Split the entitlement and start the allottee's purchases

Decide how the entitled area falls on each allotted unit and how much of the extra area the allottee pays for, then open a purchase per unit and price it through the usual estimate, approval and booking.

Split the entitlement and start the allottee's purchases

The units allotted to an allottee usually give more carpet area than the entitlement. The difference is the extra area, and the allottee buys it, or is given it free, through a purchase of each unit: an estimate priced on the chargeable area only, approved and booked like any sale. Before that can start, you say how the entitled area falls on each unit (the entitlement split) and how much of each unit's extra area is charged. Every allotted unit is booked with its own agreement, even when nothing is charged.

Before you start

  • The offer is drafted with its units and an entitled area: Draft an offer to an allottee. Every allotted unit has its area recorded on the project's area basis (Carpet area (Mofa) by default; Area basis on the Projects card under Settings > Organization, or the project's Chargeable area on its Settings tab).
  • The split can only be saved on a Draft, and purchases only start on an Issued, Accepted or Signed offer: set the split first, then issue.
  • The project is ready to sell and collect: promoter, books, the collection, RERA separate and operative bank accounts with their ledgers, and the RERA registration when your organization requires it. Nothing is sold to an allottee before the project could sell to any buyer. See Make a project ready to sell and collect.
  • A pricing plan for the unit's type exists on the project's Unit Pricing tab, or you will add charges by hand (Create a pricing plan).
  • Permissions: the Edit permission on Termsheets to save the split and issue; the Create permission on Opportunities plus the View permission on Termsheets to start purchases; the Create and Edit permissions on Estimates to price them. In the default roles the Rehab Officer can split and issue but not start purchases (no Create on Opportunities); the Administrator can do everything.

Steps

  1. Open the project, choose the Society & Tenants tab and open the allottee's draft offer. Under the benefits, the card Entitlement split & purchases explains "How the entitled area falls on each unit (<area basis>). What is left of a unit is its extra area; you decide how much of it the allottee pays for - all of it (blank), part of it, or none (0, given free). …" and lists each allotted unit with Area, Entitled share, Extra, Charged, Free, Purchase ("not started"), Estimate and Booking. The Total row says "must be <n>": the figure the shares have to add up to, the entitlement (capped at the allotted area). See Society & Tenants.
  2. Type each unit's Entitled share so that the shares add up to that figure; the card fills them in unit by unit to begin with, so you may only need to adjust. For each unit, Extra shows its area less its share, rounded up to whole sq ft. In Charged, leave the box blank (placeholder "all <n>") to charge the whole extra area, type a smaller figure to charge part of it, or 0 to give it all free; Free shows what the allottee doesn't pay for. Example: a member with 650 sq ft existing is entitled to 702 sq ft and is allotted one unit of 780 sq ft: share 702, extra 78, and Charged blank means 78 sq ft are sold at the unit's Per Sqft rates.
  3. Click Save split. You see "Entitlement split and chargeable areas saved." The button stays greyed out, with the reason on hover, until the figures fit (see below). Undo puts back the saved figures.
  4. Issue the offer: click Issue to member, choose the Letter and click Generate letter & issue (Issue an offer with its letter). The badge reads Issued. Until then Start purchases is greyed out with "Purchases cannot start yet: The offer is Draft; issue it first - purchases follow the allotment the allottee was given".
  5. Click Start purchases on the split card. One purchase opens for every allotted unit that has none, assigned to you. You see "<n> purchases started; opening the estimate for unit <u>." (or "Purchase started; …"), each unit's Purchase column reads Lead, and the estimate builder opens for the first unit (when you hold the Create permission on Estimates).
  6. In the estimate builder (New estimate) the Allotted unit card replaces the unit picker: "The allottee buys the unit their offer allots. Per Sqft charges apply to the chargeable area only … Fixed charges apply in full." with "<area basis>: A sqft · entitled B · chargeable C". Pick the Unit pricing plan, include optional charges or override rates with a reason, set Valid until and Notes, and click Save & continue to payment plan. You see "Estimate v1 created as a draft." and the Payment plan step opens. The unit stays Allotted whatever happens to the estimate.
  7. Set the payment plan (Lumpsum, Installments or Construction-linked) and click Save & review, then Finalize pricing & plan, request approval and confirm with Finalize in "Finalize and request approval?" (estimate wizard). You see "Estimate v1 finalized with its payment plan; approval requested." and the estimate opens as Pending Approval. If you want the estimate recorded as sent to the allottee, use Mark sent on the estimate page while it is still a draft, before finalizing; sending doesn't hold the unit, which is already theirs.
  8. When the offer allots several units, go back to the offer's Entitlement split & purchases card and click Create estimate in each other unit's Estimate column, then repeat steps 6 and 7. The Estimate column shows each estimate's version, status and amount (linking to it) and Purchase the purchase's stage.

