Renaming screen labels

Change the wording of field names, tabs, column titles and sidebar items to your organization's own terms, on one screen or everywhere, and reset them to the built-in text.

Renaming screen labels

Your organization may call things by different names than the app does, for example "Scheme name" instead of "Plan name". Rename mode lets an administrator change the wording of labels, either on one screen or on every screen, so the app speaks your office's language.

Where to find it

Click the pencil in the top bar (tooltip "Rename labels"; "Stop renaming labels" while the mode is on). You need the Edit permission on Screen Labels. In the default roles only the Administrator has it. Everyone else still sees the renamed wording, because every default role has the View permission on Screen Labels.

What you see

When rename mode is on:

  • A pill at the bottom of the screen says "Renaming labels: click any highlighted label to change its wording." with a Done button.
  • Every label you can rename gets a dashed amber outline. Hover it to see "Click to rename", or "Renamed from "…" · click to change" when it has already been renamed.

You can rename:

  • form field labels;
  • tick-box labels;
  • tabs;
  • the labels in detail panels (label and value lists);
  • column titles in the main lists;
  • sidebar groups and items.

You can't rename page headings, button names, messages, Excel sheet headers or generated documents. The sign-in pages always use the built-in wording.

What you can do

Rename a label

  1. Turn on rename mode with the pencil.
  2. Click a highlighted label. A small box opens showing "Built-in label: …".
  3. Type the new wording (up to 120 characters).
  4. Choose where it applies:
    • This screen: only on this screen. The same screen for every record counts as one screen, so renaming a field on one project's pricing page renames it on every project's pricing page.
    • Everywhere: on every screen that uses that label.
  5. Click Save. The label changes straight away for you.
  6. Click Done on the pill when you have finished.

Fields, tabs and columns start with This screen selected; sidebar items start with Everywhere.

Reset a label

Click the renamed label in rename mode and choose Reset to default. Saving the built-in text, or an empty box, does the same.

Cancel

Cancel, the Esc key or a click outside the box closes it without saving.

Things to know

  • A screen name wins over an everywhere name. If a label is renamed both ways, the screen's own wording shows on that screen. When you pick the other choice for a label that is already renamed, the box warns you: "This label is currently renamed everywhere; a screen-level name wins over an everywhere one." (or "… currently renamed on this screen; …").
  • Colleagues see the change later. The app keeps the wording in each browser and checks for changes at most once every half hour, so colleagues may see the new wording up to half an hour after you save it, even if they reload the app in between.
  • Limits: the box stops you at 120 characters, and a screen holds at most 500 renamed labels ("At most 500 labels per screen").
  • Help articles use the built-in wording. If your organization renamed a label, the bold names in these articles may differ from what you see.
