Edit estimate (estimate wizard)

Continue an estimate in three steps: edit the draft pricing, draft or re-version the payment plan (lumpsum, installments, custom dates or construction-linked), then review and finalize, which locks price and plan and requests approval.

Edit estimate (estimate wizard)

The estimate wizard carries an estimate from a priced draft to an approval request. Step 1 is the pricing (editable while the estimate is a Draft), step 2 the payment plan, step 3 the review that finalizes both and sends the estimate for approval. The step you are on is in the page address, so a reload lands on the same step.

Where to find it

Click Edit, Edit draft vN or Continue draft vN on an opportunity or its Estimates tab; Edit on the estimate; Draft payment plan, Edit draft or New version on the estimate's payment plan card (these open the plan step directly); or Save & continue to payment plan on New estimate. The breadcrumbs read Opportunities > <buyer> > Estimate vN > Continue.

You need the Edit permission on Estimates ("You do not have permission to view estimate editing. Ask your administrator.") and the View permission on Opportunities.

A version that is Superseded or Cancelled, or whose opportunity is Booked or Lost, cannot be edited: the page reads "This version is <status> and the opportunity is <stage>; nothing on it can change. Open it to see the record." (status and stage in lower case) with an Open the estimate link.

What you see

The title reads "Estimate vN (draft)" while the price is editable and "Estimate vN · payment plan" once it is locked, with the estimate's status badge and "plan vN <status>". Underneath: "<project> · <buyer> · ₹<total>. Pricing first, then the payment plan; finalizing both requests approval."

The stepper shows Unit & pricing (or Pricing (locked)), Payment plan and Review & finalize. A draft opens on the pricing step; a locked estimate opens on the plan step.

Step 1: Unit & pricing

On a Draft, the same form as New estimate: the unit, parking slots, unit pricing plan, validity, notes and charges, pre-filled with the draft's values.

Once the price is locked the step becomes Pricing (locked): "The price of version N is locked. Create a new version from the estimate page to change it; the payment plan can still be versioned here." with the charges by group and Continue to payment plan.

Step 2: Payment plan

"How ₹<amount> for unit X is collected" and, when the pricing plan sends some charge groups to possession, "; ₹<amount> more is due at the time of possession, outside the plan." Then "You are editing draft vN." or "vN is finalized; saving creates vN+1 and supersedes it."

  • Plan type: Lumpsum ("All of it on the booking date"), Installments ("Spread over time") or Construction-linked ("As milestones are achieved"). The last is offered only when the project has construction stages and you hold the View permission on Construction Stages. A lumpsum plan has nothing more to set: "Every charge falls due in full on the booking date. Nothing else to set."
  • Installments come in two shapes:
    • On a schedule ("Same amount every week, month, quarter…"): Cadence, Number of installments (1 to 600; a one-time cadence has exactly 1), First installment on and Day of month or Weekday.
    • Custom (date-linked) ("Each row on an agreed date, days after booking, or at a milestone"): the Payment rows section ("One row per agreed payment: its share and when it falls due. A row may wait on a milestone instead of a date (e.g. 20% at possession)."), with columns #, Share, Amount, Due, When, Label and Balance after. Each row has a share (%) or an amount (₹; typing one recomputes the other), a due anchor (On a date, Days after booking or At a milestone), a label (placeholder "e.g. On agreement") and the balance left after the row. Add row puts a new row on top ("No rows yet." until then); up to 200 rows. The "Rows total" badge shows whether the shares reach 100% ("must reach 100%" until they do).
  • Construction-linked: the Milestone allocation section ("A share on booking, the rest as each construction stage is achieved."): On booking % (hint "0 for nothing on the booking date.") and one row per milestone with its share. Add milestone adds a row on top (each stage once), and Fill from milestone defaults copies the stages' own percentages and sets On booking to 0 (the button appears only when the project's stages carry default percentages). The badge "On booking + milestones =" must reach 100%. Achieved stages are marked "(achieved)", and a stage already on the plan cannot be picked twice ("No milestones yet." until the first row). The amount landing on each stage comes from the server preview.
  • At the time of possession: shown only when the pricing plan routes charge groups to possession. It lists those charges with "Total at possession" and the switch Show this section on the buyer's payment plan (on by default; "Off: the plan's previews, the booked termsheet and documents show the plan only; the charges stay owed and are still collected at possession.").
  • Notes (hint "Optional; e.g. what was agreed with the buyer.").
  • Schedule preview on the right, with an Assumed booking date you can change to see the dates. Without the View permission on Construction Stages: "Milestone-linked rows need the Milestones permission to list the project's milestones."