What happens next

  • Each purchase is an opportunity outside the sales funnel: it opens from the allottee's page, has no lead source, channel partner or commission, and can't be edited. Its Overview carries an Allottee purchase card pointing back to the offer.
  • An approver (the Approve permission on Estimates: Administrator, Finance Lead or Sales Manager by default) approves the estimate under Estimates > Awaiting approval or on the estimate page (Approve an estimate). As for any estimate, the system rule "Estimate approval requested (system)" gives a Sales Manager the task "Approve estimate for Unit <unit>: <name>", due the next day, and notifies every Sales Manager.
  • Once approved, Book on the estimate or its opportunity books the unit (Book a unit). The unit stays Allotted; leaving the wizard's co-applicants empty books in the names the allottee already holds, with their co-owners' shares. The booking's termsheet and demands then collect the price of the extra area.
  • Once a unit's estimate is sent or finalized, or the unit is booked, its share and charged area show as "fixed" on the split card and the unit can't be released from the offer. The Booking column shows the booking number and "Agmt <no>" once the agreement is numbered; the allottee's page lists the bookings on its Offers card.
  • The offer's benefits are untouched by any of this: what the developer pays and what the allottee pays are never netted.

If something goes wrong

  • Save split greyed out with "Give every unit a share (0 or more)", "A share is larger than its unit (<units>)", "The shares add up to <n> sq ft; they must add up to <n>", "The area charged must lie between 0 and the unit's extra area (<units>)" or "Nothing changed"; or the card warns "The entitlement split no longer adds up (a unit's area may have changed). Set the shares again and save.": fix the figures so each share fits its unit and the total equals "must be <n>". See Split does not add up (trouble.projects.split-does-not-add-up).
  • "Reopen the offer as a draft to change the split" or "Save the offer's other changes first" on Save split: the split is saved on a draft only, after the offer's own changes. Same article (trouble.projects.split-does-not-add-up).
  • "Units <u> have no <basis>, the area this project charges on; record it on the unit." on the card, or "Unit <u> has no <basis>, the area this project charges on; record it on the unit first" from the estimate: record the unit's area on the Structure tab. See Unit has no chargeable area (trouble.projects.unit-has-no-chargeable-area).
  • Start purchases greyed out with "Purchases cannot start yet: <first reason> (and <n> more, listed below)" and the red box "Purchases cannot start yet" listing "The offer is <status>; issue it first - purchases follow the allotment the allottee was given", "The offer allots no units", "Record the entitled area on the offer", "The entitlement split on the offer does not add up" or "The offer charges a Differential Area Cost; remove it - the extra area is sold through the units' estimates": clear each reason on the offer. See Purchases cannot start (trouble.projects.purchases-cannot-start).
  • The same box lists project reasons such as "No promoter entity: choose the company developing the project", "<company> keeps no books yet; set them up under Accounting > Books", "<company> has no collection bank account for this project", "<company> has no RERA separate bank account for this project", "<company> has no operative bank account for this project" or "The books have no ledger for the <collection | RERA separate | operative | GST> bank account <bank> ····<last 4>; sync bank ledgers" (with a button to sync them), ending "Nothing is sold to an allottee before the project could sell to any buyer." with a link to the project's "Ready to sell and collect?" card. See Project not ready (trouble.projects.project-not-ready).
  • "RERA registration number and date are not recorded; no estimate or booking can be made until they are", or from the estimate "This project has no RERA registration number and date on file; record them under Land & RERA before estimates or bookings (organization setting).": record the RERA registration on the project. See RERA required (trouble.projects.rera-required).
  • "Every allotted unit already has a purchase under way" on Start purchases: nothing to start; open each purchase from the Purchase column instead.
  • "Estimate vN was priced on <x> sq ft chargeable; the offer now gives <y> sq ft (entitled <e> of <a>). Reprice it first" when sending, finalizing or booking: the split changed after the estimate was priced. Edit and save the draft, or create a new version of the estimate, to reprice it. See Entitlement split refused (trouble.projects.split-does-not-add-up).
  • "Unit <u> has an estimate out or a booking at a share of <n> sq ft…; revise that estimate or cancel the booking before its share or chargeable area changes": that unit's figures are frozen. See Entitlement split refused (trouble.projects.split-does-not-add-up).
  • Start purchases or Create estimate isn't shown: your role lacks the Create permission on Opportunities or Estimates. See No permission (trouble.admin.no-access).

