Pay member benefits through a payout run

Pay the transit rent, corpus and shifting charges due to society members and other allottees in one batch: a Member Benefits payout run accrues each due benefit row and drafts one payout per member, which is approved, exported as a bank file and cleared with the UTRs.

Pay member benefits through a payout run

In a redevelopment the developer pays the members transit rent, corpus and shifting charges under their offers. A Member Benefits payout run collects every benefit installment that has fallen due, books it as an expense owed to the member, and drafts one payout per member. The batch is approved, exported as one bank file and cleared with the bank's UTRs.

Before you start

  • The member's offer is Issued, Accepted or Signed and has benefit lines with dated installments. Installments get their dates from First payment on each benefit line of the offer ("Blank = undated until set by hand"); undated installments are never paid by a run. See Draft an offer and Issue an offer.
  • In the promoter's books every benefit component (transit rent, corpus, shifting…) is mapped to an expense ledger on Chart of accounts > Component mappings (Map a charge component).
  • Each member has an active bank account on file, marked Primary if they have several (Record a buyer's or member's payout account). For any mode other than Cash or Cheque, a member without one is skipped.
  • The books are active and have a bank ledger for the paying account.
  • Permissions, as the role editor names them: the Create permission on Payments to draft (and the View permission on Books to pick the books), the Approve permission on Payments to approve (the Administrator and the Finance Lead in the default roles), and the Edit permission on Payments to clear, cancel or bounce.

Steps

  1. In the sidebar open Accounting > Payments and click Payout runs. The page lists the runs of the books chosen in the header. See Payout runs.
  2. Click New payout run. Kind is already Member Benefits, and the dialog "New payout run" reads "Transit rent, corpus and shifting rows of live member offers due on or before the as-of date. The run first accrues them (expense against the member's ledger, one bill per row), then drafts one payout per member."
  3. Choose Books and, for one project only, a Project (optional). Set Pay everything due on or before (today by default), Payment date, Mode (NEFT by default) and From our account. The preview shows "<n> payee(s)", "Total <amount>" and, per member, Payee (the member's name over "Member <no> · <project>"), Bank account ("<bank> ····<last 4> · <IFSC>" or "none on file"), For (each benefit installment, "<benefit> installment <n>", with its due date) and Amount. A warning such as "3 payees have no active bank account on file and will be skipped for a NEFT run." names who won't be paid.
  4. Click Draft <n> payout(s). You see "Run <run no> drafted with <n> payout(s)." The run opens in Draft with one Pending payout per member under Payouts in this run, and the Totals card notes "Drafting the run accrued the due benefit rows (Dr rehab expense / Cr member ledger, one bill per row); clearing settles those bills." Anyone left out is listed under Skipped payees with the reason. See Payout run.
  5. Click Approve, then Approve in the confirmation "Approve the run?". You see "Run <run no> approved; export the bank file next." and the status reads Approved.
  6. Click Bank file (CSV). The browser downloads "<run no>.csv" (Payment no, Payee, Bank, Account number, IFSC, Amount, Mode, Narration, UTR, Status); the payee is the account holder's name on file. Upload it to your net banking.
  7. Once the bank has paid, click Clear <n> payout(s). In the dialog "Clear the run" set Cleared on, type each payout's UTR, and click Clear <n> payout(s). You see "Run <run no> cleared: <n> voucher(s) posted." The run and its payouts read Cleared.
  8. If the bank returns a transfer, open that payout from Payouts in this run, click Bounce, enter Bounced on and a Reason ("Insufficient funds, signature mismatch…"), and click Mark bounced. You see "Payment marked bounced." See Payment.

What happens next

  • At drafting, the benefits are accrued. For each member's offer one journal is posted, dated the run's Pay everything due on or before date: Dr the benefit's mapped expense ledger (on the project's cost centre), Cr the member's ledger with one bill per installment. This happens even though the run is still a draft.
  • At clearing, the bills are paid. Each payout posts a payment voucher: Dr the member's ledger against those bills, Cr the bank. The benefit installments turn Paid (or Partially Paid) on the member's offer on the project's Society & Tenants tab.
  • A bounced payout reverses its payment voucher and reopens the bills. The accrual stays, so the next Member Benefits run pays those installments without accruing them again. The seeded rule "Payment bounced: recover (system)" tells Accountants and Finance Leads and gives an Accountant a task.
  • Cancel run (Draft or Approved, nothing cleared) cancels the run's pending payouts ("Every pending payout of the run is cancelled; nothing was posted."). The accrual journals stay posted, and the next run pays those installments without re-accruing.
  • No TDS is deducted on member benefit payouts.
  • To pay on a cadence, Schedule automatic payout runs on the Payout runs page opens the rule builder, or switch on the seeded "Daily payout runs (system)" rule; automatic runs are drafts that still need approving unless the rule approves them.

