Parking

Set up the project's parking areas (basement, podium, stilt) and their numbered parking slots, see who holds each parking slot, and allocate parking slots to society members.

Parking

The project's parking areas and the numbered parking slots in each. Use it to set up basements, podiums and stilts, number their parking slots in bulk, see at a glance which parking slots are free, held, allotted or booked, and allocate parking slots to society members.

Where to find it

Open a project and choose the Parking tab. It shows when you hold any permission on Parking, on every kind of project. The Manage link on the Parking areas card of the setup wizard's Amenities, parking, stages & pricing step, and the "its Parking tab" link on a booking's Applicants tab, also bring you here.

You need the View permission on Parking to see the parking areas. Without it the page shows "No access" and "You do not have permission to view parking. Ask your administrator."

In the default roles:

  • Administrator and Project Manager can do everything here.
  • Sales Manager, Rehab Officer and Site Engineer can edit parking slots and allocate or release them, but can't add or delete areas or parking slots. The member search also needs the View permission on Tenants, which Site Engineer doesn't have.
  • Finance Lead, Accountant, Compliance Officer, Auditor and Sales Executive can only view.
  • Front Desk and Legal & Documentation don't see the tab.

Before you start

  • Parking types (Covered, Open, Stilt, Basement…) come from Settings > Lookups. Every parking slot needs one, and picking it needs the View permission on Lookups. Without it you see "Choosing a parking type needs the Lookups permission."
  • To tie an area to one tower, the tower must exist on the Structure tab, and you need the View permission on Towers, Floors & Units to see the tower list.
  • To allocate parking slots to members, the project must be linked to a society, and the members must be recorded on it.

What you see

Parking areas

The left-hand list Parking areas, in name order, with the first area selected when you open the tab. Each card shows the area name and "N parking slots · N free · <tower> · level N" (the free count only when some are free, the tower and level only when set). With no areas you see "No parking areas" and "An area (basement, podium, stilt) holds numbered parking slots."

With no area selected: "Select a parking area" and "Pick an area on the left to manage its parking slots."

The selected area

The area name is the heading, with a view switch Layout / Parking slots, the Export and Import buttons, and Generate parking slots and Add parking slot. The tab opens on Layout.

Layout view

Every parking slot of the area as a coloured cell, one row per level, top level first. Levels are tagged G (ground), B1, B2 (basements) or L1, L2 (upper levels), and "—" when neither the parking slot nor its area has a level.

  • Counts: Available, Allotted, On hold, Booked (which also counts any Sold), plus Blocked when any.
  • Legend: Available, "Allotted to an allottee", "On hold (sent estimate)", Booked and Blocked, plus Sold and "Reserved for tenants" when present.
  • Each cell shows the parking slot number and, under it, "Unit <number>" when someone holds it with a unit, or else the vehicle type.
  • Hover a cell for the number, parking type, vehicle type, size and status. A held parking slot reads "On hold: a sent estimate holds it until it is cancelled, expires or is booked". The holder and their unit, and the booking number, show when there is one.
  • Click a cell to open the parking slot.

With no parking slots in the area: "This area has no parking slots yet. Generate or add them above."

Parking slots view

A table of the area's parking slots.

  • Filters: status, vehicle type, and All parking slots / Allocated / Free, plus a search box "Search parking slot number".
  • Columns: Parking slot, Type, Vehicle type, Size, Floor (Ground, Basement -1, or the level number), Status, Unit no and Name (who holds it).
  • The pencil (hover "Edit parking slot <number>"), or the eye ("View parking slot <number>") if you can only view, opens the parking slot. With none: "No parking slots yet".

The area panel

Add parking area or Edit <name>:

The parking slot panel

Add parking slot or Parking slot <number>:

Field Required What to enter
Parking slot number Yes Up to 50 characters, unique in the area. "Parking slot number is required" if blank.

An existing parking slot also shows an Allocation box with its status (see below).

What you can do

Add parking area

Add at the top of the list, or Add parking area when there are none, opens the area panel. Click Add area; you see “Parking area "<name>" added.” and the new area is selected.

  • Who: the Create permission on Parking. Otherwise the buttons aren't shown.
  • If it's refused: "A parking area with this name already exists." shows under Name (capitals are ignored).

Edit an area

The pencil on an area card (hover "Edit <name>"). Click Save changes; you see “Parking area "<name>" updated.”

  • Who: the Edit permission on Parking.

Delete an area

The bin on an area card (hover "Delete <name>") asks "Delete parking area?": "<name> and its N parking slots will be removed. Areas with allocated parking slots cannot be deleted." Click Delete; you see “Parking area "<name>" deleted.”

