Receipts and payouts: allocation, clearing and the UTR

A receipt is recorded as Pending and settles the payer's open demands by itself, oldest due first; a payout is allocated to commissions or member rows by hand. Both post their voucher only when cleared and can be bounced afterwards; the UTR is the bank's transfer reference, typed on NEFT-style payments and per payout when a payout run is cleared.

Receipts and payouts: allocation, clearing and the UTR

A payment is money moving: a receipt from a buyer or a society member, or a payout to a channel partner, a member or a buyer being refunded. When you record it you say who, how and how much. A receipt settles the payer's open demands by itself, oldest due first; a payout says, through its allocations, which commissions or benefit rows it settles. Nothing reaches the books until the payment is cleared: clearing posts the receipt or payment voucher, settles the bills and updates what the demands and commissions show as paid. A cheque that bounces, or a transfer that fails, is bounced afterwards, which reverses the voucher and reopens the bills. The UTR is the bank's own reference for an electronic transfer, kept on the payment so it can be matched with the statement.

How it works in NirmaanOne

Recording

Record payment (the Create permission on Payments) opens as Record receipt or Record payout:

  • Who and where: a Booking (a receipt then takes the buyer as party and the promoter's books; a payout only narrows the commissions), the Party (a person, a company or a society member, chosen through their society), the Project, the Purpose (a list on a receipt, free text on a payout), and the Books when no booking or target fixes them.
  • How and how much: the date, the Mode (Cash, Cheque, Demand Draft, NEFT, RTGS, IMPS, UPI, Card, Other), the Amount received (a receipt) or Gross amount (a payout) with an optional TDS deducted and TDS section on a payout, our bank account (Into our account / From our account; blank means cash; on a receipt it defaults to the project's collection account), the party's account, and the instrument details: Cheque number, date and Drawn on for a cheque or demand draft, or UTR / reference for NEFT, RTGS, IMPS, UPI and Card. The GST the buyer paid is its own receipt (receipt kind GST) into the GST (or operative) account, recorded on its own or together with the consideration receipt; it is never swept (see Bank accounts, purposes and bank ledgers).
  • What this receipt settles (a receipt): a preview of the open demands the amount reaches, in order, and what stays on account; Allocations (a payout): what the payout settles.

Save as pending records it as Pending with its number: RCT-<financial year>-<serial> for a receipt, PMT-<financial year>-<serial> for a payout, per books. Save and clear (the Edit permission on Payments as well) records and clears it in one step. A receipt into an account other than the project's collection account shows a warning toast on the first save, "This receipt goes to <bank ····last 4 | cash>, not the collection account <bank ····last 4> of <project>; under RERA every buyer payment enters the collection account, where the bank sweeps it <n>% to the separate account"; it never blocks (see Receipt saved with a warning: it went outside the collection account).

Settlement and allocation

An allocation earmarks part of the payment for one target: a demand, a member's offer row or a commission. A payment's allocations never exceed its amount; what is not allocated stays on the party's ledger as an Advance on a receipt and On account on a payout ("Nothing allocated: the whole amount sits on the party's ledger as an advance / on account.").

A receipt makes its own allocations. You type the amount that reached the bank and the receipt settles the payer's open demands by itself: oldest due date first (a demand without a due date last), then the oldest demand date, each demand taking up to what it still has open (its total less what was received and the TDS credits recorded, less what other Pending receipts have already earmarked), the next one getting the rest. On a booking that means its demands that are Issued or Partially Paid, and a Paid demand that still has an amount open; for a society member without a booking, the open demands on their offers and then the undemanded charge rows of their offers, oldest due first. A booking's schedule rows never take a receipt directly: the booking is billed by demands, and the money reaches its charges through your appropriation on the demand. The What this receipt settles card on the form shows the split before you save ("<amount> settles the above", "<settled> settles the above · <rest> on account" or "Nothing open to settle: the whole <amount> stays on account."), and a GST receipt recorded with the consideration settles the same demands the same way. Whatever is left stays on account on the payer's ledger and can be placed on a later demand with Apply to a demand on the payment page. Editing a Pending receipt settles it afresh on save. The split is automatic on purpose: how a buyer's money divides between the RERA accounts is the bank's sweep, not a choice made at the counter, so the full amount is settled by rule.

