Estimates

Every priced offer across projects, with an approvals inbox where approvers accept or reject estimates awaiting a decision and an all-estimates view with status and version filters.

Estimates

This page lists every estimate in your organization. Approvers use its Awaiting approval tab as their inbox; everyone else uses All estimates to see where each offer stands.

Where to find it

In the sidebar, open the CRM group and choose Estimates (shown with any permission on Estimates). The dashboard's "Estimates awaiting your approval" and "Estimates expiring soon" buckets and the funnel's Approval step also open it, as does the Estimates breadcrumb on an allottee's estimate.

You need the View permission on Estimates; otherwise the page shows "No access" and "You do not have permission to view estimates. Ask your administrator."

What you see

The header reads "Priced offers to buyers, versioned and approved before booking. Approvers decide from the inbox; everyone else sees where each offer stands."

Top right, two tabs: Awaiting approval (only estimates in Pending Approval with an open request) and All estimates. The page opens on All estimates, so a draft you have just made is in view.

The filters above the grid:

  • Project: All projects or one project (shown with the View permission on Projects).
  • On All estimates only: Status (All statuses or one status) and the Current versions only checkbox, ticked by default, which hides superseded and older versions.

Search with the box above the grid (placeholder "Search by buyer, phone or unit"); it matches the buyer's name, phone and email, the unit number and the estimate notes.

Column What it shows
Buyer The buyer's name, which opens the estimate, with the phone underneath.
Project / unit The project, with unit number, tower and floor underneath.
Version "vN" with a Current badge on the live highest version, and the unit pricing plan name or "Manual pricing" underneath.
Total The grand total, with "Valid until <date>" underneath once set.
Status Two badges: the estimate status and the opportunity's stage.
Requested by The email and time of the latest approval request, or "—".
Created The creation date.
Actions Open, and on the inbox rows Approve and Reject.

The grid opens newest first. Empty text: "Nothing is waiting for approval" on the inbox, "No estimates yet" on all estimates.

Allottee purchases are listed together with everyone else's estimates.

What you can do

Open

The first icon on a row (tooltip "Open"), or the buyer's name, opens the estimate.

  • Who: anyone who can see this list.

Approve

The tick icon (tooltip "Approve") opens "Approve estimate?": "Version N becomes Approved and can be booked." with Comments (optional). Confirm with Approve; a toast says "Estimate vN approved."

  • Who: anyone with the Approve permission on Estimates. In the default roles that is the Administrator, the Finance Lead and the Sales Manager.
  • When it is missing: the icon appears only on estimates in Pending Approval with an open request. If the request was decided meanwhile you see "This estimate is not awaiting approval."
  • What happens next: the estimate becomes Approved, the decision is recorded with your name, time and comments, and the system rule notifies the person who created the estimate that they can book.

Reject

The cross icon (tooltip "Reject") opens "Reject estimate?": "Version N is sent back as Rejected; the team can revise it or request approval again." Comments are required; Reject stays greyed out until you type them. A toast says "Estimate vN rejected."

  • Who: anyone with the Approve permission on Estimates.
  • What happens next: the estimate becomes Rejected, your comments show on the estimate page, and the system rule tells the creator to revise. The unit stays on hold until the validity date, so the team can re-quote.

Statuses

The estimate statuses are Draft, Sent, Finalized, Pending Approval, Approved, Rejected, Superseded, Cancelled and Expired; the Estimate article explains each and how they move. The second badge is the opportunity's stage.

Things to know

  • Every estimate needs an approval, whatever its price or discount. Approval is requested by finalizing the payment plan on a price-locked estimate, so the approver always sees price and schedule together. There is no amount-based rule that waives it.
  • Approvers see both the inbox and the full list; the inbox is just the Pending Approval filter with the decision buttons.
  • "Current versions only" is on by default because older versions are kept only for the record; untick it to see how an offer evolved.
  • The dashboard's "awaiting your approval" link opens on All estimates; switch to Awaiting approval to see just the inbox.
  • "Estimates expiring soon" on the dashboard counts Sent estimates only, although finalized, pending, approved and rejected estimates also expire on their validity date.

  • Approve or reject an estimateHow-to

Find an estimate that is awaiting approval from the approvals inbox or your task, review its price and payment plan, and approve it so it can be booked or reject it with comments for the team to revise.

  • Finalize an estimate and request approvalHow-to

Lock the estimate's price and finalize its payment plan so an approver sees both together: from the wizard's Review & finalize step in one go, or from the estimate page with Finalize pricing and Finalize plan.

  • Estimate versions, price lock, overrides and the approval gateConcept

Every priced offer to a buyer is a numbered version of the opportunity: a Draft is edited in place, any later price change is a new version that supersedes the current one, the price is locked when finalized, and every estimate must be approved before it can be booked.

  • Estimate validity and the unit holdConcept

A sent estimate holds its unit (and the parking slots it picked) for that buyer until its Valid until date; the hold starts on sending, can be extended with a reason, and an hourly job expires the estimate and frees the unit the day after the date passes.