  • Who: the Delete permission on Parking.
  • If it's refused: "Parking slots in this area are allocated; release them first." If a parking slot of the area is on an estimate, the delete fails with "That conflicts with existing data."

Generate parking slots

Generate parking slots opens (and closes) a form, also headed Generate parking slots, above the layout. It numbers many parking slots at once:

  • Prefix (starts as "P-", up to 20 characters), From (starts at 1), To (required) and Digits (starts at 3, "Zero-padding"), so 1 to 50 gives P-001 to P-050.
  • Parking type (required), Vehicle type, Size and Floor level ("Blank = the area's level").
  • A live line shows what you'll get, for example "50 parking slots: P-001 … P-050", or "Enter a number range to preview."

Click Generate N parking slots. You see "N parking slots created in <area>." and "Created N parking slots · N already existed." The form stays open for another run; click Close to put it away.

  • Who: the Create permission on Parking. Otherwise the button isn't shown.
  • Greyed out: Generate parking slots is greyed out, with no reason on hover, until the range holds at least one number, and when it holds more than 2,000 ("— more than 2000 per run").
  • Numbers that already exist in the area are skipped (capitals ignored), so a run can be repeated.
  • Messages: "Must be greater than or equal to the first number" when To is below From; "At most 2000 parking slots per run"; "Choose a parking type" when none is picked.

Add parking slot

Add parking slot opens the parking slot panel, also titled Add parking slot, for the selected area. Click Add parking slot at the foot of the panel to save; you see "Parking slot <number> added."

  • Who: the Create permission on Parking. Otherwise the button isn't shown.
  • If it's refused: "This parking slot number already exists in the parking area." shows under Parking slot number.

Save changes (parking slot)

Click a cell in Layout or the pencil on a row in Parking slots to open Parking slot <number>. Change what you need and click Save changes; you see "Parking slot <number> updated."

  • Who: the Edit permission on Parking. With view access only you can still open a parking slot, but saving is refused with "You do not have permission to do that."
  • Greyed out: Save changes stays greyed out, with no reason on hover, until you change something. Status is locked ("Set through allocation") on a parking slot that is allocated, held or booked, so release it first.
  • If it's refused: "This parking slot number already exists in the parking area."

Allocate to member

In the parking slot's Allocation box, search "Search society members…" for a member of the project's society, then click Allocate to member. You see "Parking slot <number> allocated to <name>." and the parking slot becomes Allotted. Each match shows the member number and existing unit, when recorded; with no match you see "No member matches".

  • Who: the Edit permission on Parking. Without it the Allocation box isn't shown.
  • Greyed out: Allocate to member is greyed out, with no reason on hover, until you pick a member, and whenever the parking slot isn't Available.
  • No society: on a project without a linked society the box says "Member allocation applies to redevelopment projects with a linked society. Booking allocation happens through bookings."
  • If it's refused: "Parking slot is <status>", or "This tenant does not belong to the project's society."

Release

Shown in the Allocation box when a member holds the parking slot. It releases the parking slot straight away, with no confirmation; you see "Parking slot <number> released." and it goes back to Available.

  • Who: the Edit permission on Parking.
  • Booked parking slots: a parking slot allocated through a booking shows "Allocated to a booking; release it from the booking." instead. It can only be released from the booking.

Delete (parking slot)

Delete at the bottom of the parking slot panel asks "Delete parking slot?": "Parking slot <number> will be removed." Click Delete; you see "Parking slot <number> deleted."

  • Who: the Delete permission on Parking. Otherwise the button isn't shown.
  • Greyed out: greyed out, with no reason on hover, while the parking slot is allocated to a member or a booking.
  • If it's refused: "A sent estimate holds this parking slot" while an estimate holds it, or "That conflicts with existing data." when an estimate still lists it.

Export

Export (hover "Download this list as an Excel sheet") downloads the project's parking slots as an Excel workbook, to edit in bulk and bring back with Import.

  • Who: the View permission on Parking and on Projects.

Import

Opens Import parking slots: "A row names its area; an area that is not there yet is created. Allocation stays on this screen."

  1. Download template (or use an exported file) and fill it in. The closed columns are dropdowns. What each column takes explains every column.
  2. Choose Excel file (.xlsx or .csv). The file is checked first, and nothing is written yet: "Checked, nothing written yet. Use Import to apply it."
  3. Click Import N rows. You see "N added, N updated." and "Imported into <project>."

