Set up parking areas and parking slots

Add the project's parking areas (basements, podiums, stilts), number their parking slots in bulk with the generator or one at a time, and check the layout, so parking slots can be allocated to society members and offered to buyers.

Set up parking areas and parking slots

A project's parking is recorded as areas (Basement 1, Podium, Stilt A), each holding numbered parking slots. Set them up once the towers exist: after that, the rehab team allocates parking slots to society members from this tab, and the sales team picks free parking slots on estimates, where a sent estimate holds them like the unit until it is booked, cancelled or expires.

Before you start

  • You need the Create permission on Parking to add areas and parking slots. In the default roles only the Administrator and the Project Manager have it; the Sales Manager, Rehab Officer and Site Engineer can edit and allocate parking slots but not add them. Without it the Add, Generate parking slots and Add parking slot buttons aren't shown.
  • Every parking slot needs a Parking type (for example Basement, Stilt, Open), an organization list under Settings > Lookups. Picking one needs the View permission on Lookups; without it the generator and the panel warn "Choosing a parking type needs the Lookups permission."
  • To tie an area to one tower, the tower must exist on the Structure tab, and seeing the tower list needs the View permission on Towers, Floors & Units. Parking floors themselves (the "No units" floors of a tower) are just floors; the parking slots live here.

Steps

  1. Open the project and choose the Parking tab. You see the Parking workspace: the Parking areas rail on the left with Add, and the selected area on the right. On a new project the rail reads "No parking areas" and "An area (basement, podium, stilt) holds numbered parking slots." with an Add parking area button. The Manage link on the Parking areas card of the setup wizard's Amenities, parking, stages & pricing step brings you here too.

  2. Click Add (or Add parking area). The panel Add parking area slides in:

    • Name (required, up to 100 characters, unique in the project): "e.g. Basement 1, Podium, Stilt A".
    • Tower: blank means Whole project; "Optional; when the parking belongs to one tower."
    • Level (-10 to 50): "Optional; negative for basements." The level tags the row in the layout (B1, G, L1) and is the default floor level of the area's parking slots.
    • Description (optional).

Click Add area. You see “Parking area "<name>" added.” The area is selected, on its Layout view, which reads "This area has no parking slots yet. Generate or add them above."

  3. Click Generate parking slots. A form headed Generate parking slots opens above the layout:

    • Prefix (starts as "P-", up to 20 characters), From (starts at 1), To (required) and Digits (starts at 3, "Zero-padding"): 1 to 50 with three digits gives P-001 to P-050.
    • Parking type (required, "Choose…"), Vehicle type (Two Wheeler, Four Wheeler or Any), Size (Small or Big) and Floor level ("Blank = the area's level").
    • A live line shows what you'll get: "50 parking slots: P-001 … P-050", or "Enter a number range to preview." until the range is complete.

Click Generate N parking slots. You see "N parking slots created in <area>." and "Created N parking slots · N already existed." Numbers that already exist in the area are skipped (capitals ignored), so you can run it again for a further range. The form stays open; click Close to put it away.

  4. For a parking slot that doesn't fit the pattern (a visitor bay, an odd corner), click Add parking slot. The panel Add parking slot slides in: Parking slot number (required, unique in the area), Parking type (required), Vehicle type, Status (Available or Blocked), Size, Floor level and Notes. Click Add parking slot at the foot of the panel; you see "Parking slot <number> added."

  5. Check the result. Layout shows one row per level with a cell per parking slot and the tiles Available, Allotted, On hold and Booked; Parking slots is a table with filters. (The Blocked tile only shows once some parking slot is blocked.) Click a cell or a row's pencil (hover "Edit parking slot <number>") to open the parking slot, correct it and click Save changes ("Parking slot <number> updated."). Set Status to Blocked for a parking slot that isn't to be offered (a pump room bay, say).

  6. Repeat from Add for each basement, podium and stilt. The rail shows one card per area: "N parking slots · N free · <tower> · level N".

What happens next

  • Every new parking slot is Available. A sent estimate puts its parking slots On hold (Reserved For Buyer); a booking makes them Booked; an allocation to an allottee makes them Allotted. Only Available and Blocked are set by hand.
  • To allocate parking slots to society members, see Allocate a parking slot to an allottee. Buyers' parking slots are chosen on the estimate and confirmed by the booking, not here.
  • Many parking slots can also be added or corrected from Excel: Export and Import, which sit next to the view switch once an area is selected (the sheet "Import parking slots": "A row names its area; an area that is not there yet is created. Allocation stays on this screen."). The flow is the same as for units, see Importing and exporting Excel sheets.
  • The setup wizard's Amenities, parking, stages & pricing step counts as done once any parking area (or amenity, stage or pricing plan) exists.
  • An area with allocated parking slots can't be deleted ("Parking slots in this area are allocated; release them first."); release them, or keep the area.

If something goes wrong

  • "A parking area with this name already exists." under Name: names are compared without regard to capitals. Use another name. See Parking area name already taken (trouble.projects.parking-area-name-taken).
  • "This parking slot number already exists in the parking area." under Parking slot number: numbers are unique within the area. Change it (the generator simply skips such numbers). See Parking slot number already taken (trouble.projects.parking-slot-number-taken).
  • The form's Generate N parking slots button greyed out (no reason on hover) with "— more than 2000 per run" in the preview, "Enter a number range to preview." (the To number is missing or below From), "At most 2000 parking slots per run", or "Must be greater than or equal to the first number" under To: fix the range, or split it into runs of at most 2,000. See Generate units or parking slots refuses the run (trouble.structure.generator-refuses).
  • "Choose a parking type": pick one. If the list is empty, add the parking types under **Settings

    Lookups** first.

  • "That tower does not belong to this project.": the tower was removed while the panel was open. Close the panel and pick again. See Record not found or stale (trouble.admin.record-not-found).
  • "Choosing a parking type needs the Lookups permission.", no Add button, or "You do not have permission to view parking. Ask your administrator.": your role lacks the View permission on Lookups or the Create (or View) permission on Parking. See No permission (trouble.admin.no-access).

  • Parking areas and parking slotsConcept

A parking area (basement, podium, stilt) holds numbered parking slots that are inventory like units: held by a sent estimate, booked with the unit, or allocated to an allottee from the project.

Where a unit stands right now, from Available through the rehab path (Reserved For Tenant, Allotted) or the sales path (Reserved For Buyer, Booked, Sold), who moves it and what each status blocks.

  • "Already exists" or "listed twice": the name, code, number or line must be uniqueTroubleshooting

Names, codes and numbers are unique within their scope (the organization, a project, a tower, a set of books) so that records can be told apart, and a line can appear once on a plan, offer or account; rename, reuse the existing record, or remove the duplicate line.

  • Generate units or parking slots refuses the run: ranges overlap, the pattern is wrong or the run is too bigTroubleshooting

The floors-and-units generator refuses a run whose floor ranges cover the same floor, whose numbering pattern has an unknown token or broken braces, or that would make more than 5,000 units; the parking slot generator refuses an empty range or more than 2,000 parking slots at once.

  • "That item could not be found" or "does not belong to this project": the record is gone, elsewhere or staleTroubleshooting

A record that was deleted, belongs to another organization, or is linked from a stale page answers "not found"; a tower, stage, parking slot, estimate, tenant, ledger or bill picked from the wrong project, opportunity or set of books is refused as not belonging there.

  • "No access" or "You do not have permission": your role lacks a permissionTroubleshooting

Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
