Find out who changed something

Open a record's History to see who changed it, when and what the values were before and after, then follow it into the Audit log to narrow by person, action or date and see everything saved in the same request.

Find out who changed something

When a price, a payment, a permission or a booking detail is questioned, NirmaanOne can tell you who changed it, when, from which network address, and what the values were before and after. Start from the record's own History; go to the organization-wide Audit log when you need to narrow by person or date, or to see everything that was saved at the same time.

Before you start

  • History on a record needs the View permission on that record's module (for example the View permission on Bookings for a booking) or the View permission on Audit Trail. The History button is on opportunity, estimate, booking, project, society, allottee, demand, payment, voucher, commission and company pages, the contact panel, the unit panel in a project's Structure tab, the role editor and the Edit user panel.
  • The Audit log needs the View permission on Audit Trail. In the default roles only the Administrator, the Compliance Officer and the Auditor hold it, because it shows everyone's activity.
  • Some records have no History button: the Organization page, Lookups, workflow rules, message templates, document templates, letterheads and generated documents. Their changes are still in the Audit log; start at step 3.
  • Recording started on 28 Sep 2026. Nothing earlier is in the history.

Steps

  1. Open the record whose change you want to trace and click History (clock icon, tooltip "Who changed this record, what and when"). The History panel opens, titled "History · <record>", with the changes newest first. Each entry shows what happened (Create, Update, Delete…), a summary such as "Changed" followed by the fields, who did it ("<name>", "<name> via AI connector", "Workflow (as <name>)" or "System"), when and from which network address, and a Field / Before / After table. Changes to the record's lines (a booking's applicants, a role's permissions) are included. On a project, the chips at the top (All and one per part of the project) narrow the list.
  2. If the change you are after is older, click Load older changes at the bottom. Each click adds the next 25 entries; the button goes once you reach the first one.
  3. To dig further, click Open in the audit log at the foot of the panel. (Or open the account menu, choose Settings and the Audit log tab.) The Audit log opens: "Who changed what, and when: every create, change and delete, sign-ins (including refused ones), sign-outs and downloaded files. Entries cannot be edited or removed." Coming from History, a blue chip "<Record kind> · <id> and its lines" shows the record filter.
  4. Narrow the list with the filters above the grid: Any project, Any component (a part of the business) and Any record (a kind of record), Any action (Create, Update, Delete, Sign In, Sign In Failed, Sign Out, Download), Anyone (User, AI Connector, Workflow, System), Any user, and the From and To dates. Changing Any record drops the record chip, so leave it alone while you are tracing one record. The grid shows When, Who, Action, Record and What, newest first.
  5. Click the eye icon on the entry you want (tooltip "Open"). The Audit entry panel shows When, Who (with their email), Record, Project, Part of, IP address, Browser and Request, and the Field / Before / After table. Passwords and two-factor secrets show as "[redacted]".
  6. Click Everything saved with it. The list switches to every entry written by that one save, with a purple chip "One request · <id>": for example a booking together with its applicants and parking slots, or a role together with the permissions added and removed. Clear a chip with its cross to widen the list again.

What happens next

  • Nothing here changes anything. The history and the log can't be edited or deleted from any screen, so you can rely on them when a figure is disputed.
  • To share an entry, copy the page address while the entry is open; it opens the same entry for another person who holds the View permission on Audit Trail.
  • If the answer is that someone has more access than they should, change their role (Change a user's roles, or deactivate a user) or the role itself (Create, tailor or retire a role).

If something goes wrong

  • There is no History button on the page: you lack the View permission on the record's module and on Audit Trail, or the page has no History (see "Before you start"). Use the Audit log or ask someone who holds Audit Trail. See No access or no permission.
  • Open in the audit log isn't at the foot of the panel, or the Audit log shows "No access" and "You do not have permission to view the audit log. Ask your administrator.": you lack the View permission on Audit Trail. See No access or no permission.
  • The panel says "No history yet" and "Changes are recorded from 28 Sep 2026; nothing has changed on this record since.": the record hasn't changed since recording began.
  • "The history could not be loaded." or "This entry could not be loaded.": try again; if the record has been deleted, find it in the Audit log with Any action set to Delete. See Record not found.
  • The search box finds nothing for a word you can see on screen: it matches people's emails and the record kind's internal name (an offer is "termsheet"), not labels. Use the Any record filter instead.

  • "No access" or "You do not have permission": your role lacks a permissionTroubleshooting

Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.

  • "That item could not be found" or "does not belong to this project": the record is gone, elsewhere or staleTroubleshooting

A record that was deleted, belongs to another organization, or is linked from a stale page answers "not found"; a tower, stage, parking slot, estimate, tenant, ledger or bill picked from the wrong project, opportunity or set of books is refused as not belonging there.