  • Draft an offer to an allotteeHow-to

Prepare the offer (term sheet) for a society member, landowner or PAP tenant: the area they are entitled to, the new units allotted to them and the benefits the developer pays, saved as a draft.

  • Issue an offer with its letterHow-to

Publish the offer letter template once, then issue a draft offer so the letter is generated and filed with it and the offer moves to Issued.

  • Make a project ready to sell and collectHow-to

Clear every blocker on the project's "Ready to sell and collect?" card: a promoter entity, its books, the collection, RERA separate and operative bank accounts with their ledgers, and the RERA registration when your organization requires it, so bookings and allottee purchases can go through.

  • Create a pricing plan and its charge linesHow-to

  • Allottee purchasesConcept

How an allottee buys the units their offer allots: one purchase per allotted unit, priced only on the area beyond their entitlement, through the same estimate, payment plan, approval and booking chain as any buyer, with the unit staying Allotted throughout.

  • Unit areas and the chargeable areas: Carpet area (Mofa), RERA Carpet Area, Super Built-up AreaConcept

Every unit carries up to three areas; two settings say which one money is worked out on: the chargeable area for buyers (what a Per Sqft price multiplies on a buyer's estimate) and the chargeable area for members and tenants (what a member's offer and an allottee's purchase are measured in).

  • Project readiness and the RERA gateConcept

A project is ready to sell and collect once it has a promoter entity with books, the collection, RERA separate and operative bank accounts with their ledgers, and, when the organization requires it, a RERA registration whose validity covers today; bookings and allottee purchases wait for all of it, estimates only for RERA.

  • Entitlement split refused: the shares do not add up, or a unit's purchase has frozen themTroubleshooting

The entitled area of an offer is split across its allotted units; each share must lie between 0 and the unit's area, the shares must add up to the entitlement (capped at the allotted area), the area charged must lie within the unit's extra area, and a unit whose estimate went out or which is booked keeps its figures until that estimate is revised or the booking cancelled.

  • "Purchases cannot start yet": the offer, its split or the project is not readyTroubleshooting

An allottee's purchases of their allotted units open only from an issued, accepted or signed offer that allots units, records the entitled area with a split that adds up, carries no Differential Area Cost, and sits on a project that is ready to sell and collect; a purchase then stays tied to its allotted unit and the allottee as buyer.

  • "Not ready to sell and collect": the project's readiness card still has blockersTroubleshooting

A booking, or an allottee's purchases, cannot go ahead while the project lacks a promoter entity, the promoter's books, its collection, RERA separate and operative bank accounts with ledgers in those books, or (when the organization requires it) the RERA registration; the Ready to sell and collect? card lists what is missing and where to fix it.

  • No estimate or booking allowed: the project's RERA registration is missing, expired or not yet validTroubleshooting

With the organization's "Require RERA registration before selling" switch on, no estimate or booking can be made on a project unless a RERA registration whose validity covers today is recorded on its RERA registration card; an expiring one only warns, and opportunities can still be logged.

  • Unit has no chargeable area: the area the project prices on is missingTroubleshooting

Per Sqft prices and allottee entitlements are worked out on one area basis (Carpet Area (Mofa), RERA Carpet Area or Super Built-up Area); a unit without that area cannot be priced, previewed or split until the figure is recorded on the unit.

  • "No access" or "You do not have permission": your role lacks a permissionTroubleshooting

Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
