Estimate versions, price lock, overrides and the approval gate
Every priced offer to a buyer is a numbered version of the opportunity: a Draft is edited in place, any later price change is a new version that supersedes the current one, the price is locked when finalized, and every estimate must be approved before it can be booked.
Estimate versions, price lock, overrides and the approval gate
An estimate is one priced version of an opportunity: this unit, these charges, this total, valid until this date. Versions are numbered v1, v2, v3 on the opportunity and never change once they leave Draft. A change of price is always a new version, so the buyer's history stays complete and an approver always decides on exactly what will be booked. Before any version can be booked it must be approved, whatever its amount and whether or not it carries a discount.
How it works in NirmaanOne
Versions and the current estimate
- The first estimate on an opportunity is v1; each later one takes the next number.
- The current estimate is the live version with the highest number. Live means Draft, Sent, Finalized, Pending Approval, Approved or Rejected. Superseded, Cancelled and Expired are final. The opportunity's Current estimate card and the Current badge on the estimate page point at it.
- There is one Draft at a time. A Draft is edited in place on Edit estimate; trying to create a second one is refused with "A Draft estimate already exists for this opportunity. Edit that draft instead of creating another."
- New version (on the opportunity header, its Estimates tab or the estimate page; the Create permission on Estimates) starts a Draft seeded from the current version: the same unit, the same parking slots and a Draft copy of its payment plan. As soon as that Draft is saved, the version it replaces becomes Superseded; when that version was Approved, the confirmation warns that "its approval no longer counts". A Superseded version stays on record with the alert "This version was replaced by a newer one; it is kept for the record."
- The unit hold moves with the opportunity: a new version on the same unit keeps it; a new version on another unit releases the old one (see Estimate validity and the unit hold).
- Booking a version cancels any other Draft or Sent version of the opportunity.
The price lock
Finalize pricing (Draft or Sent, current version only; the Edit permission on Estimates) moves the estimate to Finalized and locks the price. From then on the charges cannot change: Edit is offered only on a Draft, and the wizard's pricing step reads "The price of version N is locked. Create a new version from the estimate page to change it; the payment plan can still be versioned here." Trying to change a locked version is refused with "Only a Draft estimate can be changed. Create a new version, or cancel it."
Mark sent does not lock the price: a Sent estimate can still be finalized, but not edited. Only a new version changes a Sent price.
Overrides and hand-added charges
A plan line comes from the project's pricing plan (the Unit Pricing tab) with a rate, a basis and a GST rate. On the estimate you can:
- Override a plan line: choose Override rate or Override amount in the Pricing column, or change its GST %, and give a Reason ("Why it differs"). The plan's rate is kept for the record: the estimate page shows Plan rate and Rate side by side, marks the line Override and prints the reason under it. The form insists on a reason for every override.
- Include an optional plan line with Include this optional charge.
- Add a charge by hand: a Fixed amount on any active Sale Charge component that is not on the plan. The line is marked Added by hand and has no plan rate. Benefits, tenant charges, commissions and tax components cannot be added ("Not a charge the buyer pays: …").
The totals are always worked out by the server from the plan, your inclusions and your overrides, line by line, rounded half-up to the paise (see Charge groups and per-line GST).
Manual pricing
An estimate with no pricing plan (No plan — manual charges) is priced only from hand-added Fixed lines; the estimate shows "Manual pricing" where the plan name would be. It needs a plan or at least one charge: "Pick a pricing plan or add at least one charge." Use it when a project has no active plan for the unit's type, or for a one-off deal priced by hand.
The approval gate
Every estimate needs one approval before booking. There is no amount or discount threshold: a full-price offer needs approval exactly like a discounted one.
- Draft a payment plan, lock the price (Finalize pricing, greyed out until a plan is in place), then finalize the payment plan (Finalize plan). The review step of the wizard does both with one button, "Finalize pricing & plan, request approval". Finalizing the plan on a price-locked estimate is what requests approval, so the approver sees the price and the schedule together. The estimate becomes Pending Approval and the opportunity moves to Approval.
