Appropriate a receipt across a demand's charge lines

Place the money received against a demand on the charges its instalments cover, in the split you decide, so the booking's schedule rows show what is paid.

Appropriate a receipt across a demand's charge lines

A receipt settles the demand as a bill; it does not decide which charges the money covers. That split is yours: after a receipt against the demand clears, you place the money on the charge lines the demand's instalments cover, in any proportion. The booking's schedule rows show Paid or Partially Paid only from this appropriation, so do it after every cleared receipt.

Before you start

  • A receipt allocated to the demand has been cleared: Record and clear a buyer's receipt. Until money is received, the Appropriation against charges card isn't shown at all.
  • The demand is Issued, Partially Paid or Paid. A Draft or Cancelled demand takes no appropriation.
  • You need the Edit permission on Demands: in the default roles the Administrator, the Finance Lead and the Accountant. Without it Appropriate is greyed out with "Appropriating needs permission to update demands".
  • Nothing is posted to the books by this step; the receipt voucher already did that. Appropriation only tells the schedule which rows are paid.

Steps

  1. Open the demand (Demand): from Demands in the sidebar, from the booking's Demands & money tab, or from the receipt's Allocations card (the "Demand <no>" link). Below the Instalments card you see Appropriation against charges: "The money received against this demand, placed on the charges its instalments cover - by you, in any split; nothing is assumed." Each row shows the Charge (with its GST rate), the Instalment ("#<n> · <stage or date>"), the amount Billed and what is Appropriated so far. The footer reads "Received against this demand · not yet appropriated" with the two figures; the unplaced part shows in amber.
  2. Click Appropriate. The Appropriated column turns into amount boxes, one per charge line (placeholder "0", tooltip "At most <billed>"), and Cancel and Save appropriation appear in the card header. Amounts on this card are shown without the ₹ sign, as in "4,50,000.00".
  3. Type the amount to place on each charge. Two limits apply: a line takes at most its Billed value (the charge plus its GST), and all lines together take at most what was received. As you type, the Total row shows the placed amount (red when it exceeds the received amount) and the footer shows what is still unplaced. When a limit is broken, Save appropriation greys out with "A charge takes at most what this demand bills for it (<charges>)" or "<placed> placed but only <received> received". You may leave part of the money unplaced and come back later.
  4. Click Save appropriation. You see "<appropriated> of <received> received is now placed on the lines." The split replaces whatever was saved before, and each schedule row billed by the demand is now paid by exactly its appropriated amount: the row reads Paid when the full row amount is placed, Partially Paid otherwise, on the booking's Termsheet & schedule tab.

What happens next

  • Repeat after every further receipt: the card keeps the earlier split, and you raise the figures to cover the new money.
  • A demand that carries TDS bills the full total but asks the buyer for it in money less the TDS they deduct; that TDS settles the bill as a TDS credit, which is never appropriated. The charge lines are billed for the full amounts, so on such a demand the lines can be appropriated only up to the money received; the TDS share stays unplaced. See TDS under section 194-IA.
  • If a receipt later bounces or is cancelled, the split stands and the card shows a red alert: "<appropriated> is placed on the lines but only <received> has been received (a receipt bounced or was cancelled). Reduce the appropriation." Click Appropriate and lower the figures. See Bounce a returned payment.
  • The demand's own status (Partially Paid / Paid) follows the cleared receipts, not the appropriation.

If something goes wrong

  • The Appropriation against charges card is missing from the demand: no cleared receipt is allocated to the demand yet (a receipt still Pending clearing doesn't count). Record and clear one first (Record and clear a buyer's receipt). See Appropriation rejected (trouble.collections.appropriation-rejected).
  • Appropriate is greyed out with "A <status> demand takes no appropriation": the demand is Draft or Cancelled. Issue it, or open the demand that replaced it. Same article (trouble.collections.appropriation-rejected).
  • Save appropriation is greyed out with "A charge takes at most what this demand bills for it (<charges>)" or "<placed> placed but only <received> received": lower the figures. If the app still answers "Line <n> (<description>) is for <value>; <amount> cannot be placed on it" or "<total> placed on the lines, but only <received> has been received against demand <no>", a receipt changed while you were typing; refresh and try again. Same article (trouble.collections.appropriation-rejected).
  • "That demand is not open for receipts." on save: the demand was cancelled in the meantime. Refresh the page.
  • Appropriate is greyed out with "Appropriating needs permission to update demands": your role lacks the Edit permission on Demands. See No permission (trouble.common.no-permission).

  • Manual appropriation of receiptsConcept

A receipt settles a demand as a whole; which charges the money was for is decided by you, on the demand, in any split up to each line's billed amount and up to what was received, and that split is what marks the payment schedule's rows paid.

  • Demands, demand runs and the GST splitConcept

A demand is the bill raised on a buyer's installments (or a member's offer charges): numbered by financial year, billing the full total with the buyer's expected 194-IA TDS shown apart, posted as a sales voucher with GST split as CGST + SGST or IGST by place of supply; a demand run raises one demand per buyer for everything due by a date.

  • Receipts and payouts: allocation, clearing and the UTRConcept

A receipt is recorded as Pending and settles the payer's open demands by itself, oldest due first; a payout is allocated to commissions or member rows by hand. Both post their voucher only when cleared and can be bounced afterwards; the UTR is the bank's transfer reference, typed on NEFT-style payments and per payout when a payout run is cleared.

  • Appropriate is greyed out or the split is refused: only received money goes on the linesTroubleshooting

The money received against a demand is placed on its charge lines by hand; the split is refused while the demand is not issued, nothing has been received, a line takes more than it bills, or the lines together take more than was received, and a bounced receipt leaves the demand over-appropriated until the split is reduced.

  • "No access" or "You do not have permission": your role lacks a permissionTroubleshooting

Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