Import N rows is greyed out, with the reason on hover, when no file is chosen ("Choose a filled-in sheet first"), when some rows fail ("Fix the N rows listed below, then choose the file again") or when nothing would change ("This sheet has no rows to add or update").

Row errors you may see include "area: required", "parking_slot_number: required", "parking_slot_number: the same parking slot appears on row N", "parking_slot_id: no parking slot with this id in this project" and "parking_type: required for a new parking slot". A sheet without a parking slot number column at all is refused with "The sheet is missing the column(s): parking_slot_number. Download the template and fill that in."

  • Who: both the Create and Edit permissions on Parking. Otherwise the button isn't shown.

Statuses

Parking slots use the same statuses as units. Only Available and Blocked are set by hand.

Status Shown as Meaning How it changes
Available Available Free. Every new parking slot starts here. Set by hand; also where a release or cancellation returns it.
Blocked Blocked Kept out of use. Set by hand; set it back to Available to release it.
Reserved For Buyer On hold A sent estimate holds it for its buyer. Back to Available when the estimate is cancelled or expires; Booked when the estimate is booked.
Allotted Allotted Allocated to an allottee. Allocate to member sets it; Release returns it to Available.
Booked Booked Allocated to a buyer's booking. Released through the booking; cancelling the booking returns it to Available.

Reserved For Tenant and Sold appear in the status filter, but parking slots never take them.

Things to know

  • Buyers' parking goes through the sale, not this screen. A sent estimate holds its parking slots just like its unit, so two buyers can't be promised the same parking slot. Drafts hold nothing. The booking then allocates the parking slot, and only the booking can release it. This screen allocates parking slots to society members only.
  • Only society members can be picked here. The search lists the members of the project's linked society, and it needs the View permission on Tenants. Without a linked society you can't allocate from this screen.
  • Allocated and held parking slots are protected. You can't change their status or delete them until they are released, and an area with allocated parking slots can't be deleted.
  • Release doesn't ask for confirmation. Click it only when you mean it.
  • Floor level. A parking slot's floor level defaults to its area's level; set it only when one area spans several levels. The Layout view groups parking slots by this level.
  • Sheet import: the sheet has no status or allocation columns. A row names its area; an area that doesn't exist yet is created, using the tower and level columns of the sheet. Nothing is written unless every row passes.
  • Sheet columns. The parking slot columns are headed parking_slot_id and parking_slot_number, in the template, in an export and in row errors. A sheet made with the older headers slot_id and slot_number still imports: they are read as the new columns. If a sheet carries both the old and the new header, the new one wins.

Parking on the Amenities tab

Every parking area lists the Parking amenity on the project's Amenities tab by itself: under its tower, with the badge From parking, a quantity equal to the parking slots in the tower's areas and a location naming the areas ("Basement Parking 1 (level -1)"). An area with no tower makes Parking project-wide, backed by every area. The row follows the areas and their parking slots and goes with the last area; it cannot be removed from the Amenities tab while an area backs it. The tower card on the Structure tab shows Parking among the tower's amenities.

  • Parking areas and parking slotsConcept

A parking area (basement, podium, stilt) holds numbered parking slots that are inventory like units: held by a sent estimate, booked with the unit, or allocated to an allottee from the project.

  • Unit status lifecycle: available, reserved, allotted, held, booked, soldConcept

  • Estimate validity and the unit holdConcept

A sent estimate holds its unit (and the parking slots it picked) for that buyer until its Valid until date; the hold starts on sending, can be extended with a reason, and an hourly job expires the estimate and frees the unit the day after the date passes.

  • Excel sheets: check first, then applyConcept

Units, parking slots, construction stages, unit pricing, benefit plans, society members and allottees can be exported to and imported from Excel; every sheet is checked row by row first, and nothing is written while any row fails.

  • Set up parking areas and parking slotsHow-to

Add the project's parking areas (basements, podiums, stilts), number their parking slots in bulk with the generator or one at a time, and check the layout, so parking slots can be allocated to society members and offered to buyers.

  • Allocate a parking slot to an allotteeHow-to

Give a society member one of the project's parking slots from the Parking tab, see it on the member's page, and release it again when the allocation changes.

  • Parking slot is allocated or held: it, and its parking area, cannot be released, changed or deleted hereTroubleshooting

A parking slot allocated with a booking is released only when that booking is cancelled, one held by a sent estimate only when the estimate is cancelled or expires, and while either lasts its status cannot be set by hand, it cannot be deleted and its parking area cannot be removed; only member allocations are released from the Parking tab.
