Record construction progress on a stage

Mark a construction stage as commenced and then completed on the project's Construction Stages tab, with optional certificates or site photos, so the construction-linked installments waiting on it get their due date and accounts are told to bill them.

Record construction progress on a stage

When work on a construction stage starts, and again when it is finished, you record the date on the project's Construction Stages tab. Completing a stage is what gives the buyers' construction-linked installments waiting on it their due date, so they can be billed. You can attach the architect's or engineer's certificate and site photos when you complete it.

Before you start

  • The stage exists on the project: see Plan construction stages and their shares.
  • You need the Edit permission on Construction Stages. In the default roles that is the Administrator, the Project Manager, the Compliance Officer and the Site Engineer. Without it the row buttons aren't shown. To see the tab at all you need any permission on Construction Stages, and the page itself needs the View permission.
  • To attach files, your organization's file storage must be set up. Without it the dialogs show "File storage is not configured yet, so files cannot be attached for now. Dates are recorded as usual."

Steps

  1. Open the project and choose the Construction Stages tab. The Construction stages card lists the stages in order, with "N stages · N completed · N in progress" above the grid. Once any stage carries a share, a shares line follows ("Shares (each bucket up to 100%): project-wide X% allocated, Y% completed · <Tower> …"). Each row shows its Status: Not started, In progress or Completed. See Construction Stages.
  2. On the stage's row, click Commencement. The dialog "Record commencement" opens: "Work on <stage> started on:" with Commencement date set to today ("Defaults to today; pick another day if work started earlier.").
  3. Change Commencement date if work started earlier, then click Mark commenced. You see "<stage>" commenced. The Status reads In progress, the Commenced column shows the date, and the row now offers Undo commencement instead of Commencement.
  4. When the stage is finished, click Completed on its row. The dialog "Mark stage completed" opens: "<stage> will be recorded as completed. Construction-linked instalments waiting on it get their due date." You can complete a stage that was never marked commenced.
  5. Set Completion date (today by default; with a commencement date the hint reads "Commenced <date>; completion cannot be earlier."), add any certificates or photos under "Supporting files (optional)", then click Mark completed. You see "<stage>" completed. (or "<stage>" completed with N files.). The row shows a tick, the Completed column shows the date, Files counts the attachments, and the shares line counts the stage's share as completed.

What happens next

  • Installments get their due date. Every installment on a booking or offer schedule that waits on this stage and has no date yet takes the completion date as its due date. Installments someone already dated by hand keep their date. On the booking's Termsheet & schedule tab they change from "On <stage>" to that date.
  • Accounts are told to bill. The seeded rule "Construction stage achieved: bill it (system)" is on by default: Accountants and Sales Managers get the notification "Stage achieved: <stage>, <project>", with the tower in brackets for a tower's stage ("Construction-linked instalments now have due dates. Raise the demands or run a demand run."), and an Accountant gets the task "Raise construction-linked demands: <stage>, <project>" due in 3 days. Billing itself is not automatic: raise the demands from each booking (Raise a demand) or bill the whole project with a demand run (Issue a demand run).
  • Revenue recognition. When the books' revenue policy recognises revenue over time by stages achieved, a revenue run counts the shares of the stages completed on or before its period end (the tower's own stages when it has any, otherwise the project-wide ones). The run's line notes read "N of M stages achieved". Stages without a share don't count.
  • Undo commencement (on an In progress row, tooltip "Remove the commencement date") clears the commencement date at once, with no confirmation. You see "Commencement of "<stage>" cleared."
  • Reopen (on a Completed row) takes the stage back to In progress, or Not started if it never commenced, and removes the due date from every installment linked to it. It asks for no confirmation. You see "<stage>" reopened. The seeded rule "Construction stage reopened (system)" tells Finance Leads and Project Managers: "Instalments linked to it lose their due date. Check demands already issued."
  • Late stages are flagged. Every Monday the seeded rule "Construction stages running late (system)" tells the Project Managers about stages past their expected date and not yet completed.
  • To add files later, click the upload icon on the row (tooltip "Attach file"), or expand the row and use its Attach file button (Add file once the stage has files). The dialog "Attach files to <stage>" takes the files and optional Notes; click Upload.

If something goes wrong

  • "The completion date cannot be earlier than the commencement date." or "The commencement date cannot be later than the completion date.": pick a date on the right side of the other one. See Construction stage cannot be reopened or re-dated (trouble.projects.stage-cannot-be-reopened).
  • "This stage is already commenced.", "This stage is already marked completed." or "This stage is not completed.": someone else changed the stage while your screen was open. Refresh the page and follow the buttons it now shows.
  • Reopen answers "<n> installment(s) on this stage are paid or hand-dated": money has been placed on an installment of this stage, or someone dated one by hand, so the stage stays completed. See Construction stage cannot be reopened or re-dated (trouble.projects.stage-cannot-be-reopened).
  • The date saved but some files did not: you see ""<stage>" completed, but N files were not uploaded: <names>. Add them from the stage's Files." Attach them again from the row. If the file picker is disabled, file storage is not set up: see Files cannot be uploaded (trouble.documents.file-storage-not-configured).
  • The Commencement and Completed buttons are missing on a stage that is not completed: your role lacks the Edit permission on Construction Stages. See No access or no permission (trouble.admin.no-access).

  • Construction stages and share bucketsConcept

A project's construction stages (plinth, slabs, possession) each carry a share of a 100% bucket, one bucket for the project-wide stages and one per tower; completing a stage dates the installments waiting on it and moves the revenue progress.

  • Payment plans: lumpsum, cadence, custom and construction-linkedConcept

A payment plan says how the buyer's total is collected: all at once, in equal installments on a cadence, on agreed dates, or as construction stages are achieved; it lives on the estimate as numbered versions, is finalized with the price for approval, and becomes the booking's schedule.

  • Revenue recognition: policy, point in time vs over time, and revenue runsConcept

Each set of books carries an effective-dated revenue policy (framework, method, possession trigger, cost and brokerage treatments, judgement areas) chosen by the CA; a revenue run is the period close that computes every booking's and member offer's progress under it, recognises the catch-up revenue, cost of sales and brokerage, and posts the journals.

  • Construction stage cannot be reopened or re-datedTroubleshooting

Reopen is refused once an installment on the stage has been paid, waived, cancelled or hand-dated; the commencement and completion dates must keep their order; and a stale screen can ask for a change the stage already has.

  • Files cannot be uploaded: storage is not configured, the file is too big or empty, or it went missingTroubleshooting

Logos, stage files, signed copies and uploaded documents live in an object store set up for the installation; until it is configured uploads are refused while dates and records still save, a file must have content and stay within the size limit (25 MB for documents, 2 MB for logos), and an uploaded document can only be downloaded, not previewed.

  • "No access" or "You do not have permission": your role lacks a permissionTroubleshooting

Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
