Add a ledger, a party ledger or a standard ledger for every entity
Add an ordinary ledger to one set of books, find or create the bill-wise ledger of a person, company or society member, or add a ledger template so every set of books gets the same ledger.
Add a ledger, a party ledger or a standard ledger for every entity
A ledger is where postings land in one set of books. Most of the ledgers you need arrive with the books, and the app opens a party ledger for a buyer, society member or channel partner the first time money moves. Add one yourself when the accounts team needs a new head (a new bank charge, a vendor, a loan), when you want a party's ledger before any posting, or when every promoter company should keep the same new ledger.
Before you start
- The books exist. Without any, the chart area reads "No books yet". See Set up the books.
- Pick the group with care. A ledger takes its nature (asset, liability, equity, income or expense) from its group, and once it has postings it can't move to a group of another nature.
- Codes are yours to choose for an ordinary ledger: at most 30 characters, "Letters, digits, _ . - only" and unique in the books. Party ledgers get a generated code.
- Permissions, in the role editor's words:
- the View permission on Chart of Accounts and on Books to open the chart;
- the Create permission on Chart of Accounts to add a ledger, a party ledger or a ledger template (the default Administrator, Finance Lead and Accountant roles);
- the Edit permission on Chart of Accounts to change a ledger or run Sync from templates;
- for a party ledger, the View permission on Contacts (a person), Companies (a company) or Societies and Tenants (a society member);
- the View permission on Bank Accounts to link a bank ledger.
Steps
An ordinary ledger in one set of books
- In the sidebar open Accounting and choose Chart of Accounts. Pick the books in the Books switcher at the top right (with only one set of books, its name shows there instead). The Groups tab shows the reporting groups under the five classes.
- Choose the Ledgers tab. You see every ledger of the books as a grouped tree; List switches to a flat list. See Ledgers.
- Click New ledger. The New ledger panel slides in with four sections: Ledger, Party, Bank and tax and Behaviour.
- Fill in the panel:
- Group (required) and Code (required for an ordinary ledger; placeholder "1130", hint "Unique in these books; never reused.").
- Name (required, at most 150 characters) and an optional Description.
- Party: leave it on No party (ordinary ledger). To make a party ledger, use Party ledger instead (step 6), which also makes it bill-wise.
- Bank account (placeholder "Not a bank ledger") only for a ledger of one of the company's bank accounts; the list holds the accounts the books' company owns. The project's collection, RERA separate, operative and GST accounts normally get their ledgers by themselves when they are saved (or with Sync bank ledgers on the project), from the templates 1100 Bank - Collection Account, 1105 Bank - RERA Separate Account, 1110 Bank - Operative Account and 1120 Bank - GST.
- Tax type (placeholder "Not a tax ledger") and its Rate for a GST, TDS or TCS ledger.
- Inventory role (placeholder "Stays in the P&L") only for an expense ledger whose cost the revenue run should move into inventory: Construction cost, Rehab cost or Borrowing cost.
- Bill-wise ("Settled bill by bill; every posting carries allocations."), RERA escrow ("Read by the 70/30 escrow statement."; ticking it lists the ledger in the RERA accounts statement's ledger table, nothing more) and Active (ticked).
- Click Add ledger. You see "Ledger <code> added." and the ledger appears under its group, ready to use on vouchers, mappings and opening balances.
A party ledger (a person, company or society member)
- Click Party ledger. The Party ledger dialog opens: "Finds the party's ledger in these books or creates it: customers under Receivables, members under Compensation, channel partners and vendors under Payables, all bill-wise."
- In Party choose Person (customer, vendor), Company (channel partner, contractor) or Society member. Then pick the Person; or the Company (placeholder "Search active companies"); or the Society and then the Member (placeholder "Search by name, phone, membership or flat"). Only the kinds you can search are offered.
- Click Open ledger. You see "Ledger <code> · <name> is ready." and the ledger opens in its edit panel. If the party already had a ledger in these books, that one is returned; no second ledger is made.
A standard ledger for every set of books
- Choose the Organization templates tab. It opens on Ledger templates, under the note "Templates are the organization's master chart. Changing them does not touch existing books; use "Sync from templates" on a books' Component mappings tab to copy additions across. Template codes are never reused: retire instead of deleting." See Organization templates.
- Click New ledger template. The New ledger template panel slides in.
- Pick the Group, type the Code (hint "1xxx asset, 2xxx liability, 3xxx equity, 4xxx income, 5xxx expense.") and Name, add any Description, Tax type, Inventory role, Bill-wise or RERA escrow, and keep Auto-create in new books ticked ("Off for ledgers only some entities need.").
