Finalize an estimate and request approval

Lock the estimate's price and finalize its payment plan so an approver sees both together: from the wizard's Review & finalize step in one go, or from the estimate page with Finalize pricing and Finalize plan.

Finalize an estimate and request approval

Finalizing locks the price of the current estimate version and its payment plan, and puts the pair in front of an approver. Nothing can be booked before that approval. Finalizing also holds the unit and the parking slots for the buyer, as sending the estimate does, until its validity date.

Before you start

  • The estimate's pricing is saved (Price a unit for a buyer) and a payment plan is drafted (Agree the payment plan). Only the current version, the live one with the highest number, can be finalized.
  • Valid until is today or later. Finalizing (like sending) starts the unit hold, and a validity date in the past is refused; edit the draft's Valid until first if it has slipped.
  • The unit is still Available or already held for this buyer, and the picked parking slots are still free; another buyer's hold blocks the finalization.
  • Optionally, send the estimate first: Mark sent on the estimate page records that the buyer has the offer, holds the unit and parking slots at once ("Estimate v<n> marked as sent."), and makes the Resend cost sheet workflow button available. The buyer gets nothing by email unless the rule "Estimate sent: email the cost sheet (system)" is switched on; the printed cost sheet comes from Generate document on the estimate's Documents card with a published Cost Sheet template.
  • You need the Edit permission on Estimates (and View on Opportunities): in the default roles the Administrator, the Sales Manager and the Sales Executive.

Steps

  1. From the Payment plan step of the estimate wizard click Save & review, or open the wizard (Edit draft v<n> on the opportunity, or the Payment plan card's buttons on the estimate page) and choose Review & finalize on the stepper. The card "Review & finalize" reads "Finalizing locks the price and the plan together and sends the estimate for approval; the approver sees both." On the left, Pricing with the estimate's status badge: Unit, Pricing plan, Charges ("<n> lines"), Total, GST included and the grouped charges table. On the right, Payment plan with its badge, "v<n> · <summary>" and the schedule preview dated from today; Edit (or New version / Add plan) takes you back to the plan step. Amber warnings block the action while they apply: "Add a payment plan before finalizing." or "Version <n> is not the current version and cannot be finalized."
  2. Click Finalize pricing & plan, request approval (the label reads Finalize plan & request approval when the price is already locked, or Finalize plan (approver sees it) when a request is already pending). The dialog "Finalize and request approval?" reads "The price of version <n> (₹<total>) is locked and payment plan v<m> is finalized. An approval request is opened for both." Click Finalize. You see "Estimate v<n> finalized with its payment plan; approval requested." and the estimate page opens: the badge reads Pending Approval, the Payment plan card shows v<m> Finalized, the Approvals card lists your request ("requested by <email>"), the opportunity's stage badge reads Approval, and Unit & plan shows Unit hold "Held for this buyer until <date>; no other estimate can be sent on it." with Finalized stamped. Keep as draft & close on the review step leaves everything as it is.
  3. Alternatively, from the estimate page: click Finalize pricing (offered on a Draft or Sent current version). You see "Estimate v<n> pricing locked. Finalize a payment plan to request approval." The badge reads Finalized, the unit is held, and the Payment plan card shows "Pricing is locked. Finalize the payment plan to request approval." (or "Draft and finalize a payment plan to request approval." when none is drafted yet). The price can no longer be edited; the wizard's first step becomes Pricing (locked).
  4. On the Payment plan card click Finalize plan (greyed out with "Finalize the pricing first." until step 3 is done). The dialog "Finalize payment plan?" reads "Version <n> is locked; later changes need a new version. Finalizing requests approval of price and schedule together." Click Finalize. You see "Payment plan v<n> finalized; approval requested." and the badge reads Pending Approval, as after step 2.

What happens next

  • The seeded rule "Estimate approval requested (system)" opens a high-priority task "Approve estimate for Unit <unit>: <name>", due tomorrow, for the least-loaded Sales Manager, and notifies every Sales Manager ("Approval requested: Unit <unit>, Rs <total>"). The estimate shows in Estimates > Awaiting approval. Next: Approve or reject an estimate.
  • The unit becomes Reserved For Buyer for this opportunity and the estimate's free parking slots are held with it (the timeline records the hold), until the estimate is cancelled, expires, is superseded by a version on another unit, or is booked. Nobody else can be quoted that unit meanwhile. An allottee's unit stays Allotted.
  • The price is locked: from here on a changed price is a New version, which supersedes this one when saved. The payment plan can still be versioned; finalizing a new plan version on an Approved estimate sends it back to Pending Approval ("Finalizing sends the estimate back for approval with the new terms."), and on a Pending Approval estimate keeps the open request with the new plan ("The approver will see this plan with the price.").
  • The hold runs to Valid until. The hourly expiry job marks the estimate Expired the day after that date, whatever its status short of booked, and frees the unit and parking slots; the rule "Estimate expired: re-quote or close (system)" then notifies the creator and the Sales Managers and adds a task. For a Sent estimate the rule "Unit hold expiring in 2 days (system)" warns two days before. To keep the hold, click Extend validity on the estimate page, set the New validity date and a Reason ("Version <n> is valid until <date>; unit <unit> stays on hold for this buyer until the new date. The reason goes on the opportunity's timeline."), and click Save new date: "Estimate v<n> now valid until <date>."
  • After a rejection, Request approval on the estimate page re-opens a request on the same version ("Approval requested again."), or make a new version: Revise an estimate.
  • Once approved, Book appears: Book a unit.