If something goes wrong

  • A member appears under Skipped payees with "The payee has no active bank account on file": record their account and draft another run. See Payee skipped from the payout run (trouble.accounting.payee-skipped-no-bank-account).
  • A member is skipped with "Charge component <code> has no ledger mapping in books <name>": map that benefit component in the books and draft again. See Has no ledger mapping in books (trouble.accounting.component-not-mapped).
  • A member you expected isn't in the preview: their offer isn't Issued, Accepted or Signed, their installments have no date yet or fall after the as-of date, or another Pending payout already covers them.
  • "<n> payout(s) could not be cleared; see the failures below.": fix the cause shown in the red failures card (often a missing bank ledger) and clear again. See Payment saved but clearing failed (trouble.accounting.clearing-failed).
  • "The run holds no pending payout to approve." or "Some payouts of this run are already cleared; bounce them individually instead.": see Payout run cannot be approved, cleared or cancelled (trouble.accounting.payout-run-stuck).
  • The run page notes that a Finance Lead approves the run before the bank file is exported, and there is no Approve button: ask someone with the Approve permission on Payments. See No access or no permission (trouble.admin.no-access).

Things to know

  • Benefits and member charges are never netted: a member's differential-area or legal charges are billed with demands and collected as receipts, separately from what you pay them.
  • Landowners and PAP tenants recorded on the project are paid by these runs too.
  • Clear the run's payouts from the run rather than one by one from their payment pages. Clearing them singly bypasses the approval, and if every payout is cleared that way the run stays Approved with no Clear button.

Prepare the offer (term sheet) for a society member, landowner or PAP tenant: the area they are entitled to, the new units allotted to them and the benefits the developer pays, saved as a draft.

  • Issue an offer with its letterHow-to

Publish the offer letter template once, then issue a draft offer so the letter is generated and filed with it and the offer moves to Issued.

  • Set up a benefit planHow-to

Create a ready-made plan of the benefits allottees get on a project (corpus, transit rent, shifting…), each as a fixed amount or a rate per sq ft of existing carpet, so the rehab team can apply it to offers in one go.

  • Map a charge component to a ledgerHow-to

Tell a set of books which ledger each charge component posts to (with its tax leg, cost centre and, for sale and tenant charges, the revenue treatment), so demands, benefit accruals, payouts and commissions can be posted automatically, and give future books the same default through a template mapping.

  • Record a buyer's or member's payout accountHow-to

Add the bank account a buyer, channel partner or society member is paid into, on the Bank accounts register (or from a company's or allottee's page), so payout runs can pay them and the bank file carries their account number and IFSC.

  • Pay commissions through a payout runHow-to

Pay every approved channel-partner commission of a set of books in one batch: draft a Commissions payout run (one payout per partner), have it approved, export the bank file for net banking, then clear the run with the bank's UTRs.

  • Bounce a returned payment or correct a pending oneHow-to

Mark a cheque or transfer the bank returned as bounced so its voucher is reversed and the demand reopens, and fix, cancel or delete a payment that is still pending.

  • Payout runs: member benefits, commissions and refundsConcept

A payout run pays everything due from one set of books in one batch: the transit rent, corpus and shifting rows of live member offers (accrued first, one payout per member), approved channel-partner commissions (one per partner) or the refunds of cancelled bookings; it is drafted, approved, exported as a bank file and cleared with the bank's UTRs.

  • Benefit plans and benefit accrualConcept

A benefit plan is a project's ready-made list of what the developer pays an allottee (corpus, transit rent, shifting), applied to a draft offer in one go; benefit accrual is how a Member Benefits payout run books each due installment as an expense and a bill on the member's ledger before paying it.

  • Member offer (term sheet): benefits and charges, never nettedConcept

The one live offer an allottee has on a project: the area they hold and are entitled to, the new units allotted, and the money on both sides, benefits the developer pays and charges the member pays, each with its own schedule and never set off against the other.

  • Receipts and payouts: allocation, clearing and the UTRConcept

A receipt is recorded as Pending and settles the payer's open demands by itself, oldest due first; a payout is allocated to commissions or member rows by hand. Both post their voucher only when cleared and can be bounced afterwards; the UTR is the bank's transfer reference, typed on NEFT-style payments and per payout when a payout run is cleared.

  • Payee skipped from the payout run: no active bank account on fileTroubleshooting

A NEFT, RTGS or other bank-mode payout run drafts nothing for a member or channel partner who has no active bank account, lists them under Skipped payees, and picks them up in a later run once an account is added.

  • Posting stopped: a charge component or standard ledger is missing from these booksTroubleshooting

A demand, payout, commission, cancellation or revenue run could not post because a charge component has no ledger in the promoter's books, or a template ledger or group the posting needs was never copied into them; map the component or sync the templates, then retry.

  • Payment saved but clearing failed, or payouts in a run could not be clearedTroubleshooting

The payment was recorded as Pending but its voucher could not be posted, most often because the books have no bank ledger for the account the money went through; fix the cause and clear it again.

  • Payout run cannot be approved, cleared or cancelled: nothing pending, partly cleared, or the wrong booksTroubleshooting

A payout run moves Draft to Approved to Cleared and can be cancelled only while some payout is still pending; a run whose payouts were handled one by one, or a run drafted against books that do not promote the project, refuses the action with the messages listed here.

  • "No access" or "You do not have permission": your role lacks a permissionTroubleshooting

Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
