Pay a commission on its own

Pay one approved channel-partner commission straight from its page: record the payout against the commission, then clear it so the payment voucher posts and the commission moves to Partially Paid or Paid.

Pay a commission on its own

To pay one channel partner without waiting for a payout run, record the payout from the commission itself. It is saved as Pending and nothing is posted until you mark it cleared, once the money has actually left your bank.

Before you start

  • The commission is Approved or Partially Paid (Approve a commission). An accrued commission can't be paid.
  • The project's promoter company has its paying bank account on record (brokerage is paid from the operative account, never from the collection or RERA separate account), and the books have a ledger for it (Sync bank ledgers on the project creates the ledgers for the collection, RERA separate, operative and GST accounts). Leaving From our account empty pays from the Cash ledger.
  • Optional: the partner's own bank account, if you want it recorded on the payout (Record a buyer's or member's payout account).
  • You need the Create permission on Payments to record the payout and the Edit permission on Payments to clear it. In the default roles the Administrator, the Finance Lead and the Accountant hold both. To pick the paying account you also need the View permission on Bank Accounts.

Steps

  1. Open the approved commission (sidebar Accounting > Commissions, then the booking number) and click Record payout. The page "Record payout" opens with the badge "Money out". The Booking, the partner as the Party, the Purpose "Brokerage" and, under Allocations, the commission with its open amount are filled in, and Gross amount holds that amount. See Record receipt / Record payout.
  2. In How and how much, set Paid on (today by default), Mode (NEFT by default) and From our account (the promoter's active accounts). Pick To the payee's account if you want the partner's account recorded, and enter the UTR / reference, or for a cheque the Cheque number, Cheque date and Drawn on. Leave TDS deducted empty: the TDS on the brokerage was already taken off when the commission was approved, and the open amount is the net payable. The Allocations card reads "<amount> of <amount> allocated" in green when the whole payout settles the commission.
  3. Click Save as pending. You see "Payment recorded as pending." and the payout's page opens with a Pending badge. See Payment. (If you hold the Edit permission on Payments and the money has already gone, Save and clear saves and clears in one go, dated the Paid on date.)
  4. Once the bank confirms the transfer, click Mark cleared. The dialog "Mark as cleared?" opens: "The payment voucher is posted (partner or member debited against the allocated bills, bank or cash credited, TDS payable credited).", with Cleared on (today).
  5. Set Cleared on and click Clear and post. You see "<payment no> cleared; voucher <voucher no> posted." The badge reads Cleared, Voucher links to the payment voucher, and the Allocations card shows the commission's new status.

What happens next

  • The payment voucher is posted dated the cleared-on date: Dr the partner's ledger against the commission's bill ("COMM-<booking no>"), Cr the bank (or Cash). The payout is numbered "PMT-<financial year>-nnnnn" in the books.
  • The commission moves to Partially Paid when part of the net payable is paid, or Paid when all of it is. Its Payouts card lists the payout.
  • A payout the bank returns is undone with Bounce on the payout's page, which reverses the voucher and reopens the commission's bill (Bounce or correct a payment).
  • To pay many partners at once instead, use a Commissions payout run: Pay commissions through a payout run.

If something goes wrong

  • "That commission is not approved yet.", "The payee must be the channel partner of that commission", "No approved commissions payable to this partner." or "<target> has <x> open (pending allocations included), allocation is <y>": the commission can't take this payout, or another Pending payout already holds part of it. See Record payment refuses to save (trouble.collections.payment-rejected).
  • "These books have no ledger for that bank account. Add a bank ledger under Chart of accounts first." when clearing, or "Saved as pending, but clearing failed: <message>" after Save and clear: the payout is saved but not posted. See Payment saved but clearing failed (trouble.accounting.clearing-failed).
  • Mark cleared isn't shown on the payout: it is no longer Pending, or your role lacks the Edit permission on Payments. See Payment cannot be edited, cancelled, deleted or bounced (trouble.collections.payment-status-locked).
  • Record payout isn't shown on the commission: it isn't Approved or Partially Paid, or your role lacks the Create permission on Payments. See No access or no permission (trouble.admin.no-access).

