Cancel or correct a demand
Fix or remove a draft demand, or cancel an issued one with a credit note so its installments are free to be billed again.
Cancel or correct a demand
What you can do to a demand depends on its status. A Draft is yours to change or remove: edit the dates, narration and rows, or delete it and its installments go back into the pool. An Issued demand has a sales voucher behind it, so it is cancelled with a credit note that reverses the voucher and settles the bill; its installments are then free to be billed again. A demand with money against it cannot be cancelled until that money is bounced or cancelled.
Before you start
- You need the Edit permission on Demands to edit or cancel: in the default roles the Administrator, the Finance Lead and the Accountant. Deleting a draft needs the Delete permission on Demands, which the Accountant does not hold; an Accountant uses Cancel demand on a draft instead. Buttons you may not use aren't shown.
- Check the Receipts against this demand card first. A demand can be cancelled only when no cleared receipt is allocated to it and no pending receipt earmarks it. Bounce or cancel those first: Bounce a returned payment or correct a pending one.
- An issued demand keeps its figures for good (a demand issued before 10 October 2026 still takes its Form 16B details; a newer one takes nothing, the buyer's TDS being a TDS credit of its own). To change what it bills, cancel it and raise a new one.
- A demand with a TDS credit recorded against it cannot be cancelled until that credit is cancelled under Payments > TDS credits.
- A demand that belongs to a demand run can be edited, cancelled or deleted here like any other; the run's own totals are recalculated only when the run is created, issued or cancelled, so they can lag behind a change made here.
Steps
- Open the demand (Demand) from Demands in the sidebar or from the booking's Demands & money tab. Read the status badge and the Receipts against this demand card ("Nothing received yet." when clean). A Draft shows Edit, Issue, Cancel demand and Delete in the header; an Issued or Partially Paid demand shows Record receipt and Cancel demand.
- To correct a Draft, click Edit. The slide-over "Edit draft demand" opens with Demand date, Due date and Narration, and a table of rows (Charge, Row, Due, Open) with a checkbox each: the rows on this draft plus every other open row of the booking or offer. Change what you need and click Save changes (the button shows the open total of the ticked rows and stays greyed out until something changes). You see "Demand updated." and the Instalments and Amounts cards show the new figures. Changing the demand date recomputes the TDS by the rule in force on the new date. Keep at least one row ticked, otherwise the save is refused with "Pick at least one schedule row".
- To remove a Draft altogether, click Delete and confirm with Delete in "Delete this draft?" ("The draft is removed and its schedule rows become available again."). You see "Draft demand deleted." and land on the booking's Demands & money tab, on the project's Society & Tenants tab for a member offer, or on the Demands list. Without the Delete permission, use Cancel demand on the draft instead: the dialog reads "The draft is marked cancelled and its rows are freed." and the draft stays on record as Cancelled.
- To cancel an Issued demand with nothing received, click Cancel demand. (The button also shows on a Partially Paid demand, but money has been received there, so the app refuses the cancellation.) The dialog "Cancel this demand?" reads "A credit note reverses the sales voucher and settles the bill. A demand with receipts against it cannot be cancelled; bounce or reallocate those first." Set the Cancellation date (today by default), type a Reason (optional, up to 255 characters) and click Cancel it (Keep it closes without change). You see "Demand cancelled." The badge reads Cancelled, the banner "Cancelled on <date and time>. An issued demand is cancelled with a credit note that settles its bill." appears, and the reason is appended to the narration as "Cancelled: <reason>".
- Click Booking in the header to return to the booking's Demands & money tab (or Offer for a member offer) and raise a fresh demand on the freed installments: Raise and issue a demand on a booking. The raise dialog lists them as open again.
What happens next
- Cancelling an issued demand posts a Credit Note voucher dated the cancellation date, with the narration "Credit note: demand <no> cancelled (<reason>)"; it reverses the sales voucher and settles the buyer's bill (on a demand issued before 10 October 2026 it also reverses the TDS Receivable posted on issue). The voucher is listed under Vouchers.
