Price a unit for a buyer

Create the first estimate on an opportunity: pick the unit on the availability grid, any parking slots, a unit pricing plan or hand-added charges with overrides and GST, set the validity and save it as a draft.

Price a unit for a buyer

An estimate is a priced offer of one unit to one buyer: the unit, any parking slots, the charges (from a unit pricing plan, with inclusions and overrides, or added by hand) and how long the offer stands. It is the first of the estimate wizard's three steps; the payment plan and the finalization follow. Saving it moves the opportunity from Lead to Estimate.

Before you start

  • The opportunity exists and is open (Capture and work a lead), and has no Draft estimate: only one draft at a time, edited in place.
  • The project has towers, floors and units (Structure) with the area the project charges on recorded on each unit: Carpet area (Mofa) by default, or the Area basis chosen in the organization's or project's sales settings.
  • A unit pricing plan for the unit's type on the project's Unit Pricing tab (Create a pricing plan), or at least charge components of the Sale Charge kind to add by hand (Configure charge components).
  • When your organization requires it ("Require RERA registration before selling"), the project's RERA registration number and date are recorded (Record RERA and sales settings).
  • Permissions: the Create permission on Estimates and the View permission on Opportunities; in practice also View on Towers, Floors & Units (to pick the unit), View on Pricing Plans (plans and the live price), View on Charge Components (hand-added lines) and View on Parking. In the default roles the Administrator, the Sales Manager and the Sales Executive have all of these.
  • An allottee's purchase of the unit their offer allots is priced with the same wizard, but the unit is fixed and Per Sqft charges use the chargeable area from the offer: see Split the entitlement and start the allottee's purchases.

Steps

  1. Open the opportunity and click New estimate, in the header or on the Current estimate card ("No estimate yet. Price a unit for this buyer to move the opportunity forward."). The wizard "New estimate" opens on the Unit & pricing step, under "<project> · <name>. Pricing first, then the payment plan; finalizing both requests approval." The Payment plan and Review & finalize steps stay locked ("Save the pricing first") until the draft is saved. See New estimate.
  2. Under Unit ("Click an available unit on the grid, or search by number. Units ringed in purple match what the buyer asked for; you can always pick another.") click a unit on the availability grid, which shows every tower floor by floor with the counts of available, reserved, allotted, on hold, booked and sold units and a legend ("On hold (sent estimate)", "Allotted to an allottee", "Reserved for tenants (not yet allotted)"). Only sellable, free units are clickable. Or type in the Unit box ("Search units…"; "Sellable units of the project (PAP-reserved and common units are not offered); search by unit number."). The chosen unit shows with its tower, floor, type and carpet area.
  3. Under Parking (optional) ("Held for the buyer with the unit once the estimate is sent; allocated when it is booked.") click the parking slots the buyer wants on the layout. The line reads "The buyer asked for <n> parking slots. <n> picked. Click free parking slots to pick them. Sending the estimate holds them for the buyer with the unit; parking is charged through the unit pricing plan." Parking slots that aren't free show why on hover ("held for <name>", "booked", "allotted to <name>", "blocked").
  4. Choose the Unit pricing plan (the project's active plans for the unit's type; "The plan's charges load below; you can then include optional ones and override prices."), or leave "No plan — manual charges" to price entirely by hand. Changing to a unit of another type clears a plan of the old type.
  5. Beside the plan, under Validity & notes, check Valid until: it defaults to today plus the project's (else the organization's) validity days, 7 unless changed ("Defaults to <n> days from today (the project's setting); change it if needed. Once the estimate is sent the unit is held for this buyer until this date."). Add Notes ("Optional; shown on the estimate.").
  6. Adjust the Charges ("Charges are grouped as on the printed estimate, each group with its sub-total and GST. Plan charges follow the plan unless you override the rate, the amount or the GST rate (with a reason). Hand-added charges are fixed amounts."). Per line you have Charge, Pricing (Plan price, Override rate or Override amount), Value, GST % (hint "Plan: <n>%" or "Plan: not taxable"), Reason ("Why it differs") and the live Amount ("qty × rate", "+ GST <n>% ₹… = ₹…", or "Not included"). Tick Include this optional charge on optional plan lines. Every override needs a Reason. Add a charge adds a hand-added fixed line on top, choosing among active Sale Charge components. Each group closes with "<group> sub-total", and the strip at the bottom shows Sub-total, GST and Grand total, "Priced live by the server from the plan, your inclusions and overrides." Per Sqft lines multiply the rate by the unit's area on the project's chargeable area for buyers; Per Floor lines by the floors above the plan's starting floor; Percent Of Base lines take a percentage of the lines above them.
  7. Click Save & continue to payment plan, or Save & close to stop after the pricing. You see "Estimate v<n> created as a draft." The Payment plan step opens (or the estimate page, with the badge Draft and "Unit hold: Starts when the estimate is sent"). The opportunity's stage badge now reads Estimate.

