Reverse a posted revenue run

Undo the latest posted revenue run of a set of books: every journal it posted is mirrored, the run becomes Reversed, and the next run starts again from the run before it.

Reverse a posted revenue run

Once a revenue run is posted its journals are permanent. If it was wrong (a possession date typed wrongly, a budget missing, the wrong period end), reverse it: every journal it posted gets a mirror entry, the run is marked Reversed, and the next run starts again from the run before it. Runs build on each other, so only the latest posted run of a set of books can be reversed.

Before you start

  • Find the latest posted run of the books. If a later run is posted, reverse that one first.
  • Decide the reversal date. Blank means the run's own period end; any later date must fall in an open fiscal year and an unlocked period.
  • Permissions, in the role editor's words: the View permission on Revenue Recognition and on Books, and the Approve permission on Revenue Recognition to reverse (the default Finance Lead and Administrator roles).

Steps

  1. In the sidebar open Accounting and choose Revenue Recognition. Pick the books in the Books switcher and set the status filter ("Any status") to Posted. You see the posted runs, newest period first. See Revenue runs.
  2. Open the latest posted run by its number or the eye icon ("Open run <no>"). The Revenue run page shows a Posted badge and a Reverse button.
  3. Click Reverse. The dialog "Reverse <run no>?" opens: "Every journal of the run is mirrored. Only the latest posted run of the books can be reversed; the next run starts again from the one before it."
  4. Leave Reversal date blank to reverse on the run's own date (the hint reads "Blank: the run's own date (<period end>)."), or pick a later date. Type the Reason (at most 255 characters); it is shown on the run afterwards.
  5. Click Reverse run. You see "Run <no> reversed." The badge reads Reversed, and a warning reads "Reversed <date and time>: <reason>. The next run starts again from the run before this one." Reverse is no longer offered.
  6. Look at the Journals card: each journal of the run now carries a red Reversed badge. The mirror entries, narrated "Reversal of revenue run <no>", are listed under Accounting > Vouchers.
  7. Make the corrections (possession dates, the OC, cost budgets, mappings, the policy), then prepare a new run with New revenue run on the Revenue runs tab. See Prepare, review and post a revenue run.

What happens next

  • The revenue, cost of sales, inventory moves, brokerage release and any other movement of the run are undone in the ledger on the reversal date.
  • For each booking and member offer, the next run starts from its line on the posted run before the reversed one.
  • A reversed run stays on record: it can't be posted again or deleted.
  • If no other posted run used the revenue policy, that policy is no longer Locked and can be edited on the books' Revenue policy tab.
  • Possession dates locked by the reversed run ("Revenue on this booking is recognised; its possession dates stay as posted.") can be corrected on the booking again when no earlier posted run recognised that booking's revenue.
  • The Contract balances tab reads Revenue in the period from posted runs only, so the reversed run's revenue drops out of it; its roll-forwards of the contract liability, contract asset and acquisition costs show the mirror entries on the reversal date.

If something goes wrong

  • "Reverse run <no> first: later runs start from this one": a later run is posted. Reverse that one first. "Only a Posted run can be reversed (this one is <status>)": the run is a draft (delete it instead) or already reversed. See Revenue run cannot be started, posted or reversed (trouble.accounting.revenue-run-draft-exists).
  • "Period <n> of <FY> is locked", "That fiscal year is closed." or "No fiscal year covers that date. Open the next fiscal year under Books first.": the reversal date has no open period. Pick another date, or unlock the period. See No open period for the date (trouble.accounting.fiscal-year-missing).
  • "The reversal date cannot be before the original voucher date.": pick a date on or after the run's period end. See Voucher cannot be reversed (trouble.accounting.cannot-reverse-voucher).
  • No Reverse button on a posted run: your role lacks the Approve permission on Revenue Recognition. See No access (trouble.admin.no-access).

  • Revenue recognition: policy, point in time vs over time, and revenue runsConcept

Each set of books carries an effective-dated revenue policy (framework, method, possession trigger, cost and brokerage treatments, judgement areas) chosen by the CA; a revenue run is the period close that computes every booking's and member offer's progress under it, recognises the catch-up revenue, cost of sales and brokerage, and posts the journals.

  • Vouchers, reversals and system vouchersConcept

A voucher is the only way an amount enters the ledger: a dated header with balanced debit and credit lines, editable as a Draft, numbered and frozen when posted, corrected only by a mirrored reversal; demands, payments, commissions, benefit accruals, cancellations, revenue runs and the year-end close post their own system vouchers the same way.

  • Revenue run cannot be started, posted or reversed: a draft exists, the period is out of order, or the status forbidsTroubleshooting

Revenue runs on a set of books form a chain: one draft at a time, each run ending on or after the last posted one, and reversals from the latest run backwards; each action fits one status only.

  • Posting refused: no open fiscal year or period for the dateTroubleshooting

Every posting, manual or automatic, needs a fiscal year of the books that covers its date, with the year open and the month's period unlocked; open the next year, unlock the period or reopen the year under Books, or move the document's date.

  • Voucher cannot be reversed, edited, cancelled or deleted: posted vouchers only reverseTroubleshooting

Edit, Cancel draft and Delete disappear once a voucher is posted, Reverse is refused or the reversal date is rejected: a posted voucher is never changed, only mirrored by a reversal dated on or after it.

  • "No access" or "You do not have permission": your role lacks a permissionTroubleshooting

Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
