Revise an estimate after a rejection or a change of terms
Change a locked estimate the right way: a new version for a different price, unit or parking (the old version is superseded), a new payment plan version when only the terms change, or a fresh approval request on the same version.
Revise an estimate after a rejection or a change of terms
Once an estimate has left Draft its price is locked, so a change is always a new version: a new draft seeded from the current one, which supersedes it the moment it is saved. If only the payment terms change, the plan alone gets a new version and the price stands. And if the approver simply wants to look again, the same version can be sent back for approval.
Before you start
- You are on the current version (the live one with the highest number) and the opportunity is open. A Superseded or Cancelled version, or a Booked or Lost opportunity, can't be revised ("This version is <status> and the opportunity is <stage>; nothing on it can change.").
- No Draft estimate exists on the opportunity; if one does, edit it instead (Edit draft v<n>). A Draft is edited in place with Edit and never needs a new version.
- Read the approver's remarks: a rejected estimate shows "Rejected: <comments>. Revise with a new version or request approval again." and lists the decision on its Approvals card (Approve or reject an estimate).
- Permissions: the Create permission on Estimates for a new estimate version, the Edit permission on Estimates for a plan version, finalizing and re-requesting; in the default roles the Administrator, the Sales Manager and the Sales Executive have both.
- After booking, neither the estimate nor its plan is versioned here; the booking's schedule is changed with Regenerate schedule (Re-date an installment or regenerate the schedule).
Steps
- Open the current estimate: Open estimate on the opportunity, the Estimates tab, or the Estimates list. On a rejected version the estimate page shows "Rejected: <comments>. Revise with a new version or request approval again." and the Approvals card shows the request as Rejected, "rejected by <email> on <time>", with the comments. The header offers New version, Request approval (when the current plan is Finalized), Extend validity and Cancel estimate.
- For a different price, unit or parking, click New version. The dialog "Create a new version?" reads "A new draft is seeded from version <n>. As soon as the draft is saved, version <n> becomes Superseded" (adding "and its approval no longer counts" on an approved version). Click Create version. The wizard "New version after v<n>" opens on Unit & pricing, seeded with the same unit, parking slots, plan and charges (overrides included), under "<project> · <name> · the current v<n> becomes Superseded as soon as the pricing is saved. Pricing first, then the payment plan; finalizing both requests approval." Nothing has changed yet; Cancel leaves v<n> as it was. New version is also on the opportunity's header and Current estimate card, without the confirmation.
- Change what was asked for: another unit on the grid, other parking slots, an override with its Reason, an optional charge included or dropped, a new Valid until. Click Save & continue to payment plan. You see "Estimate v<n+1> created as a draft." Version <n> is now Superseded ("This version was replaced by a newer one; it is kept for the record.") and no longer counts for approval or booking, and the Payment plan step opens with a draft copy of v<n>'s plan ("You are editing draft v1."). See Price a unit for a buyer for the pricing step in full.
- Review or change the plan (Agree the payment plan) and click Save & review. On Review & finalize click Finalize pricing & plan, request approval and confirm with Finalize. You see "Estimate v<n+1> finalized with its payment plan; approval requested." and v<n+1> is Pending Approval (Finalize an estimate and request approval).
- If only the terms change and the price stands, skip the new estimate version: on the estimate page's Payment plan card click New version (offered on a Finalized plan before booking). The plan step reads "v<n> is finalized; saving creates v<n+1> and supersedes it." Edit the plan, click Save & review ("Payment plan v<n+1> drafted."), then on the review step click Finalize plan & request approval and confirm with Finalize ("payment plan v<n+1> is finalized. The estimate goes back to Pending Approval with the new terms." on an approved estimate). You see "Estimate v<n> finalized with its payment plan; approval requested." The estimate is Pending Approval with the new plan. The card's own Finalize plan does the same ("Finalizing sends the estimate back for approval with the new terms.").
- If nothing changes and the approver has reconsidered, click Request approval in the header of the Rejected estimate. You see "Approval requested again." and the badge reads Pending Approval; the earlier rejection stays on the Approvals card above the new request.
What happens next
- A new estimate version keeps the same opportunity, contact and requirements and its own number (v<n+1>); the superseded version stays readable from the Estimates tab (Estimates tab) with its charges, plan and approvals, for the record. It can't be sent, approved or booked again.
- The unit hold follows the current version: the same unit stays held for the buyer across versions. A version priced on another unit releases the old unit as soon as it is saved, and the new unit is held only once the new version is sent or finalized. Parking slots not carried over are released at the same time.