What happens next

  • The estimate is version 1 in Draft. A draft holds nothing: the unit stays Available to others until the estimate is sent or its pricing finalized. The Current estimate card on the opportunity shows its total with Continue draft v<n>; the header shows Edit draft v<n>.
  • The timeline gets "Estimate v<n> created for unit <unit>: <total>".
  • Next, draft the collection terms: Agree the payment plan. Then either Mark sent on the estimate page, which holds the unit and the picked parking slots for the buyer (Reserved For Buyer) until Valid until, or go straight to Finalize an estimate and request approval, which locks the price and starts the same hold.
  • A draft is edited in place with Edit (Unit & pricing step, "Estimate v<n> (draft)"); the price is re-computed from what you save. From Sent on, a changed price means a new version: Revise an estimate.
  • The buyer's printed cost sheet is a generated document: Generate document on the estimate's Documents card uses a published Cost Sheet template (the starter "Cost estimate sheet (standard)" is seeded as a draft under Settings > Documents to edit and publish). The seeded rule "Estimate sent: email the cost sheet (system)" can email it on Mark sent but ships switched off.
  • The validity counts from the day the draft is created (the form pre-fills today plus the days), not from the day it is sent; move Valid until if the draft sits for a while, or the send is refused.

If something goes wrong

  • "Pick a unit", "Pick a pricing plan or add at least one charge", "Choose a charge", "Enter an amount", "Enter a rate", "Enter a GST rate from 0 to 100", "Say why it differs from the plan" or "This component appears more than once": the form is incomplete; fix the line the message sits under.
  • "A Draft estimate already exists for this opportunity. Edit that draft instead of creating another." with the link Open draft v<n>: only one draft at a time; open and edit that one. See A draft already exists (trouble.sales.draft-already-exists).
  • "Unit <unit> is held for <name> until <date>", "Unit is <status>" or "Unit <unit> is <designation> stock, not for sale": the unit is on hold for another buyer, no longer available, or is PAP or common stock. Pick another unit, or wait for the hold to lapse. See Unit is on hold or not for sale (trouble.sales.unit-on-hold).
  • "Parking slot <no> (<parking area>) is held for <name> by a sent estimate" or "Parking slot <no> (<parking area>) is <status>": pick another parking slot. Same article.
  • "Unit <unit> has no <area basis>, the area this project charges on; record it on the unit first" (in the totals strip and on save): the unit lacks the area the project prices on. Record it on the unit under Structure. See Unit has no chargeable area (trouble.projects.unit-has-no-chargeable-area).
  • "The pricing plan is for a different unit type than the chosen unit." or "That pricing plan belongs to a different project.": pick a plan that matches the unit.
  • "No active plan for <type>s in this project; add charges by hand or create a plan under the project's Pricing tab.": there is no plan for that unit type; add charges with Add a charge or create one on the Unit Pricing tab (Create a pricing plan).
  • "This project has no RERA registration number and date on file; record them under Land & RERA before estimates or bookings (organization setting).": record the RERA registration first. See RERA required (trouble.projects.rera-required).
  • "This opportunity is closed (booked or lost). Reopen it first.", or New estimate isn't shown on a Lost opportunity: reopen it (Reopen a lost opportunity). See Opportunity is booked or lost: its stage decides (trouble.sales.opportunity-cannot-be-deleted).
  • "This project has no towers or units yet; add them under the project's Structure tab.": build the structure first (Generate towers and units).
  • "Picking a unit needs the Structure permission. Ask someone with it to price this opportunity.", "Pricing plans and live pricing need the Pricing permission; only hand-added charges are possible.", "Picking parking needs the Parking permission." or "You do not have permission to view estimate creation. Ask your administrator.": your role lacks the View permission on that module, or the Create permission on Estimates. See No permission (trouble.common.no-permission).

  • Capture and work a leadHow-to

Create an opportunity for a buyer's enquiry on a project, assign it an owner, log the calls, site visits and follow-ups on its timeline, and keep the requirements up to date until it is ready to be priced.

  • Agree the payment planHow-to

Draft how the estimate's amount is collected (lumpsum, installments on a cadence or on agreed dates, or construction-linked), check the schedule preview and save the plan as a draft version on the estimate.

  • Finalize an estimate and request approvalHow-to

Lock the estimate's price and finalize its payment plan so an approver sees both together: from the wizard's Review & finalize step in one go, or from the estimate page with Finalize pricing and Finalize plan.

  • Revise an estimate after a rejection or a change of termsHow-to

Change a locked estimate the right way: a new version for a different price, unit or parking (the old version is superseded), a new payment plan version when only the terms change, or a fresh approval request on the same version.

