"That item could not be found" or "does not belong to this project": the record is gone, elsewhere or stale
A record that was deleted, belongs to another organization, or is linked from a stale page answers "not found"; a tower, stage, parking slot, estimate, tenant, ledger or bill picked from the wrong project, opportunity or set of books is refused as not belonging there.

"That item could not be found" or "does not belong to this project": the record is gone, elsewhere or stale
A page or dialog tells you the record it was asked for does not exist, or that something you picked belongs to a different project, opportunity, society, ledger or set of books.
What you see
A record that cannot be loaded.
- Any page or dialog: the red banner "That item could not be found." when there is no such record in your organization. Through the AI connector the reply names the kind instead: "<Record> not found" (for example "Project not found" or "Booking not found").
- The record pages themselves show their own line when the record fails to load without a more specific message: "Project not found." on Project overview, "Booking not found." on Booking overview, "Opportunity not found." on Opportunity (also in the booking wizard and the estimate wizard), "Books not found." on Books overview.
- New campaign: "Project not found in this organization." under Project and "Message template not found." under the template (the same project message appears on Letterheads). A recipient or an unsubscribe that names a contact which no longer exists answers "That item could not be found."
- Tasks: "The linked record could not be found." when the record a task is linked to has gone.
- Audit log: "This entry could not be loaded." when an entry opened from the list cannot be fetched; the History panel on a record: "The history could not be loaded."
- Right after signing in: the page "Could not load your profile" with the reason underneath and a Try again button (see Sidebar, top bar and notifications bell).
Something picked from the wrong place.
- "That tower does not belong to this project." when a construction stage, parking area, cost budget line or a per-tower amenity on Amenities names a tower of another project; the same message appears for an opportunity's preferred tower.
- Unit Pricing, linking charge groups to stages: "That milestone belongs to a different project." or "Charge group <code> does not exist in this organization".
- The estimate wizard and the booking wizard: "That parking slot belongs to a different project." The booking wizard, and an activity linked to an estimate: "That estimate belongs to a different opportunity." New estimate opened without an opportunity: "An estimate belongs to an opportunity. Start from the opportunity's page." with a Go to opportunities link.
- Raising a demand: "A schedule row does not belong to this booking" (or "…to this offer").
- Parking, allocating a parking slot to a tenant: "This tenant does not belong to the project's society."; Society & Tenants, a new offer: "The member does not belong to the society of this project."
- New voucher and the accounting forms: "That ledger belongs to another set of books.", "That voucher type belongs to another set of books.", "That cost centre belongs to another set of books.", "That bill belongs to another ledger."
Why it happens
Every record lives inside one organization, and most live inside one parent: a tower inside a project, an estimate inside an opportunity, a ledger inside a set of books, a bill on one ledger. The app checks that chain on every request:
- "Not found" is the answer whenever the record is not in your organization: it was deleted (a draft estimate, a draft voucher, a task, a lookup value), it belongs to another organization (a link pasted from someone else's account), or the link is stale (a browser tab left open from before the record was removed, a bookmark, a notification about something since deleted). The app gives the same answer for "deleted" and "someone else's" on purpose, so that no one can learn from the message that a record exists elsewhere.
- "Does not belong" is the answer when the record exists but its parent is not the one you are working in. Pickers normally only offer records of the right project, opportunity or books, so this usually comes from a page that was left open while the project, books or opportunity changed underneath it, or from a value pasted into a field.
- Profile and history failures are a lost connection or a sign-in that has expired; the history panel also needs the View permission on the record's module or on Audit Trail.
- An estimate without an opportunity cannot be started because the opportunity gives it the buyer, the project and the unit hold; the estimate wizard is always opened from the opportunity's page.
How to fix it
- Go back to the list and open the record again: Projects, Bookings, Opportunities, Books. If it is not there, it was deleted; check the Audit log (the View permission on Audit Trail) to see who deleted it and when. If the link came from someone else, ask them which organization it belongs to; you can only open records of the organization you are signed in to.
- Reload a page you had left open before picking again; the towers, stages, parking slots, ledgers and voucher types offered are then those of the project or books you are on. On the accounting screens check the active books shown in the header, and on a pricing plan check the project, before saving.
- For a picked record that is right but "belongs elsewhere", move to its parent: open the opportunity the estimate belongs to, the project the tower or parking slot belongs to, or switch to the set of books the ledger is in, and do the step there.
- For a member or tenant, the person must be a member of the society linked to the project (see Society & Tenants); add them to that society first.
- For "An estimate belongs to an opportunity", open the opportunity and use its New estimate button; the wizard then knows the buyer and the project.
- For "Could not load your profile", press Try again; if it persists, sign out and in again (see Cannot sign in). For "The history could not be loaded.", reopen the panel; if it stays, you may lack the View permission on that module (see "No access" or "You do not have permission").
- For a task whose linked record is gone, open the task and link it to the right record, or mark it done.

- "No access" or "You do not have permission": your role lacks a permissionTroubleshooting
