Allocate a parking slot to an allottee
Give a society member one of the project's parking slots from the Parking tab, see it on the member's page, and release it again when the allocation changes.
Allocate a parking slot to an allottee
On a redevelopment, society members are usually given a parking slot along with their new flat. Allocate it from the project's Parking tab: pick a free parking slot, choose the member, and the parking slot becomes Allotted to them. It then shows on the member's own page and stays out of the parking offered to buyers. Release it when the allocation changes.
Buyers' parking is different: a buyer's parking slots are held by their estimate and allocated by their booking, and are released through the booking. This task is only for society members.
Before you start
- The parking areas and parking slots exist: Add a parking area and Generate parking slots on the Parking tab.
- The project is a Redevelopment project with a linked society, and the member is on that society's roll. See Record a society and Enter society members, their consent and co-owners. Landowners and PAP tenants recorded on the project can't be picked from this screen: the search lists society members only.
- The parking slot is Available: not blocked, not held by a sent estimate, not booked, and not already allocated.
- You need the Edit permission on Parking for the Allocation box to show, and the View permission on Tenants for the member search to return anyone. In the default roles the Administrator, Project Manager, Sales Manager and Rehab Officer hold both; the Site Engineer can edit parking but holds no permission on Tenants, so their search finds no one.
Steps
- Open the project and choose the Parking tab. You see the Parking workspace: the Parking areas rail on the left, and the selected area on the right with the Layout / Parking slots view switch.
- Click the parking area (basement, podium, stilt) in the Parking areas rail. Its name heads the right side, on the Layout view: one row per level (G, B1, L1…), a cell per parking slot showing the number and, underneath, "Unit <n>" when the parking slot goes with a unit (otherwise its vehicle type), and the tiles Available, Allotted, On hold and Booked (plus Blocked when any parking slot is blocked). The legend explains the colours ("Allotted to an allottee", "On hold (sent estimate)"). Hovering a cell shows the number, parking type, vehicle, size, status and holder.
- Open a free parking slot: click its cell in Layout, or switch to Parking slots, set the Allocation filter to Free and click the pencil on the row (hover "Edit parking slot <number>"). The panel Parking slot <number> slides in with its details (Parking slot number, Parking type, Vehicle type, Status, Size, Floor level, Notes) and, at the bottom, the Allocation box with the status badge Available.
- In the Allocation box, type the member's name, phone, membership or existing unit number in the search box ("Search society members…") and pick them. Each match shows the name with "Member <no> · Unit <existing unit no>"; "No member matches" means no one on the roll fits. Without a linked society the box reads "Member allocation applies to redevelopment projects with a linked society. Booking allocation happens through bookings." instead.
- Click Allocate to member. It is greyed out, with no reason on hover, until a member is picked and while the parking slot isn't Available. The panel closes and you see "Parking slot <number> allocated to <name>." In Layout the cell turns the Allotted colour, with "Unit <n>" underneath (the unit allotted to the member, else their existing unit) and the member's name in its hover; its status is Allotted, and the Allotted tile counts it. In the Parking slots view the row shows the member under Name.
- To take the parking slot back, open it again. The Allocation box shows the member's name with "· Member <no>" and a Release button; click it. You see "Parking slot <number> released." straight away, with no confirmation, and the parking slot is Available again.
What happens next
- The member's Allottee page gains a Parking card listing "<parking slot number> · <area>".
- An allotted parking slot is not offered to buyers: the estimate's parking picker shows free parking slots only. Its Status in the panel is locked ("Set through allocation") and it can't be deleted while allocated (Delete is greyed out, with no reason on hover).
- The member can't be deleted while they hold a parking slot: the message "Tenant cannot be deleted: linked …" names "parking allocations". Release the parking slot first.
- A parking area holding allocated parking slots can't be deleted: "Parking slots in this area are allocated; release them first."
- Allocation is separate from the member's offer: allotting units on an offer doesn't touch parking, and cancelling the offer doesn't release the parking slot.
If something goes wrong
- "Parking slot is <status>" after Allocate to member, or the button stays greyed out: the parking slot is Blocked, Reserved For Buyer (a sent estimate holds it; the Layout hover reads "On hold: a sent estimate holds it until it is cancelled, expires or is booked"), Booked or already Allotted. Pick another parking slot, or free this one first. See Parking slot is allocated or held (trouble.projects.parking-slot-cannot-be-released).
- "Allocated to a booking; release it from the booking." in the Allocation box, or "This parking slot is allocated to a booking; release it through the booking." on Release: a buyer's booking holds it. Open the booking's Applicants & parking tab to release it. See Parking slot cannot be released (trouble.projects.parking-slot-cannot-be-released).
- "Member allocation applies to redevelopment projects with a linked society. Booking allocation happens through bookings." in place of the search: the project has no society linked. Link it on the Society & Tenants tab. See Parking slot is allocated or held (trouble.projects.parking-slot-cannot-be-released).
- "This tenant does not belong to the project's society.": the person picked isn't on the linked society's roll (for example the society was changed after the search). Check the society and pick again. See Record not found or stale (trouble.admin.record-not-found).
- The search never finds anyone, although the member exists: your role lacks the View permission on Tenants. No Allocation box at all: your role lacks the Edit permission on Parking. See No permission (trouble.admin.no-access).

- Set up parking areas and parking slotsHow-to
Add the project's parking areas (basements, podiums, stilts), number their parking slots in bulk with the generator or one at a time, and check the layout, so parking slots can be allocated to society members and offered to buyers.
- Enter society members, their consent and co-ownersHow-to
Build a society's member roll one person at a time: quick-add names and phones, fill in the full form with the existing flat, record each member's consent to the redevelopment, and add the co-owners who share the flat.
- Parking areas and parking slotsConcept
A parking area (basement, podium, stilt) holds numbered parking slots that are inventory like units: held by a sent estimate, booked with the unit, or allocated to an allottee from the project.
- Unit status lifecycle: available, reserved, allotted, held, booked, soldConcept
Where a unit stands right now, from Available through the rehab path (Reserved For Tenant, Allotted) or the sales path (Reserved For Buyer, Booked, Sold), who moves it and what each status blocks.
- Parking slot is allocated or held: it, and its parking area, cannot be released, changed or deleted hereTroubleshooting
A parking slot allocated with a booking is released only when that booking is cancelled, one held by a sent estimate only when the estimate is cancelled or expires, and while either lasts its status cannot be set by hand, it cannot be deleted and its parking area cannot be removed; only member allocations are released from the Parking tab.
- "That item could not be found" or "does not belong to this project": the record is gone, elsewhere or staleTroubleshooting
A record that was deleted, belongs to another organization, or is linked from a stale page answers "not found"; a tower, stage, parking slot, estimate, tenant, ledger or bill picked from the wrong project, opportunity or set of books is refused as not belonging there.
- "No access" or "You do not have permission": your role lacks a permissionTroubleshooting
Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