- Click Add template. You see "Template <code> added." Every set of books you set up from now on gets a copy of the ledger.
- Existing books don't change on their own. For each of them, pick it in the Books switcher, choose the Component mappings tab and click Sync from templates. You see "Synced: <n> groups, <n> ledgers, <n> mappings added." and the ledger appears on that books' Ledgers tab. See Component mappings.
What happens next
- The ledger can be picked on vouchers, in component mappings and on Opening balances. Its row has a Ledger report icon for the Ledger report. A ledger flagged RERA escrow also appears in the ledger table of the RERA accounts statement.
- Party ledger codes and groups: a person gets a CUST- code under Receivable, a society member TEN- under Compensation, a company CP- under Payable, or VEN- when its company type is vendor or contractor. A person is always treated as a customer, even when the person is a vendor.
- A ledger made with New ledger is bill-wise only if you tick Bill-wise; the Party ledger dialog always makes a bill-wise ledger.
- Sync from templates only adds what the books lack: it skips a ledger template whose code or name the books already use, and it never renames or moves a ledger, group or mapping the books already have. The only changes it makes to rows the books already hold are to fill in an Inventory role a ledger's template has gained since it was copied, and a Revenue treatment (with its contract liability ledger) on a component mapping that has none.
- To stop using a ledger, open it (pencil), untick Active and click Save changes. A retired ledger keeps its history but takes no postings. A ledger with postings, mappings or bills can't be deleted.
- To bring in a balance for the new ledger, see Bring forward opening balances. To post a charge component to it, see Map a charge component.
If something goes wrong
- "An account with this code already exists in these books" (on Code) or "An account with this name already exists in these books" (on Name): pick another code or name. See Already exists (trouble.admin.already-exists).
- "Enter a code (party ledgers get one automatically)": an ordinary ledger needs a code.
- "A group can only move within its own nature (asset, liability, equity, income or expense).", "System ledgers keep their name and group and stay active" or, on delete, "Postings or mappings reference this ledger; retire it with is_active=false": the ledger is a system ledger (1000 Cash in Hand, 3200 Profit & Loss Account, 5570 Rounding Off) or already in use. Retire it instead. See Chart row locked (trouble.accounting.chart-row-locked).
- "The group a party ledger needs is missing from these books. Sync the templates first." in the Party ledger dialog: click Sync from templates on Component mappings, then try again. See Component not mapped (trouble.accounting.component-not-mapped).
- "Searching <kind> needs read access to that module." in the dialog, "Needs the Bank Accounts permission." under Bank account, or no New ledger / Party ledger button: your role lacks a permission listed above. See No access (trouble.admin.no-access).
- "No books yet" in place of the chart: set up books first. See No books yet (trouble.accounting.no-books-yet).

- The chart of accounts: templates, books copies, nature and system rowsConcept
The organization keeps one master chart (group templates, ledger templates and default mappings) and every set of books holds its own copy of it; each group carries a nature (asset, liability, equity, income, expense) and a Direct flag that feeds gross profit, a few system rows are locked, codes are never reused, and the Consolidated report adds the books up by the template each ledger came from.
- Party ledgers, bill-wise tracking and ageingConcept
A party ledger is the bill-wise ledger a set of books keeps for one buyer, society member, channel partner or vendor, created on first use with a generated code; every posting on it is allocated as New Ref (opens a bill), Against Ref (settles one), Advance or On Account, so the books know what each bill still owes and how overdue it is.
- "Already exists" or "listed twice": the name, code, number or line must be uniqueTroubleshooting
Names, codes and numbers are unique within their scope (the organization, a project, a tower, a set of books) so that records can be told apart, and a line can appear once on a plan, offer or account; rename, reuse the existing record, or remove the duplicate line.
- Chart of accounts: a seeded group, ledger, template, cost centre or voucher type refuses the change or the deleteTroubleshooting
Rows the app seeded or that postings already use are protected: seeded groups, system ledgers and system templates keep their name and place, and anything with postings, mappings or vouchers behind it is retired rather than deleted.
- Posting stopped: a charge component or standard ledger is missing from these booksTroubleshooting
A demand, payout, commission, cancellation or revenue run could not post because a charge component has no ledger in the promoter's books, or a template ledger or group the posting needs was never copied into them; map the component or sync the templates, then retry.
- "No books yet" or "has no books": set up books for the promoter company firstTroubleshooting
Every posting follows the project's promoter company into its set of books; until that Promoter Entity company has books, the accounting screens show an empty state and demands, receipts, commissions and cancellations cannot post.
- "No access" or "You do not have permission": your role lacks a permissionTroubleshooting
Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