  • Create a pricing plan and its charge linesHow-to

Set up a project's guidance price list for one unit type: create the plan, add a line per sale charge with its basis, amount and GST, save them together, and later retire the plan when a new price list replaces it.

  • Preview a price and payment schedule on a unitHow-to

Check a pricing plan on a real unit of the project: the grouped cost sheet with GST and grand total, then how a construction-linked or lumpsum payment plan would collect it, with the plan's stage links and possession charges applied; nothing is saved.

  • Configure charge groups and componentsHow-to

Review the standard charge groups and their default GST, add a group of your own, and add or retire the charge components (sale charges, tenant benefits, tenant charges, commissions) that pricing plans, estimates and offers are built from.

  • Record land, RERA and the project's settingsHow-to

Fill in the land survey details and expected possession, record the RERA registration (jurisdiction, certificate and validity) that lets the project be sold, and override the settings the project inherits from the organization on its Settings tab only where it differs: estimate validity, the chargeable areas for buyers and for members and tenants, carpet area offered, RERA escrow share, revenue method and trigger, plus its occupation certificate.

  • Split the entitlement and start the allottee's purchasesHow-to

Decide how the entitled area falls on each allotted unit and how much of the extra area the allottee pays for, then open a purchase per unit and price it through the usual estimate, approval and booking.

  • Estimate versions, price lock, overrides and the approval gateConcept

Every priced offer to a buyer is a numbered version of the opportunity: a Draft is edited in place, any later price change is a new version that supersedes the current one, the price is locked when finalized, and every estimate must be approved before it can be booked.

  • Estimate validity and the unit holdConcept

A sent estimate holds its unit (and the parking slots it picked) for that buyer until its Valid until date; the hold starts on sending, can be extended with a reason, and an hourly job expires the estimate and frees the unit the day after the date passes.

  • Unit areas and the chargeable areas: Carpet area (Mofa), RERA Carpet Area, Super Built-up AreaConcept

Every unit carries up to three areas; two settings say which one money is worked out on: the chargeable area for buyers (what a Per Sqft price multiplies on a buyer's estimate) and the chargeable area for members and tenants (what a member's offer and an allottee's purchase are measured in).

  • Pricing bases: Per Sqft, Per Floor, Fixed, Percent Of BaseConcept

Each charge line on a pricing plan is worked out on one of four bases: a rate per square foot of the chargeable area, a rate per floor above a starting floor, a fixed amount, or a percentage of the lines priced before it.

  • Charge groups and per-line GSTConcept

A charge group is a section of the cost sheet with a default GST rate; every charge line carries its own GST, worked out from the estimate override, the plan line, the component or the group, in that order.

  • Unit status lifecycle: available, reserved, allotted, held, booked, soldConcept

Where a unit stands right now, from Available through the rehab path (Reserved For Tenant, Allotted) or the sales path (Reserved For Buyer, Booked, Sold), who moves it and what each status blocks.

  • Parking areas and parking slotsConcept

A parking area (basement, podium, stilt) holds numbered parking slots that are inventory like units: held by a sent estimate, booked with the unit, or allocated to an allottee from the project.

  • "A Draft estimate already exists": one draft estimate (or draft payment plan) at a timeTroubleshooting

An opportunity can have only one Draft estimate, and an estimate only one Draft payment plan; the New estimate and New version buttons hide while a draft exists, and the draft has to be finished, deleted or (for a plan) edited before another one can be started.

  • Unit or parking slot is not free: held for another buyer, not for sale, or taken before bookingTroubleshooting

An estimate can be priced, sent or booked only on a Saleable unit that is Available or already held for this buyer, with parking slots that are free or held for this buyer; a unit or parking slot held by another buyer's sent estimate, allotted, booked, blocked, or of PAP or Common designation is refused, including when someone else takes it between the estimate and the booking.

  • Unit has no chargeable area: the area the project prices on is missingTroubleshooting

Per Sqft prices and allottee entitlements are worked out on one area basis (Carpet Area (Mofa), RERA Carpet Area or Super Built-up Area); a unit without that area cannot be priced, previewed or split until the figure is recorded on the unit.

  • Opportunity cannot be deleted, marked lost, reopened or worked: its stage decidesTroubleshooting

Only a Lead with no estimates can be deleted; anything further along is marked lost instead. A booked opportunity is closed only by cancelling its booking, a lost one must be reopened before it can be priced or booked, and a buyer who comes back is reopened rather than entered again.

  • No estimate or booking allowed: the project's RERA registration is missing, expired or not yet validTroubleshooting

With the organization's "Require RERA registration before selling" switch on, no estimate or booking can be made on a project unless a RERA registration whose validity covers today is recorded on its RERA registration card; an expiring one only warns, and opportunities can still be logged.

  • "No access" or "You do not have permission": your role lacks a permissionTroubleshooting

Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