- The installments the demand billed are open again for a single demand or for the next demand run (Bill a whole project with a demand run).
- A cancelled demand keeps its number; the DM- series continues from the highest number in use. Deleting the newest draft frees its number for the next demand.
- A demand that has been paid is not cancelled here. If the buyer is walking away, the booking cancellation wizard credit-notes paid demands, applies the forfeiture rule and creates the refund: Cancel a booking.
If something goes wrong
- "Money has been received against this demand; bounce or reallocate those payments first": a cleared receipt is allocated to the demand. Bounce it, or cancel the booking through the wizard. See Demand cannot be cancelled (trouble.accounting.demand-cannot-be-cancelled).
- "A pending payment is allocated to this demand; cancel or reallocate it first": a Pending receipt earmarks the demand. Cancel or edit that receipt first (Bounce a returned payment or correct a pending one). Same article (trouble.accounting.demand-cannot-be-cancelled).
- "A TDS credit is recorded against demand <no>; cancel it under Payments > TDS credits first": the buyer's TDS deposit has been recorded against the demand. Open the credit from the demand's TDS credits against this demand card and use Cancel credit (the Edit permission on Payments), then cancel the demand. Same article (trouble.accounting.demand-cannot-be-cancelled).
- "Only a Draft demand can be edited; cancel it and raise a new one." when saving an edit or deleting: the demand was issued in the meantime. Refresh and use Cancel demand. Same article (trouble.accounting.demand-cannot-be-cancelled).
- "Demand is already cancelled": someone else cancelled it; refresh the page.
- "Schedule row <n> of <component> is already on a demand" when saving an edit: another live demand holds that row. Untick it or cancel the other demand. See Nothing to demand (trouble.collections.nothing-to-demand).
- "The reversal date cannot be before the original voucher date.", "No fiscal year covers that date. Open the next fiscal year under Books first.", "That fiscal year is closed." or "Period <n> of <year> is locked" when cancelling: pick a Cancellation date on or after the demand date and inside an open period. See Fiscal year missing (trouble.accounting.fiscal-year-missing).
- Edit, Cancel demand or Delete is missing: your role lacks the permission. See No permission (trouble.common.no-permission).

- Demands, demand runs and the GST splitConcept
A demand is the bill raised on a buyer's installments (or a member's offer charges): numbered by financial year, billing the full total with the buyer's expected 194-IA TDS shown apart, posted as a sales voucher with GST split as CGST + SGST or IGST by place of supply; a demand run raises one demand per buyer for everything due by a date.
- Receipts and payouts: allocation, clearing and the UTRConcept
A receipt is recorded as Pending and settles the payer's open demands by itself, oldest due first; a payout is allocated to commissions or member rows by hand. Both post their voucher only when cleared and can be bounced afterwards; the UTR is the bank's transfer reference, typed on NEFT-style payments and per payout when a payout run is cleared.
- Demand or commission cannot be cancelled, edited or approved: payments are against it, or its status forbidsTroubleshooting
A demand with receipts, or a commission with payouts, cannot be cancelled until that money is bounced, cancelled or reallocated; and once issued or approved, the document's figures are fixed, so only a Draft demand or an Accrued commission can be edited or deleted.
- Raise demand finds nothing to bill, or refuses the rows pickedTroubleshooting
A demand bills open schedule rows: a row that is paid, cancelled, waived, empty or already on a live demand cannot be billed again, a booking needs its termsheet, a member offer must be issued before it is billed, and a demand without TDS has no Form 16B to record.
- Posting refused: no open fiscal year or period for the dateTroubleshooting
Every posting, manual or automatic, needs a fiscal year of the books that covers its date, with the year open and the month's period unlocked; open the next year, unlock the period or reopen the year under Books, or move the document's date.
- "No access" or "You do not have permission": your role lacks a permissionTroubleshooting
Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
