Correct an issued offer and re-issue it
Take an issued or accepted offer back to draft, change the areas, units, benefits or split, and issue it again so a fresh letter supersedes the one already with the allottee.
Correct an issued offer and re-issue it
Only a draft can be changed, so an offer that has gone out is corrected in three moves: reopen it as a draft, change it, and issue it again. Re-issuing with a letter voids the letter the allottee already holds and stamps it "superseded by" the new one, so an older print can always be traced to the offer that replaced it.
Before you start
- The offer is Issued or Accepted. A Signed offer can't be reopened: cancel it and draft a new offer instead (Cancel or delete an offer). A cancelled offer can also be reopened this way; its units must then be allotted again.
- No live demand has been raised on the offer (only older offers that carry charge lines have demands). Cancel the demand first if there is one.
- You need the Edit permission on Termsheets: in the default roles the Administrator, the Rehab Officer and Legal & Documentation.
- Reopening does not stop purchases already under way. A unit whose estimate has gone out, or that is booked, keeps its share of the entitlement and its charged area and can't be released; revise that estimate or cancel the booking first if those must change.
Steps
- Open the project, choose the Society & Tenants tab and open the offer: the status badge in the allottee's Offer column, or the open icon on its row in Offers (term sheets). The panel "Offer · <name>" shows the Issued or Accepted badge and the notice "A issued offer is read-only. Reopen it as a draft to change the terms. Issued <date>." (or "A accepted offer is read-only. …"). See Society & Tenants.
- Click Reopen as draft. You see "Offer draft." The badge reads Draft, the issued date is cleared, the notice disappears and the fields become editable. On an offer reopened from Cancelled, the cancelled installments come back as Pending, but the units don't: allot them again in the next step.
- Change what needs correcting: Existing carpet (Mofa) or Entitled Carpet Area (Mofa), the Allotted new units (pick another unit, or Release unit on one), the benefit lines, or the Notes. Save changes becomes active once something differs. When you change a line, the panel notes "Saving rewrites the lines; their payment schedules are regenerated (paid or hand-edited rows are kept)."; in practice every line's installments are rebuilt from the line, so make hand edits to single installments after the lines are final.
- Click Save changes. You see "Offer saved." Units you added become Allotted; a released unit goes back to the status it had before it was allotted.
- If the entitled area or the units changed and the allottee buys extra area, go to Entitlement split & purchases, set each unit's Entitled share and, if needed, the area Charged, and click Save split. You see "Entitlement split and chargeable areas saved." A unit whose estimate has gone out or that is booked shows "fixed" instead of a box and keeps its figures. Do this before issuing: the split can only be saved on a draft.
- Click Issue to member. In Issue the offer, keep the Letter (the first published template is selected) and set Issued on. Because a letter already exists the dialog adds "The letter already on this offer will be voided and stamped "superseded by" the new one, so an older copy in the allottee's hands can be traced to this offer." (or "The <n> letters already on this offer will be voided …"). Choosing Issue without a letter instead shows "The letter already on this offer stays as they are — nothing is superseded when no new letter is generated."
- Click Generate letter & issue. You see "Offer issued and the letter generated." The badge reads Issued with the new date, and the Documents card lists the new letter. There the earlier letter shows Void with "Superseded by <no>"; on the allottee's page it carries a Superseded badge and "Superseded by <no> — that letter is the current one."
What happens next
- The offer is Issued again: the system rule "Member offer issued: collect the signed copy (system)" notifies the Rehab Officers and creates a fresh "Collect signed offer: <name>" task, due in 14 days, as on the first issue.
- The superseded letter stays on file, voided, with its reason "Superseded by <no>"; a PDF re-rendered from it carries a SUPERSEDED watermark. Collect the old print from the allottee if you can.
- Estimates and bookings already made on the allottee's purchases stand. If the split changed for a unit whose purchase hadn't gone that far, its draft estimate still carries the old figures: sending, finalizing or booking it is refused with "Estimate vN was priced on <x> sq ft chargeable; the offer now gives <y> sq ft … Reprice it first", so edit and save the draft (or make a new version) to reprice it.
- Next: Record acceptance and the signed offer.
If something goes wrong
- Reopen as draft isn't shown: the offer is Signed (or already Draft). A signed offer can only be cancelled and replaced. See Offer cannot be reopened (trouble.projects.offer-cannot-be-reopened).
- "A demand has been raised on this offer; cancel the demand first": an older offer with charge lines has a live demand. Cancel the demand on its page and reopen again. Same article (trouble.projects.offer-cannot-be-reopened).
- "This member already has a termsheet on the project." when reopening a cancelled offer: the allottee already has a newer live offer; work on that one. Same article (trouble.projects.offer-cannot-be-reopened).
- "Unit <u> is being bought by the allottee (estimate out or booked); cancel that first" when you release a unit, or "Unit <u> has an estimate out or a booking at a share of <n> sq ft…; revise that estimate or cancel the booking before its share or chargeable area changes" when you save the split: the unit's purchase has gone too far to change. See Offer cannot be cancelled, reopened, edited or deleted (trouble.projects.offer-cannot-be-cancelled).
- Save split greyed out with "The shares add up to <n> sq ft; they must add up to <n>", "Give every unit a share (0 or more)", "A share is larger than its unit (<units>)" or "The area charged must lie between 0 and the unit's extra area (<units>)": fix the figures so every share fits its unit and the total equals the entitlement. See Split does not add up (trouble.projects.split-does-not-add-up).
- "Cannot reopen a <status> termsheet" or "Cannot issue a <status> termsheet": the offer moved on while your screen was open; close and reopen the panel. See Offer cannot be cancelled, reopened, edited or deleted (trouble.projects.offer-cannot-be-cancelled).
- "You do not have permission to do that.": see No permission (trouble.admin.no-access).

- Generated documents: offer letters, cost sheets, void and supersededConcept
A generated document is a numbered, filed rendering of a published template against one record, kept with its merged text, template version and file; offer letters are generated when an offer is issued and supersede the earlier ones, cost sheets print an estimate for the buyer, and a void or superseded document keeps its number and shows a watermark saying what replaced it.
- Allottee purchasesConcept
How an allottee buys the units their offer allots: one purchase per allotted unit, priced only on the area beyond their entitlement, through the same estimate, payment plan, approval and booking chain as any buyer, with the unit staying Allotted throughout.
- Offer cannot be cancelled, reopened, edited or deleted: money, demands, purchases or its status stand in the wayTroubleshooting
An offer with money recorded against it is in the books and is not cancelled from the offer; a live demand must be cancelled first; an allottee's purchase that has an estimate out or a booking must be cancelled before its unit comes off the offer; and each action is allowed only from the statuses it moves from, so a non-draft offer is reopened before it is edited.
- Entitlement split refused: the shares do not add up, or a unit's purchase has frozen themTroubleshooting
The entitled area of an offer is split across its allotted units; each share must lie between 0 and the unit's area, the shares must add up to the entitlement (capped at the allotted area), the area charged must lie within the unit's extra area, and a unit whose estimate went out or which is booked keeps its figures until that estimate is revised or the booking cancelled.
- "No access" or "You do not have permission": your role lacks a permissionTroubleshooting
Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
