Record acceptance and the signed offer
Mark an issued offer accepted, then signed, attaching the scanned signed copy so it is filed with the offer and on the allottee's page.
Record acceptance and the signed offer
Once the offer letter is with the allottee, record how they respond: Accepted when they agree the terms, and Signed when the signed copy comes back. Marking it signed is also the moment to file the scan, so the signed offer sits with the letter that was issued and can be found from the allottee's page.
Before you start
- The offer is Issued: Issue an offer with its letter. The task "Collect signed offer: <name>", created for a Rehab Officer when the offer was issued, is the usual reminder; it appears under Tasks.
- You need the Edit permission on Termsheets: in the default roles the Administrator, the Rehab Officer and Legal & Documentation. Attaching the signed copy also needs the Create permission on Generated Documents, which those three roles have.
- Uploads need the organization's file storage to be set up; ask your administrator if an upload is refused with a storage message.
Steps
- Open the project, choose the Society & Tenants tab and open the offer: the Issued badge in the allottee's Offer column, or the open icon on its row in Offers (term sheets). The panel "Offer · <name>" shows the Issued badge, the notice "A issued offer is read-only. Reopen it as a draft to change the terms. Issued <date>.", and Mark accepted and Mark signed in its footer. See Society & Tenants.
- If the allottee has agreed the terms but the signed copy is still to come, click Mark accepted. You see "Offer accepted." and the badge reads Accepted. This step is optional: you can go straight to Mark signed from Issued.
- Click Mark signed. The dialog Mark the offer signed opens: "Attach the signed copy if you have it — it is filed with this offer's documents. You can also add it later from the allottee's page."
- Click Choose the signed copy and pick the scanned file. Its name shows next to the button (Choose another file swaps it) and the confirm button now reads Upload & mark signed. Skip this step if the scan isn't ready; the button then reads Mark signed.
- Click Upload & mark signed (or Mark signed). You see "Offer signed." The badge reads Signed, the notice adds "Signed <date>." with today's date, and the scan is filed on the offer as "Signed — <file name>", numbered "UP-<financial year>-<sequence>".
- To file the signed copy later, open the allottee's page (their name in the members or landowners grid) and click Upload on the Documents card ("Letters generated from this allottee's offers, and anything filed here — a signed copy, KYC papers."). Pick the file; you see "<document no> uploaded." and it is listed under Uploaded, titled with the file name. A file uploaded here is filed against the allottee, so it doesn't appear on the offer's own Documents card. See Allottee.
What happens next
- The offer is Signed, dated today. It can no longer be reopened as a draft; to change the terms now you cancel it and make a new offer (Cancel or delete an offer). Accepted offers, like issued ones, can still be reopened: Correct an issued offer and re-issue it.
- The system rule "Member offer signed: accounts and legal (system)" notifies the Accountants and Legal & Documentation ("Offer signed: <name>, <project>", "Benefits fall due as per the schedule; charges are billed through demands.").
- The benefits' dated installments are picked up by payout runs on their due dates (they already were from Issued); a blank First payment leaves a line undated and unpaid until someone dates it.
- The signed copy appears under Uploaded on the allottee's page, next to the generated letter under Generated.
- The extra area the allottee buys is sold through each unit's own estimate and booking: Split the entitlement and start the allottee's purchases.
If something goes wrong
- "Cannot accept a <status> termsheet" or "Cannot sign a <status> termsheet": the offer isn't in the status the button expects any more (for example a colleague reopened or cancelled it). Close and reopen the panel. See Offer cannot be cancelled, reopened, edited or deleted (trouble.projects.offer-cannot-be-cancelled).
- "Files are limited to <n> MB" or "The file is empty" when you attach the scan: reduce or re-scan the file. The limit is 25 MB unless your administrator changed it. See Files cannot be uploaded (trouble.documents.file-storage-not-configured).
- "Uploads need the object store; set S3_* in the environment": the organization's file storage isn't set up. Mark the offer signed without a file and ask your administrator; file the scan later from the allottee's page. See File storage not set up (trouble.documents.storage-not-configured).
- The buttons aren't shown, or "You do not have permission to do that.": your role lacks the Edit permission on Termsheets (or Create on Generated Documents for the upload). See No permission (trouble.admin.no-access).

- Issue an offer with its letterHow-to
Publish the offer letter template once, then issue a draft offer so the letter is generated and filed with it and the offer moves to Issued.
- Correct an issued offer and re-issue itHow-to
Take an issued or accepted offer back to draft, change the areas, units, benefits or split, and issue it again so a fresh letter supersedes the one already with the allottee.
- Split the entitlement and start the allottee's purchasesHow-to
Decide how the entitled area falls on each allotted unit and how much of the extra area the allottee pays for, then open a purchase per unit and price it through the usual estimate, approval and booking.
- Cancel or delete an offerHow-to
Withdraw an offer that has gone out (cancel: units released, record kept) or remove a draft or cancelled offer altogether (delete), from the offer panel or the allottee's page.
- Generated documents: offer letters, cost sheets, void and supersededConcept
A generated document is a numbered, filed rendering of a published template against one record, kept with its merged text, template version and file; offer letters are generated when an offer is issued and supersede the earlier ones, cost sheets print an estimate for the buyer, and a void or superseded document keeps its number and shows a watermark saying what replaced it.
- Offer cannot be cancelled, reopened, edited or deleted: money, demands, purchases or its status stand in the wayTroubleshooting
An offer with money recorded against it is in the books and is not cancelled from the offer; a live demand must be cancelled first; an allottee's purchase that has an estimate out or a booking must be cancelled before its unit comes off the offer; and each action is allowed only from the statuses it moves from, so a non-draft offer is reopened before it is edited.
- Files cannot be uploaded: storage is not configured, the file is too big or empty, or it went missingTroubleshooting
Logos, stage files, signed copies and uploaded documents live in an object store set up for the installation; until it is configured uploads are refused while dates and records still save, a file must have content and stay within the size limit (25 MB for documents, 2 MB for logos), and an uploaded document can only be downloaded, not previewed.
- "No access" or "You do not have permission": your role lacks a permissionTroubleshooting
Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
