."

In the booking wizard:

  • Red alerts "Estimate vN is not the current version." or "Estimate vN is <status>; only an Approved estimate can be booked.", with Continue and Book greyed out and the same reasons on hover.
  • "This opportunity has no estimate to book. Create and approve an estimate first." when the opportunity has no estimate at all.
  • If the estimate changed after the wizard loaded, Book is refused with "Only the current, Approved estimate can be booked."

Why it happens

Each estimate is a numbered version of one opportunity. The current version is the live one with the highest number (live meaning Draft, Sent, Finalized, Pending Approval, Approved or Rejected). Saving a new version immediately makes the previous one Superseded, and its approval no longer counts. This keeps one clear offer per buyer: only the current version can be finalized, approved into a booking or booked, so an old price can never be booked by mistake.

Each step also has a fixed place in the lifecycle:

Step Allowed when the estimate is
Edit the pricing, Delete draft Draft
Mark sent Draft
Finalize pricing Draft or Sent, and current
Request approval Finalized or Rejected, with a finalized payment plan
Approve / Reject Pending Approval, with an open request
Extend validity Sent, Finalized, Pending Approval, Approved or Rejected
Cancel estimate anything but Draft (delete a draft instead), Superseded, Cancelled or Expired, and not the booked one
Book Approved and current, on an open opportunity

From Finalized on, the price is locked; only the payment plan can still be versioned. A booked estimate belongs to the booking, so it is released only by cancelling the booking.

Most of these refusals mean the page is out of date: someone else created a new version, decided the approval, or cancelled the estimate after you opened it, or you followed an older link to a superseded version.

How to fix it

  1. Refresh the page and read the status badge and the Current badge. If the action is no longer offered, someone else already moved the estimate on.
  2. Open the current version. On the opportunity's Estimates tab the current version carries the Current badge; open it and repeat the action there.
  3. To change the price of a version that is not a Draft, use New version on the current estimate (the Create permission on Estimates). The new draft is seeded from it; when saved, the old version becomes Superseded and the new one goes through finalizing and approval again. See Revise an estimate.
  4. To get a Rejected or Finalized estimate approved, finalize its payment plan or use Request approval (the Edit permission on Estimates). An approver with the Approve permission on Estimates (in the default roles the Administrator, the Finance Lead and the Sales Manager) then decides it from the Awaiting approval tab of Estimates.
  5. To book, open Book from the opportunity or from the current Approved estimate, not from an older version. If the opportunity has no estimate, price one first (Price a unit).
  6. To withdraw a booked estimate, cancel the booking instead (Cancel booking on the booking page).
  7. On a Booked or Lost opportunity nothing on the estimates can change. Reopen a Lost opportunity first (Reopen, the Edit permission on Opportunities), then price a new estimate.

  • Estimate versions, price lock, overrides and the approval gateConcept

Every priced offer to a buyer is a numbered version of the opportunity: a Draft is edited in place, any later price change is a new version that supersedes the current one, the price is locked when finalized, and every estimate must be approved before it can be booked.

  • Opportunity stages, lead sources and system activitiesConcept

An opportunity moves through Lead, Estimate, Approval and Booked (or Lost) only through the actions taken on it; every move is written to its stage history and its timeline, where locked system activities sit beside the calls and visits the team logs.

  • Revise an estimate after a rejection or a change of termsHow-to

Change a locked estimate the right way: a new version for a different price, unit or parking (the old version is superseded), a new payment plan version when only the terms change, or a fresh approval request on the same version.

  • Finalize an estimate and request approvalHow-to

Lock the estimate's price and finalize its payment plan so an approver sees both together: from the wizard's Review & finalize step in one go, or from the estimate page with Finalize pricing and Finalize plan.

  • Approve or reject an estimateHow-to

Find an estimate that is awaiting approval from the approvals inbox or your task, review its price and payment plan, and approve it so it can be booked or reject it with comments for the team to revise.

  • Book a unitHow-to

Turn an approved estimate into a booking: review what was approved, add the co-applicants and their shares, set the booking date and book, then record the agreement details and any co-applicant who joins later.

  • Price a unit for a buyerHow-to

Create the first estimate on an opportunity: pick the unit on the availability grid, any parking slots, a unit pricing plan or hand-added charges with overrides and GST, set the validity and save it as a draft.

  • "A Draft estimate already exists": one draft estimate (or draft payment plan) at a timeTroubleshooting

An opportunity can have only one Draft estimate, and an estimate only one Draft payment plan; the New estimate and New version buttons hide while a draft exists, and the draft has to be finished, deleted or (for a plan) edited before another one can be started.

  • Estimate expired or its validity date has passed: the unit hold was releasedTroubleshooting

An estimate holds its unit only until its Valid until date. A draft whose date has already passed cannot be sent or finalized, a new validity date cannot be in the past, and once the date has passed the hourly job marks the estimate Expired, releases the unit and parking slots and tells the team; an expired estimate cannot be revived, so a new one is priced.