Validation messages: "Add at least one row", "Must be above 0", "Enter the due date", "Enter the days after booking", "Choose a milestone", "The rows add up to N%, not 100%", "Choose a calendar cadence", "At least 1 installment", "A one-time cadence allows exactly 1 installment", "Enter the first installment date", "For a weekly cadence use 0 (Monday) to 6 (Sunday)", "Use 1–31, or -1 for the last day of the month", "Add at least one milestone", "This milestone is listed twice", "Down payment plus milestone percents add up to N%, not 100%".

Step 3: Review & finalize

"Finalizing locks the price and the plan together and sends the estimate for approval; the approver sees both." Left, the Pricing summary (Unit, Pricing plan, Charges as "N lines", Total, GST included) and the charges by group; right, the Payment plan (version and summary) with its schedule preview, and a button to Edit a draft plan, start a New version of a finalized one, or Add plan when there is none.

Warnings that block the finalize button: "Add a payment plan before finalizing." and "Version N is not the current version and cannot be finalized." Once everything is done: "Price and plan are finalized; the estimate is <status>. Open the estimate."

What you can do

Save & continue to payment plan / Save & close (pricing step)

Save the draft's pricing; the toast says "Estimate vN updated." Save & continue to payment plan opens step 2, Save & close opens the estimate page.

  • Who: anyone with the Edit permission on Estimates, on a Draft.
  • What happens next: the server prices the estimate again from the unit, plan, inclusions and overrides you saved, and records the parking slots, validity date and notes. A parking slot dropped from the current version goes back to stock at once. The same pricing errors as on New estimate apply.

Continue to payment plan (locked pricing)

Moves to step 2 without changing anything.

Save & review / Save & close (plan step)

Save the payment plan. On a draft plan the toast says "Payment plan vN saved."; when the current plan is finalized, saving creates the next version ("Payment plan vN drafted.") and the finalized one becomes Superseded at once. Save & review opens step 3; Save & close opens the estimate page. Back returns to step 1.

  • Who: anyone with the Edit permission on Estimates.
  • Errors you may see: the row errors above; "That milestone belongs to a different project."; and on a second draft plan the message "A Draft estimate already exists for this opportunity. Edit that draft instead of creating another." (it means a draft payment plan already exists; edit that one).

Finalize pricing & plan, request approval

The single action of step 3. Its label depends on where the estimate stands: Finalize pricing & plan, request approval on a Draft or Sent estimate, Finalize plan & request approval on a Finalized, Rejected or Approved one, and Finalize plan (approver sees it) on a Pending Approval one. It asks "Finalize and request approval?": "The price of version N (₹…) is locked and payment plan vN is finalized." followed by "An approval request is opened for both." (or "The pending approval request stays open with the new plan." / "The estimate goes back to Pending Approval with the new terms."). Confirm with Finalize. The toast says "Estimate vN finalized with its payment plan; approval requested." and the estimate page opens.

  • Who: anyone with the Edit permission on Estimates.
  • When it is greyed out: while a warning shows: no payment plan, or this is not the current version.
  • What happens next: the pricing is locked (and, from Draft, the unit and parking hold starts), the plan is finalized, the estimate becomes Pending Approval, the opportunity moves to Approval, and the system rule opens an "Approve estimate" task for a Sales Manager and notifies the Sales Managers.