A payout is allocated by hand: to an Approved or Partially Paid commission of that partner ("That commission is not approved yet." otherwise), or to a member's open benefit rows. Allocate next to an open target proposes the smaller of its open amount and what is left of the payout; the sum may not exceed the amount ("Allocations exceed the payment amount"). A party ledger is settled bill by bill and cannot be re-linked later, so allocate before clearing where you can; a Pending payout can still be edited.

Clearing

Mark cleared on Payment (the Edit permission on Payments) takes a Cleared on date and posts the voucher in the payment's books, which must be active and have an open fiscal year:

  • Receipt (a Receipt voucher): Dr the bank ledger of our account (or Cash when none) for the net amount, Dr TDS Receivable for any TDS deducted on an older receipt, Cr the party's ledger for the gross, set against the bill of each demand the receipt settled and the rest as an advance. The bank account needs a bank ledger in the books ("These books have no ledger for that bank account. Add a bank ledger under Chart of accounts first.").
  • Payout (a Payment voucher): Dr the partner's or member's ledger against the commission bills and the accrued benefit bills, Dr the benefit expense for member rows no run accrued, the rest against the party's open credit bills (a cancelled booking's credit notes) or on account; Cr the bank ledger for the net; Cr TDS Payable for any TDS withheld.

The payment becomes Cleared and the targets are recomputed: a demand shows the money received and moves to Partially Paid or Paid when it reaches the payable; a commission likewise against its net payable; a directly allocated member row moves to Partially Paid or Paid. A booking demand's own schedule rows move only through your appropriation (see Manual appropriation of receipts). Only cleared money counts anywhere: booking figures, the RERA accounts card and the reports all read cleared payments. A cleared receipt into the collection account is swept the moment it clears: the rule Receipt cleared into the collection account: post its RERA sweep (system) (or Sweep this receipt on the payment, Sweep now on RERA sweeps, or the 09:00 catch-up Daily RERA sweeps (system) when it is switched on) records the bank's split of it into the RERA separate and operative accounts, one sweep per receipt when the rule does it; see RERA accounts and the daily sweep.

A booking demand already carries the buyer's 194-IA TDS and asks for the total less TDS; the receipt's own TDS deducted field is for tax withheld that the demand did not carry, and nothing stops you entering it twice, so leave it blank on such receipts.

Bouncing, cancelling, deleting

  • Bounce (Pending or Cleared) takes a date and a required reason. A cleared payment's voucher is reversed, dated the later of the bounce date and the voucher date, the bills reopen and the paid amounts are recomputed; a pending one is simply marked. The seeded rule "Payment bounced: recover (system)" notifies finance and opens a task. An appropriation made from a bounced receipt stays until you reduce it.
  • Cancel marks a Pending payment cancelled and releases its earmarks; nothing was posted.
  • Delete removes a Pending payment for good. Deleting the latest one frees its number.
  • Cleared, Bounced and Cancelled are final apart from Cleared → Bounced.

The UTR

The UTR (unique transaction reference) is the number the bank assigns to an NEFT, RTGS, IMPS or UPI transfer. Type it in UTR / reference when recording such a payment; it is stored in upper case, shown under Kind / mode on the list and as the Instrument on the payment, and the list's search finds a payment by it. When a payout run is cleared, the Clear the run dialog takes one UTR per payout as the bank reports them; they are optional, so a run can be cleared without them, but they are what lets the bank statement be matched to each payout later.

Payout runs

A payout run pays everything due from one books in one batch: Member Benefits (the due benefit rows of live offers, accrued first, one payout per member), Commissions (open approved commissions, one payout per partner) or Refunds (the pending refund payouts that booking cancellations created). The run is Draft → Approve (the Approve permission on Payments; Administrator and Finance Lead by default) → Bank file (CSV) to upload to net banking → Clear <n> payout(s) with the UTRs, each payout posting its own voucher, → Cleared when none is left Pending. A payee without an active bank account on file is skipped unless the mode is Cash or Cheque. See Payout runs.

Example

Demand DM-2026-27-00012 on booking BK-2026-27-00007 asks Rakesh Shah for ₹26,63,960.00 by 30 November 2026.