If something goes wrong

  • The button on the review step is greyed out with "Add a payment plan before finalizing.": draft a plan first (Agree the payment plan).
  • "Version <n> is not the current version and cannot be finalized." or "Only the current (latest live) version can be finalized.": a newer version exists; open it from the opportunity's Estimates tab. See Estimate not current (trouble.sales.estimate-not-current).
  • "The estimate's validity date <date> has passed; set a later date before sending it": the draft's Valid until is in the past. Click Edit, move the date, save and finalize again. See Validity date has passed (trouble.sales.validity-date-passed).
  • "Unit <unit> is held for <name> until <date>", "Unit is <status>" or "Parking slot <no> (<parking area>) is held for <name> by a sent estimate": the unit or a parking slot was taken since the draft was priced. Make a new version on a free unit or parking slot. See Unit is on hold or not for sale (trouble.sales.unit-on-hold).
  • Finalize plan is greyed out with "Finalize the pricing first.", or the server answers "Finalize the estimate (lock the pricing) before the payment plan": lock the price first (step 3). See Finalize in order: pricing, plan, approval, booking (trouble.sales.cannot-finalize-plan-pricing-first).
  • "Cannot finalize a <status> estimate", "Cannot finalize a <status> payment plan" or "Finalize a payment plan before requesting approval": the estimate or plan moved on while your page was open (sent, finalized, cancelled or superseded by someone else). Refresh and follow the buttons now shown. See Estimate not current or in the wrong status (trouble.sales.estimate-not-current).
  • The review step's action locked the price but the page shows Finalized with no request (the plan's finalization failed after the price was locked): fix what the message says, then click Finalize plan on the estimate page's Payment plan card, which requests the approval.
  • "Estimate v<n> was priced on <x> sq ft chargeable; the offer now gives <y> sq ft (entitled <e> of <a>). Reprice it first" on an allottee's purchase: the offer's split changed after pricing; make a new version.
  • The buttons aren't shown, or "You do not have permission to view estimate editing. Ask your administrator.": your role lacks the Edit permission on Estimates. See No permission (trouble.common.no-permission).

  • Revise an estimate after a rejection or a change of termsHow-to

Change a locked estimate the right way: a new version for a different price, unit or parking (the old version is superseded), a new payment plan version when only the terms change, or a fresh approval request on the same version.

  • Book a unitHow-to

Turn an approved estimate into a booking: review what was approved, add the co-applicants and their shares, set the booking date and book, then record the agreement details and any co-applicant who joins later.

  • Estimate versions, price lock, overrides and the approval gateConcept

Every priced offer to a buyer is a numbered version of the opportunity: a Draft is edited in place, any later price change is a new version that supersedes the current one, the price is locked when finalized, and every estimate must be approved before it can be booked.

  • Estimate validity and the unit holdConcept

A sent estimate holds its unit (and the parking slots it picked) for that buyer until its Valid until date; the hold starts on sending, can be extended with a reason, and an hourly job expires the estimate and frees the unit the day after the date passes.

  • Unit status lifecycle: available, reserved, allotted, held, booked, soldConcept

  • Opportunity stages, lead sources and system activitiesConcept

An opportunity moves through Lead, Estimate, Approval and Booked (or Lost) only through the actions taken on it; every move is written to its stage history and its timeline, where locked system activities sit beside the calls and visits the team logs.

  • Estimate expired or its validity date has passed: the unit hold was releasedTroubleshooting

An estimate holds its unit only until its Valid until date. A draft whose date has already passed cannot be sent or finalized, a new validity date cannot be in the past, and once the date has passed the hourly job marks the estimate Expired, releases the unit and parking slots and tells the team; an expired estimate cannot be revived, so a new one is priced.

  • Unit or parking slot is not free: held for another buyer, not for sale, or taken before bookingTroubleshooting

An estimate can be priced, sent or booked only on a Saleable unit that is Available or already held for this buyer, with parking slots that are free or held for this buyer; a unit or parking slot held by another buyer's sent estimate, allotted, booked, blocked, or of PAP or Common designation is refused, including when someone else takes it between the estimate and the booking.

  • Estimate action refused: not the current version, or the wrong statusTroubleshooting

Estimate actions apply only to the current (highest live) version and only in certain statuses: a Draft is edited, a Draft or Sent version is finalized, a Pending Approval one is approved, the current Approved one is booked; anything else is refused and usually means the page is stale or an older version is open.

  • Payment plan cannot be finalized, or the estimate cannot be approved or booked: finalize in orderTroubleshooting

An estimate goes price first, plan second: the pricing is locked, then a payment plan whose shares add up to 100% is finalized, which requests approval; only an Approved estimate with a Finalized plan can be booked.

  • "No access" or "You do not have permission": your role lacks a permissionTroubleshooting

Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
