Approve a commission
Approve an Accrued channel-partner commission so its accrual journal is posted (brokerage and GST input debited, the partner credited net of TDS, TDS payable credited) and it becomes payable.
Approve a commission
Approving a commission is the accounting step: it posts the accrual journal that records the brokerage expense, the GST input you can claim and the partner's bill net of TDS. Only an approved commission can be paid. Once approved, its amounts can't be changed.
Before you start
- The commission is Accrued (Accrue a channel partner's commission).
- The project's promoter company keeps active books, with an open fiscal year covering the approval date.
- In those books the Channel Partner Commission charge component (code CP_COMMISSION) is mapped to a ledger (the seeded chart maps it to Brokerage Expense, with TDS to TDS Payable) on Chart of accounts > Component mappings (Map a charge component).
- You need the Edit permission on Commissions; there is no separate approve permission. In the default roles the Administrator, the Finance Lead and the Accountant hold it. Nothing stops the person who accrued a commission from approving it too.
Steps
- In the sidebar open Accounting and choose Commissions. Set Status to Accrued to see the commissions waiting for approval, each with Booking, Channel partner, Basis, Gross, Net payable and a grey Accrued badge. See Commissions. You can also reach a commission from the Channel-partner commission card on the booking's Demands & money tab.
- Click the booking number, or the Open icon, on the commission's row. The page "Commission on <booking no>" opens with the Details, Amounts and Payouts cards. See Commission.
- Check the partner and the booking on Details, and Basis, Gross brokerage, GST, TDS and Net payable on Amounts. If a figure is wrong, correct it with Edit first: after approval the amounts are fixed.
- Click Approve. The dialog "Approve this commission?" opens with Approval date (today) and the text "The accrual journal is posted: brokerage expense and GST input debited, the partner's ledger credited with a new bill net of TDS, TDS payable credited. The amounts are then fixed."
- Change Approval date if the journal should carry another date, then click Approve and post. You see "Commission approved; journal <voucher no> posted." The badge reads Approved, Approved shows the time and your email, Accrual voucher links to the journal, and Record payout appears in the header (with the Create permission on Payments).
What happens next
- The accrual journal is posted in the promoter's books, dated the approval date:
- Dr the ledger CP_COMMISSION is mapped to (Brokerage Expense in the seeded chart) for the gross, on the project's cost centre;
- Dr GST input: CGST and SGST halves when the partner's state is the project's site state (or the partner has no state), otherwise IGST;
- Cr the partner's ledger for the net payable, as a new bill numbered "COMM-<booking no>" (with "-2", "-3" for later commissions on the same booking);
- Cr TDS Payable for the TDS. Using the example of 2% on ₹1,20,00,000: Dr brokerage ₹2,40,000 and GST input ₹43,200; Cr the partner ₹2,78,400 and TDS Payable ₹4,800.
- Brokerage under a capitalise policy. When the books' revenue policy capitalises contract costs and defers revenue, the gross goes to Contract Acquisition Costs instead of Brokerage Expense, unless the project's expected possession falls within the policy's practical-expedient months. Each posted revenue run then releases it to brokerage expense in step with the booking's revenue. See Contract acquisition costs.
- Finance is told. The seeded rule "Commission approved: tell finance (system)" notifies the Finance Leads that the commission is included in the next Commissions payout run.
- Pay it on its own (Pay a commission on its own) or with the other approved commissions of the books (Pay commissions through a payout run). As payouts clear, the status moves to Partially Paid and then Paid.
- Cancel stays available while nothing is paid: it reverses the accrual journal and settles the partner's bill ("The accrual journal is reversed and the partner's bill settled. A commission with payouts cannot be cancelled.").
If something goes wrong
- "The CP_COMMISSION component has no ledger mapping in books <books>" or "These books have no active ledger copied from template <code>; sync templates": the books can't tell where to post. See Has no ledger mapping in books (trouble.accounting.component-not-mapped).
- "The project's promoter company has no books yet. Set them up under Books first.": see No books yet (trouble.accounting.no-books-yet).