  1. On 18 November the accountant presses Record receipt on the demand. The form comes with the booking, the buyer and the promoter's books, and Amount received filled with the demand's open ₹26,63,960.00. She enters Mode NEFT; Into our account already shows the project's collection account (HDFC ····4471); she types UTR / reference "hdfcn52026111812345", which is stored as HDFCN52026111812345. The What this receipt settles card lists "Demand DM-2026-27-00012" with "26,63,960.00 open" and the line "26,63,960.00 settles the above". Save as pending records RCT-2026-27-00021, Pending.
  2. When the credit shows on the bank statement she presses Mark cleared with Cleared on 18 November. The receipt voucher posts: Dr HDFC ····4471 ₹26,63,960.00 / Cr Rakesh Shah ₹26,63,960.00 against bill DM-2026-27-00012. The demand is Paid; the booking's Received (cleared) rises by ₹26,63,960.00. Seconds later the sweep for 18 November records the bank's split: ₹18,64,772.00 to the RERA separate account and ₹7,99,188.00 to the operative account at the 70% rule.
  3. Had Mr Shah paid ₹30,00,000.00 with no other demand open, the card would have read "26,63,960.00 settles the above · 3,36,040.00 on account"; the extra ₹3,36,040.00 shows as "3,36,040.00 on account" on the list and posts as an advance on his ledger, to be placed on the next demand with Apply to a demand. Had a second demand of ₹8,19,000.00 due 15 October been open as well, a receipt of ₹10,00,000.00 would have gone entirely to the one due first.
  4. The month's Commissions payout run drafts PMT-2026-27-00004 of ₹3,17,716.65 to Skyline Realty Advisors for the commission on this booking. The run pays from the promoter's operative account (ICICI ····2208), never the collection or the RERA separate account. The Finance Lead approves the run, exports the bank file, and after the transfer clears the run, typing the UTR SBIN52026120112345 against the payout. The payment voucher posts: Dr Skyline Realty Advisors ₹3,17,716.65 against bill COMM-BK-2026-27-00007 / Cr ICICI ····2208 ₹3,17,716.65. The commission is Paid.
  5. If the bank returned the NEFT in step 2, Bounce with the reason "Account frozen" would reverse the receipt voucher, reopen bill DM-2026-27-00012 and move the demand back to Issued.

  • Demands, demand runs and the GST splitConcept

A demand is the bill raised on a buyer's installments (or a member's offer charges): numbered by financial year, billing the full total with the buyer's expected 194-IA TDS shown apart, posted as a sales voucher with GST split as CGST + SGST or IGST by place of supply; a demand run raises one demand per buyer for everything due by a date.

  • Manual appropriation of receiptsConcept

A receipt settles a demand as a whole; which charges the money was for is decided by you, on the demand, in any split up to each line's billed amount and up to what was received, and that split is what marks the payment schedule's rows paid.

  • Channel partner commissionsConcept

  • Booking cancellation, forfeiture and refundConcept

Cancelling a booking reverses its demands with credit notes, posts the forfeiture and any charges against the buyer's ledger by the rule in force, creates the refund as a pending payout for the credit that is left, and frees the unit and parking; with nothing billed or received it only frees them.

  • Bank accounts, purposes and bank ledgersConcept

One register of every bank account you pay from or into: who owns an account, what its purpose tag means, why the collection, RERA separate, operative and GST purposes belong to the promoter, what the primary account and the IFSC are for, and how a bank ledger is created in the books.

  • Booking: agreed total, applicants and sharesConcept

A booking is the closed deal on one unit for one opportunity, made from the current Approved estimate: it fixes the agreed total, numbers itself by financial year, books the unit and parking, and names the primary applicant and the co-applicants with their ownership shares.

  • RERA accounts and the daily sweepConcept

Every buyer payment enters the project's collection account; the bank sweeps it daily, the escrow share (70% under RERA 2016, or the project's own share) to the RERA separate account and the rest to the operative account. NirmaanOne mirrors the sweep as a Contra voucher per receipt the moment it clears, records certified withdrawals from the separate account, warns on receipts banked elsewhere and reports where the money stands; it never moves the money itself.

  • Receipt saved with a warning: it went outside the collection accountTroubleshooting

A receipt of a project recorded into an account other than the project's collection account (or a GST receipt banked somewhere other than the GST or operative account, the collection account included) is saved with a warning that never blocks; under RERA every buyer payment enters the collection account, where the bank sweeps it, so the money sits outside the sweep until it is moved, while GST belongs apart from the sweep.