- An approver (the Approve permission on Estimates; the seeded Administrator, Finance Lead and Sales Manager roles have it) uses Approve or Reject on the estimate page or on the Awaiting approval tab of Estimates. Approving takes optional comments; rejecting needs them.
- Approved can be booked while it is still the current version. Rejected shows "Rejected: <comments>. Revise with a new version or request approval again."; Request approval sends it back as it is, a new version starts the cycle again.
- A new payment plan version finalized on an Approved (or Rejected) estimate sends it back to Pending Approval with the new terms; while it is Pending, a re-finalized plan keeps the open request.
Cancelling an estimate, or marking the opportunity lost, closes its open requests as Withdrawn so they leave the approvals inbox. The seeded workflow rules tell Sales Managers when approval is requested (with an "Approve estimate" task) and tell the estimate's creator of the decision.
Example
Rakesh Shah's opportunity on Sea Breeze Residency has estimate v1 for unit A-1203 (Carpet area (Mofa) 645 sqft), priced from the plan 2 BHK standard at a Unit Price of ₹18,500 per sqft: grand total ₹1,36,94,683.00 (sub-total ₹1,30,28,100.00, GST ₹6,66,583.00). It is Sent and holds the unit.
- The buyer negotiates. The executive presses New version, confirms, and v2 opens as a Draft seeded from v1. On saving v2, v1 becomes Superseded.
- In v2 she sets Override rate on Unit Price to ₹18,000 with the reason "Diwali offer approved by director". The line becomes 645 × ₹18,000 = ₹1,16,10,000.00 with GST at 5% of ₹5,80,500.00, marked Override, showing Plan rate ₹18,500.00 and Rate ₹18,000.00. No other line on this plan is a percentage of the price, so nothing else changes and v2 reads: sub-total ₹1,27,05,600.00, GST ₹6,50,458.00, grand total ₹1,33,56,058.00.
- Finalize pricing locks v2 at that price. Finalize plan on its payment plan requests approval: v2 is Pending Approval, the opportunity is at Approval, and the Sales Manager gets the task.
- The Sales Manager opens Awaiting approval, sees v2 with its schedule and the override reason, and presses Approve. v2 is Approved and Book appears on the opportunity.
Had the manager rejected it with "Hold the rate at 18,500", the executive could create v3 at the plan rate (v2 becomes Superseded) or press Request approval on v2 after talking it over.

- Estimate validity and the unit holdConcept
A sent estimate holds its unit (and the parking slots it picked) for that buyer until its Valid until date; the hold starts on sending, can be extended with a reason, and an hourly job expires the estimate and frees the unit the day after the date passes.
- Payment plans: lumpsum, cadence, custom and construction-linkedConcept
A payment plan says how the buyer's total is collected: all at once, in equal installments on a cadence, on agreed dates, or as construction stages are achieved; it lives on the estimate as numbered versions, is finalized with the price for approval, and becomes the booking's schedule.
- Opportunity stages, lead sources and system activitiesConcept
An opportunity moves through Lead, Estimate, Approval and Booked (or Lost) only through the actions taken on it; every move is written to its stage history and its timeline, where locked system activities sit beside the calls and visits the team logs.
- Charge groups and per-line GSTConcept
A charge group is a section of the cost sheet with a default GST rate; every charge line carries its own GST, worked out from the estimate override, the plan line, the component or the group, in that order.
- Pricing bases: Per Sqft, Per Floor, Fixed, Percent Of BaseConcept
Each charge line on a pricing plan is worked out on one of four bases: a rate per square foot of the chargeable area, a rate per floor above a starting floor, a fixed amount, or a percentage of the lines priced before it.
- Booking: agreed total, applicants and sharesConcept
A booking is the closed deal on one unit for one opportunity, made from the current Approved estimate: it fixes the agreed total, numbers itself by financial year, books the unit and parking, and names the primary applicant and the co-applicants with their ownership shares.