- "These books are inactive. Reactivate them under Books to post entries.": see These books are inactive (trouble.accounting.books-inactive).
- "No fiscal year covers that date. Open the next fiscal year under Books first.", "That fiscal year is closed." or "Period <n> of <year> is locked": the approval date has no open period. See No fiscal year covers that date (trouble.accounting.fiscal-year-missing).
- "The net payable amount must be above zero." or "Only an Accrued commission can be approved (this one is <status>)": the commission has no amount, or someone approved or cancelled it meanwhile. Refresh the page; edit the amounts if they are zero. See Commission cannot be approved: payments or status in the way (trouble.accounting.demand-cannot-be-cancelled).
- Approve isn't shown: the commission isn't Accrued, or your role lacks the Edit permission on Commissions. See No access or no permission (trouble.admin.no-access).

- Accrue a channel partner's commissionHow-to
Record the brokerage a channel partner has earned on a booking, from the booking's Demands & money tab: partner, base, percentage or fixed gross, GST and TDS, giving an Accrued commission that is then approved and paid.
- Pay a commission on its ownHow-to
Pay one approved channel-partner commission straight from its page: record the payout against the commission, then clear it so the payment voucher posts and the commission moves to Partially Paid or Paid.
- Pay commissions through a payout runHow-to
Pay every approved channel-partner commission of a set of books in one batch: draft a Commissions payout run (one payout per partner), have it approved, export the bank file for net banking, then clear the run with the bank's UTRs.
- Map a charge component to a ledgerHow-to
Tell a set of books which ledger each charge component posts to (with its tax leg, cost centre and, for sale and tenant charges, the revenue treatment), so demands, benefit accruals, payouts and commissions can be posted automatically, and give future books the same default through a template mapping.
- Channel partner commissionsConcept
Brokerage owed to the channel partner who sourced a booking: accrued from the booking with a basis percent or a gross amount, GST and TDS under 194H, approved to post the accrual journal, and paid out singly or through a Commissions payout run.
- Contract acquisition costs (capitalised brokerage)Concept
Under a revenue policy that capitalises the costs of obtaining a contract, an approved channel-partner commission is parked in Contract Acquisition Costs instead of brokerage expense and released to expense by each revenue run in step with the booking's revenue; possession expected within the practical-expedient months expenses it at once.
- Vouchers, reversals and system vouchersConcept
A voucher is the only way an amount enters the ledger: a dated header with balanced debit and credit lines, editable as a Draft, numbered and frozen when posted, corrected only by a mirrored reversal; demands, payments, commissions, benefit accruals, cancellations, revenue runs and the year-end close post their own system vouchers the same way.
- Posting stopped: a charge component or standard ledger is missing from these booksTroubleshooting
A demand, payout, commission, cancellation or revenue run could not post because a charge component has no ledger in the promoter's books, or a template ledger or group the posting needs was never copied into them; map the component or sync the templates, then retry.
- "No books yet" or "has no books": set up books for the promoter company firstTroubleshooting
Every posting follows the project's promoter company into its set of books; until that Promoter Entity company has books, the accounting screens show an empty state and demands, receipts, commissions and cancellations cannot post.
- "These books are inactive": nothing posts until the books are reactivatedTroubleshooting
Posting a voucher, issuing a demand, recording a payment, starting a run or cancelling a booking is refused because the promoter's books are inactive; what is blocked and how to reactivate them.
- Posting refused: no open fiscal year or period for the dateTroubleshooting
Every posting, manual or automatic, needs a fiscal year of the books that covers its date, with the year open and the month's period unlocked; open the next year, unlock the period or reopen the year under Books, or move the document's date.
- Demand or commission cannot be cancelled, edited or approved: payments are against it, or its status forbidsTroubleshooting
A demand with receipts, or a commission with payouts, cannot be cancelled until that money is bounced, cancelled or reallocated; and once issued or approved, the document's figures are fixed, so only a Draft demand or an Accrued commission can be edited or deleted.
- "No access" or "You do not have permission": your role lacks a permissionTroubleshooting
Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