Keep as draft & close

Leaves everything as it is and opens the estimate page.

Back

On the plan step returns to the pricing step; on the review step returns to the plan step. Nothing is saved on the way back.

Statuses

The header badges show the estimate status and the plan status. Payment plans are Draft, Finalized, Superseded or Cancelled: one draft at a time, edited in place; a new version supersedes the finalized one when saved; finalizing locks it. See Estimate for the estimate statuses.

Things to know

  • The price locks; the plan versions. Once the estimate is finalized, the only way to change the price is a new estimate version from the estimate page. The payment plan can be re-versioned here as often as the negotiation needs; each finalized plan sends the estimate back for approval so the approver always signs off the current schedule.
  • Percent plans must add up to 100% (within a hundredth). On a cadence plan the installments are equal and the last one absorbs any rounding ("Equal installments; the last one absorbs any rounding.").
  • Charge groups can bypass the plan. On the project's Unit Pricing a group can be linked to construction stages (collected only on those stages, with the shares rescaled) or set to be collected at possession (one row on the project's expected possession date, outside the plan). That is why the plan step may show a smaller amount than the estimate total, with the rest "at the time of possession".
  • The plan divides what is left after possession charges, so the amount in the header is the estimate total less anything routed to possession.
  • A down payment is entered only on construction-linked plans (On booking). Schedule and custom installment plans made here carry no down payment.
  • The finalize action is two steps behind the scenes. If the plan cannot be finalized after the price has locked, the estimate is left Finalized without an approval request; open the estimate and use Finalize plan on its payment plan card.
  • The info note names "the Milestones permission"; in the role editor it is the View permission on Construction Stages.
  • Keep as draft & close is shown even after the estimate is no longer a draft; it simply returns to the estimate page.

  • Price a unit for a buyerHow-to

Create the first estimate on an opportunity: pick the unit on the availability grid, any parking slots, a unit pricing plan or hand-added charges with overrides and GST, set the validity and save it as a draft.

  • Agree the payment planHow-to

Draft how the estimate's amount is collected (lumpsum, installments on a cadence or on agreed dates, or construction-linked), check the schedule preview and save the plan as a draft version on the estimate.

  • Finalize an estimate and request approvalHow-to

Lock the estimate's price and finalize its payment plan so an approver sees both together: from the wizard's Review & finalize step in one go, or from the estimate page with Finalize pricing and Finalize plan.

  • Revise an estimate after a rejection or a change of termsHow-to

Change a locked estimate the right way: a new version for a different price, unit or parking (the old version is superseded), a new payment plan version when only the terms change, or a fresh approval request on the same version.

  • Payment plan cannot be finalized, or the estimate cannot be approved or booked: finalize in orderTroubleshooting

An estimate goes price first, plan second: the pricing is locked, then a payment plan whose shares add up to 100% is finalized, which requests approval; only an Approved estimate with a Finalized plan can be booked.

  • Estimate action refused: not the current version, or the wrong statusTroubleshooting

Estimate actions apply only to the current (highest live) version and only in certain statuses: a Draft is edited, a Draft or Sent version is finalized, a Pending Approval one is approved, the current Approved one is booked; anything else is refused and usually means the page is stale or an older version is open.

  • Payment plans: lumpsum, cadence, custom and construction-linkedConcept

A payment plan says how the buyer's total is collected: all at once, in equal installments on a cadence, on agreed dates, or as construction stages are achieved; it lives on the estimate as numbered versions, is finalized with the price for approval, and becomes the booking's schedule.

  • Expected possession date and charges at possessionConcept

The project's expected possession date is when the charge groups a pricing plan collects "at time of possession" fall due: one undivided row per charge, owed from booking, outside the buyer's payment plan, re-dated on every open booking when the date changes.

  • Estimate versions, price lock, overrides and the approval gateConcept

Every priced offer to a buyer is a numbered version of the opportunity: a Draft is edited in place, any later price change is a new version that supersedes the current one, the price is locked when finalized, and every estimate must be approved before it can be booked.