Things to know

  • A partner who is a person rather than a company can be paid, but the payout form offers no commission to allocate to unless you open it from the commission with Record payout ("Payouts to people carry no allocation targets; the amount is posted on account.").
  • The app does not stop you entering TDS deducted on the payout as well; that would book the TDS a second time.

Record money received from a buyer or society member, or paid to a channel partner or society member: who, how and how much. A receipt settles the payer's open demands by itself, oldest due first; a payout is allocated to commissions or benefit rows by hand. A buyer's consideration and GST are two separate receipts; the TDS they deducted is a TDS credit.

One register of every bank account you pay from or into: the promoter's collection, RERA separate, operative, GST and operating accounts, and the payout accounts of channel partners, vendors, buyers and society members, with joint holders and verification.

  • Approve a commissionHow-to

Approve an Accrued channel-partner commission so its accrual journal is posted (brokerage and GST input debited, the partner credited net of TDS, TDS payable credited) and it becomes payable.

  • Pay commissions through a payout runHow-to

Pay every approved channel-partner commission of a set of books in one batch: draft a Commissions payout run (one payout per partner), have it approved, export the bank file for net banking, then clear the run with the bank's UTRs.

  • Record a buyer's or member's payout accountHow-to

Add the bank account a buyer, channel partner or society member is paid into, on the Bank accounts register (or from a company's or allottee's page), so payout runs can pay them and the bank file carries their account number and IFSC.

  • Bounce a returned payment or correct a pending oneHow-to

Mark a cheque or transfer the bank returned as bounced so its voucher is reversed and the demand reopens, and fix, cancel or delete a payment that is still pending.

  • Channel partner commissionsConcept

Brokerage owed to the channel partner who sourced a booking: accrued from the booking with a basis percent or a gross amount, GST and TDS under 194H, approved to post the accrual journal, and paid out singly or through a Commissions payout run.

  • Receipts and payouts: allocation, clearing and the UTRConcept

A receipt is recorded as Pending and settles the payer's open demands by itself, oldest due first; a payout is allocated to commissions or member rows by hand. Both post their voucher only when cleared and can be bounced afterwards; the UTR is the bank's transfer reference, typed on NEFT-style payments and per payout when a payout run is cleared.

  • Party ledgers, bill-wise tracking and ageingConcept

A party ledger is the bill-wise ledger a set of books keeps for one buyer, society member, channel partner or vendor, created on first use with a generated code; every posting on it is allocated as New Ref (opens a bill), Against Ref (settles one), Advance or On Account, so the books know what each bill still owes and how overdue it is.

  • Record payment refuses to save: the party, books, direction or allocations do not fitTroubleshooting

A receipt or payout needs exactly one party (or a booking that gives the buyer) and a set of books; a payout also needs TDS no larger than the amount and allocations that name one open target each, add up to no more than the amount, match the direction and belong to the payee. A receipt settles the payer's open demands by itself, so its allocation messages reach the form only when a demand closed between the preview and the save. A receipt refused over the buyer's TDS or over GST has its own article.

  • Payment saved but clearing failed, or payouts in a run could not be clearedTroubleshooting

The payment was recorded as Pending but its voucher could not be posted, most often because the books have no bank ledger for the account the money went through; fix the cause and clear it again.

  • Payment cannot be edited, cancelled, deleted or bounced: its status decidesTroubleshooting

Only a Pending payment can be edited, cleared, cancelled or deleted, and even then its direction, party, booking and books are fixed; a Cleared payment can only be bounced, which reverses its voucher and reopens the bills; Bounced and Cancelled payments are final and a new payment is recorded instead.

  • "No access" or "You do not have permission": your role lacks a permissionTroubleshooting

Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