- The opportunity's stage doesn't fall back while you revise: it stays at Approval after a rejection and while the new version is a draft, and the approvers get a fresh "Approve estimate" task when you request approval again.
- Deleting the new draft (Delete draft, the Delete permission on Estimates) does not restore the superseded version; it stays Superseded, the unit hold is released, and the opportunity is left without a live estimate until a new one is priced. A Sales Executive can't delete drafts in the default roles; a draft that isn't needed is finished or left, since a second draft is refused.
- To drop a live estimate without replacing it, click Cancel estimate ("Version <n> will be marked Cancelled and can no longer be sent, approved or booked. A booked estimate cannot be cancelled; cancel the booking instead."): the hold is released, the opportunity falls back to Estimate or Lead, and the rule "Estimate cancelled: close its open tasks (system)" sets the version's open tasks to Cancelled. If the buyer is gone altogether, Mark the opportunity lost instead.
- A new plan version on a Pending Approval estimate keeps the open request; the approver sees the new plan ("The pending approval request stays open with the new plan.").
If something goes wrong
- Edit isn't shown on the estimate, or "Only a Draft estimate can be changed. Create a new version, or cancel it.": the price is locked; use New version (step 2). See Estimate not current or in the wrong status (trouble.sales.estimate-not-current).
- New version isn't shown but Edit draft v<n> is, or saving answers "A Draft estimate already exists for this opportunity. Edit that draft instead of creating another." with Open draft v<n>: a draft already exists; continue with it. See A draft already exists (trouble.sales.draft-already-exists).
- "This version is <status> and the opportunity is <stage>; nothing on it can change. Open it to see the record." when opening the wizard: you are on a superseded or cancelled version, or the opportunity is booked or lost. Open the current version from the Estimates tab, or reopen the opportunity. Same article (trouble.sales.estimate-not-current).
- "Unit <unit> is held for <name> until <date>", "Unit is <status>" or "Parking slot <no> (<parking area>) is held for <name> by a sent estimate" when saving the new version: the unit or parking slot you switched to isn't free. Pick another. See Unit is on hold or not for sale (trouble.sales.unit-on-hold).
- Request approval isn't shown on a rejected estimate, or "Finalize a payment plan before requesting approval": the current plan is a Draft or was cancelled; finalize a plan (step 5) and the request goes with it.
- "Cannot request approval for a <status> estimate" or "This estimate is not awaiting approval.": the estimate moved on while your page was open; refresh. See Estimate not current or in the wrong status (trouble.sales.estimate-not-current).
- New version isn't shown on a live, current version of an open opportunity: your role lacks the Create permission on Estimates. See No permission (trouble.common.no-permission).

- Estimate versions, price lock, overrides and the approval gateConcept
Every priced offer to a buyer is a numbered version of the opportunity: a Draft is edited in place, any later price change is a new version that supersedes the current one, the price is locked when finalized, and every estimate must be approved before it can be booked.
- Estimate validity and the unit holdConcept
A sent estimate holds its unit (and the parking slots it picked) for that buyer until its Valid until date; the hold starts on sending, can be extended with a reason, and an hourly job expires the estimate and frees the unit the day after the date passes.
- Payment plans: lumpsum, cadence, custom and construction-linkedConcept
A payment plan says how the buyer's total is collected: all at once, in equal installments on a cadence, on agreed dates, or as construction stages are achieved; it lives on the estimate as numbered versions, is finalized with the price for approval, and becomes the booking's schedule.
- Estimate action refused: not the current version, or the wrong statusTroubleshooting
Estimate actions apply only to the current (highest live) version and only in certain statuses: a Draft is edited, a Draft or Sent version is finalized, a Pending Approval one is approved, the current Approved one is booked; anything else is refused and usually means the page is stale or an older version is open.
- "A Draft estimate already exists": one draft estimate (or draft payment plan) at a timeTroubleshooting
An opportunity can have only one Draft estimate, and an estimate only one Draft payment plan; the New estimate and New version buttons hide while a draft exists, and the draft has to be finished, deleted or (for a plan) edited before another one can be started.
- Unit or parking slot is not free: held for another buyer, not for sale, or taken before bookingTroubleshooting
An estimate can be priced, sent or booked only on a Saleable unit that is Available or already held for this buyer, with parking slots that are free or held for this buyer; a unit or parking slot held by another buyer's sent estimate, allotted, booked, blocked, or of PAP or Common designation is refused, including when someone else takes it between the estimate and the booking.
- "No access" or "You do not have permission": your role lacks a permissionTroubleshooting
Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
